About GTeNOADPlus
The purpose of this guide is to provide the user with a comprehensive guide to the GTeNOADPlus client
software.

This guide is best viewed using Adobe® Reader® software version X or above.

GTeNOADPlus is an application that merges efficiency and ease-of-use for the preparation and submission
of the Arrival and Departure notice information required by the United States Coast Guard National Vessel
Movement Centre (NVMC) for vessels visiting U.S. ports.

It provides a means for viewing and updating recently submitted forms and allows a partially completed
form to be saved as a draft for later submission.

Additionally, forms created in GTMaritime’s previous eNOAD solution (H2OENOAD) can be imported and
used as templates.

System Requirements
Before getting started, please check your computer meets the Minimum system requirements for running
GTeNOADPlus:

 1GB RAM
 5GB free disk space
 1GHz processor
 Microsoft Windows XP SP3/Windows Server 2003 SP2 or later (32 and 64bit compatible)
 .Net4 Framework (Available to download from GTMaritime Web Portal)

Installing GTeNOADPlus
To install the GTeNOADPlus software please ensure your computer meets the minimum system
requirements and continue as below:-

1.1 Run the GTeNOADPlus installation file


1.2 The Install Wizard will appear advising which forms are supported in the version you are
installing – Click on Next to continue

1.3 You must click to accept the End User Licence Agreement to proceed
1.4 Click to select I accept the terms in the License Agreement and click Next

1.5 Use the Destination Folder screen to select where the GTeNOADPlus system files will install to
and where the program’s data files will be stored. You can either accept the default or click on
Change… to alter to a path of your choice

1.6 Once confirmed, click on Next to continue


1.7 Click on Install to continue

1.8 Click on Finish to complete the install

Configuration
The GTeNOADPlus client software requires the use of a POP3 email account to send NoA/D submissions
and to receive status updates regarding submissions from the US Coast Guard NVMC.
Please ensure you have a POP3 email account configured for the GTeNOADPlus Client software to use
before configuring the GTeNOADPlus Client.

If you are using GTMailPlus for your email system, you can find detailed instructions on creating a user
account for the GTeNOADPlus client software in the Creating a Mail Account in GTMailPlus section of this
guide.

If you are using GTMail as your email system, please refer to the Creating a Mail Account in GTMail section
of this guide.

If you are using any other email system, please refer to your provider’s technical documentation.

Configuring the GTeNOADPlus Client


After installation you need to configure the GTeNOADPlus Client software to communicate with your email
software. At this point you should have a POP3 account created in your email system for the GTeNOADPlus
Client to use.
You will need the Username, Password and Email Address of the account you have created as well as the
IP address and POP3/SMTP ports used by PC the mail server is running on.

1.1 Launch the GTeNOADPlus client from the newly created icon on your desktop

1.2 When the GTeNOADPlus client launches you are prompted for a Username and Password

The default login information is


Username admin
Password 123456

Note: The default password can be changed within the program (File menu) once you are logged in.

1.3 The first time GTeNOADPlus is launched the below prompt will appear requesting you to configure
mail server settings

1.4 Click on OK to go to GTeNOADPlus Settings page


1.5 You will need the Username, Password and Email Address of the account you have created as well
as the IP address and POP3/SMTP ports used by the PC the mail server is running on.

Incoming Mail Server (POP3)

Email Address - Full email address of the ‘enoad’ account you created in your default email program
Server Address - The IP address of your email server
Server Port - The POP3 port used by your email server (Default is 110)
Use SSL - Select if your email server requires an SSL encrypted connection
Username - The Username associated with the ‘enoad’ account in your default email program

For GTMailPlus, this is the Username you specified during the email account creation process
For GTMail, this is the Mailbox ID (XXnn) you specified during the email account creation process

Password - The Password associated with the ‘enoad’ account in your default email program

Outgoing Mail Server (SMTP)

Server Address - The IP address of your email server


Server Port - The SMTP port used by your email server
Use SSL - Select if your email server requires SSL an encrypted connection
Use SMTP Authentication - Select if your email server requires SMTP authentication
Use same username/password as incoming server
Deselect to enter different SMTP user details if required

1.6 Use Test Settings option to verify that the GTeNOADPlus client can successfully communicate with
your email server

1.7 You will be prompted that the test may take a minute – Click on Start Test

1.8 If settings are correct, the test will complete with incoming and outgoing server tests shown as
‘passed’. Click on Close to continue
1.9 If either of the tests fail please check settings and try again
1.10 When settings are tested correctly click on the Connection Test Close button
1.11 The final part of the configuration is the General Settings section

Important Note
The US Coast Guard NVMC will not
accept eNoA/D forms via direct email.

Please DO NOT enter the NVMC email


address in the Email Addresses field.

All forms are automatically sent to the


NVMC when they are submitted
through the GTeNOADPlus software.

Email Addresses - List of email addresses (Not USCG NVMC) that you wish to send a copy of your eNoA/D
submission forms to.

Data Folder - Data Folder selected during installation


Run at Startup - Launch GTeNOADPlus client each time the PC is restarted

1.12 Click on SAVE to confirm configuration settings


1.13 Click on OK to confirm

This completes the GTeNOADPlus Client setup.

The option to import notices from the previous GTMaritime NOAD solution pops up automatically after
Configuration settings have saved for the first time.

If you have forms you wish to migrate from the H2OENOAD solution into GTeNOADPlus, click on YES and go
to Migrate Forms Created in H2OENOAD Software section of this guide for further details.

If you do not have any forms to migrate click on NO.

Creating a Mail Account in GTMailPlus


The GTeNOADPlus client software requires an email account to send eNoA/D submissions to the USCG
National Vessel Movement Centre.

This account is also used to receive status updates for your submitted forms from the NVMC system.

The below instructions guide you through creating an email account for the GTeNOADPlus client in
GTMailPlus

1.1 Log into GTMailPlus Dashboard with a user that has access to Settings
1.2 Select Users and click on New

1.3 Enter the details you wish to use for the GTeNOADPlus client’s email account (example settings
below)
1.4 Enter your choice of Username and Password
and display name for the GTeNOADPlus Client
software to use
1.5 Click on the ADD button to enter the email
address.
1.6 The software will suggest an address based on
the Username you have entered and the ships
Primary email address – recommend accepting
the software suggested address
1.7 The GTeNOADPlus Client will communicate
directly with GTMailPlus.
Leave Gateway as default
1.8 Ensure the Policy selected has ‘External Email
Allowed’ permission
1.9 Make a note of the Username, Password and
Email Address you have entered as these will
be required for configuring the GTeNOADPlus
Client
1.10 Click on SAVE to complete the account
creation in GTMailPlus and return to
Configuring the GTeNOADPlus Client section of
this guide

Creating a Mail Account in GTMail


The GTeNOADPlus client software requires an email account to send eNoA/D submissions to the USCG
National Vessel Movement Centre.

This account is also used to receive status updates for your submitted forms from the NVMC system.

The below instructions guide you through creating an email account for the GTeNOADPlus client in GTMail.

1.1 Launch the MHS Directory program and log in as


administrator
1.2 Click on the File menu and select New Mailbox
1.3 Enter new email account details for the
GTeNOADPlus client software to use (below
example for illustration purposes only)

1.4 Click on the Delivery Options tab


1.5 Set the Delivery – Format option to
Pop3
1.6 Click on Apply to save the new
mailbox and return to Configuring
the GTeNOADPlus Client section of
this guide

The GTeNOADPlus Dashboard


Dashboard Window
This section will give you an introduction to the GTeNOADPlus Client Dashboard.

The GTeNOADPlus Dashboard lists all submitted, imported and draft forms in the window shown below

Dashboard Buttons

Create a new Notice of Arrival/Departure form

Refresh the dashboard window.


This options forces a connection to the mail server to check for submission updates

Opens a new window with a reader friendly version of any form in the list.
When inside the viewer there are additional options to Print a copy of the form, Save a copy
of the form as a file on disc or Email a copy of the form.
The Print, Save and Email options use the reader friendly format displayed by the viewer

Important Note
The forms, as displayed in View, are not in a format accepted by the US Coast Guard NVMC.
The NVMC will reject forms emailed to them directly from the View window.

Edit/amend and submit a form previously saved as Draft.


The Edit and Submit option is only available for forms stored as Draft

Create an update for a previously submitted form


The Create Update option is only available for Accepted and Imported forms

Cancel a previously submitted form

Delete a form from the list

Form List Filter


The Dashboard window also features a filter option to make it easier to find forms that have been
previously submitted, imported or saved as draft.

To access the filter click on the + symbol at the bottom of the screen.
This expands the bottom section to reveal the available filtering options

Add/remove check marks from the option boxes to filter the list of forms as required.

Dashboard Menus
The Dashboard also includes File and Help menus

File Menu
The File menu contains the following options

New
Create a New eNoA/D form

Import Forms
Migrate forms from previous GTMaritime ENoA/D solution
Or
Import forms previously created in GTeNOADPlus

Change Password
Change the GTeNOADPlus application login password

Settings
Amend GTeNOADPlus Client settings

Logout
Log out of the program and return to GTeNOADPlus Client Login page

Exit
Log out of the program and close GTeNOADPlus Client

Help Menu
The Help menu contains the following options

Help
The Help option contains contact information for the GTMaritime support
team and shortcuts to the Test Settings and Edit Settings pages of the
program.
See Configuring the GTeNOADPlus Client for details

About
The About option contains details of the currently installed version of GTeNOADPlus, including the current
USCG NOA/D schema the form is valid against.

Creating a New Initial eNOAD Submission


Please follow below steps to create a new initial eNoA/D form

1.1 From the GTeNOADPlus dashboard menu click on FILE and select NEW or click on the New Notice
button

1.2 In order to proceed with the submission, you will be requested to agree to the GTeNOADPlus
Submission Terms of Use – Click on Accept to continue

1.3 After accepting the terms of use, a blank eNoA/D form will open

1.4 Complete the form as accurately as possible


1.5 All fields marked in RED are mandatory – the form will not validate if any red fields are left blank
1.6 Click on the Save button at any time to save your form as a DRAFT
1.7 Click on the Validate button at any time to validate your form against the NVMC requirements.
You will not be able to Submit a form unless it passes the validation process without ‘Errors’.

1.8 If validation is successful and you are ready to submit the form, click on Submit.

Please refer to the Submitting A Form section of this guide for further details on submitting the form.

Form Editor Menus


Using the Load button, you can load any of your stored forms into the editor.
The forms can be loaded either as a Template or an Update.

Select Load as Template to use a previously submitted form as a template for a new Initial submission.
Select Load as Update to issue an Update to a recently submitted and accepted form.
Draft and Rejected forms cannot be loaded as an Update.

Use the Validate button at any time during the completion of the form to run the form
against the minimum requirements of the NVMC.
All sections of the form indicated in RED are mandatory.

When your form is complete and successfully validated, use the Submit button to submit
the form to the US Coast Guard NVMC.
Please refer to the Submitting a Form section of this guide for further details.

Opens the form in an easy to read format.


Allowing you to print the form, email a copy of the form to a 3rd party email address or save
the form as a web page formatted document.
The form, as displayed in the Print window, is not in a format accepted by the NVMC.

Save a partially completed form as a Draft.


This allows you to return to the form at a later time to amend or complete your submission

Exit the Editor window and return to GTeNOADPlus Dashboard

Submitting a Form
With your form completed and successfully validated against US Coast Guard NVMC requirements, you
need to submit the form.

1.1 Click on the Submit button at the top of the form editor window to
begin.

1.2 After clicking on the Submit button the Submit NOA/D screen will
appear

1.3 Auto-Copy addresses defined in the


Configuration section of the software will be
auto-populated in the top window.
You can remove these addresses or add
further addresses if required.
Enter new addresses on a new line

1.4 Click on the Submit button to continue


All forms are automatically sent to the NVMC. Do
not specify US Coast Guard NVMC email address
here.

1.5 The software will now send the form to your


email program.
Submission progress is displayed on screen

During this process the form is:


- Saved
- Validated against NVMC requirements
- Sent to your email system
- Updated with status of Submitted.

The status Submitted means the form has


been sent from the GTeNOADPlus Client
software to its configured email server. If
you are using a Store and Forward email
solution (GTMail/GTMailPlus) your form has
not been SENT until you next make a Data
Connection

Send an Update
This section will guide you on sending an Update to a previously submitted eNoA/D form.

In order to submit an Update to a previously submitted form, the form in question MUST be an ACCEPTED
submission. Updates to forms that have not been previously accepted by the US Coast Guard NVMC will be
rejected.

Ensuring your form to update has been previously Accepted, please follow below steps to submit an
Update.

1.1 From the GTeNOADPlus dashboard menu, click once on the form you wish to submit an update for
1.2 With the form you wish to submit an update for
highlighted, click on the Create Update button
Note: The Create Update button is only available on
Accepted or Imported forms.

1.3 The software will prompt that an update has been


created for the selected form.
1.4 Click on OK to proceed
1.5 The selected form will load up into the GTeNOADPlus form editor window with Transaction Type
automatically set to Update

1.6 Make the necessary amendments to the form


1.7 Click on Validate to ensure that, with the changes made, the form still conforms to NVMC
requirements
1.8 If validation is successful click on Submit Update to submit the form.

Please refer to the Submitting a Form section of this guide for further details.

Using a Stored Form as a Template


In order to save time and effort completing new forms from scratch each time you visit US waters, the
GTeNOADPlus client allows you to load any form stored in the system (previously sent, imported or draft)
as a template to be sent as a New submission.

In order to use a form as a template for a New submission, please follow below steps.

1.1 From the GTeNOADPlus dashboard menu click on FILE and select NEW or click on the New Notice
icon

1.2 In order to proceed with the Update submission, you will be requested to agree to the Global
Technology disclaimer – Click on Accept to continue
1.3 A blank eNoA/D form will open
1.4 Click on the Load button to see a list of all your forms

1.5 Click once on the form you wish to use as a template for your new submission
You can use any form in the list as a template for a new submission.
1.6 Click on Load as Template

1.7 The form will now open in the GTeNOADPlus form editor window
1.8 As the form is a New submission using previously entered information as a template you will notice
in the editor that the Transaction Type is automatically set to Initial then form will have a new
USCG NOA/D ID number

1.9 Ensure you enter all the details relative to your voyage and Validate and Submit the form when
done

Please refer to the Submitting a Form section of this guide for further details on submitting the form.

Cancel a Submission
In the event that there is a delay to your arrival/departure time you can Send an Update to advise of the
new time, however there may be circumstances beyond your control that require you to cancel a
submission.
Please be guided as below

1.1 In the GTeNOADPlus Dashboard click on the form you wish to cancel
1.2 Click on the Cancel button

Please Note
The Cancel option is only available for forms that have been Accepted

1.3 The software will prompt you that a


cancellation has been created for your
selected form
1.4 Click on OK
1.5 Click on Validate to confirm the form is
compliant with NVMC requirements
1.6 Click on Submit Cancel to submit the
cancellation to the NVMC

Please refer to the Submitting a Form section of this guide for further details on submitting the form

1.7 The Transaction Type for the form will be updated to Cancel upon submission

Checking Submission Status


The USCG National Vessel Movement Centre will issue updates on the progress of your submission once it
has reached their system.

A notification email is sent to the address specified in the Reporting Party section of the form

Also, status updates will be sent directly back to the GTeNOADPlus client software.

You can monitor the Status of the submission from the GTeNOADPlus Dashboard window in 2 ways:

1. If you leave GTeNOADPlus open, periodically click on the Refresh button. Upon clicking Refresh,
the software will make a connection to its mail client and check for updates
or
2. If GTeNOADPlus client is not running, starting the program will automatically check for updates

The Status will turn to Accepted if the form is accepted by the US Coast Guard NVMC

Importing and Migrating Forms


The GTeNOADPlus Client software includes an option to ‘migrate’ forms from the previous GTMaritime
eNoA/D solution (H2OENOAD) to use as templates for New submissions.

You can also import forms previously created in GTeNOADPlus should you ever need to.

To import or migrate forms into GTeNOADPlus :-

1.1 Click on the GTeNOADPlus Dashboard FILE menu


1.2 Select Import Forms
1.3 Choose whether to Migrate or Import forms

Import or Migrate?
If you are Migrating Forms from the previous GTMaritime eNoA/D solution, go to Migrate Forms section of
this guide

If you are Importing Forms you have previously created in GTeNOADPlus, go to Import Forms section of
this guide

Migrate Forms Created in H2OENOAD Software


The GTeNOADPlus Client allows you to migrate forms that were submitted in the previous GTMaritime
eNoA/D software (H2OENOAD) for use as a template for a New submission.

Migrated, Imported or previously submitted forms cannot be edited. Only forms previously saved as a Draft
can be edited.

When selecting the ‘Migrate Form Created by NOAD Application’ option the software will display a list of
forms that it finds in default H2OENOAD folder

1.1 On the Import Forms page select the form(s) you wish to import into GTeNOADPlus
1.2 With the required form(s) selected click on the IMPORT button

1.3 The form(s) will now be imported into GTeNOADPlus and visible as ‘Imported’ from the main
GTeNOADPlus Dashboard screen

Import Forms Created in GTeNOADPlus Client


The GTeNOADPlus client allows you to re-import forms from previous versions of the GTeNOADPlus client.

When selecting the ‘Import Form Created by GTeNOADPlus Application’ option you will be prompted to
browse to the folder where the form(s) you wish to import are.

1.1 Browse to the folder where the previously submitted GTeNOADPlus forms are stored
1.2 Click on the folder and select OK
1.3 The Import Forms window will appear with a list of all the forms in the folder you selected

1.4 Select the forms you require (or check Select All if required) and click on the IMPORT button
1.5 The form(s) will now be imported into GTeNOADPlus and visible as ‘Imported’ from the main
GTeNOADPlus Dashboard screen

Support and Troubleshooting

I have validation errors when trying to submit my form


Errors are an indication that the form, in its current state, does not conform to NVMC requirements and
you will need to check the area of the form that is reported and correct it.

You cannot submit a form that has validation errors.

The Section in the Error Report advises you which tab you need to go to on the form
The Severity advises if it is an Error (unable to submit unless corrected) or just a Warning
The Field tells you which field in the section is causing the issue
The Description gives a brief explanation of what the issue with the field is

I have validation warnings when trying to submit my form


Warnings are not prohibitive and serve to highlight that
there may be an inconsistency in the data.

Click on View Warnings to see the NOA/D Error Report


and check the areas of the form that are reporting
warnings.

Make any changes that may be required or, if you are


happy with the data as it is, click on Submit with
Warnings button.

You can submit a form that has validation warnings.

How do I check the Status of my submission?


The Status column in the GTeNOADPlus Dashboard will update at specific points in the submissions life –
the different Status values are explained below

Submitted The form has been submitted from GTeNOADPlus to your email program
Accepted The form has been accepted by US Coast Guard NVMC
Rejected The form has NOT been accepted by US Coast Guard NVMC and requires attention
Right-click on the form and select Details for rejection information.
Full details of the rejection will be emailed to the address specified in Reporting Party
field of the form by NVMC.
Draft The form is a draft copy and has not been submitted
Imported The form has been migrated from the previous GTMaritime eNoA/D solution or imported
from a previous installation of GTeNOADPlus.
Status details are not available for imported forms

Draft The form is a draft copy and has not been submitted
Imported The form has been migrated from the previous GTMaritime eNoA/D solution or imported
from a previous installation of GTeNOADPlus. When imported, previous Details are no
longer available.
Submitted Form has been submitted from GTeNOADPlus to your email program
Accepted Form has been accepted by US Coast Guard NVMC
Right-click on the form and select Details for date and time of acceptance

Rejected Form has NOT been accepted by US Coast Guard NVMC and requires attention

Additional information is available on all


Accepted and Rejected submissions.

1. Right-click on the form in the


Dashboard window
2. Select Details

Accepted
The Details window will give you date and time
your form was Accepted by the US Coast Guard

My Submission was Rejected – What should I do?


If, upon checking your submission status, you find your form is Rejected, the Details window will give you a
brief overview of the information returned by the US Coast Guard NVMC system as to why your submission
was not accepted.
Full details of the reason behind the Rejection will be sent by the NVMC to the email address specified in
the Reporting Party field of your submission.
