3. Introduction
This document contains information about SCAD’s intent to have its existing internet web
site redesigned and implemented in a responsive, flexible and interactive design; such that
it requires least number of user actions/interaction to get the content delivered and
presented.

The new Internet Website would be based on advanced SharePoint 2013 technology and
will present various details, information, statistics, releases, publications and statistical
documents/information about Abu Dhabi to GP (General Public/End users).

SCAD’s SharePoint 2013 Responsive website SRS document is developed as a result of


business workshops conducted with SCAD’s Web Management team; it defines the
gathered requirements as visual wireframes/illustrations and software specifications.
Therefore, it will serve as basis for the design, development, implementation and
acceptance phases.

3.1. Purpose
This document aims at describing the details of requirements (functional and non-
functional) such as functionalities, features, and user interfaces of SCAD Public Website.
In this document, the behaviors, user interface and interactivity details of the website
will be fully described.

By using this document, project team, customer business team, website design and
development team will have a full view about the interface and functions of the SCAD
Website and customer business team can review this document to verify finished
product against requirements specifications.

functional requirements mentioned in this document.

4. Overall description
SCAD’s public facing website will be built on SharePoint 2013 platform. This section will
give a requirements specification overview of the entire website. The website will be
discussed in this context to show how users will interact with it, what features and functions
will be available and introduce the overall functionality of it. This will also describe what
type of stakeholders will use the system and what functionality will be available for them.
Lastly, the constraints and assumptions for the system will be presented.

4.1. Solution Perspective

SCAD’s new SP 2013 website would be accessible to users via Internet. The website will
have two interfaces, one for the common internet end users and one for the Content
Managers and Administrators.

The public facing website will require no login details or credentials to view the website.
The objective of the website is to present statistical publications document and related
information to end users at the click of a button. The site is targeted to have a very neat
and clean user interface with zero to minimal learning curve.

SCAD has designed and developed Adobe PSD design files to build the new site around
that layout. The implementation team will be making use of the exact design files shared
by SCAD to mimic the behavior/functionality by first creating HTML files and will then
integrating in SharePoint. The design files are designed in light of Abu Dhabi style
guidelines and the implementation team will be making sure to implement the behavior
in light of those guidelines.

In case of any design/interaction found missing, SCAD will be providing the required
design/interaction example in Desktop and Small device visualizations
(PSDs/JPEGS/Images).

Rather than having different version to target each specific device; it will have a very
responsive interface to accommodate personal computers as well as common handheld
devices such as Tablets and Mobile devices. The interface will shrink on Mobile devices and
expand on laptop computer to fill up screen space.

4.1.1. System Interfaces

SCAD’s website is based on SharePoint 2013 platform. SharePoint 2013 connects to


Active Directory Domain controller for user management and SQL Server to place
its databases.

The website will be connected to Dynamics CRM via a web service interface. This
web service is developed by CRM team at SCAD and the solution implementation
team will be making use of this service to push and pull data to CRM.

Details on CRM interface are available in the functional requirements section of this
document. Apart from the services module/section, SCAD’s new portal will be a
standalone public website providing statistics and related information to end-users
in the form of read-only content and some downloadable documents.

4.1.2. User Interfaces

System will have a friendly user interface and will comply with the guidelines
provided by SCAD and Abu Dhabi Style Guidelines. Details about user interface is
provided in the upcoming sections.

4.1.3. Hardware interfaces

Since the system is a public website; therefore no specific hardware interface is


required except for the device being used to open the website should be connected
with the Internet.

4.1.4. Software interfaces

System being a public website; the only software required to use the system is a
modern web browser. List of supported web browsers is provided in Non-Functional
Specification section.

4.1.5. Communication Interfaces

Since the system is a public website; therefore no specific hardware interface is


required except for the device being used to open the website should be connected
with the Internet.

This part is explained in the user interfaces section.

4.1.8. Site Adaptation Requirements

SCAD’s public website would run on every platform having a modern


browser (listed in non-functional requirements section) that can be run on
any operating system; so it does not need any adaptation to a particular
platform.

4.1.9. External interface requirements

The system only has interface to one external web service for Service
module/section implementation with CRM.

4.2.1. HTML5 Features

Website would use various & features.

 Website would be dynamically resize to fit on major display sizes


 In modern browsers, HTML5 video player will be used to play the videos

4.3. Configuration List

A Configuration list (SharePoint List) would also be available in the root web to store
any common or technical information that would be used in the site.

4.4. User characteristics

There are three types of users of the system.


1. Administrator
2. Content Managers
3. Users / Viewers

Administrators will be able to manage permissions for the website using out of the box
SharePoint features.

Content Managers will have permission to add/update content in the system that is
visible to the normal users / viewers. Information added by content managers will be
approved by Administrators/Approvers to approve/reject the content

Viewers of the website will only use the website to obtain information. The whole site
will be read-only to users except for following forms where they will only be able to
submit information to SCAD.
1. Feedback forms
2. Contact DG form
3. Services section forms

4.5. Constraints

There are no special constraint for the end user except to have a modern browser that
supports HTML5 and an Active Internet Connection on the device.

4.6. Assumptions and Dependencies
 The design for the website (Desktop and Small Devices) will be provided by SCAD
including PSD and Image files for each page in each section of the website. Visual
comments or Illustration can be provided for small to little changes.
 As understood the design files which SCAD will provide will be designed in light of
Abu Dhabi Style Guidelines. The implementation team will be following the design
files (PSDs/Images) provided by SCAD.
 Content Managers will use out of the box SharePoint capability (lists/libraries) to
update content. Illustrative and self-explanatory navigation will be setup to let
content managers guide in updating each section of the website. As SharePoint
2013 provides extensive content management capabilities, custom admin panel will
not be part of the solution.
 SCAD will provide the hardware and software for the SharePoint servers.
 SCAD will provide the SQL farms necessary for the environments.
 Providing Firewall and configuring is SCAD responsibility.
 SCAD will be responsible for the hosting.
 For Eservices, CRM availability is SCAD’s responsibility. Data for Eservices will not be
stored in SharePoint, it will be retrieved and pushed to SCAD’s CRM on the fly.
 The implementation team will need CRM web service URL availability on internet for
them to implement it in the new design.
 The website will support only mentioned browsers in the non-functional
requirements section.
 Users will be fetched from SCAD’s Active Directory.
 Security will be managed by SCAD.
 SMTP for Outgoing email will be configured by SCAD.
 This solution does not include any windows or web services development.
 All the information except for Eservices will be stored in SharePoint lists not in SQL
Servers.
 Content should be fully edited and adjusted outside SharePoint before uploading.
 Styling or formatting for Printing will be out of the box.
 There will be no sign in option via social sites in the website.
 This solution only includes out of the box workflow to approve/reject publications
being uploaded by content managers (content managers will upload the content
and admins will approve).
 Only approved publication releases will be displayed on the website
 Anything not mentioned in details is this document is only content.
 Emails sent from SharePoint internally will not be customized and will be in English.
 Emails sent to public users will have both English and Arabic text in same email
body.

 Email sent to public users will be plain text and will not be based on any content
template.
 Internal emails (to web management team) will be will be sent at web@scad.ae.
Emails sent to end users will be from: no-reply@scad.ae both of these email address
will be configurable and stored in Configurations List.
 Designs embedded in this document are for reference only.
 Actual site may show slight to some difference and will resemble to the designs
provided by SCAD.
 The SharePoint list schemas and number of SharePoint Lists/Web Parts mentioned
in the document are for understanding reference only. The total number of web
parts and lists/libraries and architecture may vary in actual implementation.

5. Functional Requirements
Following are the identified components of the system.

5.1. Bilingual Website

SharePoint 2013 variations (manual) feature will be used to implement SCAD’s website
with bilingual (Arabic and English) front end. A language switch link will be provided
on website in header, which will allow visitors to switch from Arabic flavor of website
to English, and vice versa. SharePoint 2013 Variations will be manual and will not be
used for data or content propagation. It will just provide a virtual segregation between
English and Arabic.

5.2. Page Layouts

A Page Layout in SharePoint is a template for a page that users/admins apply to their
content for a consistent layout of information. The zones in the page layouts are used
to add web parts.

Page Layouts are based on a Master Page and inherit certain controls defined in it. For
SCAD website, header and footer will be part of the Master Page, this will ensure that
same look and feel is maintained throughout the site and same header and footer are
available in each page. Following are the Page Layouts which will be available in the
website:

The color codes will be stored in SharePoint Themes List. The schema for the list is
mentioned in section (5.10.3). Content Managers will be able to update color codes
for a theme anytime, they wish. This change will be reflected in Home Page, Statistics
and Surveys sections of the website including anywhere else where themes branding
will be getting used.

5.4. Responsive Website


The layout of the website will be responsive to adapt any screen size (Desktops,
Tablets and Small/Mobile Devices).

The primary purpose of header is to promote company’s brand and make it instantly
recognizable to users. Users should instantly know they have arrived at the correct
place. Global header would be visible on each page of the website. Header would stick
to top while scrolling the website in desktop computers only.

 Alignment of header would stay the same in both English and Arabic site
 SCAD logo would stay on right on both English and Arabic site.

Language switch button would toggle the website language between Arabic and
English and will be available throughout the website.

The search options menu will be created dynamically from a SharePoint list
containing approved items. If Content Manager adds or deletes items from the list;
it will be automatically reflected in the search options.

SCAD website search will search content within SharePoint Database while when
selecting International Statistical Search the search will be queried using Google
search JS API. Both search options will navigate user to a single page with different
results. The International statistical search will be using the following JS to render
results from Google.

The logo for SCAD new SP 2013 website will be updateable and Content Managers
will use OOTB SharePoint capability to change it, if necessary. The logo will be
positioned right in the header, floating right.

SCAD website logo would be a clickable image. Upon clicking it will take the user to
the homepage of the website irrespective of where the user is within same
window/tab.

The top navigation menu will be created dynamically from a SharePoint list
containing approved items and will be a 1 level child menu only. If Content Manager
adds or deletes items from the list; it will automatically be reflected in the top
navigation menu. Child menus will render by clicking on the parent menu item

Clicking on parent menu items in the top navigation will reveal child menu items
and clicking on each of these will take to their respective page in the website.

The menu will only contain textual items. Main menu on Small Devices will open
from the right. Top menu and sub menus will open when touched on the heading.
Since the menu is not simple but has style for each item, the number of items menu

5.6.1. Subscribe
End users will be able to subscribe to SCAD’s Newsletter. Email address of a user
subscribing to SCAD’s Newsletter will be saved in a SharePoint List.

subscribes and proper email validation occurs he/she will be presented with
greeting text that he subscribed to the newsletter. A confirmation email will also be

5.6.6. Expand Sitemap


By default the footer will not be showing SCAD sitemap. But the end user can view
the site map anytime by clicking on the Expand sitemap toggle arrow to reveal

sitemap staying on the same page. When the expand sitemap will be clicked the
footer will expand upwards to reveal SCAD SP 2013 sitemap.

The banner on the home page will be a rotating carousel of max 5 images. It would
be SharePoint web part added to the home page. The web part would take images
from a SharePoint Picture Library.
1. Banner will be clickable and clicking on the current image hyper link will

2. There will be maximum of 5 images displayed in the Banner.
3. Latest 5 approved images will be retrieved by the web part in a sorting order
defined in the picture library schema.
4. User would be able to change the image from bottom bullet controls.

image. The text will render as overlayed on the image in the banner web

The max releases count will be (5) per page and incase the total number of releases
increased than 5 pagination will be used.

in the above scenario Latest Release will be in expanded mode and (4) old
releases will be in collapse mode. Clicking in any of the collapsed release will
expand it collapsing currently expanded release.
In case the user did not click on the Publication directly and clicked on the theme
box he/she will be directed to another content page in Statistics section showing
(5) Latest Releases from all sub themes and (5) Must Read Publications in that
theme.

The web part will be displaying the press release logo, title, published date, press

A press release can be of 3 types, the logo of the press for each type will also vary

Content Managers will be able to add new release for a publication by creating a
new item in the above list and then uploading documents for this release in a
separate document library. The release will stay in draft mode unless the users in
admin role approve it via a workflow.

5.7.7. Feedback

The feedback web part on the home page will let users give their feedback to the
question mentioned in the web part. Both the questions and the choice will be
updateable and Content Managers will be able to update the text (question +
options) which displays in this web part.

The web part will store the feedback comments and question information in a
custom SharePoint Feedback Result list. If configured the web part will also be
emailing feedback to the email address mentioned in the Feedback Configuration
list.

The web part will also include a captcha control for a word verification where only
numbers and alphabets will be allowed. Selecting the option and submitting
comment will reveal captcha for words verification, once the captcha verifies the
information will be saved.

There are two kinds of surveys in SCAD, current and future. The website will have
three web parts to cater surveys functionality, one to display banner image on the
pages, second to display all surveys (Current/Future) and the third to display a survey
in details page.

The banner image web part on all surveys page will be just an image and not
clickable. There will be different images for EN and AR cultures. Content Managers
could change the above image in surveys by uploading a new image of

linked to. Read below sections for more details:

5.9.2. All Surveys Web Part


This web part will be added on the All Surveys Page of Surveys section. The web
part will be displaying current and future surveys. With tabs to switch surveys view.

By default current Surveys tab will be the default view. A survey can be linked to a
theme. By linking a survey to a theme makes it adopt certain features of theme.
For example the logo, title and banner in the details page.

In the above figure each survey is linked to a theme. Multiple surveys can be
linked to a theme. But multiple themes cannot be linked to a survey. For example
Annual Economic Survey and Quarterly Economic Survey are linked to Economy
theme. This is the reason the icon and title of these are in Economy theme color
code.

Each survey in this web part will have an icon, title and descriptive text with a more
link which will take user to the details page of the survey.

5.10.4. Publications Release Web Parts

The publication web parts are the most web important web parts in SCAD website
as they provides the core information users are interested in; two web parts will be
created to cater the publications functionality:

 Publications Web Part; Displays latest (5) and must read (5) releases in a
theme
 Publication Release Details Web Part; displays latest release in expanded
while previous releases in collapsed mode. The expanded release displays
the documents and let end users post feedback as well. While submitting
the feedback captcha information is also required.

The list to retrieve data for these will be a SharePoint custom list. Publication
Release custom list schema is already mentioned under section (5.7.6). The color
of most of the content will be based on what theme the current user is on.

display the latest 5 or must read 5 releases from the current theme in all
subthemes in two tabs. The default tab will be of Latest Release.

Content Managers will be able to add new releases in the draft mode and will
the release will need to get approved before getting displayed to the end
users. A two-step content approval/rejection workflow or SharePoint out of the
box content approval/rejection feature will be used for this purpose.

Clicking on a publication will navigate user to the details page where the
following web part will be added.

The expanded release displays the image, title of the release, description, issue
date and type a long-with attached documents (from a separate document
library).

The documents uploaded to document library for a release will be linked to


publication release. A document being uploaded could be attached to multiple
releases in multiple themes and publications. Following is the schema of

mentioned target page. Both image and hyper link will be fetched from a
SharePoint list for this web part.

height of container.

A SharePoint list will be created to store Mobile Apps related content.

Navigational links will also be part of the content.

For Mobile Apps section in Interactive tools these links will navigate to app stores.
The links will be rendered as App screenshot and App store icons.

Out of these above pages last three will fall under Government services while the rest
in General services. Every page in this Services section pulls and push data to CRM via
a WCF web service, which will be made public temporarily to be accessible outside the
SCAD’s intranet until final solution deployment.

The Services overview page, submit CV, tenders and training page will have just plain
HTML content (no data forms) and will not be integrated with CRM.
Content/Information within these three pages will be retrieved from SharePoint lists.

For the remaining data form pages; documents, links, some brief textual description
and icons will be saved within SharePoint. While the forms will be rendered in the web
part on the fly using some dynamic and some static controls. Once the form submits
and proper validation occurs it will push the information in CRM using WCF web
service. Form web parts are mentioned in the following section with complete field
level details.

Once the data is submitted it, the CRM will automate the business processes. SCAD’s
services section scope is limited to pulling/presenting and pushing data from and in
CRM only with the web service provided by SCAD.

Each page in this section will follow the layout mentioned for Services in Content Page

5.13.1. Services Overview Page / Web Part


The Services overview web part will be added on Services overview page and will
display two tabs

 General
 Government

By default the general tab will be selected. The design/illustration for General tab
will show five links/steps. On desktop computers hovering on a link will grey out
the other links and distinctly urge the user to click on the hovered link.

Once the user will click on the hovered link he/she will be navigated to the target
page with a dynamic web part on it which will pull the data from CRM and render
a form to submit details.

If the target page was not CRM related a simple HTML with some links or
documents will be presented to the end user.

The hover functionality will not be available for small devices instead a simple
touch/click will do the job. Same concept applies for the Government tabs section
as well.

As the design is fairly complex and hardcoded with the number of image links,
Content managers will not be able to add more links but they could change the
links to existing icons from a SharePoint list for services section.

This web part will be added on the Data Request page along with Services Generic
Information Web Part which will be configured to display descriptive text for Data
Request page.

The Services Data Request Web Part will call CRM WCF web service to render
themes and Client Types using dynamic controls while other controls will be preset
in the form.

Fields marked with red star are mandatory and will require proper validation
before submitting the form. The mobile number will have a place holder in a
format similar to: (+971 – xx – xxxxxxx).

5.13.4. Services Submit CV Page / Web Part


The services submit CV page will just have a Services Generic Information web part
which will be configured to display Submit CV information to users along-with link
to SCAD’s job portal.

5.13.5. Services Subscribe Page / Web Part


This web part will be similar to Services Data Request Web Part and will be added
on the Services Subscribe page along with Services Generic Information Web Part
which will configured to display descriptive text for Subscribe page.

The Services Subscribe Web Part will render all sub theme categories in the SCAD
website as shown below. The web part will be configurable in a way that it will
have custom properties (theme checkboxes) to render sub theme categories. If a
theme will not be checked in the custom properties of the web part, its sub theme
categories will not render.

Once the user will subscribe to sub theme categories, his First Name, Family
Name, Email and Mobile number will stored in SharePoint Services Subscription
List and an email will be sent to the subscribing user via SharePoint list item
receiver, item added event.

Once the web management team will be finished with uploading the documents
for a release and admins will set the release item (status) approved, an email will
be sent.

To send this email a SharePoint list item receiver for item updated event will be
created, this receiver will flag if the status changes to approve and will send an
email.

The web part queries the WCF web service GetCaseDetails method for this
functionality.

5.13.8. Tenders
Tenders will be a page displaying Instructions, SCAD Tenders and Vendor
Registration information to the user. Users will be able to download any
document for a tender by first agreeing to the terms and conditions in the
instructions tab.

SCAD tenders have a closing date after which the status of tender will be
marked as closed and users will not be able to download the document.
Pagination will be used to render all tenders below the tabs and per page five
tenders will be displayed to the user in latest creation date ascending order.

content and document attachment link related to Statistical Consultations and the
form on the page will have the following fields:

The above view will be a slider and will let end user slide through images with the
controls provided.

Each Image will have a title, description. Content Managers will upload the images
in separate folders in a SharePoint Library. These folder will be named as follows.
And will be rendered as tabs in the web part. This will allow CMs to introduce
more types of images in website, in future, if required.

 Partnerships

Any image in Partnerships folder will of Partnership type and will be visible in
Partnerships tab/type in the slider. Same concept applies for the rest of images.

5.14.2. All Press Releases


This web part will display All Press Release items which the Content Managers will
be adding via a Document Library.

The total number of items in the Press Release will be 5 per page. Pagination will
be used to navigate between previous press releases. The schema and types of
Press Releases are already defined in section (5.7.5).

illustration and clicking on more will download the press release. The red border
will appear while hovering on a press release in Desktops only.

5.16. Content Migration


At a later stage in the project once the implementation team will be finished with
solution development and all components of the website will be ready. Content
Migration activity will be performed to migrate Publication Releases including all
documents attached to a release.

The content will be migrated from the latest site collection backup shared already by
SCAD on March 17, 2015, with a file size of 1.52 GB in compressed zip format. The
implementation team will not be responsible for any other content migration activity
and SCAD web management team will be taking care of adding any other content
once the website is delivered.

The scope of migration activity is limited to Publication Releases and documents


attached to releases only.

6. Other Requirements
6.1. Non-Functional requirements
 The website would support both English and Arabic

6.2. Design constraints

The system is provisioned to build on SharePoint 2013 platform which is highly flexible
and scalable.

Server Side:

The disk space on SQL Server should always be at least 10GB available.

The installed Memory on each Web Front End server should be at least 32GB.

Client Side:

The client’s browser must be a modern browser and support HTML5 standards. A list
of compatible browsers is provided in the previous section.

6.3. Logical database requirement

As the system is provisioned to be built on SharePoint 2013 platform, there is no explicit


instruction or requirement on data storage. SharePoint 2013 automatically handles the
data manipulating part with SQL Server at the back end.

All the SCAD’s web site data will be saved in SharePoint lists except for Eservices
module/section. User interaction and data will be directly pushed and pulled from
SCAD’s CRM WCF web service.

6.4. Software System attributes


6.4.1. Reliability

As the system is based on SharePoint Server 2013, a pair of SharePoint 2013 web
front ends are configured behind network load balancer to ensure seamless

6.4.2. Availability

System would be available to user as long as SCAD’s server are available.

6.4.3. Security

The system is a public website; therefore all the content will be available for the
users.

From the administrator’s perspective, SharePoint 2013 supports security for user
access at the website, list, list or library folder, and item levels. Security management
is role-based at all levels, providing coherent security management across the
SharePoint 20 13 platform with a consistent role-based user interface and object
model for assigning permissions on objects. As a result, list-level, folder-level, or
item-level security implements the same user model as website–level security,
making it easier to manage user rights and group rights throughout a website.
SharePoint 2013 also supports unique permissions on the folders and items
contained within lists and document libraries.

The security model for the new website will be similar to what SCAD is already using
in its SharePoint 2010 website.

Administrators will be able to add new groups and defines roles at a later time as
well. Following out of the box groups will be available in the SCAD website.

6.4.4. Maintainability

The code will be written in a way that it favors implementation of new functions.
SharePoint 2013 out of the box features will be used mostly to keep components as
simple as possible for future maintenance.

SharePoint Server 2013 allows content manager to update/upload content in a


friendly interface.

6.4.5. Portability

The system shall be built explicitly on top of SharePoint 2013 platform. Thus, it
cannot be installed on any other server or server with a different SharePoint release.

The actual design and functional implementation of the site will resemble to the design
files provided by SCAD.

6.6. Other Requirements


1. All static links and configurable items will be read from resource or some
configuration list.
2. For all input controls like Number, Email address etc. validations will be provided
for SCAD data input forms.
3. Page not found and error handling page in case if any content not found or in
case of some expected or unexpected error occurred.
4. All dropdowns will be sorted alphabetically in an Ascending order.
5. All SharePoint installation to be done using English media including central
administration. Source variation will be English but landing page will be Arabic.

6. For data input forms; send button would be disabled to prevent user from
submitting same request multiple times. After confirmation message button will
