Industry Overview

Information Technology Industry

The information technology sector deals with the design, development and management of
both computer software and hardware applications. This industry has witnessed growth
despite the economic recession that hit the global market.

Information technology (IT) is defined as the design, development, implementation


and management of computer-based information systems, particularly software applications
and computer hardware. Today, it has grown to cover most aspects of computing and
technology. The reason why it has catapulted in importance is due to the improving

IT professionals perform a variety of duties ranging from data management, networking,


engineering computer hardware, database and software design, to the management and
administration of entire systems. With the already high penetration of conventional personal
computer and network technology, coupled with the growing convergence of information,
communication and entertainment, the industry is now keenly focused on the integration with
other technologies such as mobile phones, automobiles and televisions etc, thereby increasing
the demand for such jobs. The largest firms globally include IBM, HP, Dell and Microsoft.

Performance

In India, it is important to make the distinction between IT and ITES (IT enabled services).
The latter refers to services delivered over telecom networks/ Internet to a range of external
business areas (Colloquially referred to as KPO and BPO) and is treated elsewhere on this
website (see ITES industry overview). Hence, we shall focus on the IT industry here by
limiting the discussion to electronics hardware manufacturing and software development and
services.

Despite the unprecedented global economic downturn, the Indian IT industry has weathered
the storm well, and will achieve sustainable growth going forward. India is expected to
witness an average 8% salary increase in 2010 and ~50% of companies have strong hiring
plans, according to a survey by global HR consultancy Mercer, giving yet another indication

While the larger players continue to lead growth, gradually increasing their share in the

out.

Growth Potential

The strong demand for electronic hardware and software in India has been fuelled by a
variety of drivers including the high growth rate of the economy, emergence of a vast
domestic market catering to the new generation of young consumers, a thriving middleclass
populace with increasing disposable incomes and a relatively low-cost work force having
advanced technical skills.

Indeed, the Government has also identified growth of this sector as a thrust area as there
remains great expectation for significant growth given the fairly low levels of penetration of
technology among the 1.1 billion population; There were only 60 million Internet users in
2009, 7 million DVD players and personal computers were sold in 2008-09, and 11 million
new mobile subscribers were added every month in the same period. In this scenario there is
now a big opportunity to step up the production to gain higher global share besides meeting
the domestic demands.
The Indian IT sector has also built a strong reputation for its high standards of software
development ability, service quality and information security in the foreign market- which
has been acknowledged globally and has helped enhance buyer confidence. The industry
continues its drive to set global benchmarks in quality and information security through a
combination of provider and industry-level initiatives and strengthening the overall
frameworks, creating greater
awareness and facilitating wider adoption of standards and best practices.

Future Prospects

The industry is likely to continue growing from strength to strength, as local players
incorporate best in class practices from global counterparts whilst retaining their edge in
terms of lower cost of labor and focused governmental investments.
New graduates with degrees in related fields such as electrical engineering and computer
science can hope to achieve significant professional growth and a healthy remuneration from
companies looking to hire the best talent available, given the high proportion who leaves to
pursue jobs in this sector overseas.

Advantages of Information Technology

Globalization
True globalization has come about only via this automated system. The creation of one
interdependent system helps us to share information and end linguistic barriers across the
continents. The collapse of geographic boundaries has made the world a 'global village'. The
technology has not only made communication cheaper, but also possible much quicker and
round the clock. The wonders of text messages email and auto-response, backed by computer
security applications, have opened up scope for direct communication.

Cost-effective
Computerized, internet business processes have made many businesses turn to the Internet for
increased productivity, greater profitability, clutter free working conditions and global
clientele. It is mainly due to the IT industry that business have been able to make their
processes more streamlined, thereby becoming more cost-effective and consequently more
profitable. People are able to operate their businesses 24x7, even from remote locations only
due to the advent of information technology.

Automated Processes
In business, people look for ways to do more work in a shorter amount of time. A November
2000 newsletter published by the Federal Reserve Bank of San Francisco explains that
information technology improves your company's efficiency by developing automated
processes to take burden off your staff. In turn, your employees are free to work on other
things while the computer runs their reports, creates queries, tracks projects and monitors
financials.

About ERP
Enterprise Resource Planning (ERP) originated as an extension of MRP (material
requirements planning; later manufacturing resource planning) and CIM (Computer
Integrated Manufacturing). It was introduced by research and analysis firm Gartner. ERP
systems now attempt to cover all core functions of an enterprise, regardless of the
organization's business or charter. These systems can now be found in non-manufacturing
businesses, non-profit organizations and governments.

To be considered an Enterprise Resource Planning (ERP) system, a software package


must provide the function of at least two systems. For example, a software package that
provides both payroll and accounting functions could technically be considered an ERP
software package.

Examples of modules in an Enterprise Resource Planning (ERP) which formerly
would have been stand-alone applications include: Product lifecycle management, Supply
chain management (e.g. Purchasing, Manufacturing and Distribution), Warehouse
Management, Customer Relationship Management (CRM), Sales Order Processing, Online
Sales, Financials, Human Resources, and Decision Support System.

Some organizations ² typically those with sufficient in-house IT skills to integrate


multiple software products ² choose to implement only portions of an Enterprise Resource
Planning (ERP) system and develop an external interface to other Enterprise Resource
Planning (ERP) or stand-alone Systems for their other application needs. For example, one
may choose to use human resource management system from one vendor, and perform the
integration between the systems themselves.

This is common to retailers, where even a mid-sized retailer will have a discrete Point-
of-Sale (POS) product and financials application, then a series of specialized applications to
handle business requirements such as warehouse management, staff roistering, merchandising
and logistics.

Ideally, Enterprise Resource Planning (ERP) delivers a single database that contains all data
for the software modules, which would include:

Enterprise resource planning is a term originally derived from manufacturing resource


planning (MRP II) that followed material requirements planning (MRP). MRP evolved into
ERP when "routings" became a major part of the software architecture and a company's
capacity planning activity also became a part of the standard software activity. Enterprise

Resource Planning (ERP) systems typically handle the manufacturing, logistics, and
distribution, inventory, shipping, invoicing, and accounting for a company. ERP software can
aid in the control of many business activities, including sales, marketing, delivery, billing,
production, inventory management, quality management and human resource management.

The structure of the ERP system

Enterprise Resource Planning (ERP) systems consist of different modules. A company can
therefore decide which modules they need and only acquire them, not needing to purchase
them all. The ERP systems on the market today have the same main structure, which is
shown in figure traditionally a system, must integrate three of the following core modules to
belong to the ERP group: manufacturing, distribution, finance and human resources.
At the heart of the ERP system is the central database that draws from and feeds it into a
series of application supporting dicerse company function. Using a single database
streamlines the flow of information throughout the business.

Advantages of ERP

In the absence of an Enterprise Resource Planning (ERP) system, a large manufacturer


may find itself with many software applications that cannot communicate or interface
effectively with one another. Tasks that need to interface with one another may involve:

Integration among different functional areas to ensure proper communication,


productivity and efficiency
Design engineering (how to best make the product)
Order tracking, from acceptance through fulfillment
The revenue cycle, from invoice through cash receipt
Managing inter-dependencies of complex processes bill of materials
Tracking the three-way match between purchase orders (what was ordered), inventory
receipts (what arrived), and costing (what the vendor invoiced)
The accounting for all of these tasks: tracking the revenue, cost and profit at a
granular level.

Enterprise Resource Planning (ERP) Systems centralize the data in one place. Benefits of
this include:

Eliminates the problem of synchronizing changes between multiple systems


Permits control of business processes that cross functional boundaries
Provides top-down view of the enterprise (no "islands of information")
Reduces the risk of loss of sensitive data by consolidating multiple permissions and
security models into a single structure.

Some security features are included within an ERP system to protect against both outsider
crime, such as industrial espionage, and insider crime, such as embezzlement. A data-
tampering scenario, for example, might involve a disgruntled employee intentionally
modifying prices to below-the-breakeven point in order to attempt to interfere with the
company's profit or other sabotage. ERP systems typically provide functionality for
implementing internal controls to prevent actions of this kind. ERP vendors are also moving
toward better integration with other kinds of information security tools.

Disadvantages of ERP

Problems with Enterprise Resource Planning (ERP) systems are mainly due to
inadequate investment in ongoing training for the involved IT personnel - including those
implementing and testing changes - as well as a lack of corporate policy protecting the
integrity of the data in the systems and the ways in which it is used.

Customization of the ERP software is limited.

Re-engineering of business processes to fit the "industry standard" prescribed by the


Enterprise Resource Planning (ERP) system may lead to a loss of competitive
advantage.

ERP systems can be very expensive (This has led to a new category of "ERP light"
{Expand section} solutions)

ERPs are often seen as too rigid and too difficult to adapt to the specific workflow and
business process of some companies²this is cited as one of the main causes of their
failure.

Many of the integrated links need high accuracy in other applications to work
effectively. A company can achieve minimum standards, and then over time "dirty
data" will reduce the reliability of some applications.

Once a system is established, switching costs are very high for any one of the partners
(reducing flexibility and strategic control at the corporate level).

The blurring of company boundaries can cause problems in accountability, lines of


responsibility, and employee morale.

Resistance in sharing sensitive internal information between departments can reduce


the effectiveness of the software.

Some large organizations may have multiple departments with separate, independent
resources, missions, chains-of-command, etc, and consolidation into a single
enterprise may yield limited benefits.

The system may be too complex measured against the actual needs of the customers.

EFFECTS OF IMPLEMENTING AN ERP
SYSTEM
To decide whether or not to implement an ERP system we have to look for its positive
and negative effects.

Standardized (fast?) implementations.


It is much easier to buy an existing system than developing your own system. There
have been a lot of complaints over the years that Enterprise Resource Planning (ERP)
systems take too long to implement, especially the implementation time of SAP R/3.
By now the vendors have developed methods and other means to shorten the time of
the implementation, Accelerated SAP, for example.

Cheap development.
The Enterprise Resource Planning (ERP) vendors put in between 5-15 percent of
their revenues in their Research & Development department. To develop your own
systems that are equally good is very costly.

Safe cost estimation.


To invest in an existing system makes it easier to estimate the total cost of the system
and implementation. If you develop your own system it is difficult to know how
much you finally will spend on the system.

³Know-KRZ´ EXLOW-in the system.


The system has been implemented and tested in other companies and therefore you
know it is in working order. When you develop your own system, it is hard to
anticipate the problems that you may run into and how these problems will affect the
functionality.

Flexible systems.
The systems consist of modules, which make adaptations at a later time easier.

External vendor without company knowledge.


To acquire an Enterprise Resource Planning (ERP) system means buying a system
that is not specifically adapted to the company. But systems adapted to specific
industries are coming and will be improved in the years ahead.

 Increased need of external competence.


Since the market has grown so quickly, there is a lack of skilled people. It is difficult
to keep the internal competence and you therefore need much help from consulting
firms.

New routines for the staff.
An Enterprise Resource Planning (ERP) system is hard to adapt completely to the
organization. This means new routines for the staff, which make the work more
difficult in a period of transition.

ERP VENDORS

Microsoft

Microsoft has no formal ownership experience program defined. Microsoft


has developed its cost management strategy based on a very low software price point
and close to 100% out-of-the-box deployments with little ability to customize the
software. As a result, Microsoft offers basic functionality that does not require
extensive training, but it also does not necessarily deliver the full value expected by
the customer in view of the ownership experience.

Oracle

Addressing cost of ownership is at the heart of Oracle's philosophy for


Enterprise Applications. Based on the Oracle eBusiness Suite, an integrated suite of
applications, Oracle claims that it can lower implementation costs by avoiding
unnecessary costs, such as those associated with costly custom integration between
applications. Although Oracle's approach has some merit - some measurable benefits
have been highlighted through ROI case studies, serious concerns are still being
raised regarding what Oracle has delivered to date.

PeopleSoft

Structured in a formal program, PeopleSoft dedicated over 1,000 developers


and $800 million to improve the Total Ownership Experience for customers. Rather
than focusing simply on best practices that improve the ownership experience,
PeopleSoft has rethought its entire set of applications to ensure that they are built
from the ground up to minimize deployment and maintenance costs.

SAP

Many users of SAP applications have, over the years, noted the complexity of
SAP applications, the resulting high implementation costs, and consequent budget
overruns. In response to these issues, SAP today highlights SAP Net Weaver as the
centerpiece to SAP's product strategy for decreasing the complexity and cost of
ownership for SAP applications. Currently, the impact of SAP Net Weaver on the
overall SAP cost of ownership remains to be proven. SAP has not yet provided proof
points validating that its customers benefit from improved ownership experience
through the implementation of SAP's latest technology.


Siebel

Siebel's customer experience initiative was first focused on customer


satisfaction and high-level ROI measurements. It is only recently (12+months) that
Siebel has focused more specifically on cost-of-ownership issues (mainly in response
to customers' complaints). Siebel's improvements to its software development process
are guided by the experience and insight gained from close examination of 200 Siebel
7.x deployments.

Market Position: ERP Vendors

There are following six competitive positions on the market.

 Dominant: This firm controls the behavior of other competitors and has a wide
choice of strategic options.

Strong. This firm can take independent action without endangering its long-term
position and can maintain its long-WHUP SRVLWLRQ UHJDUGOHVV RI FRPSHWLWRUV¶ DF

Favorable. This firm has an exploitable strength and a better-than-average


Opportunity to improve its position.

Tenable. This firm is performing at a sufficiently satisfactory level to warrant


Continuing in business, but it exists at the sufferance of the dominant company and
has a less-than-average opportunity to improve its position.

Weak: This firm has unsatisfactory performance and an opportunity exists for
Improvement. The firm must change or else exit.

Nonviable. This firm has unsatisfactory performance and no opportunity for


Improvement.

ERP consulting firms
The ERP consulting firms follow the development of the ERP vendors. They are very
dependent on the ERP vendors. Good respectively bad times for the vendors lead to
good/bad times for the consulting firms. It is therefore very important for the
consulting firms to choose the right ERP vendor to partner with. One of the consulting
firms pointed out that it is not possible to make business plans for more than one year
at a time.

There are two major types of ERP consulting firms: local and global ones. The global
consulting firms are well-known companies like IBM, Andersen Consulting,
PriceWaterhouseCoopers, CSC, etc. They operate on the global market and are often
partners with several ERP vendors, while the local, national, consulting firms operate
on national or local basis.

 In Sweden there are local consulting firms like Resco, Enator and WM-data, but there
are also smaller consulting firms with ERP consulting as their only business activity.
The global companies have larger clients as their primary clients, while the local
consulting firms work for smaller companies.

The advantages of the global consulting firms:

A broad knowledge base with developed method for implementation.

The ability to fly in consultants from abroad when needed.

Can deliver their services to global clients.

The advantages of the local consulting firms:

The clients that have chosen them see them as more flexible and convenient to
work with and not as complicated as the global consulting firms. This opinion
Comes especially from the smaller clients that we have interviewed.

A Swedish organizational culture.

The big local firms do already work with most of the potential ERP clients.

The amount of consulting firms working with ERP systems has increased rapidly lately.

Many companies want to take advantage of the booming ERP market, and the profits
That are possible to gather here. This has led to many inexperienced consultants on the

to several thousands. Today, SAP has around 20 consulting partners in
Sweden. The number of certified SAP consultants in Sweden has grown from 400 to

The ERP consulting business has had some very good years recently. The consulting

ERP IMPLEMENTATION PROCESS
ERP implementation process
The process of ERP implementation is actually referred to as life cycle. Selection of an ERP
package needs a thorough analysis of the various aspects. This usually involves choosing a
few suitable applications for the company from an assortment of vendors.
There are different stages in which the ERP system is implemented. The ERP life cycle
process involves the following stages:

Pre-screening of the chosen packages


A team of experts with specialized knowledge in the field is made to study the basis of
different parameters. The experts perform tests to determine whether the package is apt for
the range of application in their field. Further, they ascertain the level of coordination that the
software would be able achieve in working with different departments. This plainly means
that they ensure whether the various departments would offer an increased output due to ERP
implementation.

Preparing for the venture


The implementation of ERP is defined this stage. The conditions and regulations to meet are
also decided. This is done by a team of officers, who reports to the highest authority in the
hierarchy of the organization.

Project Planning
This is a crucial stage where the implementation process is designed. In this phase the details
of the implementation is worked out. The deadlines and the time-schedules are also decided.
A plan is chalked out, roles are allotted and responsibilities are assigned. The date for starting
the project is also decided. The planning is done by a committee of team leaders.

GAP analysis
This is a stage in which the company identifies the gaps that needs to be traversed to make
the company's practice in sync with ERP environment. However, this process involves huge
expenses, yet it unavoidable. The team decides on restructuring of the business made on the
basis of GAP analysis.

Designing the System


In this stage, a lot of microscopic planning and deliberate action are carried out. The step
helps to decide and resolve which areas is important for restructuring. It is chosen from the
ERP implementation models.

Reengineering

ERP implementation involves an evident change in the number of employees and their job
responsibilities, which results due to a more automated and efficient system. The human
factors are taken into account in this stage.

Team training
This stage is all about preparing the employees to use ERP. The employees in the
organization are trained to handle the system on daily and regular basis.

Testing
The phase is marked by attempts to break the system. At this point, the company tests the real
case scenarios. The system has been configured, now only extreme cases like system
overloads, hackers trying to access restricted areas, multiple users logging on at the same
time, users entering invalid data, are addressed. This phase is performed to find the weak
links, which could be rectified before implementation.

Post implementation
Finally, the process of implementation would be complete when there is a regular follow up
and proper instruction flow thereafter and along the lifetime of ERP. This involves the entire
efforts and measures taken to update and attain better benefits, after the system is
implemented. The organizations should ensure that the ERP implementation process should
be smooth and safe.

The flowchart in Figure.4 depicts several activities that must be performed before
implementing an ERP system. First, managers must conduct a feasibility study of the

hardware, software, databases, and in house computer expertise, and make the
decision to implement ERP where integration is essential .They must also set goals for
improvement and establish objectives for the implementation, and calculate the break-
even points and benefits to be received from this expensive IT investment. The second
major activity involves educating and recruiting end users to be involved throughout
the implementation process.

Third, managers will form a project team or steering committee that consists of
experts from all functional areas to lead the project. After a decision is made, a team
of system consultants will be hired to evaluate the appropriateness of implementing an
ERP system, and to help select the best enterprise software provider and the best
approach to implementing ERP. In most situations, the consultant team will also

The importance of adequate employee and manager training can never be


overestimated. IT analysts usually recommend that managers reserve 11% of the

provided to all business stakeholders, including managers, end users, customers, and
vendors, before the system is implemented. Such training is usually customized and

 The system installation process will address issues such as software configuration,
hardware acquisition, and software testing. Data and information in the databases
must be converted to the format used in the new ERP system and servers and
networks need to be upgraded. System maintenance will address issues and problems
that arise during operations. A post implementation review is recommended to ensure
that all business objectives established during the planning phase are achieved.

Supply Chain Management

transportation links carrying raw materials. Software tools are letting companies link
their enterprise resource planning systems with those of their business partners to
speed the delivery of goods and services.

Hence, the role of the ERP system in the supply chain is to deliver the right
information. The ERP system covers the whole supply chain information flow from
purchasing of raw material to product delivery. Here, the goal is to obtain an
optimized supply chain within the organization.

The study has been descriptive in nature and a sample survey method has been employed for
data collection. Primary data is used for the purpose of the study. Research design for this
research is planned structure and strategy of investigation conceived so as to obtain answers
to research question or objectives and also to control variances. The said study was conducted
to understand and find the market demand of ERP.

Data Collection Tools

A non±disguised structured questionnaire has been used as the tools for collection of data

high. A pilot study was undertaken first in order to determine whether the questionnaire and
