Points to be noted while preparing documents for ILP

1. Attestation of documents:

• Only 1 attested copy of all the documents along with the original document has to be
submitted at the time of ILP.

• Signature, seal and stamp of the attesting authority can be in regional language.

• Any one out of the below mentioned authorities can attest the documents:

a) Manager of a nationalized bank where the candidate holds an account.

b) District Collector of the district in which the candidate resides.

c) Gazette Officers.

d) Tehsildar of the village where candidate resides.

The below documents need to be attested:

• Medical Certificate – Attested by any private or government MBBS Doctor possessing a


valid Registration number.

• Surety verification form.

• Offer Letter / Joining Letter need to be self- attested (ie signed by the candidate).

• Photocopies of Mark sheets, address proofs and identity proof need to be attested.

2. Gazette Officer:

• An Executive/Managerial/Supervisorial level ranked public servant in India can be a


Gazette officer. If you want to know whether a particular person is a gazette officer or

3. Notarization of Documents:

The below documents need to be notarized:

• Non-Criminal Affidavit.

• Birth affidavit / Address affidavit / Multiple name affidavit / Multiple Signature Affidavit (If
Applicable).
4. Service Agreement:

• Service agreement should not be notarized. However if you have got it notarized, the
document would still suffice.

• If Rs.100 stamp paper is not available, you can prepare the service agreement on two
Rs.50 stamp papers. However, if either of the two are not available, you may use an E-
stamp paper.

• Whitener can be used for a maximum of 3-4 rectifications on the Service Agreement /
Non- Criminal Affidavit. If you have made more than 4 mistakes while preparing the
documents, you need to prepare the document once again.

• Print the service agreement as given in the joining annexure without any changes. Do
not add, edit or delete any contents of service agreement.

• Blanks in the service agreement can be filled in either using a blue or a black pen.

• Only the Surety verification form in the Service Agreement needs to be attested. All the
pages of the Service Agreement need not be attested.

5. Surety:

• A Surety can be a family member or a person known to you provided he fulfills the below
criteria:

Surety can either be an individual who is an Income Tax payee. A retired employee filing an
Income Tax Return & possessing a pan card can also be a surety.

• Please submit photocopy of Surety's PAN Card along with IT Returns or Saral or Form 2D or
Form 16 or Form 12B along with the Surety Verification Form.

• Either current assessment year or previous assessment year IT Returns can only be
submitted for surety.

Eg: For this year you need to submit 2015-16 Assessment year IT Returns or 2016-17
Assessment Year IT Returns.

• The latest income tax return form or Form 16 of 2015-16 / 2016-17 along with the PAN
Card copy of your surety needs to be submitted.
6. Affidavits:

• All the affidavits (including Non-Criminal Affidavit) which you are submitting in TCS has
to be made only on Rs.100 stamp paper.

• All the documents which you need to submit on the day of your joining should be in
English only. If a particular document is not in English, you need to get it translated in
English on Rs.100 stamp paper.

Eg: If your Birth Certificate is in Hindi, it needs to be translated to English on Rs.100 stamp
paper. NOTE: There is no content format prescribed by TCS for translation of the document. A
lawyer will provide the format for the same.

7. Witness: Anybody apart from your family members can be a Witness. No identity or address
proof of the witness is required to be submitted at the time of Joining.

8. Medical Certificate: It needs be prepared within 1 month prior to the joining date.

9. Pan Card: It is mandatory to have your Pan Card on your joining date.

10. Passport: It is mandatory to submit, either the copy of your passport or a proof of having
applied for the passport (ie acknowledgment slip) on your joining date.

11. Provisional Certificate: In case you do not have the Provisional Certificate, you can attend
the ILP by submitting the Course Completion Certificate issued by the Head or Director of your
institution However, this is a temporary arrangement and the Provisional Certificate must be
submitted before the completion of the ILP.
