objectives.

a. General Information

Project Title: RENOVATION OF RIPHAH UNIVERSITY AUDITORIUM

The Auditorium of Riphah University is old and unable to meet the modern

b. Project Objective:

Project objectives are:-

a. Renovation of existing auditorium in to a modern multipurpose facility for Curricular and


Extra Co- Curricular activities with a capacity of accommodating 200 students.
b. Meet the modern requirements of teaching aids and of latest auditorium technologies like
soundproofing, movie theatre, lecture halls, stage drama presentations and convocation
/ seminars venue.
c. Should be able to meet the HEC requirements of all levels of university activities including
hosting of seminars of national and international levels.
d. Provide a suitable place for students to carry out academic learning and also carry out
co-curricular activities.
e. Complete renovation and remodeling including refurbishing of existing seats.
f. Provide a temperature controlled environment for both summers and winters.
g. Renovation to be completed before start of next semester.

c. High Level Requirement

a. All seating to be in steps for easy viewing of stage.


b. Remodeling of stage along with construction of changing room and viewing room along
with modern pulley system for curtains.
c. Modern surround audio and video system with electronic screen along with sound
proofing of auditorium.
d. Climate controlled environment.
e. Lighting arrangements in every row with independent switching system at the back.
f. All wires and caballing to be conducted.
g. Interior décor and colour combinations as per the seating.

2. Outline Project Scope.


Project Scope
a. Project Scope Description
To carry out Renovation, Rehabilitation and Remodeling of Riphah University
Auditorium located in Rawalpindi Saddar on Peshawar Road into a high-quality, multipurpose,
modern and elegant auditorium within 12 weeks at cost not to exceed as indicated in the contract.

b. Deliverables
1) Marble flooring on complete floor.
2) Steps for easy viewing of stage in layers (ie Back high and front low).
3) Re-cementing on walls and wooden paneling.
4) Construction of wooden floor stage with pulley system for curtains. Dimensions of
stage to be 50 x 20 ft with stairs on both sides and in front to climb on stage.
5) Modern surround audio system connected with video and audio system.
6) Video projection room for movie shows.
7) Installation of reversible ACs for climate controlled environment as per the
capacity.
8) Repair of false ceiling with lighting arrangements in every row with independent
switching system at the rear.
9) Sound proofing of walls.
10) Changing room (dimensions 10x15 ft) on both side of stage with viewing room on
other side with entrance on stage. 5 ft passage in between the rooms on the stage.
11) Electronic video projection screens.
12) Computer op room in the rear.
13) 200 Students cushioned seats.
14) All caballing to be conduced.
c. Scope Acceptance Criteria
1) All electronic gadgets to be of top brand with warranty periods to the maximum.
2) Design and layout to be approved before proceeding from competent authority.
3) All stages of work to be inspected by Quality Control Consultant hired by the
University administration.
4) Designer should present the 3 D Model of the Auditorium for approval.
d. Scope Exclusions
1) Alternate energy source ie UPS and solar paneling wiring included but gadgets not included.
2) Contractor responsible for subcontracted work.

7. Major roles & responsibilities of the project team.

Project Team Roles and Responsibilities


1) Project Manager  Responsible for preparation of project plan and approval of
deliverables.
 Completion of project within given budget,scope and
schedule.
 Establishes requirements with Operations Manager and
Architect to ensure design compatibility renovation /
remodelling blueprints.
 Obtains all requirements and plan / develops design which
satisfies Homeowner.
 Support the operations Manager in managing the project.
 Ensure quality management plan is developed at project
inception, implemented and updated, as necessary,
throughout the life of the project.
 Identify project resource requirements including any
additional requirements well in time from the project dir.
 Perform periodic checks to ensure that only appropriately
qualified personnel perform or verify work.
 Ensures contract is written properly with all clauses.
 Ensures steady flow of funds as required.
 Oversees, operations, administration and Quality control.
 Keep close liaison with Project Dir and other team
managers.
 Ensures time lines are met by all stakeholders.
 Keep project Dir and other stake holders on project
progress and timely intimate any lags.
2) Operations  Manage project team to execute project effectively and

3) Supervisor Civil  Lead the effort of acquisition of subcontractors

documented
 Ensure supplied material (product or equipment), is properly

 Check any defects in the material or product and timely
intimate to Operations manager.

4) Sub-Contractors  Responsible for hiring of labours and looking after their
administration, safety and secuirty.
 Perform or verify work relating to the delivery of deliverables
in accordance with the project plan and quality management
plan (QMP).
 Share the responsibility for the quality of services

 Responsible for technical correctness of work and


deliverables.
 Identify and timely intimate any problems relating work on
project.
 Stop further processing, delivery, or installation of non-
conforming products or services until the deficiency or
unsatisfactory condition has been resolved.
5) Quality Manager  Ensure contractors has obtained all applicable permits
 Ensure work is being done according to prevalent
regulations and as per the approved designs and
specifications.
 Point out violations at every stage and ensures it
correctness before moving to next stage.
 Visit site during each phase of work to ensure quality
implementation.
 At the completion of each MS, carry out thorough checking
and give certificate of clearance.
 Inspect quality of material and work for all subsidiary plans.
 Ensure alterations are performed correctly.
 Issue final QM clearance.
 Reports to project manager with regarding quality and
advises operations manager.
6) Architect
 Lead and develop projects from early concept through
design development.
 Prepare drawings, specifications, and construction
documents.
 Design and document project blueprints.
 Consult with clients to determine their requirements.
 Coordinate preliminary architectural studies for major new
structures and alterations to existing structures and site
development.
 Organize and manage permit documents and approvals
from the concerned authorities.
 Work closely with operations manager during execution to
ensure that the project is being developed as per the
approved designs and specifications.
 Resolve complex design issues with innovative and
practical solutions.
 Modify existing plans and elevations to fit client needs.
 Suggest economy measures during execution.
 Provide and estimated budget for the project basing on
estimation and experience in the field.
 Make three D presentation for approval of Director Project.
 Keep close liaison with structural engineer for designing

7) Structural  Analyse configurations of the basic components of a


Engineer structure and remodelling that could be done.
 Calculate the pressures, stresses and strains that each
component, such as a beam or lintel, will experience from
other parts of the structure due to human use or
environmental pressures such as weather or earthquakes.
 Consider the strength of various materials, e.g. timber,
concrete, steel and brick, to see how their inclusion may
necessitate a change of structural design.
 Liaise with other designers, including architects, to agree on
safe designs and their fit with the aesthetic concept of the
construction.
 Examine structures at risk of collapse and advise how to
improve their structural integrity, such as recommending
removal or repair of defective parts or rebuilding the entire
structure
 Make drawings, specifications and computer models of
structures for building contractors.
 Work with geotechnical engineers to investigate ground
conditions and analyse results of soil sample and in situ
tests if required.
 Liaise with construction contractors to ensure that
alterations in buildings are structurally sound.
 Apply expert knowledge of the forces that act on various
structures.
 Use computers and computer-aided design (CAD)
technology for simulation purposes.
 Ensure timely delivery of structural drawings duly approved.
 Make periodic visits to site especially before completion of
MS and identify any flaws or rectification required well in
time.

8) Finance and
Administration  Manage the accounting, contracts, finance and
Manager administration components of the project, including the
various petty cash funds and field office finance, accounting
and administrative activities;
 Ensure consistency with standard operating procedures,
policies and accounting principles.
 Develop procedures for monitoring and analysing project
budgets, which allow accurate projection of expenditures
and comparisons of actual and budgeted spending.
 Coordinate fortnightly requests for funds, based on budget
and cash flow projections, to ensure the project has all
necessary funds for operations.
 Coordinate and oversee project tendering, contracting and

procurement activities in the project


 Ensure financial reporting in accordance with project
manager timelines.
 Advise project staff on financial health through the provision
of regular and timely financial expenditure reports.
 Review and approve all vouchers prepared by the finance
officer (disbursement, receipt and general journal vouchers)
for expenditures and ensures that expenses are
reasonable, allowable and allocable to the project;
 Review and approve fund request;
 Oversee payroll procedures for staff, administer payroll, and
monitor employee time keeping
 Develop and implement office administrative and personnel
systems;
 Maintain financial controls and procedures for the
management of funds and sub awards/contracts.
 Liaise with the Project Manager to ensure the project needs
are being met in terms of accounting, contracts, Security
procurements etc..
 Maintain financial files and support annual audits.
 Ensure safe custody of material.
 Supervise provision of material and ensure its record
keeping.
 Ensure timely availability of material as demanded from
time to time.
 Ensures that safety of project material and staff.
 Ensures all safety measures are adopted during execution
of project.
9) Supervisor Clerk  Supervise accounting and contracting functions of the
project.
 Maintain expenditures and cash states.
 Generate Expenditure reports for finance Manager on daily
basis.
 Analyze, evaluate and assess expenditure states.
 Supervise internal audit team.
 Assist in preparation of budget.

 Maintain an efficient purchase order system and manager
all communication with internal customers and recommend
improvements to all service levels and ensure accuracy.
 Manage all supplier contracts and assist to administer best
pricing strategies for all purchase materials and suppliers.
 Ensure safe keeping of stores.
 Maintain proper records of issue and receipt.
 Ensures purchase of material/supplies as per the project
time lines.
