INTRODUCTION TO MIS

The Management Information System is a concept of the last decade or two. It has been
understood & described in a number of ways. It is also known as the information system.

MIS has more than one definition some of which are given below.

1. MIS is defined as system which provides information support for decision making in the
organization.

2. MIS is defined as an integrated system of man & machines for providing the information
to support the operation, the management & the decision making function in the organization

3. MIS is defined as a system based on the database for the organization evolved for the
purpose of providing information to the people in the organization.

Though there are no. of definitions all of them coverage on one single point i.e. the MIS is a
system to support the decisions making functions in the organizations. The difference lies in
defining the elements of the MIS. However, in today’s world MIS is computerized business
processing system generating information for the people in the organization to meet the
information needs & assisting in taking decisions to achieve the corporate objectives of the
organization & in the Public sector MIS is designed to deliver services to the citizen also .

MIS provides information that organization require to manage themselvesefficiently &


effectively. MIS are typically computer system used for managing the organization. The 5
primary components of MIS are:

1. Hardware
2. Software
3. Data
4. Procedures
5. People.

MIS are distinct from information system because they are used to analyze& facilitate
strategic & operational activities. Academically the term is commonly used to refer to the
study of how individuals, groups,& organization evaluate design & utilize systems to
generate information to improve efficiency & effectiveness of decision making, including
system termed decision support system, expert systems, & executive information system.

MIS CONCEPT

The concept of the MIS has evolved over a period of time comprising many different facets
of the organizational functions. MIS is necessity in all the organizations. The initial concept
of MIS was to process the data available in the organization & present it in the form of
reports at regular intervals. The system was largely capable of handling the data from
collection to processing. It was more impersonal, requiring each individual to pick & choose
the processed data & use it for his requirements. This concept was further modified when
distinction was made between data &information.

This concept is further modified, that the system should present information in such a form &
format that it creates an impact on its user provoking a decision or an investigation. The
concept was then evolved that the system should be capable of handling a need based
exception reporting.

LIBRARY MANAGEMENT SYSTEM

Library Management System is an application which refers to library systems which are
generally small or medium in size. It is used by librarian to manage the library using a
computerized system where he/she can record various transactions like issue of books, return
of books, addition of new books, addition of new students etc.

Books and student maintenance modules are also included in this system which would keep
track of the students using the library and also a detailed description about the books a library
contains. With this computerized system there will be no loss of book record or member
record which generally happens when a non computerized system is used.

In addition, report module is also included in Library Management System. If user’s position
is admin, the user is able to generate different kinds of reports like lists of students registered,
list of books, issue and return reports. All these modules are able to help librarian to manage
the library with more convenience and in a more efficient way as compared to library systems
which are not computerized.

Library Management System is a computerized system which helps user(librarian) to manage


the library daily activity in electronic format. It reduces the risk of paper work such as file
lost, file damaged and time consuming. It can help user to manage the transaction or record
more effectively and time-saving.

The whole system is expected to be delivered in six months of time with a weekly evaluation
by the project guide.

In implementing whole system it uses html in front end with php as server side scripting
language which will be used for database connectivity and the backend ie the database part is
developed using mysql

The system is designed for a user friendly environment so that student and staff of library can
perform the various tasks easily and in an effective way.

The system should accurately performs member registration, member validation, report
generation, book transaction and search

When a library management system will be implemented librarian and user will easily acess
library as searching and book transaction will be very faster.

Library management is a sub-discipline of institutional management that focuses on specific
issues faced by libraries and library management professionals. Library management
encompasses normal managerial tasks, as well as intellectual
freedom and fundraising responsibilities. Issues faced in library management frequently
overlap with those faced in managing non-profit organizations.

The basic functions of library management include, but are not limited to: planning and
negotiating the acquisition of materials, Interlibrary Loan (ILL) requests, stacks maintenance,
overseeing fee collection, event planning, fundraising, and human resources.

COMMON LIBRARY CONSTRUCT

Most libraries that store physical media like books, periodicals, film, and other objects adhere
to some derivative of the Dewey Decimal System as their method for tagging, storing, and
retrieving materials based on unique identifiers. The use of such systems have caused
librarians to develop and leverage common constructs that act as tools for both library
professionals and library users alike. These constructs include master catalogs, domain
catalogs, indexes, unique identifiers, unique identifier tokens, and artifacts .

A master catalog acts as a catalog of all domain or topic-specific catalogs and often directs
the user to a more specific area of a library, where the user can find a more specific domain
catalog. For example, upon entering a very large library, one may find a master catalog that
will direct a patron to a specific wing of the library that focuses on a specific subject, such as
law, history, fiction, etc.

In contrast, domain catalogs are usually made up of a system of very large libraries, where a
master catalog cannot hold all of the system's information. As a result, the master catalog
leads the user to domain catalogs that contain homogeneous references to specific artifacts
that fall within the category or domain assigned to that catalog. For example, a very large
library may have many domain catalogs—one for law, one for history, one for fiction, etc. In
the case of smaller libraries where the use of domain catalogs are unnecessary, the master
catalog can contain all of the information.

Indexes represent a grouping of artifacts by some relevant grouping constraint. The most
common index groupings are "by title," "by subject," and "by author."

Often referred to more simply as IDs, unique identifiers represent a means of assigning and
tagging an artifact with a readable string of characters that is unique to that single artifact.
Such identifiers usually include the address or location of the artifact within the library, and a
unique character set that helps to distinguish artifacts that have common traits like common
titles. Such unique identifiers are also broken into tokens and are usually placed somewhere
on the surface of the artifact being stored, such as on the binding of a book, to facilitate in
easily locating that item.

Unique identification strings are broken into predefined and fixed position segments or sub-
strings. Each segment is called a token and represents a mapping to something meaningful,
hence the name unique identifier tokens. For example, one token may lead a user to a specific
wing of a library, another might lead the user to a specific aisle within that wing, another to a
specific bookcase within that aisle, etc., all ultimately leading to the artifact itself. Such
tokens are often separated by a character that is often referred to as a tokenize (e.g. "." or ":").

Artifacts represent those original things or authorized copies of things that are being
categorized, stored within, and retrieved from libraries. Examples of artifacts include books,
periodicals, research documentation, film, and computer disks.

PLANNING & MAINTAINING LIBRARY FACILITIES


An important aspect of library management is planning and maintaining library facilities.
Successful planning is defined as "active planning that ensures an organization will have the
right people in the right place at the right time for right job" Planning the construction of new
libraries or remodeling those that exist is integral since user needs are often changing. To
supplement their operating budget, managers often secure funding through donor gifts
and fundraising. Many facilities have begun including cafes, Friends of the Library spaces,
and even exhibitsto help generate additional revenue.These areas should be taken into
account when planning for building expansions.

The site for new construction must be found, then the building must be designed, constructed,
and eventually evaluated. Once established, it is important that the building is regularly
maintained. This may be completed by delegating tasks to maintenance personnel or by
hiring an outside company through bids

is a composed of different work modules which are used to perform all library task on daily,
weekly, monthly, quarterly & yearly basis. The purpose of this system is to make library
functionality more independent of human being by making system simply understandable &
easily accessible.

3.3 HTML

HTML (Hypertext Markup Language) is the set of markup symbols or codes inserted in a file
intended for display on a World Wide Web browser page. The markup tells the Web browser
how to display a Web page's words and images for the user. Each individual markup code is
referred to as an element (but many people also refer to it as a tag). Some elements come in
pairs that indicate when some display effect is to begin and when it is to end.

HTML is a formal Recommendation by the World Wide Web Consortium (W3C) and is
generally adhered to by the major browsers, Microsoft's Internet Explorer and Netscape's
Navigator, which also provide some additional non-standard codes.

The current version of HTML is HTML 4.0. However, both Internet Explorer and Netscape
implement some features differently and provide non-standard extensions. Web developers
using the more advanced features of HTML 4 may have to design pages for both browsers
and send out the appropriate version to a user. Significant features in HTML 4 are sometimes
described in general as dynamic HTML. What is sometimes referred to as HTML 5 is an
extensible form of HTML called Extensible Hypertext Markup Language (XHTML).

Below is an example of HTML used to define a basic webpage with a title and a single
paragraph of text.

The first line defines what type of contents the document contains. "<!doctype html>" means
the page is written in HTML5. Properly formatted HTML pages should
include <html>, <head>, and <body> tags, which are all included in the example above. The
page title, metadata, and links to referenced files are placed between the <head>tags. The
actual contents of the page go between the <body> tags.

The web has gone through many changes over the past few decades, but HTML has always
been the fundamental language used to develop webpages. Interestingly, while websites have
become more advanced and interactive, HTML has actually gotten simpler. If you compare
the source of an HTML5 page with a similar page written in HTML 4.01 or XHTML 1.0, the
HTML5 page would probably contain less code. This is because modern HTML relies
on cascading style sheets or JavaScript to format nearly all the elements within a page.
HTML elements are the building blocks of HTML pages. With HTML
constructs, images and other objects, such as interactive forms, may be embedded into the
rendered page. It provides a means to create structured documents by denoting
structural semantics for text such as headings, paragraphs, lists, links, quotes and other items.
HTML elements are delineated by tags, written using angle brackets. Tags such as <img
/> and <input /> introduce content into the page directly. Others such
as <p>...</p> surround and provide information about document text and may include
other tags as sub-elements. Browsers do not display the HTML tags, but use them to interpret
the content of the page.

4.1 CONCLUSION

This report is all about the development of library management system for the website part. It
develop use to convince the member to search the books & also easy to borrowing books
from library.

This website mainly use by member and staff. It allow member to search & reserve books.
Member allows search the book and knows what book contain in the library.

Library Management System allows the user to store the book details and the customer
details. This software package allows storing the details of all the data related to library. The
system is strong enough to withstand regressive yearly operations under conditions where the
database is maintained and cleared over a certain time of span. The implementation of the
system in the organization will considerably reduce data entry, time and also provide readily
calculated reports.

It may still be too early for libraries to be thinking far into the future as far as digitization is
concerned. This is a period of experimentation, of building skills and experience in staff, and
of tracking one's own progress and that of others. In some libraries, the staff feels driven by
the need to have some digital projects, whether or not library leaders have made clear what
purpose such projects will ultimately serve.

Library Management System allows the user to store the book details & the customer details.
The software package allows storing the details of all the data related to library. The project
Library Management system is for computerising the work in a library. The software takes
care of all requirements of & is capable to provide easy & effective storage of information
related to books & users.

This was an effort to develop a simple Library Management System which may be useful in a
library to manage, store & retrieve information about books, magazines, newspapers etc.

4.2 FUTURE SCOPE

The scope of Online Library Management System includes:

 Create distinct product users based on their roles and permissions.

 Authenticate users at their login.

 Provide the list of books the users can borrow.

 Facility to reserve books that are available.

 A status page for all users to view books reserved by them.

 Facility to cancel the reservation for a book made earlier.

 A status page for all users to view books borrowed by them, their individual due
dates and their individual penalties if any.

 An interface to view and edit the own profile.

 Provide method for adjusting account settings such as passwords.

 Mechanism to reset the password in case user forgets it.

 Providing interface to add or delete books to staffs.

Due to the many problems facing with the current system by the college, I made a completely
new library management system that can produce automated online system for managing the
activities of the library system. It is totally secured system that can be accessed only by the
verified user putting the user name and password procedure.

To mitigate the issues of conventional and manual method of reservation and distribution of
books to readers from library, the online Library Management System has been created. The
Library Management System is a web-based online system for assisting both the
students/teachers and librarian/staff in borrowing and supervising the books. The system
would provide fundamental set of features for adding and/or updating members, adding
and/or updating books, getting the list of books, finding out the list of books currently
checked out, reserving and borrowing books. Its development includes the formation and
maintenance of back-end database with My SQL and front-end application development
aspects with PHP.

There is a future scope of this facility that many more features such as online lectures video
tutorials can be added by teachers as well as online assignments submission facility , a feature
Of group chat where students can discuss various issues of engineering can be added to this
project thus making it more interactive more user friendly and project which fulfills each
users need in the best way possible.
