What to bring to an interview for event planning/management
When interviewing for event management or planning it is important to always put your best foot
forward. Event planners are people who have creativity and plenty of experience under their belt. Just like
any other interview you must ask professional and confident. Below is a list of things to bring to an
interview for eventing planning or coordinating, followed by questions to be prepared to answer.
What to bring:
3) Tell me about a time you had to deal with a last-minute change or unexpected situation

Chapter 8
To keep your event as cost efficient as you can here are some tips and areas to track as
you make your budget. Take yourself through the lifecycle of your event: what items could cost
you money along the way? Don’t just stop at the big items like your venue, food and beverage,
and AV. You need to think of smaller costs like taxes, fees, gratuity, marketing, and travel. Small
costs can end up devouring your budget if you don’t account for them on the front end.
1. Compare venue costs - Track all projected rental fees for the event space.
2. Estimate catering costs - All food and beverage charges, including tips and gratuities,
which can account for up to 30%. Catering budgets can be a great source of savings when
managed well.
3. Transportation charges - This includes shuttles, coaches, event transfers and any related
expenses. Don't forget insurance, fuel, tolls, or trailers if they are needed.
4. Decor expenses - Most events include expenses for decor, such as centerpieces, florals,
5. Entertainment & equipment fees - Common expenses include the A/V equipment, but it's
6. Summarize printing charges - These include invitations, name badges, program booklets,

Chapter 8
7. Gifts - One common event tip is to never allow a guest to leave empty-handed. So,
whatever gift or gifts you provide, track the cost for them separately; you'd be amazed at
8. Identify activity expenses - If your event includes activities such as golfing, tennis, spa,
rafting, biking, or other activities, you will want to note the cost of these fees separately.
Consider summarizing the total cost in your spreadsheet and attaching a breakdown.
9. Post other expenses - If an expense doesn't fall into any of the above categories, list them
10. Trim event costs - More than likely you will reach a point in the planning process where
decisions about cutting costs must be made. Identify which options have the biggest
impression on guests.
11. Make a contingency fund - Depending on the size or complexity of an event, you may
want to give yourself as much as up to 20% of the event budget here. Charges often
exceed projected plans with expenses that you never consider. This will keep you from
