Workbook 2 – Producing Documents
INTRODUCTION

In this workbook we are going to look at how we go about producing a document, this will
include a letter and a CV, which will just include text. We will then create an invoice
including pictures from the Internet, clip art and also using a table, specifically, looking at
formatting the table. Finally, we will produce a flyer for an event, this will include pictures
again.

In all the exercises we will start with a blank document, at the end of the Workbook we will
look at the various templates, briefly described in the first workbook, and see how much
time they could save us.

Te font we will use for all the exercises is Calibri and the font size for the first two exercises
will be 12 point.

Exercise 1 and Exercise 2 follow on from the first workbook and are for you to experiment
with some of the things we have looked at in Workbook 1.

Exercises 3 and 4 build on what we will cover in this Workbook.

Create a new blank document, then type in the following letter …………………

There are a number of words in this letter that Word thinks are spelling mistakes or
grammatical errors. We are going to do the spell check and see if it gives us any alternatives
to our made up words.

Once you have typed the letter in, Save it as described in the first workbook, then try
adjusting the settings for margins, font size to familiarise yourself with the software.

Create a new blank document. In this exercise we will produce a CV, add your own details

INSERTING A TABLE

Create a new blank document. We will now look at inserting tables into documents, firstly,
go to the Insert tab.
1. Select – Insert tab

2. Select – Table

Step 1 – Select Insert tab


Step 2 – Select Table button
Step 3 – The drop down box shown right appears
Step 4 – Select the number of rows and columns you want
Step 5 - We will select 4 columns and 6 rows

Step 6 – The table will be inserted into the document

Table – 4 columns by 6 rows


Below is the table as inserted by Word, we will now Format our Table to suit our needs.

You will notice that a new ‘Table


Tools’ tab has appeared above the
original tab menu

Below is the Table Tools - Design options menu tab

We will use the Table Tools - Layout options menu tab

Using the Layout menu to set the column widths which we want for our table

Select Column 1 – Using the Cell Size options select the column width scroll box
(circled in red above) set the column width to 2.0 cm
Repeat for the remaining columns with widths 10 cm, 2cm and 2cm. You will find
that the table disappears off the page, so you will need to set the last 2 columns
before you can do the second one.
Using the Layout menu to format the text alignment for the columns in our table

Select Column 1 – Using the Alignment option menu (circled in red above) set the
alignment to left and centre (middle tab on the left hand side above)
Repeat for the other columns with the sane format
Enter some text and try different settings

Using the Layout menu to format the text alignment for the columns in our table

Select Row 6 – Using the Merge option menu (circled in red above) select the merge
cells option (top tab)
Try merging and splitting a number of cells

Using the Design menu - we will now look at modifying the Table borders.
We will use the Draw Borders and Table Styles sections of the Design Menu.

Highlight the Table


Select the line type, right
I have selected a double line
In the Table Styles section select Borders
I have select Outside Borders

The result is the table now with a double line , outside border.

Try this again selecting a dotted line for the bottom of each cell, you will find that you have
to do this row by row.

The last thing we will do with the Table is to insert a row and column, again

Highlight the 3rd column


Select Table Layout
Click on Insert Left – this will insert a column to the left of the 3rd column
You will then need to format the width etc. as described earlier

Highlight the 3rd row


Select Table Layout
Click on Insert Below – this will insert a new row below the 3rd row
This time the formatting is done for you

INSERTING WORD ART

Go to the Insert tab on the menu tabs


1. Select – Insert tab

2. Select – Word Art

You will get the drop down box below

Enter your tect into the box as per below


You can now stretch the text to fit the area you wish.

Try using different styles and colours.

INSERTING A PICTURE

Go to the Insert tab on the menu tabs


1. Select – Insert tab

2. Select – Insert Picture from File

Go to the Sample Pictures folder and select one of the pictures.

You can now stretch the picture to fit the area you wish.
INSERTING CLIP ART

Go to the Insert tab on the menu tabs


1. Select – Insert tab

2. Select – Insert Picture from Clip Art

The Clip Art box appears on the Right


Hand side of the Screen.

In the Search box type -


Greenhouses
Select the Greenhouse that
matches the picture below
Once you have inserted the
picture into the document 3. Type – Greenhouses
Highlight the picture and click on
the Picture Tools - Format
Click on the Text Wrapping
button and select - Behind Text
Highlight the picture again and
click on the Picture Tools -
Format
Click on the Recolor button and
select Light Variations – Grey
You can now stretch the image
to fit the page
