P1: Describe the skills required for an event organiser


In this assignment I will be describing the skills required for an event organiser.

Event organisers are responsible for planning events and those are things like weddings,
birthdays, parties and more. Events can also be things business related such as press
conferences.

Communication and interpersonal skills

One of the most important skills an event organiser should have is communication. If an event
organiser wants it event to go perfectly well, then communication needs to be applied. He/She
will need to communicate about the venue and number of possible attendees as well as how to
keep them satisfied.

Interpersonal skills are also an important part of communication as they have a major influence
on a business being successful. Communication needs to be effective by communicating
regularly through the event planning and also needs listening from the other party as well as
collaboration with each other.

Time management

It is very important for an event organiser to know how to manage their time effectively. Time
management is very important as organising an event requires multi tasking which means
doing a lot of things at the same time. Time management is a very important skill to have as it
helps in terms of giving organisers time to double check and look for any mistakes.

Problem solving

Another important skill all event planners should have is problem solving. An event organiser
has to have a backup plan in case something goes wrong. For example the venue that was
booked burnt down the day before the event, which means its not good for the event planner.
Therefore the event planner must have other plans in case the original one doesn’t go as
planned.

Negotiating

Having negotiating skills is very important for a business event to be successful as the event
organiser has to make sure that there is always a ‘win win’ situation. Such as in making sure
both parties are satisfied with the outcome. When negotiating the event organiser needs to be
professional and not aggressive so that both can come to an agreement to what has been
discussed.

Planning

An event organiser has to have planning skills as that is the first step when organising an
event. The event organiser needs to plan about the things that have to be done for the
business event to be successful. So when planning, the organiser has to know the right place
and the right time depending on the type of event. For example, if the event organiser does not
realise that there will be lots of guests and they don't have a backup plan, then that would be
bad for the event.

P2 Identify and explain the roles of an event organiser

Organising

It is important for any event organiser when organising an event to find the right venue for the
event. The venue is the place where the event is going to take place. The location/venue of the
event will help people who will attend the event to understand what kind of event it is, since the
venue will have its own setting and therefore the venue could influence if people are interested
in attending the event or not. For example, an event can take place outside or inside and
whether it is a restaurant or just a small business meeting. Therefore, a successful event
organiser will need to look for a venue within a reasonable distance from most attendees home
or place of work and will also help identify the cost that will be involved

In any event, catering plays an important part in an event. Catering also plays an important part
in an event and must be correctly set up when organising an event. The requirements and cost
of the event will increase and also decrease depending on the type of catering and the venue.
For example, a sandwich delivery could be cheap but the delivery time will take long if not
delivered on time.

Planning and reserving

Planning a facility will be on the top of your list of priorities to organise because they may not
be available for your event if you leave it to the last minute to book the venue.

Setting up programm

When you produce a programme for your event it means that all the participants will know what
is going on and therefore they can organise where they need to be and when they need to be
there, as well as providing more information for the events activities

Preparing and distributing support documents

Supporting documents will be a vital role to any event that the organiser is a part of as they
can; enable entry into the event if the event is more exclusive, directions and travel information

is always appreciated by participants if it can be provided for them. But documents also lead to
endorsements by businesses if the event is more public and advertisement deals could be
made.

Organisational procedures

When organising an event, the procedures and regulations are that you must follow to the
letter; you will be required to apply to hold an event to begin with because if you don’t have
permission the event could not be allowed and all the time and money that was invested into
the hours of work will be wasted.

Current legal requirements contracts, agreements, consumer protection

The law changes all the time and making sure that you are up to date is important that way you
know you have covered all your basses when following regulations and law s for your event,
even as fast as organising traffic arrangements

Limits of role

There are a lot of health and safety requirements that can be an influence on your event. The
age requirements can sometimes be important for your event. A legal requirements is made
verbally or in writing. In the contract state the offer and prices for the event. This are the venue,
catering, insurance and advertising.
