Introduction
This is the study report of project, identify the draw backs of the system &
propose suggestions to overcome the draw backs.

We selected the ICFAI Education Lanka as an organization to implement the IT

System. ICFAI Education Lanka is the Sri Lanka branch of the ICFAI University in

India. ICFAI Education Lanka has three offices currently. There is Head Office, City
Office & Kandy branch.

ICFAI Education Lanka is providing little kind of degree programs for Sri Lanka
students. There are conducting MBA, BBA program, BSc(IT) program as in
campus programs & CIIA, CTM Programs as distance programs.

For this report we review head office & other offices IT data try to identify the
current situation to implement the problems & make suggestions to overcome
identified problems.

ICFAI head office is handling these operating Activities basically.

Books order for India & Distribute among students

Handling Marketing campaigns

Accounting Handling

This Study report gives an insight to the practical problems uncounted when the
above operations are in operation. Some problem can make bad effect for the
organization therefore important to find solutions to overcome these problems.

We studied information flow of the organization and we represented it as DFD
(Data flow Diagram).

ICFAI is Indian based university and students who have learned in ICFAI Sri
Lankan branch will get academic qualification from Indian University.

Organization Network functionality

Head office of ICFAI facilitates Internet browsing and e-learning for their students.

There are 20 more computers in computer lab and student can use the lab at any
given time.

The organization has two Internet connections. One is Dialog WiMAX connection
(4Mbps) and other one is SLT ADSL connection (2Mbps). WiMAX connection is
wireless connection outside the organization, which means organization has
wireless receiver and that receiver connected to the Router (24 Port) given by
Dialog. Router has built in firewall and it’s connected to the 24 port network
switch. All devices mentioned above are connected by CAT5 cables to enhance
their Ethernet speed.

Organization’s ADSL connection is a fully wired connection and it’s comes

through modem and connected to the router. ADSL connection used by a very
few staff members of the organization.

Students are browsing Internet via WiMAX connection and student computers are
interconnected with star topology.

Organization has a server which is connected to the switch and its act as a file
server.

When student log on to the network by using his/her username and password
server create a space for that student in server machine. There for user working
by using server hard disk space and all downloaded and saved files are stored in
that server.

There is few benefits by using file server, which is student can access to his
account by using any computer on the network, network administrator can easily
implement security policies and can easily take backups.

Organization IT lab also include printer machine which’s connected to the server
machine, scanner and projector. Those are used for academic purpose of the
students.

Organization IT lab has generator and it’s automatically turn on when power fail
occurred.

Server machine protected by software firewall (COMMODO) and antivirus

software (Kaspersky).

Antivirus software also installed in client machines.

Students cannot install any software in client machines to do that he/she should
get permission from the IT administrator.

In ICFAI head office Computer lab use Star topology to connect more than 20
computers via switch, switch directly connects with the router & router connects
with the WiMAX receiver to dial Internet.

Draw backs of the system.

Several draw backs in existing system were identified.

The main system doesn’t have extranet system to make successful

communication between branches of ICFAI Education Lanka. Therefore any other
user cannot know relevant information about other branches.

Current system doesn’t use backup system to store data; therefore valuable data
can destroy from floods & any other natural disasters.

Organization website is not updated continues basic, therefore students & other
interested parties cannot know current situation about organization &
organization side there business image is go down without showing their current
situations.

By using main server hard disc space for all downloads, server hard disk can full
from less important data.

Main system doesn’t maintain marketing information system, all marketing

information are store in head of marketing laptop & all data entries are doing
manually, human errors can be happen during process.

Without updating managers reviews for main system marketing staff cannot
make proper forecasting about their goals.

The main website maintain by head quarters of ICFAI university in India doesn’t
have link to contact Sri Lankan branch.

Each branch doesn’t have uploading system about their monthly activities.

Customers cannot use credit card facilities to pay their payments from the
branches of ICFAI Education Lanka.

Suggestions for the new System for the Organization

We should have to implement database server to the new system. New database
server should connect to the switch and server should contain good database
management system such as Oracle. The DBMS should have capability to
interconnect all the branches of the organization when transactions are done
among the branches. There for we can implement extranet to the organization
because when transaction done whole organization can access to the information
of that transaction by using DBMS.

The DBMS should support following functionality on entire organization

Replication Transparency

Failure Transparency

Mobility Transparency

Performance Transparency

We should implement wireless Internet connection in the IT lab of ICFAI. There for
student can access the Internet by using their Notebooks by using student
username and password. Those usernames and passwords are identified main
wireless distribution device. Benefit of this approach is there are more
computers to connect internet, there for computer availability is high.
Configuration is easy for admin and very much less wires are needed.

We can enhance the Internet speed by increasing Internet bandwidth, but it

should be flexible with organization’s budget. If we increase the bandwidth we
can increase the number of clients who access to the Internet at given time.

This data base server system is an attempt to overcome inefficiencies of the

current system and improve quality of the system to provide high quality
service to staff of the ICFAI staff & student.

Currently most of organization data are decentralize therefore top management

have to face problem when their come to make forecast for the whole
organization & their cannot review whole organizational activities by using one
server. Other thing is in between branches cannot make proper relationship
without proper data server.

By using new system, System administrator feel easy to update web page,
review whole system easily & can provide relevant information for staff to make
individual forecasting for achieve their organizational personal goals.
