Introduction Ideal CRM improvements Version 15 from June 2008

Increased Usability:

1. Sticky Notes: associate Notes quickly to records.

2. Message Center: allows communication and collaboration with other colleagues


quickly from the Action Bar.

3. Action Bar Enhancements: Users are able to personalize the Action Bar using more
functionalities.

4. Forgot Password Feature on Login Page: By setting up Security Questions users


can reset Passwords without requiring Administrator assistance.

5. Use of Custom Web and Custom RSS Feed Applets: embeds external Web
content within Ideal CRM On Demand, e.g. News site, Social web site .

Sticky Notes

Explanation:

Sticky Notes allows you to add a Note to most Ideal record types like Accounts, Contacts and

Services. The Sticky Note icon allows access to Notes in one click without scrolling or to
navigate to the associated Notes Section. Notes can be designated as Private, Public or
addressed to a specific User. You can send a note to another User by going with the mouse
to the User Name. You can subscribe to Notes on detail pages so that you will be made
aware of changes on records of interest

Example1:

Create a Sticky Note on an Account Detail Page by moving your cursor towards the icon
and then click on the New Note button:

Fill in Subject and text and click

Example 2:

Create a Sticky Note directly for another colleague who is using Ideal:

Find the name of your colleague (e.g. in the Account Team Section) and click on the Sticky

Note icon .

Message Center

Explanation:

The Message Center enables you to manage Notes pro actively. When somebody adds a
note to a record that you are subscribed to, an alert appears in the Message Center. The
Message Center, which can be located in the Action Bar, display Notes in a consolidated List

Example:

By clicking on the new message will open.

You may wish to delete the message. Also you can use the Reply button which allows you to
communicate directly in return.

Action Bar Enhancements

Explanation:

The Action Bar is a useful tool that allows you to quickly access important information within
Ideal CRM OnDemand. Version 15 allows you to add and use some new features in the
Action Bar besides the already existing, e.g. Message Centre, Calendar.
Users are still able to manage the content and order of the Action Bar by themselves.

Example:

Add Message Center and Calendar:


Go to My Setup => Personal Lay Out => Action Bar Lay Out

Use the arrows to manage the content and the order of your Action Bar. After finalizing the
settings click .

Forgot Password Feature On Login Page

Explanation:

The Forgot Password feature allows a user to request a new password if they have forgotten
their existing one. By clicking the Forgot Password? link the user will be emailed a URL for
which the user has to correctly answer a number of security questions. If the user answers
these questions correctly the user can reset the password.

Example:

On the Sign In page click on the link Forgot Your Password?

After clicking on the temporary link in the email your Security Questions will be presented:

How to setup or change your Security Questions:


Go to My Setup => Personal Profile => My Security Questions

Choose the appropriate security questions and fill in your personal answers and click .

Use of Custom Web and Custon RSS Feed Applets

Explanation:

Ideal CRM OnDemand Version 15 supports custom Web Applets. This allows you to embed
external Web content into Ideal. Web Applets can be embedded in Home Pages and in the
Action Bar as well. Before Web Applets can be used the Internet Site must be introduced as
a Global Web Applet. This needs to be done by one of the General Administrators.

Example 1:

How to add the Compass Web Site or the Financial Times Web Site to your Home Page Lay
Out?
Go to My Set Up => Personal Lay Out => My Home Page Lay Out
Or:
On your Home Page go to Edit Lay Out:

Click on the Custom Web Applet ‘Compass’ or ‘Financial Times’. Use the buttons to add
and position the Web Applet. Then click .

The Compass Web site now is available on your Home Page.

Remark 1: the width of the web page is limited to only half page. It is not possible to extend
this.
Remark 2: adding other web sites then the Compass Web site or Financial Times web site
can only be done by General Administrators. Only requests made by Local Administrators will
be taken into consideration.

Click on the Custom Web Applet ‘Compass’ or ‘Financial Times’. Use the buttons to add
and position the Web Applet. Then click .

The Financial Times RSS is now available in the Action Bar.


Remark 1: adding other RSS Feeds can only be done by General Administrators. Only
requests made by Local Administrators will be taken into consideration.

(RSS Feed: Really Simple Syndication = software that allows automatic refresh of data of
specific web sites)

Example 3:

How to let a Social Web Site like “Linked In” interact with Ideal?

These Web Sites like “Linked In” need to be introduced into Ideal as a Custom Web Applet.
This can only be done exclusively by the General Administrators!

The Ideal Contact Person’s details can be searched automatically in Linked In.
Remark 1: You need to have a valid Linked In Account to retrieve data
Remark 2: The Contact Person details in Ideal need to be spelled exactly as in Linked In to
make a match.

Remark 3: The Linked In web applet is performing a search every time you open a Contact
Person’s detail page. This leads to some additional response time.
Remark 4: Only requests made by Local Administrators will be taken into consideration.

Use of Widgets

Explanation:

A Widget allows you to present Ideal CRM OnDemand content in other applications, e.g.
show graphs on your desk top or to show results of Lists in other application

Users who have configured iGoogle as their default portal can embed Widgets from Ideal
directly.

Remark 1: Using Widgets in combination with iGoogle can be configured easy. If you want to
use this feature please contact your Local Administrator. Your User privileges need to be
adjusted and a simple manual will be provided.
Remark 2: Using Widgets on your desk top require a more complicated configuration. Also in
this case please contact your Local Administrator.
