CHAPTER IV

Result and Discussion

This chapter presents process flow, the flowchart and data flow diagram of the
existing proposed system. Entity Relationship Diagram, Hierarchical Input and output

process, and the Input-Process-Output are also discussed.

A. Flow of the Existing System

a. Description of the Existing System

The current system of Bermor Techzone is a semi-manual system that


requires the customer to pay over the counter. The current system updating of

prices also have a problem because the customer who wish to buy their product
will not be updated for the current pricing of their products.

Figure 4.1 presents the flowchart of the existing system of Bermor Techzone
portraits on how the customer and cashier takes place on buying or selling

products. The flow between the customer and cashier in the system is the current
system of the establishment.

Figure 4.2 presents the existing system of Bermor Techzone is basically a simple system
without any special features. It presents the functions of the current system of the

establishment. It starts when the Customer will purchase products and pay over the
counter to the manager. The Manager will print the total items purchased by the Customer

as a receipt. The Customer will receive the products purchased, receipt and change given
by the Manager. It has only two data flows or movement in the current system.

Figure 4.3 presents the exploded Data flow diagram of the current system for Bermor
Techzone is only up to level one, it is because at this current system, it only has two
processes to transfer of data that flows within the system. With two processes for Item
Process and Payment Process.

B. Problems Encountered in the Existing System

Based on the result of the conducted interview and survey on the establishment

and based on the observation of the researchers, one of the problems encountered is the
updating of prices in their social media account and their current system. When customers

are going to buy in the establishment, the customer is not updated on the prices of the
product as they saw through their social media account. Also, when the manager is

looking for the availability of their product, the manager will call to the other branch for
the confirmation if the product is available in the branch of their establishment.

C. Process flow of the Proposed System

a. Description of the Proposed System

The development of an e-commerce system for Bermor Techzone is capable in


keeping the prices update, and also for managing the orders, products, reports, and

customers. The proposed system also has a login for the customer for them to purchase
and checkout the products they wish to purchase.

The proposed system is an improvement with new e-commerce system which provides
an easy navigating for products the customers wish to buy, and it also have the payment

gateway integration which allows the customer to pay online for fast and instant payment
transactions.

The proposed e-commerce system for Bermor Techzone is expected to introduce a new
way of viewing their products, purchasing and checking out of orders online that would

minimize the manual system for Bermor Techzone. The proposed system is more secured
that only authorized person can access the system. The process of the proposed system

is that the customer can create an account to purchase and checkout the products. The
proposed system also includes menu for the admin to manage products, orders, customer

as well as reports.

Context Diagram of the Proposed System

Figure 4.5 presents the context diagram of the proposed system for Bermor

Techzone wherein the process is at the center and has three entities. The three entities
are the Customer, Admin, and Paypal.

The Customer has one outgoing data flow and one ingoing data flow that provides data
which is the ORDER DETAILS, that contains information of the customer for the details

and prices of the products purchased. Second is the ingoing data flow of
CONFIRMATION AND DELIVERY DATE.

The Admin has two outgoing data flow and one ingoing data flow that provides data. One
is to MANAGE the orders of the customers. Second is PACKAGED PRODUCT & RECEIPT

wherein the Admin will pack the ordered products together with the receipt. Third is the
ingoing data flow which is the VERIFICATION OF PAYMENT.

Paypal entity has one outgoing and one ingoing data flow that provides data. The ingoing
data flow is CARD DETALS of the customer. The outgoing data flow is the

CONFIRMATION of the CARD DETAILS of the customer.

Figure 4.6 below shows the top-level diagram of the proposed system that contains four
processes – PRODUCT MANAGEMENT, PROCESS ORDER, PROCESS PAYMENT,

PROCESS SHIPMENT and has three entities, the CUSTOMER, ADMIN, and PAYPAL, and
also two data stores, CUSTOMER DB and ORDERS DB.

Figure 4.7 presents the entity relationship diagram of the proposed system. It presents
the type of information that is stored in the system and how these informations are related

with each other.

Figure 4.8 below presents the Hierarchical Input Process Output of the proposed system

for Bermor Techzone for customer. These functions will help the customers to navigate
through the system for viewing and purchasing products.

Figure 4.9 below presents the Hierarchical Input Process Output of the proposed system
for Bermor Techzone for admin. Only the admin can access these functionalities. These

functions will help the admin to manage the whole system.

D. Features of the Proposed System

Table 1.0 shows the features and description of the proposed e-commerce system

for Bermor Techzone.

Shopping Cart This is where your end consumers store
their ordered products to continue with
the checkout process.
Payment Gateway Integrations Payment gateway is a place in the system
where a transaction can be made. It’s
basically a cashier’s desk. But instead of
physically present to handle the
transaction, the system does the job for
the customer.
Search box A search box is a powerful site feature that
will improve findability and navigability.
The ability to search items in the system is
very important because many online
buyers have a specific item that they are
looking for.
Multi-user Login All users will login from a single webpage,
and the system will automatically
determine whether the user is an
administrator or not.
Administration Panel Admin panel allows the admin to manage
sales, orders, products, customers and
reports.
Contact Information Adds the information for the customer to
contact for technical/customer services.
Product Management The admin can manage products in the
system. It applies for adding, deleting, and
updating the product informations.

E. Evaluation and Implementation of the Proposed System

System Testing

System testing will be conducted to evaluate the system’s compliance with the
specified requirements. Trial and error method will be used in order to determine whether

there are error in the system and to solve the problems that the proposed system
encountered. The system testing validated if the system is functioning properly and

correctly when all functions/features are bundled as a whole.

System Implementation

System implementation includes coding, installation, training end-users and


document the system. The objectives of these steps are to convert the final physical

system specification into a fully working and reliable system as well as to document the
work that has been done to provide help for the end-user and for the future user for the

system.

System Requirements

To ensure the functionality of the system, the researchers had identified the
recommended hardware and software requirements of the proposed system for it to run

completely.

Hardware Requirements

For the system to work completely, the system should run in:

● At least 4GB DDR3 Ram

Installation Activities

The final phase of the system’s development is the implementation. With the help

of the panelists and IT professors’ recommendations and suggestions, the developed


system will be used at Bermor Techzone for the admin to train and how to use the

program.

Installation Design

The proposed system will be installed in Bermor Techzone. Tests will be


implemented to test all the functionality of the system. This will ensure that the new

system will be used as the main system for the establishment.

Training of End-users

The researchers will be conducting training activities for the end-users specifically
the manager and the owner of Bermor Techzone to develop their awareness and

knowledge about the e-commerce System. Through the trainings, the end-users may be
able to use the system without hassle and problem and use the system for business

purposes of the establishment.

Maintenance Plan

The system needs maintenance in order for the system to run continuous without

error. Giving new recommendations from the end-users for the improvement of the
system for managing the products will cause updates and changes on it. System back-up

procedures for monthly basis and the regular use of anti-virus are also recommended as
a preventive measure for the system.

CHAPTER V

Summary, Findings, Conclusion and Recommendation

This chapter presents the summary, conclusion and recommendation of the study.

Summary

This study aimed to develop an E-commerce Site system that provides an easy
access in purchasing orders, verifying their bills, and to provide a reliable service for the

customers. The proposed system provided accuracy in storing information in Bermor


Techzone transactions and generation of reports.

Modified system development cycle with prototyping was used in the study which
six (6) phases: System Planning, System Analysis, System Design, System Development,

Testing & Implementation and Maintenance. The sources of data were the staff of the
company and the manager. Observation, internet, library and interviews were used to

gather the needed information for the proposed system.

A series of system testing and technical evaluation of the IT experts with selected

end-users of the proposed e-Commerce Site was Made to prove that the system provides
an efficient and functional for Bermor Techzone.

Findings

Based on the interview conducted, the following were the findings of the study:

1. The process of the existing system of Bermor Techzone are:

● The transaction between the customer and the manager is done through their

social media account.

● Order based items are ordered upon customer requests.

● Pay first policy is used when purchasing a product

2. Problems encountered in the existing system

● Prices online is not uniform to physical store.

● Determining the product availability is hassle.

● The receipts can quickly build-up overtime due to it not being saved in their

terminal.

3. The features that can be incorporated in the proposed system are the following:

● Android Application

● Logistics Tracking

● Online Chat Integration

Conclusion

The proposed e-commerce system is beneficial for Bermor Techzone. In particular,

customers will not have a hard time reserving product and paying for it. It is more effective
in storing and accessing the reservation transactions, and will reduce the problems

encountered in the existing system. Since the proposed system was validated by the I.T.
experts, tested by the end-users, and has met all the requirements, then it is feasible to

be adopted and implemented by the institution to gain benefits.

Recommendations

Based on the findings and conclusions of the study, the researchers recommend
the following:

1. Full implementation of developed system to gain it's given benefits.

2. Implementation of proposed guidelines for the payment of the reservation.

3. The end-users should have regular evaluation for the system for its improvement.

4. Training for end-users shall be made so that they can see the system efficiently.

5. The end-users shall always back-up the database to address immediate recovery
in case of the system failure.
