Welcome to the SC/HSC Online Entry Program

You can access the program through the following link found on the MES website. Follow the steps in
the circular sent to you in connection with ‘Online Entry Program’.

You can also copy the link below and paste it in a browser address bar

Type the login credentials and the school PSN on the screen.

The Home Page (School Menu)


Important Notes: Read the information found on the Home Page before starting the School
Candidate Entry. Logout (Button found on the extreme right) the application each time you are not
using it.

Read the Announcement Section each time you log on into the system as it is being updated
regularly.

The Candidates Entry Form


Click on the School Candidate Entry tab to access the Candidate Entry Form.

To get help on the format of field during the input of a candidate, click on the field name e.g. to get
the format of name, click on the text before the field name.

Adding a Candidate
Press on the button ‘Add a candidate’, on the upper top right hand side of page. All the fields where
a red asterisk is shown are mandatory.

NOTES: Name should be entered in the format SURNAME:PRENAMES e.g. JONES:JAMES ALAN (the
: after surname is mandatory)
Subjects: Enter the subjects taken by the candidates as a string, one subject+option
followed by another. Leave a space between the subjects.

Do not leave spaces between the subject code and the option e.g. 2281Y and NOT 2281 Y.

Subjects: 1125 3014 4029 4037AY 5054BY 5070BY

You can use the quick picks a*, b* ,...., j+ for commonly entered options. a* to e* for O level
subjects and f+ to j+ for A level subjects. (See Appendix 1).

After input is complete, press on the button Save New Candidate to save your record.

Note that if you click away from the 'School Candidate Entry' tab without saving the record, you
will

lose the new candidate record. So you may have to insert the candidate details from scratch.

Editing a Candidate Record

Click on the label Names, in the list displayed at the right of the screen (as shown).

The search box will be displayed. Enter the name of the candidate you need to edit.
Click on the required name to select it – The details will be displayed onn the Entry screen.

You can also go through the list and click on the required candidate name
and click on ‘Apply Changes’ after making the necessary changes.

Deleting a Candidate Record

Click on the label Names, in the list displayed at the right of the screen (as shown).

The search box will be displayed. Enter the name of the candidate you need to delete.

Click on the required name to select it – The details will be displayed in the Entry screen.

Press on the Delete button to delete the record.

You can also go through the list and click on required candidate and press on the ‘Delete’ button.
After you have completed all the entries, press on the ‘Printout of Entries button found at the top left hand
side of your Entry screen for the required printouts.

Make the necessary selections and press on the button Click to Download PDF file.

Candidates List
Press on the candidate lists tab to find a list of different reports.

To select a report, click on the selection box, as shown in picture above. Select the required report
from the list of reports.

Saving and Downloading the Report

Press on the Action button to get a jump list of choices e.g. Save Report (Refer to diagram above).

You will the prompted to fill in the name of the report and the description of the file. Click on the
button ‘Apply’ to save the document.

Downloading the Report


Click on download in the action box. You will the prompted to this screen.

Click on the required format and the report will be downloaded accordingly.

The downloaded file(s) will be displayed at the bottom of your screen

Subjects and Options List

Here the list is being sorted by subject name.

Reports
Click on the Reports tab to obtain a list of reports available.

Amount Payable by Level
Click on ‘Amount Payable by Level’ to obtain payment details of all candidates.
Number of Candidates by Subject Options

This report shows the number of candidates who have taken a particular subject.

Distribution by number of Subjects Entered

This report gives you a breakdown of number of candidates per gender, sitting and number of
principal,
Subsidiary and Ordinary subjects.

Payment Summary Sheet

This sheet gives you details per number of candidates who have taken the same number of subjects.

That is, the report is grouped by the number of subjects taken by the candidates.

The ‘PRINT PAYMENT SUMMARY SHEET’ button will allow you to print the summary of entries you
need to submit to mes when calling for payment of fees.

Date of Birth or NIC needs to be checked

This document should be checked for invalid National Identification Number of the candidate.
Print Candidates and Subject Options Entered

This document gives you a list of candidates who have taken a particular subject or a list of subjects
for a particular candidate.

To obtain a list of all candidates doing a specific subject e.g., 5090, Biology,

type the subject code in the box next to ‘Enter Subject Code or Candidate Name’.

Press Enter or click on the button ‘Go’.

Use the same interface for another report to obtain a list of subjects taken by a specific candidate.
Type the candidate name in the box next to ‘Enter Subject Code or Candidate Name’.

Press Enter or click on the button ‘Go’.


The list below is displayed.

Do not forget to type ‘:’ between last name and first name.

Update Payment Method

Click on the tab 'Update Payment Method', found on the toolbar at the top of the screen.

Use this screen to update the payment method. Change the payment method and then click on
‘Save

Changes’ to record the changes you have made.

A Few Common Error Messages

1. ‘O-level: 8 Subs: 0 A-level: 0 C/F: 0 (Go to error)’

This type of error message is obtained when the


number of subjects entered in textboxes ‘Number O level’

(for SC Candidates) or ‘Number A Level’ or ‘Number Subsidiary’ (for HSC Candidates)


does not match with the number of subject codes
entered in textbox ‘ Subjects’. For example, here the value entered in textbox

‘Number O level’ is 8 while the number of subject codes entered in


textbox ‘Subjects’ is 9.

2. ‘8001: Invalid-- (Go to error)’

This error is obtained when an invalid subject code is entered in textbox ‘ Subjects’,

in this case ‘8001’. To get a list of subject codes click on tab ‘Subjects and Options List’
which is found on the toolbar at the top of the screen.

Please note that subject codes must be followed by the option codes

where applicable (e.g. 9701AY).

3. 1125 1126: Clashing-- (Go to error)


This type of error message is obtained when there is a clash

between 2 subjects i.e. a candidate cannot take these 2 subjects together,

in this case ‘1125’ and ‘1126’.

4. HSC Pro candidates must take both 8030A and 9998A on first sitting. (Go to error)

This error message is obtained when the user has entered ‘9998A’ in textbox ‘Subjects’ without
‘8030A’.

These 2 subjects are HSC Pro subjects and must be taken together. A candidate cannot take only one
of these two subjects.

5. 8009 8030: Clashing-- (Go to error)

A candidate cannot take ‘8030A’ which is an HSC Pro subject and ‘8009’ (i.e. General Paper)
together. These are clashing subjects.
