Well here we go
again.

I have been on a
vacation from art.
Rather unusual
for me. The new
house with the studio just for “me” is
at times daunting. It is my retreat so I should be creating
great masterpieces … not! Oh well, life goes on. Hubby
and I took off for a few days for our 35th anniversary.
Down to Amelia Island in Florida, colder there than in
Denver! But, the views were beautiful! The drive north

2010 RMSBA Holiday Party

new home in Lakewood. CONPS Adopt a Rare Plant Program. They were only looking for six

RMSBA Exhibition Creation and Management

Dear Members;

Exhibits are such an important part of the RMSBA, both to fulfill our mission to educate the public, as well as to support each
of you as you grow as artists. Included in our newsletter this time is the Exhibits Policy for the RMSBA. I am the Exhibits Chair,
and my job is to be a clearing house for exhibit activities, as well as provide support to the Exhibit Coordinator and individual
Exhibit Chairs for exhibitions that the RMSBA wants to present. The attached policy and sample call for entries is a first step
in that direction. In addition, I’ll have available to Exhibit Coordinators calls for entries that are exhibit specific; Xcel forms for
keeping track of entrants, with space for entrant’s name, address, contacts, and detailed artwork info including Latin binomials,
Common Name titles, media, size of image, framed size and notes. The standardization of requirements and record keeping will
make staging new shows easier, and helps with record keeping that informs and educates our members. I am happy to support
the Exhibit Coordinator, Exhibit Chairs and Volunteers whenever possible with forms, facts, budget management, and creation
of exhibit publications (postcards and catalogs).

The Exhibit Coordinator will oversee actual exhibit development, and will report to me to confirm exhibits, define volunteers
involved, and ask for help where necessary.

Exhibit Chairs are needed to organize and recruit volunteers per exhibit, and will report directly to their Exhibit Coordinators.
The RMSBA has materials and supplies for exhibits. For example, there are lights, portfolio bins, general signage and electrical
cords available for exhibit use, as well as reception materials.

Exhibit volunteers are needed for each exhibit planned, to help with art movement or storage, hanging, affixing signage, help
at openings with refreshments, information for patrons, etc. The roles are many, and you may have thought of one you’d like to
see at an exhibit opening that you can fill.

That being said, we are in need of an Exhibits Coordinator, whose job would be to solicit from members new exhibit suggestions
for themes, venues, dates, etc. that meet exhibit policies. I strongly encourage you to consider this rewarding position for our
organization. The interaction with members is wonderful, and the satisfaction of working with venues is not only rewarding but
a great education about the way great art makes its way to the public.

If you have ideas of venues or themes or wish to volunteer to organize an exhibition, please contact me. We have no exhibits
scheduled for 2011, and that process needs to start immediately for successful exhibit completions.

Thank you for your continued support of the ASBA. Your Board continues to work for you, in ways that insure our organization
continues to grow and support your goals and talents. They are a dedicated and long-committed group, who have contributed
years to our success.

RMSBA Exhibition Creation and Management
What is our mission?
The RMSBA shall create public awareness of and appreciation for botanical art, historical and contemporary, in the Rocky Mountain
region.
• The RMSBA shall introduce the public to the beauty and usefulness of botanical art and illustration through exhibitions, demonstrations,
workshops, and other forms of educational opportunities.
• The RMSBA recognizes that botanical artists frequently work alone in a discipline that is demanding and technically challenging.
Therefore, the RMSBA provides a forum for artists to meet, talk, and discuss relevant issues while also providing for camaraderie and
fun among other botanical artists.

To advance the organization and member’s goals, exhibits are an integral part of Chapter life. The following requisites are necessary
for the RMSBA to support a member’s exhibit.
1. Defining an RMSBA Exhibit:
1. Exhibit must meet RMSBA/ASBA definitions of botanical art
2. Members submitting must have current dues paid
3. Standards for exhibit spaces must be met (see below)
4. Exhibits must meet defined frequency and duration definitions.
Exhibits proposed that do not meet these basics may certainly be put together, but will not be defined or titled as an RMSBA exhibit.

2. Creating a manageable schedule:
Enthusiasm for exhibiting is high. Very short exhibits or too many exhibits in a year will discourage
top quality art, as artists need time to create. It’s also really important to make sure the RMSBA
has a schedule that falls regularly, so that patrons can anticipate the events.

One general exhibition
One themed exhibition
If the opportunity for a significant exhibition opportunity outside of these guidelines arises, we of course will consider its merits, and fit
it into the schedule if approved.
Anyone may propose an exhibit. The Board, Exhibits Chair and, when applicable, selection committee will make final selections
based on established guidelines and the physical requirements for exhibitions.
Although sales are not part of our mission statement, they do meet the goals of our mission to involve the public in the art form.
Therefore, the two sales venues in spring (Tagawa) and fall (Echter’s) benefit both artists and patrons, but are not exhibitions.

3. Choosing a Venue:
1. Adequate security, via venue or RMSBA member participation is required.
2. Venue must be able to accommodate exhibition for desired time. Minimum exhibition time for RMSBA
shows is 2 weeks. Extended shows are acceptable. Entry form will provide hanging time and

4. Table display is permitted for small works (less than 12x14 framed) and accessory works (cards, prints, etc.)
5. Portfolio bins may be used for matted artwork or prints, protected in plastic.
6. Protection from risk is essential, including indoor environmental risks (moisture, heat, cold).
7. Power for safe lighting must be available and provided by the venue.
8. Venue should provide insurance for exhibited artworks while on display. If insurance is not provided, then an RMSBA
member must be with the artwork during open hours, and venue must provide secure locked premises for unmanned hours.

3. Standards for exhibition art:


a. Recent work – no older than 2 years from exhibit date. Variety of new works in the
exhibits is paramount to good reviews, patron participation and sales.
b. Adherence to individual exhibit requirements – such as themes – is required.
c. Original work only, as defined by ASBA standards
d. Standard RMSBA entry form must be completed and submitted by stated deadlines.
e. Entry fee must accompany completed entry form.

4. Choosing included works:
a. Unless otherwise stated for special exhibits, artworks are not juried for
inclusion into RMSBA exhibitions – any artwork meeting standards may be hung.
b. Artworks must meet all standards for exhibition art as stated above.
c. Artworks submitted must be framed and wired for hanging. Artworks with
damaged frames will not be hung unless repaired by artist.

5. Sales at Exhibits
Artworks may be for sale at the artist’s discretion. Works for sale may have a commission charged by the venue, and will have a 10%
commission withheld by the RMSBA to support Chapter activities, including the exhibition expenses.

6. Entry Forms:
a. Entrants must complete the standard RMSBA Entry form and submit by stated deadlines.
b. Entry fees must be included (check or money order) with entry form.
c. E
 ntry forms state all the requisites for entering an RMSBA show. Please read the form carefully,
complete all fields with needed information, and sign the consent to exhibit statement.
           
7. RMSBA support for chapter exhibitions:
The Board, Exhibits Committee and Chair will support exhibitions for the RMSBA members via:
a. Ensuring all guidelines for exhibits are met.
b. Providing an Exhibits Manager from volunteers willing to serve as such.
c. Providing budget support for:
• Lighting as needed.
• Public relations and advertising in local/regional vehicles*
• Production of postcards for further promotion*

2014 ASBA Annual Conference
American Society of Botanical Artists (ASBA) 2014 Annual Meeting
Denver, Colorado

Rocky Mountain Society of Botanical Artists (RMSBA)

The 2014 annual meeting of ASBA will be held in Denver, Colorado. Although still 3 years
away, it is time to make arrangements for the meeting to be one of the best possible.

The annual meeting is held in the autumn each year at a location proposed by a local sponsor.
After discussions between several RMSBA members, it was decided to begin with downtown
Denver as a potential meeting location because of the number of hotels with meeting facilities,
variety of restaurants, and proximity to the Denver Art Museum, Contemporary Art Museum,
downtown galleries and other points of interest to visitors. The Denver Visitors Bureau was
contacted to see what might be available for October or November 2014. The week of 8-11
October was identified as unavailable. The Visitors Bureau offered to handle contacting hotels.
As a result, a request for proposals for meeting space for 15-18 October 2014 was sent to
several downtown hotels, with proposals due by 21 January 2011.

In addition to accommodations, classes and meetings, the ASBA meetings frequently have a
concurrent show of botanical art. A proposal was submitted to the Denver Art Museum (DAM)
for such a show. While interested in botanical art, the DAM is not setting up small shows for
2014. Other potential venues have been suggested for the ASBA show.

Putting on a successful annual meeting requires considerable up-front work by the host chapter.
The following help is needed for the Denver meeting:

Develop conference PowerPoint for 2013 meeting

Follow-up reports
Hotel/site liaison and transportation coordinators

Graphic design (including development of meeting logo)

Public relations

There is a great deal of work to be done and plenty to go around! If you are interested in joining
