1. Create Account:
You may send a request to open an ZOOM Account at helpdesk@bdren.net.bd or noc@bdren.net.bd to
explore the BdREN ZOOM facility. We would humbly request you to follow the following guidelines set by
UGC.

➢ Please send the email keeping your honorable Vice-Chancellor in CC (vcoffice@vc.buet.ac.bd).


➢ Please send the email from your academic email address.
➢ It would be appreciated if you share the link of your profile on the university's website. Please ignore
it if not possible, but share your university website.

2. Account Activation:

➢ You will receive an invitation in your given email address like below picture from zoom and approve
this.

➢ Click sign up with password

➢ Give your Name, Email Address and Password


Click the "Continue" button, and your Zoom Account Creation process is done.

3. Downloading the ZOOM Software:

You can download the Zoom Desktop Client for Mac, Windows, ChromeOS and Linux, as well as the
Zoom Mobile App for iOS and Android from Downloads page.

➢ Enter this link in your favorite browser: https://bdren.zoom.us/download

➢ After download, go to download location and install the ZOOM software:

4. Signing in to your ZOOM Account with ZOOM Client


Software:
➢ To sign in, use the same email address that you have used and your provided password:

5. ZOOM’s – Home Interface:

➢ After signing in, you will see the Home tab, where you can click these options:

➢ New Meeting: Start an instant meeting. Click the downward arrow to enable video or use your
personal meeting ID (PMI) for instant meetings.
➢ Join: Join a meeting that is in progress.
➢ Schedule: Set up a future meeting.
➢ Share Screen: Share your desktop screen in a Zoom Room by entering in the sharing key or
meeting ID.
➢ Call a Room: While H.323 and SIP-based room systems can be invited to a meeting once it has
been started, room systems can also be called directly from the desktop and mobile client, without
starting a meeting first.

6. Make a Schedule Meeting (as a host):

➢ Select the Meetings tab from top menu and click (+) icon and select

Schedule Meeting, like below picture:

➢ Fill in to make a schedule meeting:

➢ Now Copy the invitation from Clipboard and share this invitation to Participants via email or
another platform:

➢ Select the Meetings tab and click Upcoming to view, start, edit, and delete scheduled meetings:

7. In – Meeting Controls:

➢ Click Start to Start Meeting as a host:

➢ 1. Click Join with Computer Audio if you confirmed the Audio is okay.
➢ 2. Click Test Speaker and Microphone to adjust the Audio.

➢ Orientation with ZOOM Client User Interface:
Once you have started or joined a meeting, you can access the meeting controls located at the bottom of
the meeting window (move your mouse in the Zoom window to display meeting controls).

➢ The host controls will appear at the bottom of your screen:

➢ Mute/Unmute: This allows you to mute or unmute your microphone.


o Audio controls (click ^ next to Mute/Unmute): The audio controls allow you to change the
microphone and speaker that Zoom is currently using on your computer.
➢ Start/Stop Video: This allows you to start or stop your own video.
o Video controls (click ^ next to Start/Stop Video): If you have multiple cameras on your
computer, you can select which Zoom is using, access the full video controls.
➢ Security: Access in-meeting security options.
➢ Manage Participants: Opens the window to manage participants and invite others to join the
meeting.
➢ Polling: Allows you to create, edit, and launch your polls. The options to create or launch polls will
open up the Zoom web portal in your default browser.

➢ Share Screen: Start sharing your screen. You will be able to select the desktop or application you
want to share. When you are screen sharing, the controls will appear at the top of your screen, but
you can drag it to another location.
o Screen Share controls (click ^ next to Share Screen): Select who can share in your
meeting and if you want only the host or any participant to be able to start a new share
when someone is sharing.

➢ Chat: Access the chat window to chat with the participants.


➢ Record: Start or stop a cloud or local recording.
➢ Breakout Rooms (only available to the host): Start breakout rooms.
➢ More: Clicking on More will give you access to additional options.
o Live on Facebook: Broadcast your meeting live on Facebook. (More Guide)
o Live on YouTube: Broadcast your meeting live on YouTube platform. (More Guide)
o Live on Workplace by Facebook: Broadcast your meeting live on Workplace by
Facebook. (More Guide)

➢ Click End to End Meeting:

➢ End (only available to the host): Display the following two options.
o End Meeting for All: End the meeting for yourself and all participants.
o Leave Meeting: Leave the meeting. You will be prompted to assign a host so that the
meeting can continue.

8. Joining a Meeting:
➢ Two way to Joining a Meeting
o Using Meeting ID in ZOOM Client
o From Email Invitation
Using Meeting ID in ZOOM Client:

Click Join . Enter meeting ID or personal link name and click Join.

From Email Invitation:

▪ Click the join link in your email or calendar invitation.

▪ Depending on your default web browser, you may be prompted to open Zoom.

9. Make a Schedule Meeting to Web Portal:

➢ It’s more advance from ZOOM Client Software to make a Schedule Meeting:

o Recurring meeting: Check if you would like a recurring meeting. This will open up additional
recurrence options. Select how often you need the meeting to recur: Daily, Weekly, Monthly, or No
Fixed Time. It can recur up to 50 times. If you need more than 50 recurrences, use the No Fixed
Time option. (More Guide)

o Registration: Check this option if your meeting will require registration. Instead of a join link for your
participants, you will be provided a registration link. (More Guide)

o Breakout Room: Breakout rooms allow you to split your Zoom meeting in up to 50 separate
sessions. The meeting host can choose to split the participants of the meeting into these separate
sessions automatically or manually, and can switch between sessions at any time. (More Guide)

o Polling for meetings: You can add Polling, after make a Schedule Meeting. The polling feature for
meetings allows you to create single choice or multiple-choice polling questions for your meetings.
You will be able to launch the poll during your meeting and gather the responses from your attendees.
You also have the ability to download a report of polling after the meeting. Polls can also be
conducted anonymously, if you do not wish to collect participant information with the poll results.

➢ Sign in to the Zoom web portal.
Go to this link https://bdren.zoom.us/ and Sing in use the same email address that you have used
and your provided password.

➢ Click Meetings, and click Schedule A New Meeting and fill in to make a schedule meeting and
Save to finish.

➢ Meeting Invitation:
Once finished, you can either select a calendar option to add the scheduled meeting to your
calendar or select Copy the Invitation to send out the invitation to your Zoom meeting.

Copy the Invitation will open up a window where you can copy the full invitation to send out via email.
