INTERNAL COMMUNICATION
The function of internal communication is to give instructions or information,
motivate employees and improve teamwork. It may flow downwards (from top
to bottom), upwards (from bottom to top), horizontally (between people at the
same level) or multidirectional through a grapevine.
15 These days, the internal memo (memorandum) is still one of the most frequently
used internal documents. It is generally used to give instructions or information
and one or more copies will be filed for reference after reading. However, in
companies where employees have access to personal computers, memos and
other internal documents are often communicated directly to the computer
20 screen, with no hard copy. Other documents for internal use are reports, minutes
(the detailed records of meetings), agendas (which list the topic for discussion
during meetings), notices and house magazines (generally used as morale-
boosters and information-providers in large companies).

Assignment: Simulate a staff meeting. Propose an agenda and minutes for record (Group Work)
Publicity has a wider meaning than advertising. It includes all forms of advertising
and all activities which attempt to inform the public. Advertising, in turn, is the use of
paid-for communications aimed at the public with the purpose of making it buy a
product or a line of products. Firms can have their own advertising department or
10 resort to the services of an advertising agency. Help can also be asked from
independent advertising consultants. A new product will be advertised to the public
after being given a brand name; a products or a group of products name is
generally protected through a registered trademark.
There are several forms of advertising among which the most common are direct
15 mail, the press, radio, television, posters, special occasions and the internet. Direct
mail consists in sending information direct to prospective customers by using mailing
lists. The press includes all newspapers, journals and special magazines. Posters are
displayed on advertisement hoardings or billboards, along roads or on buses.
Advertisement on radio or on television are called commercials. They are the most
20 effective, but also the most costly, depending on the slot or when broadcast during
prime time. Special occasions can be shows, launches, press conferences,
exhibitions and fairs. Websites and promotional e-mails are some of the latest media
of advertising. In addition, products may also be advertised through their packaging
and through merchandising methods such as effective displaying on shelves in retail
25 outlets or sales promotions.

Some very important benefits for a manager who properly delegates responsibility
15 are:
- It leaves him more time on which to concentrate on the more important aspects of
his work such as expansion or profitability.
- His subordinates are encouraged to learn more, and develop a sense of
responsibility, and are thus motivated.
20 - The work to be done can be spread evenly among the employees in the company
so that no one person is called upon to perform more work than he can reasonably
do. This results in efficiency, and so profitability for the business as a whole.

05 Planning the human resources includes deciding on the future personnel needs
of an organization (taking into account both internal activities and factors in the
external environment) and job design, i.e. the process of describing the work that
needs to be done by an employee and the specification of the requirements
needed in fulfilling the job.
10 Attracting employees is about recruitment and selection. It is the development of
a pool of applicants and their choice according to the needs and requirements
of the organization.
