ACADEMIC INFORMATION
The application procedure for exchange students is done directly within the centralized Fenix
system (academic and administrative records system at ISCTE-IUL). In order to begin the
enrolment the students should fill in a very simple Google docs form until the 1st November
2017. On the 15th November students will receive a login and a password to access the
system.

To complete the enrolment, all exchange students should follow the steps below.

Step 1 – Nomination by Home University

Deadline: 15th of June (fall semester and full-year) or 15th of November (spring
semester)

During this stage, nominations of future incoming exchange students are being
sent directly by the Home Universities. Early nominations are recommended as
only after successful competition of this stage, students are allowed to proceed
with their enrollment.
Step 2 – Registration in google docs and in the internal system (Fenix)

During this stage the International Relations Office will request further registration
information:

On the 15th November the IRO will provide the nominated students with
credentials to access the internal integrated system (Fenix) in order to complete
the registration, to fill in personal data and to upload documents (digital photo,
copy of ID /Passport and copy of health insurance/ European Health Insurance
Card). Please make sure to complete this step as soon as possible!
Step 3 – Enrollment in courses in Fenix – 27th November to 9th December

After the personal information is complete in the system in the middle of


November, the exchange students receive information about how to enroll in
Step 3 courses offered and the deadlines. It is highly recommended to proceed with
enrolment in classes shortly after the system is open, since the courses have
limited number of vacancies.
All exchange students should follow general rules of selection of courses in English
as any incorrectness will delay the validation of the enrollment.
Step 4 - Adjustments to the initial selection of courses (if applicable)

During this stage any incorrectness or outstanding situations regarding the

selection of courses are being corrected with support of the IRO and secretariat of
the Schools. Students will be requested to proceed with the adjustments (if
applicable) within the given deadline, taking into account the availability of

vacancies.

Step 5 – Validation of enrollments

Step 5 During this stage students’ enrollments are validated by the IRO. Afterwards no
further changes to the study plan will be allowed unless duly justified by changes in
timetable.

the choice of courses.
Note: Students are advised not to book the plane ticket back to their home country before
knowing the dates of exams and re-sittings. It is not possible to make re-sittings on the
student’s home University.

Schedules

You can have access to your schedule on your Fenix profile. It is important that you confirm it,
as overlapping is not possible and you need to attend 80% of classes to have continuous
evaluation.

Enrolment tax

After arrival all students (Erasmus, protocols, visiting) have to pay an enrolment tax of 30 Euros
for administrative procedures. This is to cover the insurance (within ISCTE-IUL and the way
home in Lisbon), the student card and other administrative matters, etc. All the ISCTE-IUL
students have to pay this tax.

Documents
No documents are required to be sent by post.
Students have to upload the digital copies of documents through the University platform
(Fénix):
• Id card/ Passport;
• European Health Insurance card/ Health Insurance;
• Formal photo (only passport type is accepted).

The Learning Agreement is a very important document for Erasmus students. The IRO can only
sign it once the enrollment in Fenix system is confirmed, this means not before the 15th
December.
If the sending university requires it beforehand then we may sign it exceptionally mentioning
that it is provisionally accepted.
For the students that do not have a deadline from sending university, it is important to
mention that one week after the beginning of classes’ start you need to deliver it at the
International Relations Office of ISCTE-IUL to be signed. The deadline to receive LA’s at ISCTE-
IUL is the 31st March 2018.

VISA
Students that need a student visa are strongly recommended to contact the nearest
Portuguese Consulate as soon as possible, as it usually takes up to 60 days to obtain a travel
permit. The University of Origin will receive the letters of acceptance of the student/s.

ACCOMMODATION
As Lisbon is becoming a very attractive city for tourists, accommodation for students has
decreased and became more expensive. It is extremely important for the students to start
checking accommodation from now. Students are strongly discouraged to wait for their arrival
to check for a room, as there is a risk of not finding it.

Provisional Accommodation

In an exceptional case a temporary accommodation may be required for the first few nights, if
you are not staying at the Residence or do not have a definite place to stay after arrival. The
City Youth Hostels are one of the solutions, especially while you are looking for
accommodation to meet your needs.

Occasionally, the IRO receives information about private accommodation. It is important to
note that the International Relations Office is unaware of the quality and suitability of these
contacts. The IRO declines any responsibility concerning the services of these companies.

Generally, students stay in rooms sharing the apartment with other students. Single rooms
cost between 300-400 Euros a month plus expenses (water, electricity, internet and gas).

ARRIVAL
The IRO expects to receive more than 280 exchange students for the 2nd semester. As
students tend to arrive a couple of days before the Orientation Week, we strongly suggest
arriving sooner – from 20th January to 31st January at the most. This way you will be able to
avoid queues and take care of administrative matters.

Registration at the IRO

Registration at the IRO is compulsory. After your arrival you must register at IRO and you need
to get your welcome packages provided by the Erasmus Associations (these include SIM cards,
maps, transportation form and other useful information). Any papers like the arrival certificate
to be signed confirming your arrival should be given to the IRO at this point.

Tickets to enter the IRO


Before entering in the IRO you will need to obtain a ticket at the Queue Ticket Dispenser
Machine available at one of the halls nearby. The nearest to the IRO is located at 1SE (building
1, 1st floor). After taking the ticket (M) you have to wait for your number to be called on the
TV screen and then you may enter in the IRO. One ticket per student!

Open Office hours of IRO

The IRO open office hours: 10.30 a.m.-12.30 p.m. and 2.30 p.m. – 4.30 p.m. (Monday to
Friday).

Important note:

On the 7th and 8th February the IRO will be closed (due to the orientation programme activities)
so students are strongly recommended to avoid arriving during these days and on the 13th
February (Carnival).

TRANPORTATION
How to get to ISCTE-IUL

Arriving from the Lisbon Airport:

By taxi: The airport is situated just 5 km and 10 minutes from ISCTE-IUL. This is the simplest but
the most expensive way from the airport to ISCTE-IUL. It will cost you approximately €8-10
(luggage included).

By metro: The metro fare is €1, 45 plus the card (€0, 50) that you need to purchase in case you
do not have one. You catch the metro at the Airport (red line) (direction São Sebastião) until
Saldanha metro station. Saldanha is an interchanging station, so then you need to change to
the yellow line (direction Odivelas). You need to leave within 2 stations, more precisely at
Entrecampos metro station. You need to find the exit to Entrecampos. You walk approximately
5 minutes: 250m towards the roundabout of Entrecampos. At the roundabout, turn left (Av.
das Forças Armadas), go up approximately 150m to the Sete Rios direction and you will find
the entrance to the ISCTE – University Institute of Lisbon on your right.

If you prefer to take the aero bus from the airport the ticket fare costs 4,00 (exit Entrecampos).

By bus: bus n. 744, direction Marquês de Pombal, exit Entrecampos; or n. 783, direction
Amoreiras, exit Entrecampos. Only two buses (Carris) can reach ISCTE-IUL: number 701 or 754,
exit at Avenida das Forças Armadas.

Arriving by car to ISCTE-IUL:

Coming from the bridge 25th April (from south) highway IP7. Go direction north exit in
direction Areeiro/ Entrecampos. If you go straight forward you will find ISCTE-IUL on your left
side.
Coming from North A1 (E1), along. Av. Norton de Matos (2ª circular) take the exit number 5
towards Entrecampos. Arriving in Lisbon take Av. Padre Cruz, turn right to Campo Grande,
continue on the left of Campo Grande, then right of Campo Grande, continue straight on, then
immediately turn right to Av. das Forças Armadas. You go up and will find ISCTE-IUL on your
right.

ORIENTATION PROGRAMME (provisional programme to be sent soon)
2nd SEMESTER:

The ORIENTATION PROGRAMME will take place between 7th February 2018 and 11th February
2018. The attendance of this programme is highly recommended.

The enrolment for the activities will take place on the 1st day of the Orientation Programme.

In order to organize and give support to the Orientation Programme, the IRO is closed on the
7th and 8th February 2018.

The IRO distributes welcome packages at the office, so during the Orientation Programme (7th
and 8th February) the packages will not be distributed.

BUDDY PROGRAMME

The buddy programme is aimed to promote integration and join both exchange and local
students.
A Buddy is a volunteer student from ISCTE-IUL that takes care of your well-being and helps to
provide an international student with a pleasant experience in Lisbon. Your BUDDY STUDENT is
going to be announced at the end of December.

The Buddy will give you some valuable support like: picking you up at the airport, help you
during the first days in Lisbon, show ISCTE-IUL facilities and talk about some practical aspects
of the stay.
The Buddy is not responsible to find you an accommodation! If you do not have a place in the
Residence/ private accommodation, you should book it before your arrival.
Do not forget: a buddy student is a valuable support for your first days as well as during your
exchange period!

On your Fenix profile you will be asked if you need a buddy. If so, you will get the contact at
the end of December.

Please note that:

- if your flight arrives during the night your buddy may not be available to pick you up;
- If you do not get feedback from your buddy, please send an e-mail to: incoming.iro@iscte-
iul.pt ;
- Afterwards, if you are not interested in having a buddy student, please inform him/ her
about your decision.

CHECKLIST
Before arrival in Lisbon

If non –EU citizen take care of student visa (at the earliest convenience) as it may take
up to 60 days;
You must obtain the European Health Insurance Card (EU citizens) or a Health
Insurance (for non- European citizens);
Contact your buddy student and give him/ her details about your arrival;
If you do not get feedback from your buddy, please contact the IRO (incoming
Mobility);
Book a place to live before departure of your home country;

After arrival in Lisbon

Register at the IRO (weekdays: 10.30 a.m.-12.30 p.m. and 2.30 p.m. – 4.30 p.m.);
Give the Confirmation of Arrival to be signed by the IRO (Erasmus students only);
Get your welcome kits at the IRO (these include SIM cards, maps, transportation form,
etc);
Make your monthly transportation card (Lisboa Viva);
Attend the Orientation Programme;
Enroll for the social activities;
Contact the Departmental coordinator in case of academic doubts.
