1.0 PROLOGUE

Dental
clinic which is run by Dr. Kunal, located at
Thripunithara . This clinic is computerized having
the patient records, diagnosis reports, treatment
details, billing informations with the help of software developed from Euro
InfoTech Vytilla. It really aided them in the smooth functioning of the clinic and
patients too availing its benefits. The customer loyalty and faithfully enhanced
due to this implementation.

2.0 FOREGOING STATE OF AFFAIRS


Clinic has seven employees- 2 Doctors having 1 assistant each; the other two
in for giving medicines to patents if the prescribed medicine available and one
collect information about patients if they had come earlier or are they coming
for the first time etc basically keep tracks of patients. The system that was
followed is: when a patient comes in and picks a number in the board which is
kept in chronological order, so that first one gets first number.

3.0. IT EXECUTION
Euro InfoTech Vytilla undertook the project of computerization of the clinic.
They developed customized software for the Clinic comprising computerization
of patient registration, diagnosis record, treatment details and billing.

3.1 HARDWARE
The specification of the hardware components are as shown in the Table 1: for
both laptops and a desktop are:

3.2 SOFTWARE

The software developed and installed is.NET based which is coded using
.NET in front end and SQL as the backend. It works in Microsoft Windows
platform. It accepts the patient’s details like name, address, age, sex, amount
paid, date of last visit, contact numbers, email (if available) booking status (if
booking is done earlier). Doctor after consultation, prescribes the medicine, if
any, and it is at once entered into the database by the Application operator
which is also visible to the pharmist, so if the medicines prescribed by the
doctor is available in the pharmacy she can give it to the patient or if required
can advice staff in charge to make the stock available. The doctor can easily
access the record of any patient by simply entering his/her Card Number
which is the primary key in the application or typing the name. The application
shows the dental cleaning appointments and gives suggestions of free dates.
The billing as well as report generation module is also incorporated in it, which
makes the basic accounting works get done by the Application operator
herself.

4.0 ENHANCEMENTS IN SERVICES

The implementation enables easy entering and retrieval of patients’ data


reducing the manual paper work. Since regular back up of the records are
taken, there is no worry about keeping the patient records. Following the IT
implementation, there was a slight change in the job of the employees at the
office. One was made to sit in the Enquiry section to operate the application.
The second was meant to provide the overall assistance in the office.

5.0 ADVANTAGES

1. IT implementation allowed doctors and staff to participate in a rapidly


changing world in which work and other activities by access to varied
and developing technologies
2. IT implementation helped them to find, explore, analyze, exchange
and present information responsibly and without discrimination.
3. IT implementation gave them quick access to ideas and experiences
from a wide range of people, communities and cultures.
4. Doctors were able to update themselves much faster with help of
internet and helped patients for faster recovery of dental problems.

6.0 EVOCATIVE INFORMATION INTENDED FOR FUTURE

1. Patients can be given a RFID card so the doctor can get the complete
record of patient at a single swipe.
2. Online assistance can be provided to patients
3. Collect the mobile phone numbers and using a GSM module, send
regular dental tips via SMS to the patients.
4. Getting patient’s mail address can help doctors to send important tips to
keep dental part of body healthy
5. Booking process can be done via SMS. E.g.: BOOK 12/12/2009 <RFID
card number>.
As an acknowledgement, the appointment time is sent back to the
patient.
6. Enquiry about the availability of appointment can also be implemented
using the foresaid technology.
7. Along with the treatment details, include the X-ray results too in Digital
form.
8. Doctors can perform or conduct Video conferencing with patients or
other fellow doctors and provide advices based on the situation.

7.0 WRAPPING UP

The IT implementation in Dr. Kunal’s Dental Clinic was done 6 months ago.
Initially Dr. Kunal found the implementations bit expensive and not of much
use but as time passed by he found that patients were happy with the service
offered by them. Doctors were able to keep track of patient’s current status as
they have got the complete record for all their patients, the medicines
prescribed, possible recovery and other medical stuffs. All these enabled the
doctor’s to have his patients come into his clinic for more frequent checkups.
We also found that they were telling their friends about this clinic thereby more
and more patients came in. The other concerned staffs also found the
implementation was really helpful and it was easy for them to check their
inventory. They were able to update themselves with help of internet.
