1 Introduction

All Bachelor (Honours) Degree students in the Faculty of Engineering and Technology
(FOET) are reminded that Industrial Training course is compulsory as part of the
requirements for graduation. Students who did not complete the industrial training will not be
able to graduate from the degree programme.

1.1 Course Objectives

This course provides students to the real working environment, gain hands-on experience
related to their programme discipline, prepare and enhance students’ ability to face the
challenges posed by the industry.

1.2 Course Learning Outcomes (CLO)

On completion of the course, students should be able to:

CLO 1: Apply relevant engineering knowledge in accordance to industry practice. (C4)


CLO 2: Participate in industrial activities within resources given. (A3)
CLO 3: Demonstrate good attitude and ethics in accordance with professional engineering
practice. (A3)
CLO 4: Demonstrate competency in communication skills at workplace. (A3)
CLO 5: Demonstrate the ability to work effectively in a workgroup. (A3)

1.3 Industrial Training Committee

An Industrial Training Committee is established to handle the overall industrial training


process where academic staff will be assigned as Departmental In-Charge (DIC) and
Internship Coordinators (ICs).

Students are advised to refer all the official matters related to their industrial training to the
assigned ICs, who is also the Industrial Training Committee. The following ICs assigned to
handle the industrial training placement for students of each programme are listed in
Appendix A, B and C respectively.

2 Duration of Industrial Training

Students must complete the industrial training for a period as stipulated by the Faculty during
their course of study in the University College.

3 Pre-Requisite of Industrial Training

Students who registered for a Bachelor (Honours) Degree programme will undergo their
industrial training before the end of their studies. In connection thereto, students are required
to attend compulsory briefings before going for industrial training.

DIC will conduct the first briefing to guide students on the application of industrial training
placement by the end of May semester. Subsequently, a second briefing will be conducted to
guide students on their codes of conduct and report writing before the commencement of
industrial training.

Prior to the undertaking of industrial training, students are required to complete and submit
the following documents to the assigned Internship Coordinator:

• Students to complete and submit the Letter of Indemnity in duplicate copies; and
• Students to inform their parents/guardians and to complete and submit the Parent’s
Acknowledgement Form and
• Students to apply for industrial training with the Faculty Supporting Letter and send the
Company Reply Form to training company. The completed Company Reply Form will be
replied through the student or directly email to the Faculty.

Note: Pursuant to TARUC Examination Rules, students in Warning/Final Warning status due
to unsatisfactory examination performance are not allowed to register for industrial training.

4 Application Procedures of Industrial Training Placement

Students are required to apply for industrial training placement to companies of their choice
independently. It is advisable for students to apply to companies they are familiar or keen to
work for with regards to their future career development. A list of previous participating
training companies will be provided for student’s reference.

The following are the step by step procedures for industrial training placement:

1. Students to contact the company in advance to enquire on the availability of internship


vacancies.

2. Students must send their resume together with job application letter, Company Reply
Form and Faculty Supporting Letter in their application to the company via email or hand
it in personally.

3. Students need to follow up with the company to check on their application status via
telephone call / email.

4. Students are advised to apply ONE (1) company at a time.

5. Students to request the company to complete the Company Reply Form with company
stamp then send reply through the student or directly email to the Faculty before the date
as stipulated in the Company Reply Form.

4.1 Oversea Industrial Training Placement


The following are the step by step procedures for oversea industrial training placement:

1. Students to contact oversea companies/institutions with consent by the IC/DIC.

2. Upon confirmation from the oversea companies/institutions, students must obtain the
approval from the Faculty.

3. Students to request the company to complete the Company Reply Form with company
stamp then send reply through the student or directly email to the Faculty before the date
as stipulated in the Reply Form.

4. Faculty to obtain the approval from President via recommendation from the Dean of
FOET.

5. Students are required to fulfil the immigration requirements of the chosen country; find
their own sponsor for the application of training/working permit; keep the permit valid
throughout the course of industrial training and to return home upon expiry of the
training/working permit.

6. Students are required to bear all the costs and expenses including but not limited to visa
fees, medical check-up fees and all other medical expenses, personal insurance,
travelling expenses, personal maintenance and lodging expenses, repatriation expenses
and any miscellaneous expenses as stipulated by the relevant authorities or the company.

5 Student’s Codes of Conduct during Industrial Training Application

5.1 Companies for Industrial Training


• It is the responsibility of students to source for the suitable companies related to their
discipline of study to undertake their industrial training.
• Students are NOT allowed to undergo industrial training at companies which are
wholly/directly owned by their parents or relatives.
• Students are allowed to undergo industrial training at companies in Malaysia. At this
point of time, students may also apply for training in Singapore and Brunei, with prior
approval from the Dean of FOET.
• The discretion of whether or not to accept the student as an industrial trainee lies entirely
with the company and not with the Faculty. Students should prepare themselves
conversantly for the job interview, e.g. the company may test students on their knowledge
and skills of the relevant subject areas.
• Students are required to comply with the contract that stipulates the terms and conditions
of industrial training between the student and the company. In no way should the students
breach the contract entered into by themselves and the company.
• For industrial training undertaken outside Malaysia, students are required to fulfil the
immigration requirements of the chosen country; find their own sponsor for the
application of training/working permit; keep the permit valid throughout the course of
industrial training and to return home upon expiry of the training/working permit.
• Unless otherwise sponsored by the company to undergo industrial training outside
Malaysia, students are required to bear all the costs and expenses including but not
limited to visa fees, medical check-up fees and all other medical expenses, travelling
expenses, personal maintenance and lodging expenses, repatriation expenses and any
miscellaneous expenses as stipulated by the relevant authorities or the company.

5.2 Allowances for Industrial Training


• The assigned Internship Coordinators will not be responsible in negotiation of any
subsistence such as allowance for students with the company.
• Students shall be grateful to the company that provides guidance and advice which will
complement their personal growth.
• The provision of allowance, accommodation and transportation is within the discretion of
the company.
• If the company has decided to give the students a fixed allowance or none, no further
negotiation on allowance with the company is allowed.
• If a student is found to have demanded extra allowance after he/she has been placed at the
company, he/she may subject to disciplinary action by the University College.

6 Confirmation of Industrial Training Placement


Students who have secured and accepted a placement and have informed their placement to
the assigned Internship Coordinators are strictly prohibited to change the training company
without valid reasons.

In the event that students are unable to secure a placement at least one month prior to the
commencement of industrial training period, students shall inform the assigned Internship
Coordinator for assistance.

Students are expected to seek for their own training company, failing which means he/she
must accept any company assign to him regardless of location. The assigned Internship
Coordinator will not guarantee to place the students to their choice of company or location.

Student Internship Placement Confirmation Letter and Training Company Placement


Confirmation Letter will be prepared and distributed prior to the commencement of industrial
training.

Any decision taken by the Industrial Training Committee on student placement is final. If the
assigned Internship Coordinator successfully places a student in a company, and the
placement has been confirmed, then the placement is considered final. Students are not
allowed to swap or exchange industrial training placements between students without the
permission from the company and Faculty.

7 Student’s Codes of Conduct during Industrial Training

7.1 Observance of Rules & Regulations

• Students are required to observe and follow the prevailing corporate practice of the
industry and company. Students should present themselves at all times as a respectable
industrial trainee of the company and practitioner of their chosen discipline.
• The rules and regulations of the University College govern student’s conduct during the
industrial training period. Student’s industrial training contract with the company governs
their time and effort that they will spend with the company.
• Students are reminded to uphold the good name of the University College, abide by the
codes of conduct of the University College, the Company, the Industry, the terms of
industrial training contract, and any other relevant rules and regulations at all times during
the course of their industrial training.
• Students should also keep abreast with the developments in Faculty via Google
Classroom.
• Students should seek assistance if they encounter any problem relating to their industrial
training. Students are required to contact the Industrial Training Supervisor or the
Internship Coordinator and shall document and resolve the arising problem.

7.2 Health and Safety during Industrial Training

• Students shall adhere to the safety policies and procedures of the training company.
• Students should endeavour to take care of their safety at all times.
• Students are encouraged to attend Green Card training to better equip themselves at
workplace.
• Students should inform the company and Faculty as soon as possible should any accident
occurs during the industrial training.

7.3 Attendance & Leave Application

• All students are reminded that attendance and punctuality must be observed at all times
during the industrial training.
• Students should inform the company and the Faculty as soon as possible should any
sickness or accident occurs during the industrial training period that requires medical care.

Students should endeavour to take care of their health and well-being at all times. Most
companies would not provide medical care to industrial trainees.
• Students must not miss any day of the industrial training. In case of emergency, the
students must inform both the Industrial Training Supervisor and the assigned Internship
Coordinator. Any absenteeism or late attendance without valid reasons may result in
failing the industrial training course.
• Students are required to undergo industrial training even though they have repeat and/or
resit papers. Students who want to attend the Resit Examination during the industrial
training period must apply leave from the training companies subject to their approval
based on the following:

• Notwithstanding of the above, students are not allowed to apply leave during the
industrial training unless with the approval of the relevant training company.
• Students who are unable to attend the industrial training for more than SIX (6) days due
to sick or emergency leave will be considered as not fulfilling the requirements and thus
be required to replace the industrial training completely.
• Any student who stops his industrial training prematurely without prior approval from the
Faculty will also fail the industrial training course.

7.4 Disciplinary Action by the University College

• Any breach of discipline on the student part and/or unfavourable report from the training
companies would be viewed very seriously by the University College.
• Students will be served a written warning and/or subject to disciplinary action if they are
proved to breach any terms and conditions of the industrial training or any rules and
regulations of the Company and University College.
• Any student who fails to complete the industrial training satisfactorily will face
disciplinary actions which may include deferment of the degree award until the student
has made good of the deficiency in industrial training satisfactorily.

7.5 Insurance Coverage & Claim Procedures

• A ‘Student Personal Accident Insurance Scheme’ insures all students of the University
College. The policy will cover the students for accidents round the clock. In addition,
students can also claim for medical treatment for injuries sustained in an accident. In the
event of death of the policy holder, funeral expenses would also be paid.
• Copies of the Insurance Policy’s terms and conditions are available at the Department of
Student Affairs (DSA) for reference.

Insurance Claim Procedures for Fatal Accident

• Parent(s) of the deceased student to inform DSA.


• Parent(s) to submit the completed insurance claim form to DSA.
• Parent(s) to attach certified true copy of the death certificate, burial permit, deceased
student’s NRIC and birth certificate, police report, post mortem report and parent’s NRIC
(both sides on one page).
• Parent(s) to attach photocopy of bills for all funeral expenses.
• DSA will contact parent(s) when the cheque is ready.

Insurance Claim Procedures for Non-Fatal Accident

• When student(s) injured while playing games, bitten by insect or animal, e.g. dengue
fever, dog bite and etc, student(s) to see doctor.
• Student(s) to pay the bills and keep the receipts.
• Student(s) to refer to DSA enquiry counter for details.
• Student(s) to fill up insurance claim form.
• Student(s) to attach receipts.
• DSA will contact student(s) when the cheque is ready.

8 Industrial Training Visit by Internship Coordinators (ICs)

• IC is required to conduct visit for students who are undergoing industrial training with
company located in Selangor and Kuala Lumpur.
• DIC will establish a visiting schedule to the assigned ICs.
• Before the visit, IC is required to contact the Industrial Training Supervisor of the student
to make prior arrangement for the visit.
• During the visit, IC needs to bring along the Industrial Training Visit Report to obtain
feedback from the Industrial Training Supervisor and students.
• IC needs to look at the students’ daily logbook and any reports that the student has written
during their visit.
• IC is required to discuss with the students on any problems encountered and to discuss
with the Industrial Training Supervisor regarding the overall performance of the trainees.
• IC is allowed to submit the travelling claim for the visit according to the mileage
allowance of the University College.

9 Reports for Industrial Training

Students must document their industrial training experience and log their activity daily in a
logbook. On completion of the industrial training period, students must submit written reports
to the Faculty. The Industrial Training Supervisor will also submit a confidential report on
trainee’s performance to the Faculty at the end of the industrial training.

9.1 Reports by Industrial Training Supervisor

9.1.1 Report on Trainee’s Attendance

All students reporting for duty on the first day of industrial training must request the
Industrial Training Supervisor to complete and return the Report on Trainee’s Attendance to
the assigned Internship Coordinator by email within ONE (1) week after they have reported
for duty. Failing to do so without valid reasons may render the student to fail the Industrial
Training course.

9.1.2 Confidential Report on Trainee

All students are required to give a copy of the Trainee’s Confidential Report to the Industrial
Training Supervisor at the beginning of Week 10 of the industrial training period. The
Industrial Training Supervisor is required to return the completed form to IC via email at the
end of Week 10. The hardcopy completed form will return to the trainee under confidential
cover for submission by students to the Faculty together with the Industrial Training Logbook
and Report on the FIRST week of the new semester.

9.2 Reports by Students

9.2.1 Industrial Training Logbook

All students undergoing industrial training are required to keep a logbook of their daily
training activities. The main purpose is to provide an authenticated record of the industrial
training which may come in useful when applying for membership of professional institutions
at a later date.

The Industrial Training Logbook must be submitted (via email) to the assigned Internship
Coordinator for marking at the end of Week 10 of the industrial training. Students are to
submit the hardcopy of Industrial Training Logbook during the FIRST week of the new
semester.

All students must observe the requirements given in the Guidelines for Industrial Training
(For Companies and Students) to prepare the Industrial Training Logbook.

9.2.2 Guidelines to Prepare Industrial Training Logbook

In preparing the Industrial Training Logbook, all students must observe the following
requirements/guidelines to ensure that uniformity is maintained. Students who wish to deviate
from these requirements/guidelines must obtain prior approval from the Faculty.

• The Industrial Training Logbook should comprise of descriptions on daily activities


related to work / project / company and include approval documents for leave of absence
from the training organisations and/or medical certificate, if applicable.

• No duplication of report will be accepted.

• The Industrial Training Logbook must be initiated by the Industrial Training Supervisor
at the end of each week.

• The Industrial Training Logbook should be handwritten / type written in accordance with
the format in TARC/FOET/BIT/F12.

• The Industrial Training Logbook should be properly tape binding with a suitable front
cover indicating the name of company, name of student, programme of study and
academic year. The colour of front cover should be blue.

• The front cover of Industrial Training Logbook should follow the format as shown in
Appendix E.

• Students shall make additional copy for their own personal keeping. All Industrial
Training Logbook will become the property of the Faculty upon submission. The
copyright of all Industrial Training Logbook belongs to the Faculty.

9.2.3 Industrial Training Report

The Industrial Training Report should provide a much fuller account of the industrial training
than the logbook. Beside the subject matter on the industrial training itself, the report format
is detailed in Section 9.2.4.

In the report, the students are NOT required to:


• Reveal any commercial or technical confidentiality of the training organisations or make
uncalled for or irrelevant criticism. The students should be grateful for the industrial
training that have been provided; and
• Comment on the management structure of the company, and not pry into
management/staff/union relationships.

The Industrial Training Report must be submitted (via email) to the assigned Internship
Coordinator at the end of Week 10 of the industrial training. Students are to submit the
hardcopy of Industrial Training Report during the FIRST week of the new semester.

All students must observe the requirements given in the Guidelines for Industrial Training
(For Companies and Students) to prepare the Industrial Training Report.

9.2.4 Guidelines to Prepare Industrial Training Report

In preparing the Industrial Training Report, all students must observe the following
requirements/guidelines to ensure that uniformity is maintained. Students who wish to deviate
from these requirements/guidelines must obtain prior approval from the Faculty.

• The Industrial Training Report should comprise of at least 3000 words and may include
photographs, tabulations, drawings, graphs, flowcharts, computer programmes, etc.,
which must be clearly annotated.

• No duplication of report will be accepted.

• All students may submit the Industrial Training Report to Industrial Training Supervisor
for vetting and comments before the end of the industrial training period.

• The Industrial Training Report should be type written single-sided on A4 size papers with
1.5 spacing, font size 12 and Times New Roman. Margin spacing should be observed for
each page as given below:

o Top edge margin: 3 cm


o Left hand margin: 3 cm
o Right hand margin: 2.5 cm
o Bottom edge margin: 2.5 cm

• The Industrial Training Report should be properly tape binding with a suitable front cover
indicating the name of company, name of student, programme of study and academic year
with reference to Appendix D. The colour of front cover should be blue.

• Students shall make additional copy for their own personal keeping. All Industrial
Training Reports will become the property of the Faculty upon submission. The copyright
of all Industrial Training Reports belongs to the Faculty.

• The Industrial Training Report should include the following:

(i) Front Cover of Industrial Training Report (Appendix D)

(ii) Declaration

“The report submitted herewith is a result of my own works. All information that has
been obtained from other sources had been fully acknowledged. I understand that
plagiarism constitutes a breach of University College rules and regulations and would be
subjected to disciplinary actions.”

10 Assessment of the Industrial Training

Assessment of this course is based on:


• Part A: Confidential Report on Trainee (40%)
• Part B: Industrial Training Logbook & Report (60%)

Part A: Confidential Report on Trainee (40%)

Students are assessed on their continuous performance during the industrial training in
accordance to the following criteria:
1. Engineering Knowledge
2. Engineer’s Responsibility
3. Work Attitude
4. Teamwork
5. Communication

Part B: Industrial Training Logbook & Report (60%)

Students are assessed on the contents of Industrial Training Logbook and Report, which must
include:

1. Industrial Training Logbook


a. Description of daily activities related to work / project / company (15%)

2. Industrial Training Report


a. Introduction
i. Description of the course objectives, duration, company background in
detail, vision and missions, organisation structure, etc. (5%)
ii. Description of the structure and activities of training department where the
trainee is attached. Description of trainee’s job functions, roles, and
responsibilities, etc. in the company/organisation with the inclusion of
names, job positions and working relationships among the personnel. (5%)
b. Subsequent chapters
i. Discussion on the engineering knowledge learnt and applied by the trainee.
Description of detailed task and activities with supporting documents
(photographs, tabulations, drawings, graphs, flowcharts, computer
programmes, etc. subject to company’s permission) (20%)
ii. Description of execution of planned activities within resources allotted.

the industry. (10%)

The pass marks for industrial training is 50%. All students must pass the industrial training,
failing which the students are required to make-good the training reports within the given
time frame for resubmission based on extenuating reasons. The award of marks will be
capped at 50% for any satisfactory make-good students.

Should students have any problem relating to their industrial training, they should consult or
contact their respective Internship Coordinator as per assigned.

This document is given in support of the student’s application for a place of industrial training in your esteemed
organisation. The applicant is at present a student in the Bachelor (Honours) Degree programme.

It is the programme requirements that the students should obtain industrial training for the scheduled period as stated
above. We shall be grateful for your kind assistance in this matter. We believe that with the guidance and experience
of your esteemed organisation, our students will acquire practical skills so that they can integrate actual practice with
academic knowledge that they have learned.

Students are required to observe and comply with all the terms and conditions of industrial training as stipulated by
your company. For your information, all TAR University College students are covered by insurance during their
period of industrial training.
