Introduction

Nokia Data Gathering is a solution that helps organizations to collect field data using mobile phones
instead of paper forms, PDAs or laptops. Since mobile phones can send data from many remote
locations, collected data can be transmitted in near real-time for analysis. This makes collection of data
much faster, more accurate and more cost effective to gather especially in remote locations when
dealing with critical issues, such as public health, agricultural stock levels, emergency services and
alike.

The solution consists of two modules, server and mobile phone, to enable smooth information transfer
from the survey administrators to the field workforce and vice versa. The process includes the creation
of questionnaires, their delivery to mobile phones and the subsequent integration and analysis of
results.

Mobile based data collection offers lots of benefits compared to traditional paper and pen based
method as well as compared to data collection with help of a PC:

‐ Speed and efficiency: ability to transmit and process time-critical data quickly. The more remote
the location, the greater the improvement

‐ Data accuracy: removes the need for interpretation of hand-written data and potential
mistyping of information when it is transferred from paper to legacy systems

‐ Reduced operating costs: reduces duplication of work (data entry) and removes unnecessary
travel. Further the costs of delayed decisions can be considerable.

‐ Reduced environmental impact: minimizes the frequency and need for heavy load
transportation and carrying papers in and out - especially at remote locations.

‐ Usability: mobile phones as data collection tools are light-weight small devices with long
battery life. Furthermore many of them provide GPS in-build and easier to use than PCs while
standing/on the move.

Compared to other mobile based data collection tools, Nokia Data Gathering offers high usability (easy
to use Java-based client), complete end-to-end system (including mobile and server modules (with
integrated survey editor) allowing organizations to host their own server and have security in the
knowledge that the data collected by them will remain in-house) and ability to map the results.

1. Solution overview
 

Nokia Data Gathering consists of two modules, to enable smooth information transfer from the survey
administrators to the field workforce and vice versa.

‐ Server: The Server Module is used to create and send surveys to mobile phones, receive
interview results, administer users, devices, questionnaires and responses, map data using GPS-
based data, and export data. The server can receive interview results in near real-time,
provided the field personnel are within range of a mobile voice or mobile data network.

Additionally, the server can be connected to a GSM modem to send messages and receive
responses from the mobile phones of the field personnel.

‐ Mobile Phone application: The Mobile Phone Module is the only part of the system that is visible
to the field personnel. It is the software that appears on their mobile phone, presented as an
easy-to-fill questionnaire.

The process with Nokia Data Gathering begins with survey creation, which enables the production of
tailored questionnaires. The questionnaires can then delivered to the field workforce wirelessly using a
normal mobile telecommunications network. Having received the questionnaire(s) on their mobile
phones, the field workforce can then use their phones to enter and store the responses to questions.
The system also allows to geo-tag data with GPS location information, providing an additional layer of
information and helping to validate data. Once the information is collected, solution enables them to
send responses back for instant analysis, again via a mobile network.

2. Getting started: registering to the server

To get started with Nokia Data Gathering Playground, you need to register to the server. Please copy
the following address to your browser: http://extindt02.indt.org:21001/ndgFlex/swf/main.html.

Please click Request Account link (highlighted in Figure 2 Nokia Data Gathering server login) and enter
the data that is requested (Figure 3 Request account).

3. Nokia Data Gathering server

Nokia Data Gathering server is used to create and send surveys to pre-registered mobile devices via
SMS, HTTP and cable, receive responses (HTTP, cable, SMS), export data to CSV and Excel formats,
administer users, devices, questionnaires and responses and map real-time GPS-based data.

3.1 Login to the server


To login to the server, please type the following address to your browser:

2 how to get an account and also see Figure 2 Nokia Data Gathering server login for the login screen)

3.2 First time login with phone application upload


When login to the Nokia Data Gathering server for the first time, you enter a wizard that allows you
sending the Nokia Data Gathering mobile phone application to up to five phones. To do this, follow the
steps shown in figure 5:

1. Start the wizard

2. Click “add” that activates both the phone model selection as well as the phone number field

3. Click “next” and the SMS message with link to download the application is sent to the phone. (Read
more about downloading the application and registering it from chapter 4.0 Nokia Data Gathering
mobile phone application).

5. If the SMS message arrived, click “Yes! SMS instructions” – the following steps guide you through
the steps necessary to receive the SMS and open the link to download the applications.

6. If the SMS did not arrive then click on the button “No! PC Instructions”.

Clicking “Start Instructions” - button will bring up the Instruction screen with the following
instructions:

First you have to transfer the application to your mobile. You


can transfer your application to the mobile from PC by making use
of data cable, infrared or Bluetooth.

You can install the MIDlets either with or without PC Suite.

1. Infrared and Bluetooth

IR or Bluetooth technology can be used to send the MIDlet from a


PC to another device.

2. Installing over a serial cable

If the device has a serial cable port and connectivity software


for a PC, the MIDlet can be installed on the device over a serial
cable.

To perform the actual installation, please read the chapter 4.2 Installing the mobile application
manually.

NOTE: To send SMS messages we have written an interface to the Clickatell SMS service, which
advertises coverage in 200 countries. Within a country however the coverage does vary so if
your SMS message did not arrive then this is likely the reason. In case of your own server
implementation you will need an SMS modem (/GSM modem) attached to the server. A
dedicated SMS modem is preferred and this is usually an external device attached by a serial or
USB port to the server. It allows sending SMS to a large number of recipients at the rate the SIM
card on the modem charges.

NOTE: After the first login you can easily add devices through the Admin panel on the server.

NOTE: In own server installation, there is no limitations on the number of devices that can be
registered. The limit of five devices is applicable only when using the Playground

3.3 Nokia Data Gathering server panels


Once logged in the user is presented with the Main panel, which also has the Editor and Admin panels.
Main panel is used for surveys and results, Editor panel for editing and managing surveys and Admin
panel to administrate users and devices.

3.4 Creating a survey


Surveys and questionnaires are created in the Editor-panel.

To create a new survey click “New” as highlighted on Figure 9 Editor-panel and a survey creation
screen will open (Figure 10 Creating a new survey).

3.4.1 Create the survey by creating the survey question categories, actual
questions
Creating a survey with Nokia Data Gathering includes the following steps:

1. Change the survey name by clicking the “Edit the Survey Name” button. The name will appear on
the left side of the survey number (Figure 11 Changing the survey name).

2. Create question categories by clicking “Category” button, writing the category description and
clicking “ok” to confirm. The created categories are shown on the left hand side of the screen.
(Read more about the categories from chapter 3.4.2).

3. Create questions to the created categories using the available question types: free text, numeric,
date, time, multiple choice (choose one or more), exclusive choice (choose only one) and image
(read more about the question types from the note at the end of this chapter 3.4.2).

Each question type has its particularities, size, filling option, etc. So first select the question type,
edit your question and define the needed parameters (such as length of the question, maximum
and minimum range, amount of decimals, available choices and potential logic after the question.
Clicking “Ok” adds the question to the survey.

In case of exclusive choice and multiple choice questions, it is also very useful to use the “Upload
CSV file” function that populates the options automatically from an existing CSV file (read more
about CSV file usage from the chapter 3.4.3).

4. Edit the questions: the questions can be edited any time by selecting the specific question and
using the editor in the middle of the screen. The order of the questions can be changed using the
“up” and “down” buttons under the question type buttons.

5. Preview the survey on the Preview panel. The phone on the right hand side of the screen
demonstrates how the survey looks on the phone. You can also select the “Run survey” to go
through all the questions. Please note that the preview is not designed to include also entering
the data – only to run through the questions.

6. Save survey: once the survey is ready for the time being it can be saved pressing the “Save”
button and a notification on the successful save is displayed (Figure 14 Successful save). It is always
good practice to save a survey as often as possible.

Saving the survey also generates the survey ID. After saving the survey it will appear on the Editor
panel main screen.

7. Make survey available finalizes the survey and makes it ready to be downloaded to the mobile
phones. You can make the survey available either on the main Editor panel or on the Survey Editor
screen. Once the survey has been made available it cannot be further modified. User needs to
confirm this action.

Once the survey has been made available it appears on the Main panel in the server. However, this
requires a logout and new login to the server.

8. Duplicate Survey. In case you want to create a new survey and use an existing survey as a
template, please click “Duplicate survey” and start editing the survey.

3.4.2 Question categories


In Nokia Data Gathering, a survey is a collection of questions divided in categories – conceptually
similar to chapter headings in a book. An example structure might be:

Category: Personal Data:


Question within the category: What is your name?
Question within the category: What is your date of birth?
Question within the category: What is your gender?
Category: Professional Data:
Question within the category: What is your profession?
Question within the category: Where do you work?

In the mobile client, categories are off by default and can be enabled in the options menu. Typically in
the case of large surveys, using categories makes it easier to browse through the survey (read more
about the enabling categories on the mobile client from chapter 4.5.1).

3.4.3 Question types


Nokia Data Gathering allows seven different question types:

Free text: Questions that require all sorts of characters: alphanumeric [aA-zZ][0-9] and/or special
characters [~!@#$%^&*(){}[]]. The user types the question and defines the length of characters allowed
for its answer (default 50)

Numeric: Questions that require answers in numerical format: integer or decimal. The user is allowed
to choose its length of characters, as well as define a Minimum and Maximum range.

Multiple choice: Questions in which the user is able to choose more than one answer. To insert a new
option click on the “Add” button. Alternatively you can use the “Upload CSV file” option provided with
multiple choice and exclusive choice questions to populate the options using existing list (read more
about the populating the fields using CSV file from chapter 3.4.5)

To edit the option click on the “Edit” button. To delete an option click “Delete” button. Select “More
Details” under “Edit”, in case the interviewee needs to complete its answer (i.e. What is your car brand?
Fiat / Ford / Opel / Others >> What?)

Exclusive choice: Multiple choices questions in which the user is able to choose only one option. To
insert a new option click on the “Add” button. To edit the option click on the “Edit” button. To delete an
option click “Delete” button. Exclusive choice questions offer also built in “skip logic” with which the
interviewee can be redirected to another question depending of one’s answer (read more about the
skip logic from chapter 3.4.4)

Date: Nokia Data Gathering allows the user to create questions in which the answers are based on
dates. It’s possible to define a Minimum and Maximum range of dates to be answered.

Time: Nokia Data Gathering allows the user to create questions in which the answers are based on
times. It’s possible to define whether 24 hour or 12 hour clock is being used.

3.4.4 Skip logic


Exclusive choice questions offer also built in “skip logic” with which the interviewee can be redirected
to another question depending of one’s answer. The skip logic is added when editing the name of the
choice. To add the skip logic click “Edit” and then “Add” under skip logic. Next you are asked to select
the question to which the interviewee is directed to given that this specific answer is selected. Select
the question from the list. After selection the skip logic is confirmed.

3.4.5 Using CSV file to populate the questions and possible answers

With multiple choice and exclusive choice questions the user has the possibility to, instead of manual
input, to populate the options using existing CSV file. This is very useful especially in the situations
when lot of options need to be added.

To use existing CSV file, select “search” button to locate your CSV file. Once found, click “open”.

Nokia Data Gathering automatically takes the data from the CSV file and populates the options to the
selected question.

3.5 Database view to the ready survey

3.6 Sending the survey to the mobile phone


To send the survey to a mobile phone requires that the phone has been registered. You can check the
users and registered phones from the Admin-panel (Read more about managing the users and devices
from the chapter 3.8).

Make sure that in the subsequent screen (by clicking the “Device Manager” that is highlighted on the
Figure 23 Admin panel for managing users and devices) that the IMEI number says “Registered” and
not “Waiting for confirmation”.

To send the survey to the mobile phone, open the Main panel and click “Send survey”. This will initiate
the Send Survey wizard that will guide the user through the process.

Once the survey has been send using GPRS method a SMS message is sent to the mobile phone
informing the user that a new survey is available for download. Please read chapter 4.4

Downloading the survey for details on downloading the survey on the mobile device.

3.7 Sending an alert


Admin-panel offers also a possibility to send notifications in the form of SMS to the field workers. An
alert might be for example a reminder, additional information, warning or alike.

An alert can be sent by clicking the “Send Alert” button and entering the Send Alert wizard. This will
guide you to select the recipients, type in your message and send the alert.

NOTE: To send the alert you need to have an SMS/GSM modem attached to the server. Attach the
device to the server and install its drivers. Then reboot the server. Nokia Data Gathering looks
for an SMS/GSM modem whilst it loads and if one is found then that functionality is enabled.
SMS is not required for Nokia Data Gathering to work and indeed its use is not encouraged as
response delivery method when working with surveys as is mentioned elsewhere in this guide.

3.8 Managing the users and devices

3.8.1 Adding users


Adding users and devices onto the system is done on the Admin panel that has the “User registration
panel” on the right hand side of the screen.

To add a user click on “New”.

Fill out the user details and click “Save”. This will add a user onto the List of Users.

NOTE: The access right levels in Nokia Data Gathering systems are administrator (full rights), operator
(send and manage surveys) and field worker (no rights to the server, but only as user of
collecting the data through the mobile phone)

NOTE: The initial limit on the number of users on the Nokia Data Gathering Playground is five
however this restriction does not apply when running your own server.

3.8.2 Editing and deleting users


To edit the user details or delete users use the “Edit” and “Delete” buttons on the User Registration
Panel in the Admin panel.

3.8.3 Adding devices for the users


The devices are managed through the Admin panel by selecting the checkbox next to the user name
and clicking the “Device Manager” button.

To add a device and send a notification to the device to download Nokia Data Gathering application,
click “New” on the Device Registration Panel, fill out the details including the phone number and
device model and press “Save”. This sends a SMS message to the device with a link to download Nokia
Data Gathering application (Instruction on downloading the application on the phone, please read
chapter 4.1 Downloading the application (OTA installation)).

Once the Nokia Data Gathering application is installed on the mobile device and opened for the first
time the device is automatically registered on the server by sending the phone’s IMEI number to the
server.

Successful device registration shows on the device manager page with the displayed IMEI number.
Devices waiting for registration have notification “Waiting for registration” in the IMEI column. (Read

3.9 Reviewing the survey results


 

3.9.1 Overview of the results - results per user


The “Survey Details” on the Main panel on the server is designed for viewing the received results / user.

When opening the Survey Details page, the number of successful responses per each user is displayed
and option to export the results (Read more about exporting the results from chapter 3.9 Exporting the
results).

3.9.2 Result details


The detailed results can be accessed through the Main panel on the server and clicking the “Show
Results” button. The result ID, record time, date, user who submitted the information and a serial
number of the phone is displayed on the list of results. The answers to the questionnaire are displayed
on the Preview Panel on the right hand side of the screen.

From this Show Results screen the user can, in addition to reviewing the results, export them (more on
exporting the results from the chapter 3.9 Exporting the results) or map them (more on mapping the
results from chapter Mapping the results).

3.9.3 Mapping the results


Nokia Data Gathering server module allows mapping the GPS-based data. To map the results
that have a GPS-location tag attached to them, click either “Map” or “Map all” buttons on the
“Show results” page.

3.10 Exporting the results


The survey results can be exported either using the “Survey Details” button on the Main panel on the
server or through the “Show Results” page. Both views offer “Export” button. The export formats
available are Excel and CSV.

To export the results select the results to be exported and click “Export”. The Export wizard will guide
you through the Export tasks; selecting the export format, opting the export of pictures and confirm a
successful export. To save the export results click “Click here to save survey12345.zip file” link on the
last of the three Export Wizard screens.

As a result of the Export activity is the Zip-file containing the selected results either in Excel of CSV
formats and pictures in .jpg format.

4. Nokia Data Gathering mobile phone application


Nokia Data Gathering mobile application is used to collect and send data back to server. It is a Java –
Micro Edition application, a MIDlet suite and consists two files:

‐ Ndg.jar where all software source codes are compiled. This file cannot be changed.

‐ Ndg.jad, Java Application Descriptor. This file describes the MIDlets that are distributed in the
application, in the JAR file.

Please note that the user of the system does not need to deal with different files, but are presented
only an easy to use mobile phone application.

Nokia Data Gathering mobile client installation can be made in two ways: either OTA (over-the-air) or
manually.

4.1 Downloading the application (OTA installation)


Over the air installation makes large-scale deployment possible. A device can install a MIDlet suite from
a remote server using the device's built-in browser.

Once the user and device has been added to the server (see chapters 3.8.1 Adding users and 3.8.3
Adding devices for the users) a message with a link is sent to the mobile device. By opening this link
the user can start downloading the Nokia Data Gathering mobile phone application.

After the application is downloaded on the phone follow the instructions on the mobile screen. It will
guide you through installations procedures.

NOTE: After the Nokia Data Gathering application has been installed to the phone, the application
icon is placed on “Application” on the mobile phone (Menu > Applications).

NOTE: It’s important to know where the Nokia Data Gathering Client will be installed. This will change
the place where Nokia Data Gathering folder will be placed and found browsing through the
mobile browser. If you choose Phone Memory, Nokia Data Gathering folder will be placed
within Images Folder. If you choose Memory Card (recommended), the Nokia Data Gathering
folder will be placed within root folder.

NOTE: The installation process success depends on the web server and the device's browser.
Characteristics of the network between the device and server can affect installation too. One
frequent cause of OTA installation failure is a size limit that network elements impose on the
size of the JAR file. Another is specifying incorrect MIME types for JAD and JAR files. The correct
MIME types for a Java MIDlet Suite are: JAD file: text/vnd.sun.j2me.app-descriptor and JAR file:
application/java-archive.

Nokia Data Gathering Server is configured to correctly process these kind of files. If you are
using your own configuration of JBOSS, please be sure that its MIME type configuration is
properly configured.

4.2 Installing the mobile application manually


Alternatively to the OTA download (over-the-air download), the Nokia Data Gathering application can
be installed manually using cable, Bluetooth or infrared.

Manual installation involves direct connection between the device and the development platform –
commonly cable, infrared, or Bluetooth link. In the case of the Nokia E71, for example, it's a CA-101
USB cable and the Nokia PC Suite software, which includes Nokia Application Installer.

To install Nokia Data Gathering mobile client manually:

4. Follow the instructions shown on Figure 7 PC installation of the mobile application to get the files
to your computer.

5. Connect the data cable from the computer to the mobile handset, select PC Suite mode in the
handset. This connection also can be done using Bluetooth.

6. In the Nokia PC Suite program, choose the "Install applications" option. After opening the new
screen and select the installation file. This will just send the file to the mobile. The real installation
will take place in the handset.

7. Follow the instructions on the mobile screen. It will guide you through installations procedures.
(See Figure 37 Installing the Nokia Data Gathering application to mobile phone) – note that the
phone needs to be connected to the internet when installing the client and that the .jad file will
automatically download the .jar file.

4.3 Registering the mobile device


The first time the Nokia Data Gathering application is opened, the application will register the mobile
phone to the server. The registration is done automatically by sending the phone’s IMEI number to the
server after the user accepts the software agreement.

NOTE: The International Mobile Equipment Identity or IMEI is a number to identify GSM, WCDMA, and
iDEN mobile phones, as well as some satellite phones. It is usually found printed inside the
battery compartment of the phone. It can also be displayed on the screen of the phone by
entering *#06# into the keypad on most phones.

4.4 Downloading the survey


In order to check if there are surveys available for download click on “Check for new surveys” bar
(alternatively “check for new surveys” from the options menu) on the List of Surveys screen. The
application lists all the surveys that are available for the user, yet not downloaded.

By scrolling the list of new surveys and selecting “Download” a new survey is downloaded to the
application.

NOTE: Nokia Data Gathering application works on a ’pull’ model. That is a field worker must “Request”
new surveys from the server. Surveys are not ’pushed’ from the server to the field worker - they
are merely made available on the server and ’sent’ to the mobile phone (in the form of a
notification). Sending the survey (more from chapter 3.6

Sending the survey to the mobile phone) in essence means sending a SMS notification to the
user on availability of a new survey.

4.5 Filling out the survey


To fill out the survey on the mobile device, start the Nokia Data Gathering application on the phone.
After the application boots a List of Surveys is presented. In case several surveys are available select the
right one by scrolling the list and then from the options menu choose “Open”.

This opens the selected survey. To create a new results for the survey click “New Result” bar or go
through options to create a new record.

This opens the empty survey form and user is guided through the questionnaire in the order the
questionnaire has been designed. In case the categories are enabled, the user is displayed the
categories consisting of the questions (read more about the categories from the chapter 4.5.1)

Nokia Data Gathering supports also predictive text input for exclusive choice question. When starting to
type the potential answer, the user is displayed with options including the letters.

4.5.1 Using and enabling categories


The user has the option to either enable or disable the categories (group of questions). Categories
make it easier to navigate through the questionnaire – especially in cases of lengthy surveys.

In case categories are enabled the user navigates to the individual questions through categories. “?”
and “√” indicates if the questions in the specific category have been filled in. “?” indicated non-
answered questions and “√” tells that all the questions in the specific category have been filled in.

By default the categories are enabled, and user is displayed the full list of questions when opening the
survey. To enable categories the user needs to select “Display Categories” from the Options menu and
change the selection “off” to “on”.

4.5.2 Turning GPS on and off


GPS provides location data for each record, so results can be plotted on a map. This offers clear benefits
in cases where geography is a relevant data field. The user does not need to do anything to record this
information – it is captured by the software automatically when the questionnaire is completed.

To turn the GPS on and off, select “Options” in the List of Surveys screen and select “GPS”.

When the GPS is set to be “on” the user can also check the current GPS coordinates by clicking “GPS
Coordinates”.

NOTE: The GPS tag is attached when the answer is created (regardless whether the wireless network
is available). If the answer is modified later, the GPS tag is updated accordingly.

NOTE: In case the GPS information is not needed, it is advisable to turn GPS option off to avoid it using
the mobile phone battery.

4.6 Saving the result to the mobile phone


After filling out all the questions the survey, select “back” or “options” and “save result” and confirm
with “yes”.

4.7 Reviewing and deleting the results


The collected survey results are displayed on the Survey Result screen that can be accessed through the
Survey Results screen.

Through this screen the user can do the following tasks:

‐ In case of a single result: open and edit the response, view the result, delete the result or send
the result to the server

‐ In case of group of results: send the results to the server, delete results

4.8 Sending results to the server


To send the results to the server, go to the Survey Results screen, select one or many results to be sent
and through “Options” hit “Send”.

NOTE: In case the user tries to send the results to the server and there is not network connection at
that point of time the user will be presented with an error message. The survey will be stored
on the device and the user can try to send again once a network connection is restored

NOTE: It is not necessary to have a connection established when the surveys are being filled in. If the
field worker is in a remote area surveying then results are stored on the phone. The field
worker can then upload to the server when a GPRS or WLAN connection is available.

NOTE: Nokia Data Gathering uses data connection for sending back the survey results. System
administrator has the option to turn on the SMS reply option on the server at msm-
settings.properties. This requires a SMS modem to be attached to the system.

4.8.1 Testing connection


The user can check the server connection by selecting “Options” on the List of Surveys screen and
further click “Test Connection”. With this Nokia Data Gathering applications connects to the server and
confirms the successful connection.
