World Food Programme, Indonesia invites applications from the eligible candidates for the following
position:

Position: Executive Staff Assistant


Contract Type: Special Service Agreement/Service Contract
Duty Station: Jakarta, Indonesia

Accountabilities: Under the direct supervision of Country Director and or Deputy Country Director, the
incumbent will be responsible for the following duties:

• Assist CD/DCD on protocol issues in order to facilitate good relationship with the key
government counterparts – main focus will be to provide updated information on key
government staff changes and main developments, including policy changes which could affect
our relationship through good contacts and information gathering;
• Identify and extract information from various sources and prepare briefing notes and/or resume
for inclusion in briefs, correspondence and reports; draft moderately complex correspondence
and review all outgoing correspondence for composition and style, as well as, grammatical
accuracy, factual correctness, and adequacy of treatment as well as adherence to WFP
procedures;
• Act as PI focal point. Monitor press coverage and highlight key news on food and nutrition
security, natural disasters etc linked to WFP work, draft press releases, facilitate media
interviews for CD, etc. Assess the general reaction of the public to the work of the Programme
on the basis of information gathered from media, organized groups and correspondence; ensure
that responses to direct or indirect requests for information about the work of the Programme
promote a better understanding of the organization’s objectives, policies, and activities; Stay
current on WFP operations, policies and pertinent issues; analyze the political and social events
that affect those activities within an assigned geographical or thematic area and advise WFP
officers on the tone and content to be expected from media queries;
• Compile briefing kits for the media, missions and other interested groups or organizations for
use on official trips or special meetings;
• Draft correspondence on a variety of subject matters, some which are highly confidential;
Ensure that responses to direct or indirect requests for information about the work of the
Programme promote a better understanding of the organization’s objectives;
• Receive, screen and log correspondence, report etc and forward to the CD and/or DCD as
appropriate, maintain a log in system and follow up to ensure that replies and/or action is taken
in a timely and efficient manner;
• Screen, assess and refer telephone calls and enquiries to the CD or appropriate unit, ensuring
that action is taken accordingly including coordinate and expedite office wide responses to
sensitive telephone and written enquiries on behalf of the CD;
• Maintain the CD and DCD’s calendar and schedule appointments, meetings, trips, and brief the
CD on matters to be considered prior to scheduled meetings;
• Prepare informal translations and act as interpreter when required;
• Update on a regular basis the CO focal point matrix;
• Maintain and update the office’s filing;

• Arrange CO events such as Annual Work Plan meetings and HSO meetings as well as missions;
• Maintain CD/DCD activity calendar;
• Organize and take notes during the weekly meeting and general staff meeting;
• Perform other related duties as required.

Qualifications and Experiences:


Education: Postgraduate University degree and/or equivalent experience with emphasis in one or more of
the following disciplines: economics, agriculture, international affairs, geography, nutrition, social
sciences, development studies or a field relevant to international development assistance.
Experience: At least one year of postgraduate job related experience responsible professional experience
in food security, vulnerability analysis or a closely related area, such as food security or early warning.
Knowledge: Training and/or experience utilizing computers including word processing, spreadsheet and
other standard WFP software packages and system. General knowledge of UN system policies, rules,
regulations and procedures governing administration.
Language: Fluency in both oral and written English and Bahasa Indonesia.
