The Management

Attention :

On behalf of Xperien, I am pleased to present you with an outline of our services. I hope you will find the
information in line with your needs. This document covers key points including; objectives, basic services,
our technical experience, logistics and identification of responsibilities.

1. OBJECTIVE

To provide an IT Asset Disposal service, this may include the following:-


o Buyback of redundant IT equipment.
o Sanitize confidential data from End of Life IT equipment.
o Environmentally dispose obsolete & faulty equipment.

2. BASIC SERVICES

i. Buyback offers
The simplest transaction, for Items with residual value, assets around 3 years old are purchased at a
predetermined price from the client.

A schedule of buyback offer can be found in the appendix.

ii. Asset Value Report (AVR)


This is a tracking and verification tool that is used to deliver the following essential criteria that managers
need to make prudent decisions for IT assets. The report contains the following information and is usually
complied within 7 days of an assessment.
a. Your company’s asset tag
b. Location of the item
c. Manufacturers serial number
d. Detailed specification including the memory, processor, HDD, Monitor type / size.
e. Working condition and identifying faulty equipment.
f. Cosmetic condition
g. Comments
h. Market valuation

iii. Data Sanitization Audit (DSA)


To assure that proprietary data remains secure and confidential, we use a Tabernus Digital Shredder to
Erase data. This device provides a full report of the process for client’s own audit trail.

o The digital shredder is powered by Secure Erase® Technology, which makes erased data
impossible to recover from the Hard drive.

The process is in compliance with:-


ISO17799: 2002 Data & security management & US Department of Defense DOD 5220.22 M

iv. Environmental disposal Audit (EDA)


100% of electronic waste disposed by Xperien is in compliance with the National Waste management
ACT2008
We provide certificate to show that you have complied with the requirement of this legislation.

 We are accredited members of the e-waste association of South Africa (ewasa).

3. OUR TECHNICAL STAFF


We will appoint our disposal expert to liaise with your company’s representative.
At Xperien IT Disposal is our core business function, established in June 1999 we have a built a team of 25
highly skilled technical staff experienced in of dealing with SME’s NGO’s & corporate establishment.

4. YOUR RESPONSIBILITIES
This proposal demands significant involvement by both parties and ultimate success is partly dependent on
your effort. To achieve this it will be your responsibility to:

I. Confirm the policy for the IT assets to be disposed.


II. Appoint your representative to liaise / supervise our disposal expert.
III. Provide access to premises and lift’s for Xperien’s staff
IV. Provide exit permits for the equipment when necessary.

5. LOGISTICS
We arrange collections at pre arranged times in conjunction with your representative, usually between the
hours of 10am – 3pm Monday to Friday.
For smaller collections less than 50 PC’s/Laptop in remote locations we supply packaging and arrange for a
courier to collect.

A sample of logistic schedule can be supplied on request.

6. SERVICE FEES
Our fees are normally deducted from the proceeds of a buyback sale avoiding the need for us to invoice you or
go through the supplier registration procedure.

7. CORPORATE SOCIAL INVESTMENT (CSI)


To ensure that true value is added to equipment that you donate without additional cost to you.
We adopt the following procedure:-
 Prepare an asset value report – to determine specifically what can be donated
 Offer to donate around 50% of the working equipment to a charity of your choice
 Confirm the transaction with the charity so that we transfer title and arrange after sales service
 Co ordinate the PR effort.

8. PROCEDURE
A simple sequence of event and expectation are list in the appendix.

i.e. you will not have to engage separate service providers for inventory management, data sanitization,
