PREFACE

The manual is developed for internship coordinators, mentors and students involved in an
internship program. It is to serve as a guide. The manual is a useful resource for planning and
managing successful, quality internship experiences that will enrich the educational experience
of students.

The purpose of each section is mentioned separately to make it easy for the reader to understand
why that part is to be included in the report. I hope that the manual will serve the students to
save their time and to make it easy for them to prepare their internship reports in the right
direction.

For further information or questions on internship programs, contact the facilitator of the
internship program.

1. Title page

This page is certainly the first impression of the whole report which
must have hard boarding black color. The page includes the name of the
organization, the internship tenure, the monogram (Ajk university/
organization), the submitted by title, degree name, and college name. A
sample is given in annex 1. After the title page, a page is intentionally left
blank, followed by a copy of title page.

2. Certificate of internship

The certificate provided by the organization as a proof of internship


must be included in the report.

3. Abstract/ foreword / preface

3.1 Purpose:

The students have to submit their views regarding effort and work
done in preparation of the report.

3.2 Contents:

• The first paragraph must include the reason of choosing the


particular organization in which the student has done internship.

• Second paragraph includes student’s experience with the


organization, scope of the report, sources of data gathering and findings.

• Final paragraph includes the hurdles found in gathering data and


problems faced on workplace and some closing words.

4. Acknowledgements (optional)

Let the people feel that you appreciate their guidance and precious
time they devoted for you.

4.1 Purpose:

This page is an opportunity to thank all of those people who have


contributed in your work e.g., the staff of the organization, lecturers,
librarian, course instructor, family or any other person who helped you to
complete your internship report.

5. Executive Summary

It is considered the most important part of a report and it should be


written at the end. It can be called the micro image of the report.

5.1 Purpose:

Executive summary is actually the summary of the whole report. The


executive summary contains enough information for a reader to get
familiarized with what is discussed in the whole report without having to read
it in full. It must be precise but thorough. The length can be one or two
pages.

5.2 Contents:

• It contains most important information in the report

• The sources of information gathering

6. Table of Contents

6.1 Purpose:

One can easily find the pages to be studied by the help of table of
contents.

6.2 Contents:

• It includes all the headings and subheadings used in the report

• It starts from title page and ends at the last section which can be
bibliography or annexure (if any) of the report showing the page numbers.

7. List of Tables, Graphs, Charts or


Abbreviations/ Acronyms (optional)

7.1 Purpose:

It Identifies any tables, graphs, charts or abbreviations shown in the


report and helps to open it easily.

7.2 Contents:

• Page numbers

8. Introduction of the report:

8.1 Purpose:

First part provides introduction to make reader familiar with the report.

8.2 Contents:

• The reason of preparing the report

9. Introduction of the organization

9.1 Purpose:

It serves to familiarize the reader with the organization which will be


further analyzed in the report.

9.2 Contents:

10. Organizational Structure

10.1 Purpose:

Organizational structure is presented in this part. It furnishes an idea of


the scope of business of the organization.

10.2 Contents

• Number of Employees

• Introduction of all the departments

11. Internship program

11.1 Purpose:

The main reason for writing the report is to present what you learnt
and experienced during your internship. From here you have to move from
theoretical part to the practical part of the report.

11.2 Contents:

• Brief introduction of the branch where you did your training.

• Names of the departments where you did your training.

• Detailed description of the work done in the departments where


you worked for.

• Detailed description of the tasks assigned to you.

12. Financial Statements

12.1 Purpose:

Furnishes the base to further analyze the organization.

12.2 Contents:

Financial statements of last five years.

13. Critical Analysis

13.1 Purpose:

Critical analysis of the organization is performed to analyze the past


and present situation of the organization and its future prospects. This will
help to relate your theoretical concepts to your practical experience during
your internship.

13.2.1.1 Ratio Analysis

At least 8 to 10 important ratios of the past five years.

13.2.1.2 Horizontal Analysis:

• Horizontal Analysis of the Profit & Loss statements of the last five
years.

• Horizontal Analysis of the Balance Sheet statements of the last


five years.

13.2.1.3 Vertical Analysis:

• Vertical Analysis of the Profit & Loss statements of the last five
years.

• Vertical Analysis of the Balance Sheet statements of the last five


years.

13.2.2 Organizational Analysis

Organizational Analysis with reference to the organizations listed on


the stock exchange.

14. SWOT Analysis

14.1 Purpose:

Another helpful tool which is used to analyze the internal (SW) and
external (OT)

situation of an organization is SWOT analysis. It will help you to get a more


clear insight of the organization and will help to base your recommendations
and suggestions on your findings.

14.2 Contents:

S: Strengths of the organization

W: Weaknesses of the organization

O: Opportunities found in the external environment for the


organization

T: Threats in the external environment which should be handled


proactively.

15. Conclusions and Recommendations

15.1 Purpose: Finally you have to conclude what you found on the
basis of your analysis and to present recommendations for the improvement
of the organization.
