Directors’ Information – Registration Edition

Dear Director,
The following information is provided for your benefit as you register for the 2016 SRO String Auditions
on Saturday, October 1st at Ocean Lakes High School. Please take the time to review and complete each
step carefully.
 Audition requirements and materials were distributed in May. All that information is available at
the back of this packet if you need it again.
 Use the link below to register each student you’re sending to the 2016 SRO String Auditions. All
online registration information is due on or before 5:00pm on Wednesday, September 21st. No
exceptions. If you need to make a change once you’ve submitted your information then let me
know and I’ll be happy to help.

 Complete and return the attached Financial Form. All completed Financial Forms along with a
school or Booster Association check should be postmarked by Wednesday, September 21st. Please
note that late financial paperwork must include the indicated late fee and that personal checks will
not be accepted.
 Submit a copy of your NAFME card as a hard copy along with your financial paperwork. Please
note that you incur a $124.00 fee from VBODA (paid before the audition date) if you do not submit
a copy of your membership information or are not a member.
 Distribute the attached Student Commitment Form. Although we collect registration information
electronically before the event, a paper registration form is necessary to keep track of students’
personal information beyond their names, assign audition numbers, and log who actually shows
up. Students who come to auditions without a completed Student Commitment Form will not be
allowed to audition. No exceptions. You may bring your students’ forms to auditions yourself if you
don’t trust them to keep track of the paperwork. Please note:
o We’ve updated our Student Commitment Form so it matches what the Band folks use.
o You will not be relieved of your audition duty to sign incomplete Student Commitment
Forms. Please do it ahead of time, or sign the sheet, make copies, and provide to your
students as needed.
Please remember that you are required to attend the event in order for your students to audition. If you
cannot attend, then you are required to send a substitute who can perform all your duties as required
during the audition day. Please let me know by Friday September 16th if you will be unable to attend the
audition event and include your substitute’s contact information.
You will receive an Audition Duty List and updated Audition Times By Zone (as in previous years) the
week before auditions. Again, please plan ahead since we’ll have very little preparation time once school
gets started. If you’re new to this and need some extra help navigating the audition process, don’t hesitate
to be in touch.

Please Note:
 This form must be presented on the audition day in order for students to audition. Some teachers elect to collect completed
registration forms and bring them to the event personally and others prefer that their students keep track of the paperwork
but students who arrive without a completed registration form on-site will not be permitted to audition. No exceptions.
 In order to participate, the student’s director or a qualified representative must be present at the auditions and the event. If
the director cannot be present, the qualified, duly appointed representative must accompany the student with a letter signed
by the director and the principal. Proof of the director’s NAFME membership must be provided.

Directors’ Information – May Edition

Dear Director,
The following information is provided for your benefit as you distribute audition materials and begin
planning for the 2016 SRO String Auditions on Saturday, October 1st at Ocean Lakes High School. The
date and location are different than in past years, so please mark your calendars and become familiar
with the location of Ocean Lakes High School! Please take the time to review our audition policies and
procedures now rather than waiting until September. The structure will remain more or less the same as
in previous years but a review never hurts.
 The attached audition materials are authoritative. There are occasionally small discrepancies
between published etudes (for example) and the versions included for distribution to your
students. Again, defer to the included materials since that’s what judges will use to score our
auditions.
 We’ll use the same system for assigning audition times as in previous years: Each school will be
assigned to a group of schools in a similar geographic area with a two-hour audition time slot
during which students may arrive and audition at their convenience.
o You will preregister your students during the first three weeks of September. Please plan
ahead because schools starts late next year and SRO auditions are later than usual.
Remember that you will not be able to add students after the preregistration date passes,
so don’t send kids to the event if you didn’t register them ahead of time. No exceptions.
o Students will need a completed commitment form in order to register for their audition. No
exceptions. As in previous years, you may either bring your students’ forms or let the kids
bring their own.
o Students will not be allowed to audition before their audition block begins. Please contact
the event chair if a situation arises that may cause a problem with a student audition time.
We are willing to be flexible in the event of emergency, but advance notice is preferred.
Thanks for your help with this.
o Auditions will take as long as they take. Make sure your kids plan to be there a good long
while. Bring a book. Nobody wants to be there any longer than necessary, but auditioning
that many kids isn’t instantaneous.
 You will be assigned a duty at auditions. Remember that your students may not audition if you do
not attend the event in its entirety. If you have a previously scheduled professional commitment,
you must communicate with the event chair, and ensure you have a sub who will be able to fulfill
all your duties. You must notify the event chair of plans to use a substitute by Friday September
16th, 2016. If no notification is received, you will be expected to be present at the event. No
exceptions.
As always, you’ll receive registration information and commitment forms during Teacher Work Week and
final event information the week of auditions. Again, please plan ahead since we’ll have very little
preparation time once school gets started next year. If you’re new to this and need some extra help
navigating the audition process then don’t hesitate to be in touch.

The Regional Symphony Orchestra audition requirements will follow the All-Virginia audition requirements.

ORCHESTRAS:
String students will be selected for the Symphony Orchestra (full orchestra) and Chamber Orchestra (a small ensemble
which may or may not include some winds) based on their audition score. The maximum number of strings for the
Symphony is as follows (final decision of eligibility made by Audition Chairperson):
First Violin – 22, Second Violin – 22, Viola – 16, Cello – 14 & Bass – 8
The maximum number of strings for the Chamber Orchestra is as follows (final decision of eligibility made by
Audition Chairperson):
First Violin – 10, Second Violin – 10, Viola – 8, Cello – 6 & Bass – 3
Students auditioning for the Preparatory Orchestra will be selected based on their audition score. The maximum
number of strings for the Preparatory Orchestra is as follows (final decision of eligibility made by Audition
Chairperson):
First Violin – 22, Second Violin – 22, Viola – 16, Cello – 14 & Bass – 8
Students are eligible to play only one SRO audition per academic year. 9th and 10th graders
music chose to play the Preparatory Orchestra audition OR the Chamber/Symphony Orchestra
audition. 11th and 12th graders are only eligible to play the Chamber/Symphony Orchestra
audition.
ALL-STATE ELIGIBILITY:
STRINGS: Only students who are selected for the Senior Regional Symphony Orchestra and fulfill their
commitment at the 2015 SRO event will be eligible to audition for All-Virginia Orchestra.
WINDS and PERCUSSION: The following SRO Symphony players will be eligible to audition for the All-Virginia
Symphony Orchestra and Bands: 1 piccolo, 2 flutes, 2 oboes, 1 English Horn, 2 clarinets, 2 bassoons,
3 trumpets, 4 horns, 2 tenor trombones, 1 bass trombone, 1 tuba, 4 multi-percussionists.
DIRECTORS:
I. All high school Orchestra and Band Directors who have students auditioning MUST be present and
participate in the adjudication process on October 1st. Student eligibility depends on your required
attendance.
II. Violation of any School rules, VMEA rules, VBODA rules or teacher rules will result in disqualification.
III. All registration forms and fees must be submitted on time! They will be due in September.
IV. Senior Regional Orchestra EVENT information will be available to the directors at the auditions.
