Mac
1. Before installing Business Accountz please make sure you
run the Mac Software Update option (from the Apple menu
on the top left of the screen). It is important you at least
ensure any Java updates are installed.
2. After ensuring your system is up to date, insert the Busi-
ness Accountz CD. A window should open displaying a file
called Business Accountz.dmg. If it does not, please click
on the ‘Go’ button (from the system menu at the top), then
select ‘Computer’ then your CD Rom icon.
3. Double-click the Business Accountz.dmg file to open the
Business Accountz package installer.
4. Double-click the resulting Business Accountz.pkg installer
file to run the installer.

Linux
Different distributions of Linux have different installation proc-
esses, so please also refer to the instructions in your Linux dis-
tribution for installing applications.
1. Open the CD.
2. Double-click on the Linux folder.
3. Drag the install_accountz.bin file onto your desktop.
4. Double-click on the install_accountz.bin file.
5. Choose run in terminal or any other option to run the file.
6. It is important that you set the permissions correctly in your
installation folder and for the application itself.
If your Linux distribution does not have a way of installing
directly, then you will need to install from the command line
(also known as shell or bash). Please see your Linux distribu-
tion manual for further details of using the command line to set
permissions and install and run binary files.

Support
Free user support is at hand via our user forums. These can be
accessed by selecting ‘Help>Help Forums’ from within Busi-
ness Accountz.

Welcome
Accountz is based on the world professional standard of dou-
ble-entry accounting. However, Accountz differs from other
professional software in the way double-entry is presented to
you, the user. We have removed the jargon and transformed
the process. Instead of Credit and Debit, you now have From
and To. Here is an example of how this simple transformation
turns double-entry from difficult to easy:
Suppose we pay business rates by direct debit from our bank.
In a typical double-entry software system you would make 2
entries. The first would debit your business rates account. The
second would credit the bank (yes, credit). Both entries would
be for the same amount, hence the books would balance and all
is well.

The problem is, what exactly does a ‘credit’ mean when we
are taking money from the bank? How does taking your money
from your bank result in a credit entry? And worse, how can we
remember that without taking a course in accountancy?
Well, you don’t need to!

Once you have this single rule fixed in your mind, accounting
with Accountz will become a pleasure.
And if you want to impress your accountant/bank manager/tax
inspector, just remember the rule:
• Credit = From
• Debit = To
Alphabetically they are in the same order (C before D, F before
T) so it is even easier to remember should you need it.
Accountz is unique amongst accounting software. It has simpli-
fied the double-entry accounting system. Use it with confidence
and it will pay dividends by saving you time, giving you better
financial control, and therefore saving you money.

Accounting Overview
There are only 2 reasons to account for your business:
1. To keep Her Majesty’s Revenue and Customs happy
2. To keep you in control of your business
This overview is designed to bring the dark and mystical secrets
of accountancy firmly into view. This will give you confidence,
not only in using this software, but also by being able to talk to
your financial advisers in their language. Accounting is simple.
Money comes in. Money goes out. Money is what you are track-
ing.
When you record where money came from and where it went to,
you are recording a transaction. In Accountz, this is represented
as a single row in a transaction table.

Customer Table
This is a sortable spreadsheet view of all your customers. If
you create a customer here he/she can be associated with a sale
in the Sales Transactions table.
Supplier Table
As per Customer Table. This is a sortable spreadsheet view of
your suppliers. If you create a Supplier here, he/she can be as-
sociated with a purchase in the Purchase Transactions Table.

VAT Return
Click this button to access your up-to-date VAT Return.
Configuration
This is where you can customise the software. You can create
keyboard short-cuts to/for components, change how Accountz
looks, and set defaults for credit periods.

If you check the Chart of Accounts, you will see that the rel-
evant accounts have been updated to reflect these figures.
This simple transaction structure is repeated across the soft-
ware – once you learn this, you are almost there!

The reason for this is (a) it gives you a more accurate audit
trail, and (b) it makes it easier to reconcile your bank account.
As you can see from the above, Accountz tracks the flow of
money, from somewhere to somewhere else and so for all
these examples the logic is that money has flowed from Sales
Account to Bank Account.
In Example 1 this happens directly in one transaction line; in
Example 2 there are intermediate steps but the result is ulti-
mately the same.

Purchases
1. For a completed purchase, say £100 for Equipment, your
transaction in the Red Books (Purchase Transactions) table
looks like this (Fig. 5):

Transfers
Aside from the usage described above, you will tend to use
Transfer Transactions for such tasks as topping up petty cash
or paying off the company credit card:
