Executive summary

This final report will show the details in the project. The project name is “Renovation of day care

room”. The objective of this project is to renovate the day care room of Edu Cemerlang.

This report will also show the final outcome of this project which had achieved of the company.

Some of the details in the project likes budget, risks, WBS also will be shown in this project.

Besides, project team are the team who in charged

There are some small changes in budget and it does not greatly affect the whole project. This project

also will show every single details during the project. Furthermore, the problems during the project

will be identified and some of the recommendations will be given in order to overcome the

problems.

The project manager was responsible for monitoring the whole project. The team which involved in

this project are project management team, construction team, finance team and activity team.

Project management have to allocate the works for each team and make sure they achieve the goal

and objective of the project.

In conclusion, the report will show the better solution which were chosen by the project team in

order to solve the problems. The reflection also will review the issues which has occurred during the

project. the issues which had occurred during the project. the issues will be clarity and identify by

the project team to improve for the future.

1.0 Introduction

The project with named “Renovation of Day Care Room” finally come to the end of the project and it

brings company a good result. The purpose of this project is to renovate and enlarge the space of

Edu Cemerlang day Care centre’s day care room. After renovation, students may have a comfortable

environment to do their activity in the day care room.

The project is to improve the day care environment and provide a good environment for the day

care students. The number of students is constantly increasing and the originally day care room was

not enough for the day care students. After discussing, the project team just decided to proceed the

renovation project. The duration time of this project is 2 months, which was from 26 January 2018 to

26 January 2019. The estimated budget of this project is RM 43,000. Fortunately, the project was

running smoothly and didn’t have any big troublesome problem during the project.

After the project finished, feedback and review are also needed collect from the parents and

students. Majority of the feedback that collected from parents and students shows that they are

satisfied with the new day care room. Besides the good result, there were some of the unexpected

issues may affected the outcome of the project. Fortunately, the issues were also fixed at the final

stage of the project. In conclusion, this final report will show the details and progress of the project.

The final report is required to prepare because it have to show to the project team members and

stakeholders so they can review for the project’s progression.

Purpose of project

Purpose of this project is to make improvement on day care room of Edu Cemerlang day care centre.

The project is to renovate and enlarge the space of day care room. This is to ensure that the

students have an enough space and a good environment while staying in the day care room.

Furthermore, tuition centre also can recruit more new students when the day care room become

larger.

A good business progress report consists of heading, executive summary, description for the smaller

components and report with clear details. Besides, the components such like graphs, statistics and

tables are shown in the report is important to assist the readers more understand it.

Work breakdown structure (WBS) is one of the important details in the final project. WBS can be

used in project or programme to make others to understand the works have to be done and produce

a deliverable successfully. There are some benefits to create WBS in a project.

 It can show the estimated cost for the whole project

 It can show the important deliverables

 Create the visual of the scope

 It can define and assign the work required

 To identify the potential risks

 The project manager plays an important role in handling the project. There are various

responsibilities of a project manager, which include planning and organizing the project, leading the

team, monitoring the project progression, communicating with tem members and managing the

risks. In this project, the team who have involved in the project are contractor team, finance team

and activity team. The contractor team involved in renovation work of the project and electrical

work. Then, the finance team was in charged in the budgeting by making sure the budget of the

whole project will not exceed the planned budget. Then, the activity planning team was responsible

for the Open day activity, it has to plan about the open day activity.

3.0 Project outcome

Gantt chart is the visual view of tasks which displayed against deration of tasks, overlapping

activities and assignation of task. Furthermore, Gantt chart is useful in a project for managing,

scheduling and planning the task. So, the Gantt chart helps the person to understand clearly about

the project progression.

The Gantt chart has been used in this project to clarity of the project progression.

There was a slight delay in wall painting and decorate day care room due to procrastination of

construction workers. Although the wall painting and decoration for the day care room ware unable

finished in planned time, but the overall project was managed to done before the dateline.

Project budget provides a comprehensive budget to management and how funds will be used and

the cost estimation for the whole project.

From the budget table, the budget shows a significant change which the actual cost was slightly

higher than the budget cost. This was because cost of the customers’ review from no budget
became RM200. This increase was the project team had decided to spend RM200 on the preparation

food for open day. In order to get the feedback from the customers who are the existing parents and

students. So, some of the dessert are needed to prepare for serving customers on the open day.

4.0 Highlight

There are some highlights for the project which are required more attention. These highlights

include:

 Decorate the day care room after renovation is finished

 Send day care open day notice to the parents

 Food preparation for open day

Day care as the second home of students. The atmosphere of day care room should be pleasant and

comfort. The project team and the stakeholders decided to use light blue paint as the day care room

theme. The colour will make a room look bigger or smaller. So, it is very important to choose the

right paint if you want your room look bigger. Light blue is very suitable for wall. After that, they also

paint the rest room by using green colour, this is because green colour tends to encourage relaxation

and decrease anxiety.

In order to collect reviews, form the parents. The project team decided to invite parents to the

centre for visiting new day care room. So, notice for the day care open day are given to students for

inviting their parents attend the day care open day. Besides, the project team also sent the message

to invite parents by using WhatsApp and posting notice on Facebook.

Project team also prepared some food for the attendee. Some of the desserts like cake, cupcake,

malay kuih and so on were being prepared to serve the attendee. It had to know about the

approximate number of attendance before open day. The project team have to collect the number

of people for preparing approximate food and It could reduce the waste of food.

5.0 Problems identified

The project delayed

There are some problems has occurred during the project. one of the problem was the

procrastination of the construction employee. This procrastination problem has influenced the

progress of renovation. One of the problem which caused the project delayed was the construction

employee coming late. Second, manpower also was the problem which caused the project delayed.

There were only construction workers in charged this project. Finally, we had request form the

constructor to increase the number of construction worker in order to make sure the project can be

done on time.

Not much parents attended on the open day

The attendance percentage of parents attending the open day was not achieving the targeted

percentage which was 80%. The percentage for the final was only 55%, which meant nearly half of

the number of parents did not attending the open day. After understanding, we found out most of

the parents were not able to attend due to they had to work on the day.
6.0 Recommendations

In order to settle the delayed problem of construction workers. It should talk to them and see what’s

the problem are they facing. After asking, the workers said actually they came for working by

motorcycle, they would be late on the day which the day is raining. Second, they also felt lack of

motivation due to job is monotonous. So, these two issues were the main problem of causing the

work delayed. For overcoming this problem, the leader can suggest them to carry bus or LRT instead

of motorcycle. The two transportation are also more convenient and safety than by motorcycle.

After that, it should be hold at least one regularly meeting in a week for the construction workers.

The purpose of meeting is to know about their feedback and problems towards their works.

Furthermore, the construction manager should communicate and encourage the continuously. The

construction manager should also supervise the workers during the working time and make sure

they are on the track to achieve their working objective.

After review, the day care open day should be held at 27 January 2019 instead of 26 January 2019.

This is because 27 January 2019 is on Sunday and most of the parents don’t have to work on the day.

This open day is quite important because the parent can seize the opportunity to visit our centre and

new day care room. After this case, the project team also learned from this and will consider about

the problem and issues before planning the date for the open day.
7.0 Reflection

From this project, I personally think about this is a good opportunity for me to improve myself

during handling a project. From the project, I have learned about how to be a good leader in a team.

As the leader of the team, I have to take the responsibilities to guide the whole project progression

and ensure the project is running smoothly. It is not easy for handling a project. a good and

successful project manager must have a good communication skill in order to communicate with the

team member, stakeholders and the constructor. Communication skill iv very important because

there will be a big trouble if the person could not fully understand what he need to do. So, in order

to prevent incurring any problem or trouble towards the project, team manager have to conduct

meeting with team members and stakeholders. By the way, they also can review the problems and

speak out their ideas during the meeting.

After that, budget Gantt chart and WBS breakdown also being prepared during the project. These

will help us to refer to the progression of the project. This is also preventing any procrastination of

project and the Gantt chart also can provide the project progression for team members and

stakeholder to know the exact situation. The planned budget is also very useful in this project,

because we can review the budget and the actual cost of the whole project. Other than that, we may

reduce the company’s money by planning the budget, and also prevent overspending the money on

the project.

Then, there are some improvements must be made in the upcoming projects. Meeting with the

people who has involved in the activity is quite important because it is to make sure we can follow

the project progression and preventing the work delay. Furthermore, we must make a deep research

before setting date for the open day. This is to ensure that the attendance of people can achieve the

targeted percentage.

Overall, the project budget has increased slightly but the project is considered to be running

smoothly as it has done within the dateline.
