ASTERISK PHONE TIP Temporary Message


By now, you should have recorded your Away message , your Busy Message and your name into the Asterisk Voicemail system. When doing this, you may have heard the option for a Temporary message. This is a message in which you can tell your callers that you will be away from the office for a day...or a week or more, and is reached by pressing 4 in the voicemail options menu. The Temporary message should take the form something like this: This is <Yourname>. I'll be out of the office from Monday January 8th to Wednesday Jan 10, and will return to the office on Thursday January 11th. I will be checking my voicemail daily. If you need Immediate assistance, please call 601 634 4568. Thank You. When you return to the office, you should delete the temporary greeting. Use option 4 again, this time you will be given the option of deleting the temporary message or recording a new one. Remember: You can check your voicemail from any phone outside the system. Dial 601 801 xxxx (or 1-800-xxxxxxx if outside the local calling area). During the main greeting, press * then your extension number.

City of Vicksburg Conference Bridge System


The new telephone system has a built in conference system. This system is used by having the individual conferees dial a dedicated number and then entering a PIN code. To set up a conference, you must first distribute instructions to all conference participants. You must give them the time of the conference, the telephone number to call, and the pin number. A sample email might go something like this: The City of Vicksburg (Department Name) has set up a telephone conference call to discuss (name of project) at (date of conference) at (time of conference). To access this conference call, please dial NNNN at the above date and time, and follow the voice prompts. The pin number for this conference is PPPP. The same information is given to the conferee if called on the phone: That information is: 1 Date/Time of Conference 2 Phone Number to Call PIN Number

Telephone Tip
Inspection Department You can have the main Inspection Department telephone (601 634-xxxx) number ring on any phone. To do this, follow these instructions: On the desired phone, dial xxxx* <SEND> A voice will say AGENT LOGIN PLEASE ENTER YOUR AGENT NUMBER FOLLOWED BY THE POUND KEY 3 Use the extension number as your agent number. 4 The Voice will then say AGENT LOGGED IN. 5 When you no longer wish the main number to ring at an additional phone, go to that phone and dial xxxx** <SEND>. Note: Please notice there are 2 *'s. 6 A voice will say AGENT LOGIN PLEASE ENTER YOUR AGENT NUMBER FOLLOWED BY THE POUND KEY. 7 The Voice will then say AGENT LOGGED OFF. 1 2

TRANSFERRING CALLS
In our new Asterisk phone system, there are several ways of transferring calls, but first, a few definitions: Blind Transfer An immediate transfer. The party being transferred is sent immediately to the target extension. The user performing the transfer does not have the chance to announce the caller to the user at the target extension. Attended Transfer - Transferring user announces the caller to the target user. To perform a Blind simply press the <TRNF> key followed by the target extension number. To perform an Attended transfer, press *2 followed by the target extension number, announce the call, then hang up.

Voicemail Setup
There are several items you must set up in order for your voicemail to operate properly. To do this setup: 1 2 3 4 Press the MSG key on the phone. When asked, enter your Password ( by default, this is your extension number) Press 0 (zero) You will be given several options: 5 A) Record Unavailable Message A message to be played to the caller when away from the phone. (Press 1) 6 B) Busy Message Message to be played to the caller (Press 2). 7 C) Record your Name (Press 3) 8 D) Record your Temporary Message (Press 4 See Special Instruction Sheet) 9 Please make sure you record A, B, and C. Your temporary message is recorded as needed.

Reminder Message
You may record a reminder message to yourself which will ring your phone and deliver the message at a future date and time. 1 2 3 4 Dial 123# Password is xxxx Dates and times are entered as 4 digits. (8:04 is entered as 0804. April 5 is entered as 0405) Follow the spoken instructions.
