GENERAL GUIDELINES AND POLICY ON ROOMS

1.Each hotel has info desk which is staffed from 06:00 to 22:00 and shall serve as the check in/out
counter and first point of reference for every athlete and official’s needs.
2. Check-in and check-out time is 14:00 and 12:00 respectively.
3. Early check-in and late check-out longer than an hour is subject to availability and charged to personal
account. Also, should the delegation remain in the assigned hotel past the given duration due to travel
or other issues, cost will be charged to delegation’s expense.
4. A meeting room in each hotel is also available but subject to schedule.
5. Bringing home/out of hotel items are STRICTLY PROHIBITED (e.g. towels, bathrobes, hangers, pillows,
blankets, glasses, coffee cups, forks and spoons, saucers, water pitcher, room decorative and ashtrays).
6. Breakages or losses shall be charged to personal account and settled before or upon check-out.
7. Any purchases beyond the agreement must be paid in cash/credit card before consumption or check-
out.

FOR ATHLETES AND OFFICALS


1. The cost of accommodation will be USD 50.00 per person/night
2. An additional refundable room damage deposit fee of USD 50.00/person shall be covered by the
NOC and paid directly to PHISGOC.
3. For Clark/NCC sports, all will stay at the NCC Athletes Village (AV). However, due to the limited
capacity in AV, some will be housed in Clark Freeport Zone hotels.
4. For Metro Manila, Subic, Southern Luzon and La Union, all will stay at designated hotels
(considering the proximity to their sports venues).
5. All athletes and team officials of the same sport will stay together in the same hotel, or the
Athletes’ Village.
6. Check in will be 2 days before the competition schedule and check out is 1 day after.

International/National Technical Officials (ITO/NTOs)


1. Designated hotels “TOH” will be identified for all Technical Officials in each cluster: Metro
Manila, Clark/NCC, Subic, Southern Luzon and La Union.
2. ITO/NTOs can not request transfer to another TOH in another cluster
3. Check in will be 3 days before the competition schedule and check out is 1 day after.

Technical Delegates (TDs)


1. Technical delegate’s hotel will be housed in TO Hotels together with the Technical Officials in
each cluster.
2. ITO/NTOs can not request transfer to another TOH in another cluster
3. Check in will be 5 days before the competition schedule and check out is 1 day after.

AF/IF Presidents and Secretary Generals


1. All IF/AF Presidents and Secretary Generals will stay at the same Headquarters Hotels (should
there be) in 3 clusters (Clark, Manila and Subic) where their sport is played
2. Should there be no Headquarters Hotel assigned in a cluster, said IF/AF Officials will stay at the
designated TOH in such cluster
3. IF/AF Presidents and Secretary Generals may request to be transferred to another cluster and
may be allowed on the following conditions:
a. Transfer is subject to availability of room in the requested cluster
b. Transfer is done “only once”, where original booking will be cancelled once
transfer to another cluster of same hotel category.
4. Check in will be November 26, 2019 and out on December 12, 2019.
SEAGF Officials and SEAGF Guests (IOC/OCA/ANOC)
1. Above VIPs will stay at a designated hotel, considering the following:
a. VIPs attending the SEAGF meetings in Clark and VIPs/Guests will be
accommodated at the QUEST HOTEL being the official “Headquarters’ Hotel”,
except for:
b. VIPs who will request to be directly accommodated at the “satellite”
Headquarters’ hotel in SOFITEL in Metro Manila or TRAVELER’S Hotel in Subic
may be allowed on the following conditions:
-Transfer is subject to availability of room in the requested cluster
-Transfer is done “only once”, where original booking will be cancelled once
transfer to another cluster of same hotel category.

c. VIPs who will request to be directly accommodated at a designated “Officials’


Hotel” in La Union, Batangas, or Tagaytay
d. All said VIPs will be sent directly to their assigned hotels upon their arrival at the
airports. (No transit hotel will be available, so VIPs are requested to arrange
their appropriate airport of arrival to avoid inconvenience)
2. No transfers will be entertained and serviced before December 1, 2019. VIPs requesting for
transfer (effective December 1 or after) will be guided by the following:
a. Must submit a written request at least two (2) days prior to the date requested.
b. Approval of the request is subject to availability of room in requested hotel in
another cluster
c. Should the request for accommodation transfer require more than two (2) days
of stay, his booking with his original hotel will be cancelled
3. Check in will be November 26, 2019 and out on December 12, 2019.

Chef de Missions (CDM)/Deputy CDMs/HQ personnel


1. CDMs and their assigned HQ personnel will stay at the NCC Athletes’ Village
2. Should there be DCDMs assigned in other Clusters, they will stay at the “satellite” NOC
Headquarters Hotel identified in Metro Manila and in Subic.
3. As no Headquarters Hotel will be available in the Southern Luzon and La Union
areas, such Official will stay in designated ‘Official Hotels’.
4. 2 days prior written request is necessary for the CDMs though subject to room availability.
His room assignment at the NCC Athletes’ Village will remain reserved, though booking in
room used in other hotels should be cancelled upon check-out.
5. Check in will be November 26, 2019 and out on December 12, 2019.

Competition Manager/Venue Manager (CM/VM)


1. CM/VMs will be assigned in identified workforce hotels in each cluster.
2. Single room per CM/VM will be allocated.
3. Check in will be 5 days before the competition schedule and 1 day after.

Workforce (ASC down to coordinators)


1. PHISGOC workforce will be assigned in identified workforce hotels in each cluster.
2. Twin/triple sharing will be allocated.
3. For the competition manager and venue manager, the check-in date will be 5 days before the
competition date. Check in will be 2 days before the competition schedule and 1 day after.

MEAL POLICY
All athletes/team officials, technical officials, technical delegates and VIPs are entitled to free meals
everyday. The following guidelines should be observed and followed upon availing of the said service:

FOR ATHLETES/OFFICIALS/TD/TO/VIPs

1. Breakfast, lunch and dinner will be served in designated hotel dining hall. Halal food for Muslim
delegates will be arranged as well.

Dining Hours:
Breakfast-05:30 – 9:30
Lunch- 11:00 – 15:00
Dinner- 18:00 – 20:00

2. If in case a team has a competition and a meal cannot be consumed at the hotel, meal-to-go (packed
food) will be brought to the competition venue and will be endorsed to the catering department for
proper distribution (subject to 48-hour advance notification).

3. Dinner serving time can be extended, provided that there’s a 3-hour advance notification before dinner
time.

FOR CM/VM/PHISGOC WORKFORCE

1. Breakfast will be served in the designated hotel’s buffet area.

Dining Hours:
Breakfast-05:30 – 10:00

LAUNDRY POLICY
All athletes/team officials, technical officials, technical delegates and workforce are entitled to three-
garment laundry (dry and fold) daily for free. The following guidelines should be observed and followed
upon availing of the said service:

FOR ATHLETES/OFFICIALS/TD/TO/VIPs

1. Drop off laundry at Info desk.


2. Fill out forms from Info desk indicating which items are in the laundry bag.
2. Accommodation coordinator/volunteer will check and count the number of garments and log infos to
laundry logbook. Any excess will be charged to personal account.
3. Schedule of drop-off is 06:00 - 10:00 and 19:00 - 22:00.
4. Clean laundry will be available for pick up the next day (a minimum of 24 hrs) at the Info desk.
5. Accommodation staff will check and count garments upon delivery of clean laundry to Info desk.
6. Athletes/official will sign in the logbook upon pick up of garment.

FOR WORKFORCE

1. Call front desk or drop laundry bag to counter.


2. Fill out forms from front desk indicating which items are in the laundry bag.
2. Hotel staff will check and count the number of garments. Any excess will be charged to personal
account.
3. Clean laundry will be available for pick up/delivery the next day (a minimum of 24 hrs).
