JOB PURPOSE: The Admin and Logistics Assistant will support IR field teams
in the delivery of humanitarian projects to assist individuals,
families, and communities affected by typhoon Yolanda
under supervision of the Admin & Logistics Officer.
I) KEY OBJECTIVES
To provide operational support for the timely and effective delivery of humanitarian and
development projects and provide quality monitoring and reporting compliant with Islamic Relief
Worldwide guidelines.
This position holds responsibility for administration of operational documents and procedures in
terms of human and material resources at both field and office level, and support with logistical
needs to provide operational support for IR field teams. It may also be necessary to supervise
and monitor external contractors and support a various elements of Islamic Relief (IR) work in the
Philippines.
S/He will also be responsible for representing the organisation when conducting field work and
will therefore need to conduct themselves accordingly.
The Admin and Logistics Assistant will support IR Philippines Programmes Department in the
delivery of humanitarian and development projects under supervision of the Admin & Logistics
Officer.
This will include completing a range of tasks to support the team with a supply of materials,
equipments, and assets (ensuring their correct transport, storage, and use), and ensuring the
upkeep of key operational records.
IV) MAIN DUTIES AND RESPONSIBILITIES
General Administration
• Ensure office files (i.e. Procurement of Good and Services, various manuals related to
Procurement and Logistics.) are maintained accurately;
• Prepare Requests and revises Lease Agreements or other type of works related activities
subject to contracts;
• Monitor the existing contracts for suppliers such as MOUs, Lease Agreements, Service
Contracts for the renewal, extension or termination;
• Support in formalities related to opening and managing IRW Country office;
• Support the Admin Officer in any administrative task as required.
Procurement/Logistics
• Monitors and reports on shipments from local suppliers, offshore supplies and supplies
from clearing agents and government warehouses;
• Assists the efficient implementation of the procurement annual plan and overall
procurement strategies using best procurement practices and appoved policies;
• Maintains manual and automated procurement files and records;
• Maintains procurement supply and vendor reference library;
• Contacts local vendors for price quotations, prepares summary of bids including
information on price and conditions of offer and recommends the best offer;
• Analyze all procurement proposals to determine appropriate strategy or approach;
• Provides purchase information to receiving and inventory staff;
• Researchers and evaluates suppliers’ peroformance and competence based on price,
quality, service, support, availability, reliability, production and distribution capabilities
as well as reputation and history;
• Conducts quality control on supplies and materials received;
• Enter records in the asset control database ensuring inventory records are up-to-date
and accurate, and reporting it to the Admin Assistant that maintains the inventory
records;
• Prepare request for disposal to HQ
• Ensure adequate office supplies to IRW Office, maintain a system for allocation and
tracking;
V) ACCOUNTABILITIES
Work independently to complete tasks as directed from supervisor and on own initiative.
Make responsible recommendations on operational support and project delivery to supervisor
based on available resources and access to affected communities.
Represent IR when working with affected communities and meeting with local authorities.
The holder of this position will be a proactive individual, keen to support the development of armed
conflict affected and vulnerable municipalities and communities of Maguindanao province. With
projects covering multiple sectors, IR Community Mobilisers will be required to be flexible in the
conduct of their work and able to take direction to support the priority needs of the host community.
VIII) JOB SUMMARY
The CDF will assist IRW in the delivery of projects to individuals, families, communities and
partners in IRW programme locations.
This will include completing a range of tasks to support the planning, preparation, delivery,
monitoring, and reporting of programme and project activities at field and office level and serve
as liaison between community and the Programme Officer.

maintain the vehicle and keep it in fit condition, maintaining of vehicle log book,

1. Driving:
• Drive the vehicles of Islamic Relief safely and follow the country traffic signals and
other rules and regulations.
• Drive vehicle on designated routes in accordance with time schedules assigned by
supervisor
• When assigned, transport passengers on field trips and outside the Field / city area

• Keep the vehicle clean inside and out (washing and cleaning).
• Complete daily safety and maintenance checks of vehicle.
• Perform minor maintenance, repair and cleaning work on vehicles; fuel vehicles
(fueling, replacing bulbs, adding fluids, etc.).
• Ensures proper day-to-day maintenance of the assigned vehicle through timely minor
repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes
and water levels, car washing, etc so that the vehicle is kept clean and in good
running condition at all times.

Projects geared to promote feasible income generation and employment strategies in armed
conflict affected and vulnerable communities, ensuring equal access for women and men to
contribute to meeting basic and other livelihoods needs to improve the wellbeing of affected
communities.
With the identification and prioritizing of the most vulnerable persons within the communities in
which IR is working, the Livelihood Officer will report directly to the Programme Officer and will
be responsible for supporting multiple communities in several locations if need be.
He/she will also be responsible for representing the organisation to beneficiaries and external
actors, including local authorities and occasionally UN agency, peer organization, national NGO,
and private sector staff.
XIII) JOB SUMMARY
The holder of this position will fulfill a key role in delivering income generating projects to
identified municipalities/communities in Maguindanao province. And able to identify and deliver
creative solutions for the strengthening of existing and new livelihoods options. The Livelihood
Officer will work closely with the Programme Officer and Programme Coordinator to promote
feasible income generation and employment strategies for identified project areas/communities,
ensuring equal access for women and men to contribute to meeting basic and other livelihoods
needs to improve the wellbeing of disaster affected communities.

ISLAMIC RELIEF WORLDWIDE
To establish and manage the MEAL system that enhances the quality and accountability of IRW’s
work following the organization’s standards, principles and guidelines as well as donor
requirements.
The MEAL assistant is responsible in providing support to MEAL officer/coordinator in establishing and
managing the MEAL system that will allow the Country Office to effectively and efficiently implement
appropriate projects and that lesson are captured and shared to inform implementation of current
projects and future programs.
S/he will assist the MEAL Department in facilitating the periodic planning and reporting processes of the
Country Office, spearhead on building capacities of staff on monitoring, evaluation and accountability.
When delegated, s/he represents IRW to a range of external actors, including beneficiaries and other key
stakeholders such as local/provincial/national governmental authorities, UN agencies, peer organizations,
NGOs, CSOs and the private sector.
