INTRODUCTIONS

We are trying to discover the positive and negative gabs of MBA administration in
ASSGSB& to what extent they affect different fields directly or in directly.

PROBLEM
The problem we have faced in the academy was delaying the final result of some
subject
I had an incomplete exam before Ramadan vacation and I received the result last
week which make me so worry about me result and for sure it has a negative
impact on my performance in the next quarter.

TYPES OF ADMINISTARTION PROBLEMS


There are a lot of administration problems like
1. Bad communication between AAGSB’s departments
2. Small administration staff numbers
3. Traditional ways of exam

REASONS OF AASGB ADMINISTARTION PROBLEMS

Poor communication
There are miscommunications between AASGB departments especially between the
administration staff and instructor staff in the following:-
• Fear from the instructors staff
• Confusion between admin staff and instructors staff
• Loss of Momentum: When everyone on the team is not in the boat, facing the
same direction, and rowing toward project success, the project loses momentum.
• Resolve Issues Quickly: Teams start out and gain momentum over time. When
problems and issues arise it causes a loss of momentum

Size of administration staff

There is lack between the number of administration staff and number of


students in ASSGSB. It must be 15 % of total number of students.

Traditional process of exam


Actually most of the exam is handwriting; we have to develop the ways of
exam to face the gap between the small number of staff and students.

RECOMMENDATIONS
DEVELOP TESTING PROCESS

Online testing
As we are studying the problem of traditional exam ways in AASGB, with the
all above mentioned symptoms and reasons.

The online testing experience is intuitive and familiar; if your candidates are
comfortable with test taking using pencil and paper, they will be right
at home with testing online. Test-takers can preview the entire test
before answering a single question, skip ahead, flag items to come
back to, or change answers -- all without flipping a page, or wiping
away eraser shavings. The application will even make sure the
candidate doesn’t leave any questions blank.

Online testing is consistent with the many commercial standardized test


review programs. The review software can be programmed to elevate
the student to higher levels, or to hold the test taker for a longer time
at middle or lower levels.

Computerized standard testing also provides an advantage in scheduling,


because tests can be administered in much less time than it takes to
administer a paper test. This makes testing more accessible to those
with full-time jobs or full class schedules. Since the schedule can be
compressed, more test dates can be provided throughout the year. The
immediate computation and availability of test scores makes it
possible for test takers to plan for their next steps right after taking the
exam.

NUMBER OF ADMIN STAFF AND HOW TO DEVELOP THEM?

Number of staff
To improve the admin working support the huge number of student, we have
to increase the number of admin staff to be 15% of the student’s number but
not only increasing the number but we have to increasing the skills and
knowhow of staff.

Developing the staff

There is something stranger in the AAST we are studying HR’s subjects but
we don’t have HR department!!! HR department will give us many benefits
to develop the administration process in AAST
• Determine and develop work flow of working process in the
administration.

• Determine the responsibilities of each position in the administration department


by determine the job description for all staff positions.
• Determine performance management for admin staff which help us to
know where the gabs and problems in the skills and behaviors of staff.
• Training the staff for new IT system new skills new behaviors.

Bad communication between AAGSB’s departments

Miscommunication provokes a negative trance that blocks a person


from seeing easy ways out of the endless loop of argument,
or misunderstanding. Miscommunication may not start out as
a negative trance, but it certainly ends up that way.

IT solutions
It is clear for all the students that the AAST lakes an integrated IT
communication system that controls the whole cycle starting from the first
application till graduation.
There are many IT Consultants that can develop such system for the AAST as
the existing system depends on manual data entry which is considered
obsolete now a days.
All Students mails and cell phones numbers shall be registered and
segregated in groups and an automatic system send e-mails to all classes
participants to announce the updated news to avoid the miss
communication.

Develop communication behaviors


• Probably the easiest level of miscommunication forming trance to
interrupt and alter would be the level of definition of a word.
• Fear and Logic don’t mix (What logic didn’t get you into; Logic won’t
get you out of.)
o When the person you are talking with is feeling a high amount of
fear, shame, embarrassment, or even simply one down from you,
what they hear may not be what you say.
o The more you might try to speak in factual tones will increase
the problem.
• One of the quickest ways of altering this negative trance is by your
openly acknowledging your fear.
• Communications need to flow between people who are coordinating
projects and managers to ensure the success of the business. They
also need to flow from those who manage the business to the people
they manage. Internal communications impact on three important
areas:

o Decision making: all levels of management need accurate,


timely and complete information to make the best quality
decisions about the business.

o Interdepartmental coordination: individual departments need


to communicate with each other so that interrelated functions
(like admin and instructors) work smoothly together.

o Team information: keeping team members informed about


AAST activities is an essential tool for motivation and retention.
In internal communications between employees the emphasis is
on the presentation and interpretation of facts, requiring an
interconnected system of communication methods that enables
easy sharing of information.

• Effective communications should be linked to the objectives and


culture of our business. These are the four steps to developing an
internal communications strategy for your business:
o Identify the strategy's objectives of MBA courses.
o Audit current communications practices.
o Identify the communications audiences.
o Determine the communications methods to be used
