Executive Summary

Enterprise Resource Planning (ERP) software is the latest high end software that is used for any
organization to maintain business application. An ERP software solution seeks to streamline and
integrate operations, processes and information flows in an enterprise, to synergize the resources
of an organization namely men, material, money and machine. In other words, ERP systems
integrate all data and processes of an organization into a unified system. A typical ERP will use
multiple components of computer software and hardware to achieve the integration. A key
ingredient of most ERP systems is the use of a unified database to store data for the various
system modules. Most organizations across the world have realized that in a rapidly changing
business environment, it is impossible to create and maintain a custom designed software
package which will cater to all their requirements and also be up-to-date. Realizing these
requirements of organizations, companies have designed and developed ERP software, which
offer an integrated software solution to all the functional processes in an organization. Although,
in the initial stage ERP originated in the manufacturing environment, now ERP software
solutions typically cover all basic business process/functions of any organization, regardless of
the organization's business or charter. A typical ERP module include: Manufacturing, Supply
Chain, Financials, Customer Relationship Management (CRM), Human Resources, Warehouse
Management and Decision Support System. There are many different flavors of ERP that serve
businesses' varying procedure types. An ERP solution has numerous benefits depending on the
type of business that it serves; these are business solutions and industry solutions. The industry
solutions are designed for people who are working in specific industries, like finance,
communications, education, healthcare to name a few. ERP software business solutions are
designed for companies that work in a wide variety of areas. Three of the most important ERP
tools available today are manufacturing, human resources, and finance. The finance tools allow
companies to successfully maintain their financial information like that of the assets, accounts,
budgets and cash. ERP can also assist a company in managing internal as well as external factors
affecting it. A company that uses ERP financial products can save a great deal of money over the
long term, the reason being, the productivity of the organization will be improved. Enterprise
Resource Planning is instrumental in getting rid of time consuming activities as paper
management. A company is able to study their processes, earnings, and performance by merging
their operational information with their financial information. Once this information is connected
together, a company can become more competitive and productive. The concept of combining
multiple processes into a single whole will allow the company to become successful in the long
term. Enterprise Resource Planning will allow a company to successfully automate the process of
buying materials and maintaining them. It also becomes possible for a company to predict the
demand of the market based on history, economic statistics, and data from their employees. They
can even decide when a product should be produced, and they can do this based on the raw
material that is available. In this report I tried to give comparative view of Enterprise Resource
Planning software in business organization. I have taken all the reasonable care to ensure the
quality of the report and I hope that it includes all the mandatory information which is in the
scope of the ability. I also hope that this report provides you a clear picture of ERP software.

1.1 Introduction

An ERP system is a vast information system that manages information about a

company’s products, customers, suppliers, employees, production facilities, financial
balances, etc. It is used by every department in an organization and by most employees.
The sales department can check prices of products and their inventory levels, enter sales
orders from customers, make deliveries, issue invoices to customers and receive
payments. The production department uses it to check inventory balances of products,
create production orders and manage production schedules record the receipt of finished
or in-progress orders. The marketing department can plan demand and make sales
forecasts for the next sales period. The finance department uses it to manage accounts
payables, accounts receivables, enter payments made by customers and payments made
to suppliers, generate the balance sheet and profit and loss statements at the end of an
accounting period. The human relations department tracks all employees in a company,
their title, date of joining, department, and salary. Every new employee is added to the
system as soon as they join the company. If they quit or are fired, this is also reflected in
the system, but their information is still retained for historical records. Figure 1 shows
you a list of resources used by various departments of a company. Try to distinguish
whether the items in the lists to a physical or an information resource. You can also think
of a resource as an asset of an organization.

Figure 1: Physical and information resources of an organization

An ERP system in effect manages all the resources of an organization or enterprise. Hence it is
also called an enterprise system. It knows how many manufacturing facilities belong to a
company, what are the machines at each facility and their capacities.

1.2 Background

Enterprise Resource Planning (ERP) consists of three word-enterprises, resource and

planning. Enterprise Resource Planning (ERP) systems integrate internal and external
management information across an entire organization, embracing finance/accounting,
manufacturing, sales and service; customer relationship management etc. ERP systems
automate this activity with an integrated software application. Their purpose is to facilitate
the flow of information between all business functions inside the boundaries of the
organization and manage the connections to outside stakeholders.
Science and information technology are now not a word of imagine. Now a day every types
of organization is competing each other. For that it is important to develop a system that
makes an organization different to other. But to it in real life that is not so easy. Because
each and every organization in attached many types of criteria. The main fact is their
client’s, because without a client the organization has no values. So it is the main important
matter. So for that purpose every organization runs their all activities in an efficient
system which is called ERP system. Now we are trying to make it more efficient and trying
to enrich our knowledge about this.

1.3 Problems of the Existing System

ERP System is an enormous area. Day-by day the system is updated for the demand of its
clients. So when we go to the industry we see how industry works with an ERP system. But
the problem we faced is that, many industries have many types of system and there ERP
system is different for each other. So, understanding this protocol is a great challenge for us.
We face the real problem in case of client, because we are not aware about this before.
Clients demand is so interesting and complex. This is why we are trying to make a
solution for them with the ERP system which will make it easier for them.

1.4 Internship Goal

In this modern age the development of modern science and technology are growing
too rapid. The development in information and technology is also growing swiftly. But in
our country this growth is not so express. We are trying to make a system that can make an
organization more efficient and help their client with flexible communication. Because,
communication is the main important concern of a business. And how much an organization
is flexible for the demand of their clients and it is a great fact for making the business
successful. For this purpose we want to make proper use of an ERP system that
makes an organization more effective and also automated.

Page-3
1.5 Methodology and Tools of ERP

This system is implanted using a 3-tier approach, with a backend HTML (Hypertext Markup
Language). A middle tier we use for analysis and research methodology, and also make a
web site map for our client. HTML is used in interface design (website map). Union Group
is developing this ERP using C#, MVC, Angular Js, Botstrap, HTML5. This software can

3.1 Introduction of the Report

3.2 Origin of the Report

After the completion of theoretical part in BBA Program, United International University has to
undertake internship program. The internee is required to carry an extensive analysis of real
world business problem in this program. Firstly, I joined in Union Group of Companies Ltd.
under an internship program in their company on 3 October, 2016. I feel proud to join in this
company. I had survey various areas and collected data about my concerning activities.
During this program, everyone must have to submit an internship report. And I have chosen
“Enterprise Resource Planning Software of Union Group” as my internship report, which is a
collaborated representation of my internship program at Union Group of Companies Ltd.

3.3 Objective of the Project

● Broad Objective
To evaluate and analyze the ERP of Union Group and analyze the strengths and weaknesses,
which will help Quartel Infotech Ltd (Mobile & Distribution Division) to initiate effective
promotional and distribution strategy that will boost in sales.

● Specific Objectives of the Study

 To find out the problems of ERP is facing in competition its rivals.
 To know the efficiency and effectiveness of the sales in products by ERP.
 To identify the strengths and weaknesses of ERP.
 To identify the satisfaction level of customers toward the company
 To detect the problems faced into the distribution channel.

 Study approach
To conduct this study, we will use the following approaches:
1. Conducting primary survey and
2. Collecting secondary data

 Research Methodology
 Source of Information
a) Primary sources
Primary data has been collected by MIS Executives by oral conversation with the respective
Personnel’s of distribution.

Page-23
b) Secondary sources: Secondary data has been collected from the previous studies on
distribution channel of the company, competitor analysis on different companies, different
texts, research findings, magazines, articles etc.

3.5 The Research Approach

In the procedure of primary data collection three approaches were used and these are:
 Personal interview
 Observation method

While collecting the primary data the instant response were found and it was possible for me
to observe the real situation.
● Instruments to be used
Personal interview: Respective persons regarding distribution and IT.

 Data Analysis Technique

Data has included visual aids to have a clear view of the interpretation, like
 Graphs and
 Charts

 Limitations
During my research the scope of the research area is limited within specific geographic
areas. As a result information from other areas remained excluded in this research study.
 The cost of ERP Software, planning, customization, configuration, testing,
implementation, etc. is too high.
 ERP deployments are highly time-consuming – projects may take 1-3 years (or more) to
get completed and fully functional.
 Too little customization may not integrate the ERP system with the business process &
too much customization may slow down the project and make it difficult to upgrade
 There may be additional indirect costs due to ERP implementation – like new IT
infrastructure, upgrading the WAN links, etc.
 ERP implementations are difficult to achieve in decentralized organizations with
disparate business processes and systems
 Also some of the staff did not show any interest or feel free in sharing information with
my research which has hampered my research study. Besides as the employees and salespersons
who are interviewed for this research are very much busy, they could not spend much time with
me. So I have to cover the interview in a much stipulated time period.
 Some amount of conflicting and overlapping information came from the different stages
of the research
 And finally the allocated time for internship program was insufficient to conduct such
type of research work.

CONCLUSION & RECOMMENDATION

Page-55
CONCLUSION:
Union Group Mobile & Distribution Division basically owns the Maximus Mobile Brand. They
are using the ERP for the Mobile Division. They sell their product and receive order the CMPL
ERP software. This software is basically made the internal employee of Union Group Mobile
Division Team. They are developing this ERP for Maximus Mobile selling Department.
We know Maximus is a Bangladeshi Low Budget Smartphone Company. Maximus is one of the
foremost companies, center of attention on the part of mobiles in Bangladesh. It is devoted to
generate and distribute products of absolute quality that enable people to enjoy more
entertainment and comfort. In this spirit, Maximus encourages its employees to ensure quality
products and service. No doubt in Bangladesh Maximus is one of the top four in low category
phone. Maximus has also maintained to increase its Sales in all over the country. They are
confident about their continuous expansion and achievement.
But from my observation, I come up the conclusion that the customer service given by the
company is not effective and well organized. Because of some problems, Maximus cannot come
up with their competitors. All through this competitive market there have numerous competitor
companies who provides better service than Maximus. They provide prompt service, service the
show rooms and even care service. They as well maintain a superior relationship with all dealers
and salespersons. They provide the distributor’s additional benefit, special gifts and so on. In this
view the Sales of Maximus are to some extent behind them. Quartel Infotech Limited’s higher
authorities and Marketing Team should be more concern and active. However, if the
management takes prompt and imitative steps to solve the discussed problems then definitely
Maximus can reach to the number one position in Bangladesh

Page-56
RECOMMENDATION:

 Regular Monitoring the System- Continuous monitoring system is very important to

monitor the system of ERP. For that reason IT Executives visit to the department should
be more frequent like other competitor companies.

 More Efficiency: An ERP system eliminates repetitive processes and greatly reduces the
need to manually enter information. The system will also streamline business processes
and makes it easier and more efficient for companies to collect data. So there should be
maintained efficiency properly. In Union Group there are some lacking in the MIS team.
So I think they should maintain efficiency

 Integrated Information. The benefit of using ERP, instead of having data distributed
throughout a number of separate databases, all information is now located in a single
location. Data is also kept consistent and up-to-date. So it should keep in mind.

 Reporting: ERP software helps make reporting easier and more customizable. With
improved reporting capabilities, one company can respond to complex data requests more
easily. Users can also run their own reports without relying on help from IT. So the IT
department should be conscious about this matter.

 Customer Service. It’s easier to provide high-quality customer service using an ERP
system. Sales and customer service people can interact with customers better and
improve relationships with them, through faster, more accurate access to customers’
information and history. So CMPL ERP provide its best to its customer and it should be
add some unique feature to give its customer.

 Security: In Mobile Division ERP software is not so strong to protect its data. A new
system will improve the accuracy, consistency and security of data. Restrictions to data
can also be enhanced. So it should be develop to get high security.
