CHAPTER 1: COMPANY PROFILE

COMPANY PROFILE

Saint Louis University is a private Catholic university located in the city of Baguio,

Philippines. It is the largest university north of Manila with more than 30,000 students (not

counting the elementary and high school) as of academic year 2016-2017. It is centrally situated

in a six-hectare campus in the heart of Baguio City and has more than 30 buildings.

The university offers programs at the elementary, secondary, undergraduate and graduate

levels. The university comprises eight schools or colleges with campuses throughout the Baguio

metropolitan area. SLU's main campus is on A. Bonifacio Street where the seven schools or

colleges are housed while the Mary Heights Campus houses the School of Accountancy,

Management, Computing and Information Studies.

HISTORY

In 1907, the CICM missionaries arrived in the Philippines, mandated by the Vatican to

Christianize the northern part of the country. They settled in Baguio because of its proximity to

Manila and the mountain province of Benguet beyond the Cordillera mountain range, which was

home to numerous indigenous tribes. In 1911, Rev. Fr. Séraphin Devesse, CICM, founded a one-

room elementary school in Baguio for ten local boys, naming it the Saint Louis School.

In 1915, the St. Louis School expanded, becoming a vocational and trade school. In 1915

it opened a secondary branch. In 1952, the combined efforts of Msgr. William Brasseur and Rev.
Fr. Rafael Desmedt founded Saint Louis College, then consisting of three departments: Education,

Liberal Arts, and Commerce and Secretarial.

In 1955, the graduate-level programs of Saint Louis College were granted recognition. The

real turning point came on 13 May 1963, when Saint Louis College was conferred university status

by the Philippine government.

PRODUCTS/ SERVICES

Students have enough to worry about in college and should not stress out about their

finances. The researchers propose to incorporate a debit card functionality into students’ ID card

programs. The report is called a prospectus rather than a proposal because it is intended at this

time to provide a frame of reference rather than a firm set of recommendations. Today’s students’

ID card can serve a variety of functions and purchasing power. This card will be called University

Card (U-Card).

With the use of a machine, that will be named U-Machine, the student will swipe the card

on the intended area, then his or her personal data, statements of account, and school related

matters will pop out on the machine’s monitor.

When the card is used as a debit card, the authorization procedure would be similar to the

way credit card transactions are normally approved. The card would be swiped by the student and

a transaction would be sent electronically to a remote clearance house who in turn would validate

the card and purchase limit and return an authorization to the student. Any ATM machines

associated with Banc Net and Visa can be used.


U-Cards can be used as follows:

a. It can be used to pay school fees and also to campus stores like book stores and cafeteria. By

using a card, students do not need to carry cash, which is safer, as there is no risk of it being lost

or stolen.

b. It can be used for applications such as printing, book rentals, and making photocopies.

c. It can be used as fully-functional debit cards for purchases at stores and businesses both on and

off campus.

A typical student ID debit program features individual accounts for each student. Students and

parents can place funds directly into the account at specific campus locations or online. Account

information is stored securely within a magnetic stripe on the card. Not only does this provide the

students with convenient purchasing power, but it also cuts down on the risk involved with carrying

around large amounts of loose cash. The cash is in the card. Another benefit of student ID debit

card program is their ability to reduce students’ reliance on credit cards, a problem that often leads

to serious debt.
BUSINESS RULES

The following are the rules that should be follow when using a U-Card:

a. There should be designated card acknowledger for in every service provider of the U-Card.

b. The card should barely attain a zero balance.

c. There should be a specific name of bank for every U-Card machine.

d. The number on the U card should be hidden via asterisk (*) to avoid fraud.

e. Every U-Card must have the owner's signature.

f. Every owner has 3 attempts to enter your correct PIN.

g. Owners should not practice using birthdays or general numbers for their pin.

h. U-Card must be taken care of properly, avoidance of bending, cracking, or any form of

destroying the U-Card must be observed.

i. The U-Card holder/ owner accepts full responsibility for all transactions made with the use of

the U card (with or without his/her knowledge or authority). All transactions using the U-Card

shall be deemed as having been made with the knowledge of or authorized by the U-Card holder

and shall be valid and binding upon the U-Card holder.

j. The PIN is strictly confidential and should not be disclosed, given to or made available for use

by any other person under any circumstances.

k. Report to the financial institution at all times if the card is loss, damaged, or broken.

CHAPTER TWO

Proposed Solution

Payment method is an important aspect of ensuring the transaction. The payment

methods using IT system to be integrated for students to lessen transaction problems in school.

Functional requirement

Using U-Card payment method lets the customers or the students to pay for fees and

services to the financial institution of the university by just applying the said technology's

capability and cards deduct the amount of money from a sale from a customer’s bank account.

By using the said card (U-card) there should be designated card acknowledger for in every

service provider with a PIN and only has 3 attempts. Must be taken care properly and barely

attain a zero-balance amount.

Non-functional requirements

The machine also able to be change in order to work or work better for the customers and

the service providers. It also looks forward to the state of security. The said technology could

lessen the long queues during transaction only within the university.

SCOPE AND DELIMITATION

The project is proposed to set up a university wide financial manager for students. The

study aims to outperform other current working financial managing systems by providing a

different advantage from competitors but it has the following limitations:


FEASIBILITY

Operational Feasibility

The university is in need of fully operational financial management system which can be

used not only by the faculty but also for students.

Technical Feasibility

The project includes an information system, transaction machines and swipe machines.

Technically, it needs a programmed software to manage digital and electronic computations and

machines which are connected to the software which inputs data from physical verification into

virtually computed data. The machine which will handle the transactions with the user will be

located at different stations on the university whereas the swipe machines will be set up into

different service providers on the school: University cashier, store cashier, bookstore cashier, etc.

The system requires no technical knowledge for the users. It has simple graphic interface

for the user and reduced buttons on the machine to be pressed designed to work for every

function it has to.

Economic feasibility comes by the systems capability to increase productivity rate which

is discussed in the previous sections of the study.

Although the system requires much funding to implement and set up, it pays back all of it

from its timely interests of holding money. The System will hold funds which in turn can

generate revenue over a period of time


CHAPTER THREE

THE THREE COMPONENTS THAT COMPLETE THE SYSTEM OF UNIVERSITY CARD

ARE 1) THE “U-CARD” MACHINE, 2) THE “U-CARD”, 3) “U-CARD” READER.


ON THE U-CARD MACHINE, this must be the anticipated appearance for the students inside

the university before they make a transaction.

STUDENTS are given the designated transactions they can choose from. (CHECK ACCOUNT

BALANCE, DEPOSIT, OR WITHDRAWAL)

The U-CARD must be present to

make transactions using the U-CARD

The U-CARD is designed for a student’s personal information such as the owner’s I.D

picture, an account number, a validity date, and its student I.D number.
