Great buildings and developments are the result of effective teamwork among developers, ARCHITECTS, ENGINEERS and CONTRACTORS. Communication , is one of the essential components of this working partnership. Clear communication helps: To facilitate successful projects. A project to become less costly and maintain schedules. To Inform changes in deadlines. To Understand your role as well as of other partners.

Here, is an example, where lack of effective communication leads to customer dissatisfaction.

I) What is Communication: Definition: "It is the process of Sending, Giving, or Exchanging Information and Ideas." Meaning: Communication is a two way process Through this process we convey a thought or feeling to someone else. How it is received depends on a set of events, stimuli, that person is exposed to. How you say what you say plays an important role in communication. Goals: To inform Providing information for use in decision making. Ex: Providing design data. To request -- For a specific action by the receiver. Ex: Asking for a design document To persuade To change a receiver's belief about a topic and, possibly, act on the belief. Ex: A sales man persuades to buy a product. To build relationships It may have the simple goal of building good-will between you and the receiver Ex:Wishing a friend on his birthday Increases Your: Career advancement opportunities, Self-esteem, Inter-relationships and Stress management

Effective communication can build friendships and make it possible to accomplish your goals. How? By having all the tools you need to succeed in listening, speaking, writing..., -Dr. Holmes Key Communication Skills: Listening Skills Speaking Skills Writing Skills Listening Skills: What does it mean to really listen? Hearing. Hearing just means listening enough to catch What the speaker is saying. For example, say you were listening to a report on zebras, and the speaker mentioned that no two are alike. If you can repeat the fact, then you have heard what has been said.

Understanding. The next part of listening happens when you take what you have heard and understand it in your own way. For example: Let's go back to that report on zebras. When you hear that no two are alike, think about what thatmight mean. You might think, "Maybe this means that the pattern of stripes is different for each zebra." Judging. After you are sure you understand what the speaker has said, think about whether it makes sense. For Example:Do you believe what you have heard? You might think, "How could the stripes to be different for every zebra? But thenagain, the fingerprints are different for every person. I think this seems believable. "Speaking Skills: The formula of speaking is ( H1 W5) Before you start working on your talk ask yourself: Who? What? When? Where? Why? (W5)How?(H1) Who are you speaking to? What are their interests, values, etc., What do you wish to communicate? When? Timing is important here. Where? What is the physical context of the communication in mind? Why? In order to convert hearers into listeners, you need to know why they should listen to you How can you best convey your message?

Writing Skills: In an industrial context, writing has two major roles: It clarifies - for both writer and reader It conveys information

Writing Business Letters: Your Five Basic reasons To Inform-Tell someone about something; To Instruct-Get someone to do something; To Influence-Persuade someone to do something; To interpret-Reply to their communication; To interest-Get someone interested in you or your product;

Your Plan: Why are you writing? To whom are you writing? What do they need to know? When are you going to write? How are you going to construct your letter and lay it out?

HOW TO ENHANCE YOUR COMMUNICATION SKILLS:

Tips for improving your listening skills: Try hard not to think about your response until the other person is done speaking. Do not interrupt. Concentrate carefully on what the other person is saying. Listen actively: By nodding your head to acknowledge, making good eye contact, saying things such as, "I understand" or "that's interesting". Don't Overdo: Be careful not to overdo it in terms of nodding or making acknowledging remarks. Clarify by repeating in your own words what you understood.

Speaking Skills: Focus on remembering and sharing key words and major points. Use ordinary language. Vary your tone of voice. Do not overdo speaking activities Keep speaking simple. Make sure you aim for a balance between speaking and listening.

Writing Skills: Establish the AIM: Every document must have a single aim - a specific reason for being written. Consider the READER: Decide what to tell and how best to tell it to the particular audience. Devise the STRUCTURE: Provide the information in small manageable chunks. A paragraph should convey a single idea. DRAFT the text EDIT and REVISE:When you have decided what to say, to whom you are saying it, and how to structure it; say it - and then check it for clarity and effectiveness.

Writing Skills: Additional Tips: Layout: Suppose you have three main points to make; do not hide them within simple text - make them obvious. Make it so that the reader's eye jumps straight to them on the page. Avoid long sentences. The Beginning: The beginning of your document is crucial. It must be obvious to the reader at once what the document is about, and why it should be read. Spelling: Incorrect spelling distracts the reader and detracts from the authority of the author. Conclusion: The writing of a professional engineer should be clear, complete and concise. If your document satisfies these three criteria, then it deserves to be read.
