Getting Started
How to Setup an Account on LabSmart

1. Go to ​www.healthcare.labsmart
2. Click the ​“Start for Free”​ button
3. Fill in the details of your laboratory
4. A login link will get generated automatically according to the information you give.
Save this link. ​This will be your center’s login link.

5. Click the ​“Sign up”​ button


6. You will be taken to your login page shortly
7. Start using LabSmart!

How to Customize LabSmart to Your Pathology Lab/Diagnostic Center

In order to:
● Change what case types you deal in
● Add/Edit the e-signatures that will be added to reports on e-signing them
● Add/Change the header of your lab’s reports
● Add/Change the footer of your lab’s reports
● Change automated SMS settings

1. Find the “Setup” panel


2. Click on ​“Settings”

3. Browse the page to change and update settings


4. Click on the ​“Update Setting” ​button

In order to update your center’s information​:

1. Find the ​“Setup” ​panel


2. Click on ​“Center Details”

3. Edit the details and click on​ “Update”

Patient Registration
How to Register a New Case

1. Click on ​“Registration & Billing”​. This will take you to the Patient Registration
Dashboard

2. Click on the ​“New Patient”​ button

3. Choose the collection center in which the test is to be performed


In case you have just one center registered with LabSmart, select “main”
4. Enter the details of the patient in “Patient Details”
5. In “Case Details”, select the doctor (referrer) who diagnosed the patient by using
the dropdown menu of “Referred by” column
Note: Click on the ​“(+)”​ symbol to add a new referrer to your list

6. Use the tabs to enter all the tests that are to be performed

7. Fill in the discount given, if any. In case a discount is given, choose whether it is
being given by the referrer or by the laboratory
8. Add collection charges (if applicable). This box will automatically appear for tests
which require a sample collection i.e. while registering Lab tests and Special Lab
tests
9. Click on ​“Add Case”​ to generate order receipt
10. Welcome SMS and Bill SMS will automatically be sent to your patient via
LabSmart
11. Click on ​“Print”​ to go to printer settings for printing the receipt

How to Add a New Investigation to the Pre-Existing List

1. Go to ​“Patient Registration Dashboard”


2. Click on the ​“New Patient” ​button
3. Find the ​Investigation Panel ​towards the bottom of the page

4. Click on the suitable category for the new test to be added


5. Click on ​“Add new… case investigation”​ button

6. Enter the details of the test


7. Click on “​Submit​”

How to Find an Earlier Case Order

1. Go to ​“Cases”

2. Fill in the details of the case you are looking for


3. Click on ​“Search”
4. Cases corresponding to your search will appear below the “​Search” ​button

How to Make Changes to (or Modify) an Already Placed Order

1. Search for the case you wish to edit


2. In the ​Actions ​column (towards the right on the screen), select ​Modify

3. Make changes according to the patient’s request


4. You can enter collection charges by clicking on Lab or Screen Lab (if applicable)
5. Click on ​“Update Case”

How to Cancel and Refund an Order (Completely)

1. Find the case to be cancelled


2. In the Actions column (towards the right on the screen), select ​Cancel

3. Click on ​“OK” ​to confirm the cancellation


4. Your refund receipt will be ready to print
5. Print the receipt

Note: Cancelled orders will still appear in the list of cases so that you can keep
track of all the cases that got cancelled.

How to Make (Partial) Refunds on an Order

1. Find the case in which refund is to be made


2. In the Actions column (towards the right on the screen), select ​Modify

3. Calculate the new amount to be paid by the patient now.

For example, if total amount was Rs. 900, but Rs. 100 are to be refunded now,
the new amount will be Rs. 800.
4. Fill this amount in “Paid” box

5. Click on ​“Update Case” ​to save the update

How to Give Discount Using LabSmart

To give discount in a ​new case​:

1. Fill in the details of the case


2. While adding the tests to be performed, a discount box will appear

3. Enter the discount to be given


4. As soon as you enter the discount amount, LabSmart will ask you discount type

5. Choose whether discount is given by your center or by the patient’s doctor


(referrer)
6. Proceed with adding the case

To give discount in an ​already registered case:

1. Find the case to be modified


2. Click on ​“Modify Case”
3. Add/Change the discount in the registration page (as explained above)
4. Click on ​“Update Case”

How to Register a Case with Due Payment

1. While registering the case, go to “Paid” amount

2. Edit this amount and enter the actual payment made by the patient at the time of
registration
For example, if the patient makes a payment of Rs. 1,000 instead of 1,200,
replace 1200 with 1000

3. Add case
4. In ​“Cases”​, you will automatically see how much amount is due

How to Accept Due Payment of a Case

1. Go to ​“Cases”​ and find the case for which due is to be accepted


2. In the “Actions” column (at the very right), click on the​ “Accept Due”​ option

3. Click “OK” to confirm the acceptance of due


4. A receipt showing due payment will be generated, which you can then “Print”

How to Print an Order Receipt (Bill)

1. When a bill is generated, the page has a “Print” button towards the end

2. Click on this button to see printing options

NOTE: A ​thermal printer​ should be installed to print receipts. Make sure that ​A5
size sheets​ are being used for printing. For more information, ​click here​.

Reports
How to Prepare a Lab Report

1. Locate the “Lab Reports” column

2. Click on “Today’s reports” or “All reports” (according to the time of case


registration)
3. Find the case for which the report is to be prepared
4. Find the “Enter Findings” column (towards the right side of the screen”
5. Click on​ “Enter Findings”

6. Enter the findings of the investigations


7. If the findings are ​not final​, click on ​“Save”

NOTE: This will save your report as ​In Progress​ in ​“All reports”

8. If the findings are ​final​, click on ​“Save & Mark Final”

Note: This will save your report as ​Final ​in ​“All reports”

How to Edit a Lab report Which is in Progress

1. Find the respective case


2. Click on “Show”

3. When the report preview opens up, click on the ​“Edit”​ button to edit the report

How to E-Sign a Lab Report

NOTE: Only Final reports can be signed off electronically. Make sure you have marked
the report as final if you want to get it e-signed.

1. Find the respective case using “Today’s Reports” or “All Reports”


2. Click on “Show”

3. When the report preview opens up, click on ​“Sign Off”

How to Print a Lab Report

NOTE: Only Final reports can be printed. Make sure you have marked the report as
final if you want to get it printed.

1. Find the case for which the (final) report is to be printed


2. Click on ​“Show”

3. (Optional) E-sign the report


4. Click on​ “Auto adjust & print” ​to print the report or click on ​“Print”​ to adjust
printer settings

How to Send a Lab Report to a Patient’s Phone via SMS

Note: Only the reports which have been ​saved as final​ and ​e-signed ​can be sent via
SMS. Please ensure that your report is ready to be sent before trying to send it via
SMS.

1. Locate the “Lab Reports” column

2. Click on “Today’s reports” or “All reports” (according to the time of case


registration)
3. Find the case for which the report is to be prepared
4. Make sure the report status is final and that it has been e-signed

5. Click on ​“Show”​ (towards the right side of the screen”


6. Click on ​“Save as PDF”​ button (which will appear only after the report has been
e-signed)

7. Wait for 10 seconds and refresh the page

8. Click on ​“Sms report to Patient”​ button to send the report via SMS

How to Send a Lab Report to a Patient’s Phone via WhatsApp

Note: Only the reports which have been ​saved as final​ and ​e-signed ​can be sent via
WhatsApp. Please ensure that your report is ready to be sent before trying to send it via
WhatsApp.

1. Locate the “Lab Reports” column

2. Click on “Today’s reports” or “All reports” (according to the time of case


registration)

4. Make sure the report status is final and that it has been e-signed

5. Click on ​“Show”​ (towards the right side of the screen”

How to Configure Test Parameters Manually

If you would like to change the default test ranges for a particular test, you can do so
while entering the findings in a report.

1. Find the case requiring the test for which the test range is to be customized
2. Find the “Enter Findings” column (towards the right side of the screen”
3. Click on​ “Enter Findings”

4. While entering the findings, click on the ​settings icon​ next to the entry box of the
test for which you have to edit the ranges

5. Edit the range according to your needs and click on ​“Update Lab test field”
button to save the changes

How to Prepare a USG Report

1. Locate the “USG Reports” column

2. Click on “Today’s reports” or “All reports” (according to the time of case


registration)
3. Find the required report using search options
4. Click on the “Daily Case Number” of the report to create or edit it

5. Select a template to generate report


6. Enter the results and click on ​“Add USG Report”​ to save changes to the report

How to Get Referral Business Analysis

To print referral business:

1. Click on ​“Referral Business”​ from the ​Business Reports​ panel

2. Select the time frame for which you want to print the business details with a
particular doctor and click on “Print” on the following window

3. If you want to print all the records, click directly on ​“Print”

How to Edit the Rate List of Tests

There is a default rate list for all the tests that LabSmart offers. Follow these steps if you
want to customize this list.

To update rates of individual tests:

1. Find the​ “Rate list”​ panel

2. Select and click on the category of the test whose rates are to be changed
3. Locate the test
4. Edit the ​“Fee”​ box to change the fee for the test

5. Click on ​“Update Rate list”​ button to save changes

To update rates of tests in bulk:

1. Find the​ “Rate list”​ panel


2. Select and click on the category of the tests whose rates are to be changed
3. Use the “Update Lab case Investigation Rate list” panel to change fees of tests
For example, if you wish to change the rate of tests which cost Rs.200 to a new
rate of Rs. 100, type “200” in the first box and “100” in the second box

How to Check Daily Business of Your Lab

1. Go to ​“Patient Registration” ​and click on​ “Dashboard”

2. Click on ​“Today’s Business”

3. Check daily business


4. You can click on the ​“Print”​ button to print daily business
5. You can click on the ​“Email Daily Business”​ to get your daily business report
via mail

How to Receive Your Daily Business Report via Email

1. Go to ​“Patient Registration” ​and click on​ “Dashboard”

2. Click on ​“Email Today’s Business” ​to receive the business report via email
