Aberystwyth Community of Gamers Committee Meeting Keiran Russell's Flat 20th September 2011 7pm Welcome Rhys Short

welcomed the committee members to the first meeting of the ACOG committee in Aberystwyth. Apologies Nick Brooks was not present due to illness. Lisa Newton and Ben Mayne were not present in person, however they were involved in the meeting through Skype. Presidency Due to Nick Brooks illness and no time frame for his return, Keiran Russell will be Acting President until Nick Brooks has returned, as a result all tasks given to Nick Brooks will be taken over by Keiran Russell. Minutes Approval All the committee read the minutes and passed them with no objections. Socials The first social of the year will be held on Wednesday 5th October 2011, this is one week after the Societies Fayre. For the first social there will be a gaming T-Shirt theme, to give ice breakers to the newly joined members of ACOG. Nothing is planned for freshers week as this will enable freshers to settle in and go to all the freshers events and gives them notice of the first social. Lisa Newton has planned to have a themed social on the first Wednesday of every month, however Keiran Russell has suggested moving this to two weeks after each months event, to keep numbers up on the socials. Liam Edwards has stated that he would like tournaments to take place on the first Friday of every month Red Vs Blue Lisa Newton has proposed that the first themed social after the first social of the year be Red Vs Blue, with various challenges that would earn points for their team, where the winning team will get to choose the theme for the next themed social from a list as a prize. However the committee had reservations about this being the prize so prizes will be sorted out in two weeks once the societies farye is over.

Christmas Meal Sam O'Hara mentioned how awkward it is to organise a Christmas meal within the guild rules, this subject will be talked about again in two weeks time. Lisa Newton to work out a schedule for themed socials. Meeting in Two weeks will decide the prizes for the Red Vs Blue themed social. Meeting in Two weeks will also have Christmas Meal up for discussion. Committee Events Situation Sam O'Hara wanted clarification on the committee members tournament status, Liam Edwards informed the committee that committee members can play in tournaments however they can not win them, only ordinary members can win tournaments. Committee members will not be given certificates or prizes for the place they finish in tournaments they will be given to normal members. For instance if a Committee Member finished first in a Tournament, the highest finishing ordinary member will be given the accolade of winning the tournament. Committee members will still be able to earn XP but it will be part of a Committee League to show how the committee is doing between themselves with possibly an award for the highest ranking committee member at the end of the year, however this will be smaller than the award for the members. Referees could be integrated in to this league but this issue will have to have more time dedicated to it, in order to make it fair on all participants. Operating the league and tournaments in this way allows committee members to take the place of referees, when needed. This also means that a committee member who is involved in the tournament can referee is required providing they are not playing the current match. Website Ben Mayne posed the question if ACOG needed a custom built site the answer to this was yes, with all the things we want to do with it. However since Nick Brooks who is currently ill was in charge of developing the website, a short term solution to get the site up and running is to use WordPress.com and have a custom domain attached to the site this will give us time to work on the more complicated custom built site. Societies Fayre Banner Sam O'Hara will design a banner and try to get it by the fayre however if it is not possible to do so, an improvised banner will be made. Flyers Lisa Newton will e-mail the flyer text to the rest of the committee to try and get flyers ready for the fayre as soon as possible. Equipment Liam will source the console, controllers, Marvel Vs Capcom and the tv screen. Sam O'Hara will provide the laptop for the montage to be played. Float The maximum float we can have from the guild is 30 however Sam O'Hara has yet to hear from them whether we have the float or not. Plan B for clothing, due to Nick Brooks illness we do not know if the T-shirts were printed or not as

a result, we will be going with plan B of using gaming t-shirts or fancy dress for the fayre. First Event 7th October 2011 will be the date for the first event, however, we are currently unsure if we have a room booked with the guild. However Sam O'Hara and Keiran Russell will both attempt at booking a room with the guild for the 7th as soon as possible however it might not be possible to have the union on such sort notice. After the societies fayre Liam Edwards will be deciding on games list and the amount of equipment needed, the times for the tournaments will be decided once the numbers of equipment is known. Sam O'Hara and Keiran Russell will attempt to book Bar 9 or the Joint with the Joint being the preferred option. Guild Keiran Russell has spoken to Tom Burmeister about running a moving in weekend event for the guild which is non-alcoholic, which Tom Burmesister requested. The event will take place in Rosser Lounge, Tom Burmeister also asked CardSoc about running it with us however they did not respond to his request. Tom Burmesiter has requested that no split screen multi-player games are played. It was agreed that the following titles will be used: PS3: Fifa 11, Mortal Kombat, Marvel Vs Capcom and Street Fighter. Sam O'Hara has offered to provide his PS3 for the event. Xbox 360: Halo Reach, Guitar Hero III, Rugby World Cup, Call of Duty Black Ops, Left for Dead, and Left for Dead 2. Keiran Russell, Lloyd Thomas and Anthony Hope have kindly offered to let us use their xbox 360's for the event.

Keiran Russell is going to source as many board games as he can for the event. Sponsorship The Nags Head has offered us sponsorship of 100 in return for visiting them on socials once a week, and having their logo/name on our society hoodies. Discounted Doubles have also been offered by The Nags Head.

Sam O'Hara is talking to the Angel and Stars tomorrow (Wednesday 21st September 2011). After discussions with the Castle Hotel, they said that they do not sponsor societies however they do offer societies a discount card. How the card works: the more money spent by a society in the Castle Hotel the higher up a league table you are against other societies the more discount is given to the society. The committee has decided that if the Castle Hotel do not want anything in return for this that we will take them up on their offer otherwise, it will not be taken up.

Any Other Business Ben Mayne suggested that ACOG could offer a set up service for fresher's moving into the university halls for their game consoles and gaming pcs. However this was rejected due to other ACOG commitments during moving in weekend. However Sam O'Hara had been complying a guide with screen shots on the entire process of setting up a games console to work over the university network to game online. Sam O'Hara will publish the guide once it is ready.

The next meeting will be held on the 27th September 2011, at Keiran Russell's Flat, at 7pm.
