Final Report Execution Team Group 01

Introduction
As a requirement of the course COMM 2386 Interdisciplinary Communication Project (ICP), Professional Communications students are to plan and execute a real-life communication project based on the client brief. In order to increase the connection as well as to share the successful stories of RMIT alumni to current students, RMIT Communication Department as a client requires to launch a Where are they now? communication campaign in Saigon South campus during semester A, 2011. Taking responsibilities as Execution team, we have been in charge of executing and managing promotional activities around campus to promote the alumni website and meet the objectives of Where are they now? campaign. This report will primarily concentrate on evaluating the implementation process and results of photo board, launch day, designing promotional items including poster, flyer, logo, photo standees, T-shirt and wristbands as well as volunteers management. An evaluation of output and outcome will be demonstrated in the first part of this report. Following that, the implementation process of the above activities will be examined. The final section is to provide a critical discussion and analysis towards issues occurring in the campaign and some recommendations are advised for future improvement.

Evaluation of Outcome
The campaigns outcome is evaluated based on whether or not to achieve the objectives which was set at the beginning. The following analysis and assessment is based on the two surveys, one was conducted on 97 RMIT students before the campaign and the other has been recently conducted on 350 students right after the campaign in week 11. A comparison between the Objective 1: To have at least 30% of students aware of the alumni success stories by week 11.

Awareness of the website

Final survey 91.2% (n=289) with 53.6% (n=170) RMIT students logged 42% 91.4% 69.1%

Awareness of success stories Awareness of WATN Awareness of WATNs objectives

The survey shows that the campaign is well known to almost RMIT students with 91.4% and 91.2% being aware of the campaign and website respectively. This is probably the reason for well surpassing the first goal with 42% students knowing success stories, moreover 53.6% unique views indicates that 78.4% of students who view the website know success stories. This implies the effectiveness and engagement of the website in the students mind. Objective 2: To raise the percentage of students who say alumni influence their choice of career from 15% to 20% by week 11. Initial survey 15% 40% Eventual survey 20.2% 34.4%

Alumni influence students career choice Students feel they lack connection with alumni

The campaign is successful in meeting objective 2 with 20.2% students think that their career decision can be influenced by alumni. This is not much higher than the initial figure but it is not easy to change the perception and thinking of the audience in such a short time period. In this sense, the campaign is well done. It can be attributed to that less students feel they are weakly connected with alumni, only 34.4% after campaign.

Final Report Execution Team Group 01

Objective 3: To raise the percentage of students who are confident about getting a good job after graduation by 5% at the end week 11 Initial survey 69.1% 72% Eventual survey 66% 11.3% 48.9%

Be confident that will get good job after graduation Not sure whether RMIT graduates get the job they want Feel like or strongly like the campaign

Students are highly aware of the campaign (91.4%) and connected to alumni, plus only 11.3% do not think that RMIT students can secure good job as they like while initially this figure is dramatically high with 72%, which is a huge change. The possible reason can be because respondents are well exposed to success stories, so that they can form an image about a high chance of success for RMIT students. However, objective 3 cannot be met that the confidence of students that they can get good job after graduation seems to slightly decrease (3% decrease), which is about the self-perception and selfevaluation. This is a higher level of changing audiences perception, in objective 2 is about others and objective 3 is changing perception about themselves. In other words, objective 3 is quite ambitious within such a short time period. Moreover, the objectives were set based on the beginning plan with 6-week timeline, while during implementation; the campaign takes place only around 4 weeks. So the decreased data seems to be understandable. However, when breaking down the data, it can be seen that those who could recall at least one success story have a higher percentage of confidence about their future career. However, if we cross-tab the website visit figure with the students' level of confidence data, we can see that students who have visited our website and could recall at least one success story are more confident in getting a good job after graduation than those who haven't, with 72% confident whereas only 61% of those who cannot recall are confident (See Figure 1 below). In this way, the more engaged people are in our campaign, the more confident they are, especially 72% confident is still higher than 69% at the beginning of the campaign, though we still cannot meet the 5% increase objective. Overall, campaign has far achieved objective 1 and 2 and missed objective 3 if considering the whole RMIT students population, but still achieve objective 3 if considering the group who can recall success stories. Evaluation of Output
Despite time constraint, RMIT restriction policy and some students taking their internship simultaneously, execution team have managed to execute most of the activities proposed in the initial plan. The focus of the campaign is on the website https://online.rmit.edu.vn/alumni. According to the statistics, there are 4,522 page views and 2,913 unique views, which is quite high regarding the scale of a university of around 5000 students. Figure 2 shows page views of the website during the official period of the campaign, from week 7 to week 10. On 5 April, it is the launch of the campaign as well as the website, so the highest page views is explicable to show that promotional activities on that day are engaging and effective enough to get students to try the page. Except for weekends (two last days of the four weeks), the page views trend is quite stably high, which is the combined efforts of promotional activities on campus to promote for the website and the networking event (with a relatively higher page views in week 9).

Figure 2 The next figure specifically indicates the activities our group was mainly taking over, which has contributed tremendously to the campaigns success by drawing traffic to the website and promoting the networking event. Activities Photo board Launch day Promotional items design Volunteer T-shirt Website hits Volunteer The number of participants or items delivered 251 participants Poster, Flyer Wristband 300 200 10 157 800 47 (enrolled). Actually participated: 30. Get certificates: 14 Figure 3

The photoboard activity is just the start-up but received huge support from 251 enthusiastic participants. Many students requested it to last longer. As analyzed, the launch days activities actually appealed students to log in the website. The promotional items were all delivered to students through activities. This campaign does not require too many volunteers; only around 20 are needed, but 47 enrollers when the first email was sent to call upon. During the campaign, despite some difficulties managing volunteers, volunteers showed their enthusiasm to participate in supporting the campaign. Those people also play a role in generating word of mouth buzz to others, the contribution of which should not be overlooked. Overall, execution team has attempted enthusiastically to get activities completed on time and efficiently to make the process of the whole team move smoothly. Discussions and Recommendations

Photo Board
With the purpose was to generate the first step awareness of target publics about the campaign Where Are They Now?, the Photo Board activity successfully received huge attention and comments from RMIT students. The results of the activity were beyond expectation, attracting approximately 251 participants after three days running. Following that, ten most selected adjectives collected from the Photo Board activity were then used as the main theme for the campaigns Tshirts. However, the activity had failed to communicate the campaigns message to RMIT students. It can be noticed that the majority of students participated in the Photo Board could not clearly understand the purpose of the activity itself as well as the link between the activity and the whole campaign. Besides, the time frame for the Photo Board activity was too short (only 2 hours per day and 3 days of the first week of the campaign). Thus, if Photo Board is to be continued in the future, it is suggested to extend the time frame of the activity to attract a more wide range of students and to keep their interest in the campaign. For instance, it might be run on Monday, Tuesday and Wednesday in the first week of the campaign, and continued to be run on Thursday, Friday and Saturday in the following week. Additionally, volunteers also play a fundamental role in promoting and helping target publics clearly understand the purpose of the activity. It is necessary to provide a clear and consistent guidance for volunteers involving in the activity, so that they would understand the campaigns concept and know how to communicate effectively with the target publics.

Launch Day
The launch day of Where Are They Now? campaign which was held on Tuesday week 7 had successfully caught attention of target publics and was a huge success in promoting for the website and the campaign. Both the activities and the promotional items delivered on the launch day received huge positive responses from RMIT students, lecturers and staff. Especially, the majority of target publics loved the campaigns T-shirts and wristbands. However, on the implementation process, the launch day itself was out of control and did not follow the agreed schedule. Firstly, numerous problems happened with volunteer management. It can be

Final Report Execution Team Group 01 observed that volunteers were quite passive in communicating with the target publics as well as in promoting activities. Not only that, they were also lack of understanding about the main concept of the campaign. Besides, given the fact that volunteers were late on arrivals, this had influenced slightly negatively on the campaigns message delivery and to the general implementation process. Hence, for future implementation, practice and rehearsal for volunteers are necessary. Volunteers need to understand clearly about the campaigns concept and the key message to communicate with target publics. Besides, a detailed and updated schedule of activities is also vital to help increase the effectiveness of volunteer management. Additionally, benefits of active participation need to be clearly communicated to volunteers in order to ensure their commitment. Furthermore, in order to increase the consistent and professional in volunteer management, there should be one person directly monitor the implementation process of volunteer. In terms of T-shirt and wristband delivery, the process itself was unprepared, unmanageable and out of control. The reasons for this are numerous. Firstly, because of the limited space of the campaigns booth on the launch day, the promotional items were delivered at the old canteen at the most crowded time from 11:00am to 2:00pm. Following that, the rush in producing promotional items, the lateness on arrivals as well as the lack of human resources in managing delivery process had made it become a mess. In order to avoid these mistakes in future campaign, having a clear and detailed plan is extremely important. Besides, back-up plan is also necessary to help deal with unexpected situation including lateness on arrivals of promotional items and/or volunteers. Moreover, setting up booth is also vital to maintain control over the delivery process. Furthermore, there needs to be more human resources bring responsible for the activities on the launch day, to make sure that everything follows schedule and to take initiates in any change or unexpected situation.

Design
In term of doing teaser and promoting for the webpage https://online.rmit.edu.vn/alumni of Where are they now? campaign, it seemed like the promotional items such as posters, flyers, photo standing, standees, T-shirts and wristbands performed efficiently in attracting the attentions of the students. Firstly, 20 posters and all standings were set up at Global Caf area which is the busiest area on campus, to maximize the exposure level of students. They tended to be approached effectively COMM2386 Interdisciplinary Communication Project 13

Final Report Execution Team Group 01 because they were assaulted among many posters and standees. However, students seemed to be confused about the message from those promotional item because the graphic effects were too strong but it was not representative of the key message of the campaign. The image (bags within name tags) used in both posters and flyers also made students misunderstand the activities in launch day. Moreover, because focusing too much on Global Caf area, we forgot setting up posters at other places which also could attract the attentions of student efficiently. Secondly, like with posters, standings and flyers, students seemed to like the mirror-stickers which were stuck on the mirrors in toilets, but they did not understand what those mirror-stickers try to communicate and which event/campaign they belonged to. Moreover, because the mirror-stickers were launched in sensitive areas and because of some miscommunication between Properties Service Department and Aden service, so most of them were taken down after few days of launching. In term of evaluation output of activities, mirror-stickers totally failed in achieving the objectives. Slightly surprisingly, T-shirts, wristbands and photo standees were the most favorable items toward RMIT students. At the first time launching on launch day, two photo standees of WATN campaign attracted a large number of students to come and take photos. T-shirts and wristbands also got the positive reactions from students. A large number of students participated in Amazing Box with the purpose to receive a T-shirt or a wristband of WATN campaign, and some tried to ask us (launch days activities organizers) the way how they could get those items. The same with activities above, those items just got the attentions of students and they were not representative for the key message of the campaign The result was quite positive but the implementation process of those promotional items was not smooth and easy. We were really rushed for time in producing those promotional items because from the time the design team was approved to the launch day, we only had a week to have the design forms, approval and producing them. In brief, some recommendations are made for designing the promotional items. Logical and clear implementation schedule is taken priority to increase the performance of ICPs activities and to avoid task overlap or misunderstandings. Besides, it is also important to practice and consider thoroughly the content included in promotional items and activities in order to get students to understand exactly the key messages of WATN campaign. When designing promotional items, we should choose the COMM2386 Interdisciplinary Communication Project 14

Final Report Execution Team Group 01 image or thing which is closely representative for the key message or at least for the campaign concept. Everything should have the same theme and the message must be short, simple and clear. Additionally, when the message is done, we need to brainstorm on the way on how those promotional items are to be displayed most effectively and efficiently. It means we need to minimize the inputs and maximize the outputs.
