Chick-list for submitting the proposal under PG scholarship scheme for the year 2009-10

1. The name of the Head of the Institution (Principal /Director) should be clearly given in the forwarding letter and got signed and stamped overthere. 2. The Head of the Institution will have to ensure that all pending utilization certificate (s) for grant-in-aid released under PG Scholarship Scheme upto the financial year 2004-05 have already been prepared and sent to AICTE. However, a copy of the utilization certificate for the grant-in-aid released for two immediate previous years should be enclosed alongwith the proposal without fail. 3. The institution has to ensure that the list of GPAT scholars recommended for consideration of AICTE for release of funds does not include candidates(s) from sponsored category admitted by the institute under PG programme. 4. The Head of the institution has also to ensure that the PG scholars are admitted only under AICTE approved PG courses and the scholarship grant is calculated only for such AICTE approved PG courses for valid GPAT scorers. 5. The Head of the institution has to certify that all the PG courses against which the institute has admitted the GPAT scorers have got the approval of AICTE to run such PG programmes invariably for the financial year for which the grant-in-aid is sought. A copy of the approval letter to this effect issued by AICTE may also be enclosed alongwith the application. 6. The Head of the institution has to confirm the validity of the GPAT score card of all the eligible scholars forwarded to the Council for claim of PG Scholarship. The scholarship will be provided to the eligible GPAT scorer on Merit. 7. The institution has to inform the name of the Bank alongwith its code and full address where the cheque/draft is to be deposited. 8. The Head of the institution has to certify and confirm the period of attendance of all scholars in respect of whom the institute has recommended Scholarship grant. 9. The University/College/Institute shall maintain a separate Bank account in respect of PG scholarship scheme. The institute shall further maintain proper accounts of the expenditure out of the grants which shall be utilized only on approved items of expenditure. 10. While submitting the proposals for release of Grant-in-aid further under the scheme, the institute shall submit the Utilization Certificate of the previous Grant-in-aid received by the institute along with the audited statement of expenditure showing clearly the other sources of income viz. the interest earned etc. 11. The institution will further have to enclose the list of the GPAT scholars (department-wise) indicating therein the year of admission (batch-yearwise). The institution shall clearly indicate the date of admission in respect of all GPAT scholars 9

separately and the amount of scholarship, contingency etc. should be calculated accordingly.
