COMMON EXPLAINATIONS

Introduction of the problem: This chapter should provide a

background of the problem and what is proposed to be investigated. The
significance of the problem, the objective and the scope of the study and
the contribution and impact your study will make, should be elaborated. A
brief description of the organization where you have conducted the project
should be provided.

Theoretical Perspective: This chapter should give an overview of the

theoretical concepts related to the problem under study. You should
refer to the current status of research in the area and the major findings.
These should bring out the necessity for a study of the kind you have
undertaken and the approach you intend to follow.

Methodology: This chapter should describe in detail the steps

followed in completing the study. If you have done a sample survey, the
basis of sampling its size etc. should be discussed. The sources of primary
and secondary data must be stated and the way you have processed the
data should be elaborated.

Presentation of the relevant data and analysis.

This forms the main body of the report. As you defined the problem-Clearly
and definitely, before you start the report, decide on the main theme of
your report; which of the findings are significant, which are peripheral?
Develop your argument logically to build your theme, presenting
data wherever necessary. Decide the distribution and the number of
chapters required; keep appropriate balance in the size of the chapter, and
avoid uneven coverage. Only include those parts of a table in the chapter
which are relevant to the arguments, the details can be in the appendix.
Spend more time on the central issues, giving them importance, clarity and
emphasis. All issues treated in the same manner dilute a report.

Appendices and Annexures: Appendices are listed alphabetically e.g.

Appendix A Appendix B etc. and contain the table and data collection for
the study .They are not included in the main chapters but referred to in the
discussion and interpretations. Appendices are placed after the last
chapter on summary conclusions.

Annexures are numbered numerical e.g., Annexure II etc. and contain such
supporting information which through not collected as primary and
secondary data, yet is relevant in discussion and for easy reference.

List of references: references can be mentioned either at the bottom of the

appropriate page where these are referred or at the end or each chapter. If
this has not been done, a third alternative is to list them at the end of the
report immediately after the appendices / Annexures.
Bibliography: A bibliography is a list of published sources consulted
during the course of project work and normally includes all work listed in
the text and text notes. The bibliography can be listed in alphabetical order
or split into two separate list each covering books and articles.

Preparing a Project Report

CRITERIA FOR SELECTING A PROJECT

1. Topic should be selected from your MAJOR area of specialization.
2. Project work should preferably be concerned with the organization.
3. It should try to resolve the problem assessed in your project work.

EXECUTIVE SUMMARY: (One page only)

This should include Introduction & objectives of the project, reasons for selection of
company, selection of project, and research design of the project (i.e. procedure you
have used to carry out the project). Also you have to mention brief conclusions of the
project. (One paragraph on each chapter)

TITLE: What you want to do. (Should be brief and simple)

HYPOTHESIS: A hypothesis is a tentative diagnosis or solution to a problem. It is

based on certain observations to explain certain events and to guide the investigation
of others. The project then would be based on testing the hypothesis to verify or reject
it, Eg: in a study of increasing absenteeism in a factory, one may propound the
hypothesis that “absenteeism is on the increase because of lack of adequate welfare
activities.” On studying the problem in depth it may be proved to be so otherwise. A
hypothesis then starts somewhere at the midpoint of research, from here one can look
back to the problem and also look forward to the data.

COMPANY PROFILE: This should include

1. Complete name & Address of the company

2.Mission statement, vision, slogan, logo ifany.
3. Historical developments of the company
4.Achievements and financial result of the company if any.
5.Organizational chart
6. List of competitors
7.Branches & offices
8.Building photographs (if any).

OBJECTIVE (Why) and SCOPE OF THE PROJECT: Why you wish to

undertake the particular study.( Primary and Secondary. Keep it simple)

1. Objectives of the project ; Purpose of your project

2. Scope: in terms of practical implication of the project. (Not only in
terms geographical scope.) Includes everything that the project is
intended to produce.
An acceptable project will normally fall into one of the following categories:

Exploratory- a study that involves carrying out original research in order to meet the
organization’s continual need for new information for forward decision-making. The
main issues may be human, economical, functional etc, but the construction and/or
application of some kind of research instrument are the focus of the study. The analysis of
the research findings (e.g. client’s responses to questionnaire about changing product
specifications) should take place, resulting in proposals about how to manage relevant
aspects of the organization’s future.

Explanatory- a study, which would involve studying relationships between different

variables like a cause & effect relationship study.

Descriptive- a study that would need an in-depth portrayal of an accurate profile of

events or situations from the business environment.

RESEARCH METHODOLOGY: How you will conduct the study. (Research design
& methods)

Research Design: This section is used to provide details of the design of the
research. There is normally a reiteration of the objectives. It should include a
rationale for the choice of research design/approach, the procedure used, details
of the empirical work and the method of analysis.

Research method should describe in detail the steps followed in completing the study.
If you have done a sample survey, the basis of sampling, its size etc. should be
discussed. The sources of primary and secondary data must be stated and the way you
have processed the data should be elaborated.

1. Definition of Research
2. Types of research in brief and the category of research applicable to your project.
3. Different methods of data collection in short and justification for the method
adopted by you.
4. Sources of primary data & secondary data you have used for your project.
5. Sample size for your project.
6. Method of data analysis you have used for your project.

IMP: QUESTIONNAIRE :Should be in line with the Objective. Answers to the

Questionnaire should answer the Objective(s).

Recommendations/ Suggestions must tally with the Objective(s).

LIMITATIONS OF THE PROJECT:
No project is ideal. In reality the researcher always come across different problems
which acts as limitations of the project such as –

1.Biased reply of the respondents

2.Non availability of data or other relevant information
3.Time constraints
4. Budget constraints
5.Company’s policy that not to disclose confidential data. Etc.

LITERATURE REVIEW
This chapter should reflect the student understand of the relevant theoretical and
empirical background of the problem. Focus should be more on the logical presentation
of the empirical evolution of conceptual and methodological issues pertaining to research
problem.

It should include

Application of different relative concepts of the concern subjects topic & their
correlation with respect to your project like:
This chapter should give an overview of the theoretical concepts related to the
problem under study. You should refer to the current status of research in the area
and major findings. These should bring out the necessity for a study of the kind
you have undertaken and the approach you intend to follow.

system, motivational tools, manpower planning, labour laws, grievance handling
procedures, Interview techniques, etc.

DATA ANALYSIS & INTERPRETATION: Findings

This is the major & most important part of the project. It should contain the analysis
of all those questions asked to the respondents through the questionnaire. Use appropriate
bar charts/ pie charts/ graphs/ table/ line diagram/ frequency curve etc.

For Example:

Satisfaction level of the customers

Sr.No. Level of Satisfaction No. of Customers Percentage

1 Satisfied 130 65
2 Highly Satisfied 30 15

It has been observed that 5% customers are non respondent as they were busy with the
other works.

Data Analysis (for Finance):

Do the data analyses as shown above, only you have to choose appropriate methods for
analysis like ratio analysis, cash flow, comparative analysis, operating cycle study etc.

SUMMARY OF FINDINGS: Brief statement of findings

REVIEWING & AND PRESENTATION:

While writing and presenting a report, take care of minor matters as this will make it
more professional. Badly edited reports with grammatical errors and wrong punctuations
give a very poor impression. A well written and carefully corrected one holds the interest
of the reader. Foolscap pages with single space matter needs a lot of grit and
determination to read. Well spaced pages with proper headings, margins and tables are
inviting. It is necessary to review and revise your draft report before you give to the final
typing. Also show it to your guide and obtain his comments and suggestion for changes
where necessary.

CONCLUSION AND RECOMMENDATION

While concluding student should take care that his conclusion is matching with the title
of the project and objectives set in the project. Student has to give different suggestions to
the company which will act as solution to all those problems researcher has identified
with product or services or methods applied.

BIBLIOGRAPHY: (This will be the last page of the project)

It includes – references, books and research journals used, web sites, newspapers etc.

For example:

For Books: C.R.Kothari, Research Methodology, Methods & Techniques, New Age
International Publisher, edition II, 2004.
For Research Journal: Mridula S Mishra and Umakant Dash, “Importance of Retail
Service Attributes: A study on Indian consumers”, Page No.7-
20, The ICFAIAN journal of Management Research, Vol.VII,

For Website: Write the name of authentic website or official website of an organization
not the search engine like google or rediffmail search.

ABBREVIATIONS

Try to avoid using any abbreviations, but if you have used any technical and standard
abbreviations then please mention their full form over here.

Report.

PLAGIARISM
Any attempt to copy from another (present or previous) student or to copy large chunks
from academic or other sources without appropriately referencing those sources will
trigger the full weight of plagiarism procedures. If there is any doubt concerning the
authenticity of your work, the university reserves the right to demand an individual
presentation before a panel at which you will be required to reply to spontaneous
