 Event Goals & Objectives:-

‘Invest with Knowledge’ is an investor’s meet organized by JM Financial


Services, which is aimed at increasing awareness among the esteemed and
potential retail investors and High Net-worth Individuals (HNI’s) to invest
carefully and wisely in various available investment avenues. It would also
address areas such as equity research, portfolio management services, insurance
advisory, mutual fund research, and various other services provided by JM
Financial services.

Many investors may not possess adequate expertise and knowledge to take
informed investment decisions and given the volatility of the market, some of
them may not be aware of the complete risk-return profile of the different
investment options. Also, some investors may not be fully aware of the
precautions they should take while dealing in different securities. Furthermore,
they may not be familiar with the market mechanism and the practices as well
as their rights and obligations.

Given the current scenario, there arises a need to create awareness among the
investors who are the esteemed clients of the firm by educating them on the
nitty-gritty’s of the market and various risks and returns involved in investing in
different types of avenues and thereby lies the main objective of the Investor’s
meet. Also, organising such a meet would increase the repute of the firm and
hence cater to its ultimate aim of increasing the client base of the JM Financial
Services.

 Event Co-ordination & Resources:-

In order to conduct a meeting successfully, one must have a good team


members and an experienced team leader to co-ordinate all the activities. The
following activities are to be delegated to different person-in charge of various
resources to be taken care of:-
 Sponsors:-

The main sponsors for the Investor’s meet will be YES Bank and also
various other sponsors such as TBZ Diamonds and Ruby Textiles, two of the
leading diamond and textile firms in Surat, are being approached for being Co-
sponsors for the Event.

 Local Clients:-

All the local retail as well as High Net worth Individuals (HNI’s) clients of
JM Financial Services, its various branches at Adajan, Anand Mahal, Piplod and
Ring Road as well as its franchises are to be invited for the meeting by sending
a personalized card to their mailing addresses.

 Outstation Clients:-

All the High Net worth Individuals (HNI’s) of JM Financial Services from
surrounding areas of Surat are to be invited for the meeting by sending a
personalized card and a Sweet box along with it.

 VIP’s and Chief Guests:-

The chief guest for the Investor’s meet is the Branch Manager of YES Bank,
Surat Branch - Mr. Jigar Gandhi while the VIP’s will be Mr. Ghanshyam Gupta,
Ruby Textiles; Mr. Dhiru Gajera, TBZ Diamonds, Mr. Hemant Desai, Concept
Securities and Mr. Sandip Dalal, Anagram Securities. A sales executive from
JM Financial services would be sent to personally invite the VIP’s and chief
guests.

 Speakers:-

The main speaker would be Mr. Dipen Shah, Branch manager, Surat who
would speak upon various services offered by JM Financial services while Mr.
Piyush Vyas, Independent CFA would speak upon various risk and returns
involved in various type of investing avenues. Mr. Mayank shah, Market
strategist, JM Financial Services would speak upon market mechanisms,
practices and rights and obligations of investors.

 Show Host:-

Mr. Sudip shah will host the show along with Ms. Renuka chowdhary. Both
of them will look after the On-stage activity and would ensure that the flow of
activities goes on as per the schedule sheet and they will also ensure that the
speakers complete their speech in the allotted time. Moreover, they should have
the welcome note, Comparing speech, resume of the speakers and thanksgiving
speech and memento (Book-Autobiography of Warren Buffet-The Greatest
Investor Ever) ready with them.

 Computers, LCD Projectors, mike systems and photographer:-

Computer with the pre-loaded power point presentation, prepared by the


knowledge support staff for the speakers, should be present there along with an
operator. They should be connected to the LCD Projectors so that the
presentation is visible to all. Proper care must be taken while placing the LCD
screens so that presentation is visible to all the delegates present there. A
professional photographer to capture the important moments of the meeting
such as cheif speakers, memento and thanksgiving, etc should be appointed.
Also, a cameraman should be appointed to capture the video of the event.

 Venue Arrangement and Decoration:-

The Venue for the meet has been fixed at Diamond Jubilee Hall @ Taj, Surat
on 27th November, 2010 from 15:30 to 17:30 hours. The booking for the same
has been done. U & I Events have been appointed for stage decoration,
Lighting, Flowers for the Chief Guest and VIP’s, Mementos for speakers, stalls
for Reception and registration of clients and investors as well as notepad, pen
and a circular containing synopsis of the event including timing and subject,
podium on the stage, seating arrangement along with table chairs with name
plates of each invitees and a mineral water bottle on the table and PR team for
guiding the clients to their seats and Crowd management. Also, the security
personnel and parking guards to guide the investors to park their cars would be
provided by Taj hotel.

 Event Accounting:-

For any event to occur, a budget must be prepared before the event which
must include all the expenses so as to know the total cost of the event.
Moreover, we can also compare the cost benefit analysis to know the
effectiveness of the event which will help in making the important decision.
Further, the extra cost can be also be reduced or cut off as per the requirements
and availability of the funds.

For preparing the budget, the following expenses must be estimated and
accounted for:-

• Rent for the Diamond Jubilee hall


• Lighting and Stage Decoration
• Sound system with Wireless Mike, Computer, LCD Screens with
projector, Photographer and Videographer
• Flowers for VIP’s and Memento’s For Speakers
• Table and chairs with Name plates and Mineral Water Bottles
• Catering expenses including High-Tea and snacks such as cookies,
pastries and sandwiches.
• Reception stalls and Registration Desk
• Notepads and Pens For Clients
• Posters, Banners, Flyers, Invitation Card and Sweet boxes
• Flight Tickets for Mr. Mayank Shah from Mumbai to Surat
• Room Accommodation for Mr. Mayank Shah
• Innova For transportation of Chief Guests, Speakers and VIP’s
• Radio Partner for advertising on FM
• Knowledge Support Staff
• Administrative staff including show hosts, operators, PR and crowd
managers, receptionist, etc.
• Local newspaper Ads
• Media Partners and Press Release

Moreover, after completing the Investor’s meet final statement of accounts


must be made and payments must be made to all the agencies and partners.
Also, care should be taken that all the expenses are accounted for and there is no
embezzlement of funds.

 Event Catering:-

Bhagwati Caterers have been appointed for preparing and serving the high-
tea and snacks to the investors present there at the meeting. The menu includes
pastries, cookies, sandwiches and pakoras along with chutney and ketchup
sauce. Also, tea and coffee would be served along with the biscuits. The caterers
should also provide for mineral water for the investors. Instructions should be
given so that the snacks are served hot and also sufficient counters should be
made depending upon the no. of invitees so that there are no long queues at the
counter. Moreover, food should be prepared in sufficient quantity so that there
are empty stacks on the counter.

 Event Logistics:-

Flight ticket is to be booked for Mr. Mayank Shah, Market Strategist from
Mumbai to Surat on 26th November and Airport Pick-up and Drop facility for
Mr. Shah as well as other VIPs from Outstation. Innova cars are to be arranged
for the same and Jeevan Yatra Travels have been appointed for the same.

 Event Marketing:-

92.7 Big FM are the official radio partners and U & I Events are the Media
partners who will take care of printing of Invitation cards, Banners, posters,
Flyers as well as Ads in Local Newspapers. They would also take care of the
Press Release of the Investors Meet after the event.

 Compliance & Protocol Procedures:-

The following are some of the compliances and protocol procedures that
should be observed:-

 Arranging for necessary permissions and NOCs.


 Coordination with Police Dept., RTO, fire & emergency services,
BBMP, Telephones, BESCOM, for suitable permission /
arrangements.
 Event Report:-

The JM Financial Services, in association with the YES Bank and Co-
Sponsored by TBZ Diamonds and Ruby Textiles organised the Investors' Meet
– ‘Invest With Knowledge’ in Surat on Saturday 27th November at Taj between
15:30-17:30 hours. This meet was aimed at increasing awareness among its
clients and potential investors to invest carefully and wisely. It addressed
various investment avenues such as equities, insurance and mutual funds and
other investment avenues. Plans are to organise the event at different centres
such as Baroda, Nagpur, Jaipur, Pune, Ranchi and Coimbatore in due course.

Among the list of speakers were 1) Mr Mayank Shah, Market Strategist, JM


Financial Services Mumbai Branch who has been actively involved in stock
markets since last 30 years and has also served as Senior Vice President at India
Bulls. He heads the research division and has vast experience in share broking
and implementing new strategies in enhancing the business. 2) Mr Dipen Shah,
Branch Manager, Surat has experience of about 28 yrs in stock markets with
expertise in technical analysis.

The event concluded with Mr. Jigar Gandhi, Chief Guest who is the
President of YES BANK gave ‘Autobiography of Warren Buffet-The Greatest
Investor Ever’ as a memento to speakers followed by high-tea and snacks.
