AUTHOR MANUAL

This is The Jicossh OCS Submission instruction manual for author. This event will be using an
OCS (open conference system) which is an open-source system for managing scientific
conference. Even though it is open source, one might find it very challenging to use it so this why
this instruction manual is made for.

The Jicossh will have two step submission; the abstract and the full paper;
1. Submit the abstract, with all the authors name. The reviewer might give some inputs and
ask you to revise/rewrite before you can go to the next step. If your abstract is good then
you can go to the next step.
2. Submit the full paper, again the reviewer have inputs and ask for revision and if your
paper is accepted you will need to submit the one again with the presentation file

Jicossh does have the registrant without the oral presentation, if you do so; you dont need to
sumbit the presentation file. If you do have it, please do so with the template we provided in the
main web. At that point you have the pay the registration fee to an account; also provided in the
main web.

Below is the break down of the first step (Abstract Submision)


1. When you have reach on the OCS site, you will start with this screen and you need to make a
new account by clicking on the given hyperlink;

2. Next you’ll be taken to this screen to fill up the form. Fill in space given especially the one
with * given on the side, make sure you remember the Username and Password (if youre
using Chrome, make sure it to save it). Below the form, make sure to tick mark on the tab as
an Author and click Create

3. This is your home screen where you can see how your abstract and paper submission. You
also can see the progress submission on the Track form this tab. In this system, the Track is
the subtheme you’ll be choosing for your paper subject. On the tab is also see how many
abstract you have submitted, now you have 0 Active. Clik on (New Submission) to start.

4. In this menu, is the Step 1 of the submission, first pick your sub-theme which in this system
will using the term “Track”. Tick Mark on all the checklist shown below (Submission
Checklist) , and you can add comments, after that click Save and Continue.

5. This menu is the Submission metadata where you fill up the author’s name, which is yourself
and other author which you can fill up to 3 names. You can add author by clicking Add
Author tab. Fill up the Title and Abstract (in the given space) and aftter click Save and
Continue.

you can add up to 3 names, you can delete the name by clicking delete author

after that fill up the form with title and abstract

6. Next is the Supplementary Files menu where you can upload files if you have one,
otherwise you can click Save and Continue

7. This screen in the final menu giving all the information regardingg yout submission and
you can finish it by clicking on Finish Submission.

You can go to Active submission to see your status

and you can submit another abstract by clicking on Step One of the Submission Process

After that the comitee will review your abstract, this will take time and the author will have to
wait patiently because of the numerous submission that comitee have to review one by one.

Below is the break down of the second step (Paper Submission)


1. The author can check the process in the active submission tab, you can see all the abstract
submission and the status bar.
a. Awaiting assigment; the comitee has yet to assign a reviewer
b. Reviewing; the reviewing process is taking place
2. The reviewe will probably ask for some revision before you can submit the full paper after
that the status bar will change into Awaiting upload which means now you can upload the
full paper. Click on it to proceed

3. By clicking the tab will take you to this menu. And you can upload the full paper by
clicking on choose file and after that click on upload. You can replace the file by doing
clicking choose file again. After you upload the file you can see the file attch on the tab as
seen below. Click Save and Continue

4. This menu is to make sure you have right file of paper submission, click Save and
Continue to proceed. Other wise Cancel to go back

5. This menu is the last process in the paper submission, click Finish Submission to end the
process.

6. Now the process on the way, you can go to active submission tab and see status bar with
the same informatin given above in point 1. When you are finish, the comiitee will ask to
submit your presentation file if you wish to give oral presentation.
The status bar in editing means you’re reacy to go after sending the presentation file, and you
can check your timeline in the presentation tab
