Adding New Application
When an individual or corporate customer contacts you to apply for a loan, you need to add the
applicant’s details to the system. This starts the APS process for the application. APS also allows
you to update details of an existing applicant, whenever required.
You can enter the applicant’s details into the system using the New Application screen. APS
allows you to save the application even if you haven’t filled all details of the applicant. You can
enter these details later with the help of the QDE and DDE screens. In case, the application has
crossed both QDE and DDE stages and now you want to add some details, you can do so with
the help of the INCOMP_QDE screen and INCOMP_DDE screen.
APS provides separate forms for individual and corporate applicants.

27.1 Adding New Application for Individual Applicant


An individual applicant can request for a loan for any of the specified products in the Personal
Loan category. To add a new application to the system, you need to enter details in the Sourcing
screen, after which you can navigate to the New Application screen. The New Application screen
allows you to enter only the basic details of the applicant, which include the personal details and
address details. You can enter these details while adding the new application, or can do so later,
with the help of the QDE and DDE screens. The QDE and DDE screens also help you to add
other details of the applicant.

27.1.1 Adding Basic Details of Individual Applicant


The first step of APS processing is adding the applicant’s details to the system. You can enter
this information in the New Application screen. After you save these details, the system
generates a unique identification number for the application, termed as Application Id, which can
be used to track the application at any stage.
Enter the contact details of the new individual applicant so that the bank has the information on
how to contact the applicant or send statements by fax, post, or email. The address details also
help to verify the applicant’s credentials. Address Details are added in the New Application
screen.

To add basic details of an individual applicant:

1. Click on Retail Intray  Personal Loan  New Application.

2. Enter details in all the fields, as described in the following table.

Referral Group Select the Referral Group for the application. The options are: O
• Broker
• Dealer
• Developer.
Referror Code Enter the code of the person who has referred the O
application. You can also select the code from the LoV.
Account Officer Enter the code of the account officer dealing with the O
Code application. You can also select the code from the LoV.
Account Office The name of the account office dealing with the application is O
Name displayed.
Loan Scheme
Product Select the product for which the loan is applied. M
Scheme Group For the selected product, select the scheme group under M
which the loan is applied. The valued displayed in the
dropdown menu is based on the product selected by you.
Source State Select the name of the State where the loan application is O
added
Scheme From the dropdown menu, select the scheme under which M
the loan is applied. Only those schemes are displayed which
are related to the product selected by the applicant.
Promotion Select the promotion scheme, if any, applicable to the loan O
application. If you have selected a scheme, the promotion
field will display only the related promotions. However, you

can directly select a promotion for the product subscribed by
the applicant. In that case, the scheme field will get auto
populated with the related scheme.
Channel Code Select the channel from where the applicant learnt about the O
loan scheme. The dropdown menu displays the values as
specified in the APS master
Relationship From the LoV, select the name of the relationship manager O
Manager dealing with the applicant.
DSA From the LoV, select the name of the direct selling agent M
dealing with the applicant
DME Enter the name of the DSA’s executive dealing with the client O

3. Click Save And Proceed.

4. Enter details in all the fields, as described in the following table.

TIN No. Enter the tax identification number of the applicant. O
Citizenship Select the citizenship of the customer. O
Title Displays the courtesy title applicable for the customer. O
Car Ownership Select whether the customer owns car or it has been O
mortgaged.
No of Cars Enter the number of cars owned by the applicant. O
Bank Relationship Select the Bank Relationship of the applicant. It O
represents the kind of services and products the
customer is using from the bank. The options are:
• Back to Back
• Business Loan
• Credit Card
• Deposit
• Housing Loan
• Personal Loan
• Trade Finance
Initials Displays the initials of the applicant. O
Gender Specify the gender of the applicant. Select Male of M
Female from the dropdown list.
Date of Birth Enter the date of birth of the applicant in the M
dd/mm/yyyy format. Or, click on the calendar icon on
the right and select the date.
Category Select the category of the customer from the dropdown O
list. The options are:
• HNW
• General
• Others
Constitution Select from the dropdown menu if the applicant is M
salaried, self-employed or falls in any other category.
Loan Amount Enter the amount of loan requested. M
Tenure in Months Enter the period in months for which loan is requested. M
Address Details
Address Type Select from the dropdown menu if the applicant has M
given details of his current residence.
Residence Type From the dropdown menu, select the type of residence O
of the applicant. The options are:
• Company Provided
• Mortgaged
• Owned
• Rented
Address One Enter the first line of the address. M
Address Two Enter the second line of the address. O
Address Three Enter the third line of the address. O
Village Enter the name of the village of the applicant.
Country Select the country from the dropdown list. The list M
displays only those countries as specified in the APS
Master. The default option is India.
State Enter the name of State or click on the LoV button to M
search for the State name. The LoV contains names of
the States as specified in the APS Masters. You

cannot enter a name not maintained in the master.
District Enter the name of district or click on the LoV button to O
search for the district name. The LoV contains names
of the districts, as specified in the APS Masters. You
cannot enter a name not maintained in the Master.
City Enter the name of city or click on the LoV button to O
search for the city name. The LoV contains city names
as specified in the APS Masters. You cannot enter a
name not maintained in the master.
Pin Code Enter the pin code or click on the LoV button to search O
for the required value. The LoV contains only those
values as specified in the APS Master. However, APS
allows you to enter a pin code not maintained in the
master.
STD Code Enter the STD code of the applicant’s phone number. M
Phone 1 Enter the phone number (mail line) where the applicant M
can be contacted.
Extension Enter the extension number of the applicants O
telephone, if applicable
Phone 2 Enter the second phone number (mail line) where the O
applicant can be contacted
Mobile Enter the mobile phone number of the applicant.
Email Enter the email id of the customer where mails can be O
sent to the applicant.
Fax Enter the fax number of the customer where messages O
can be faxed to the applicant.
Pager Enter the pager number of the customer where O
messages can be paged to the applicant.
Landmark Enter if there is any landmark near the applicant’s O
residence
Years at Current Enter years (Yr.) and month (Mth.) for which the O
address applicant is living at the current address.
Mailing Address Select Yes or No to specify if the applicant wants bank O
to post statements/notices to the given address. The
default option is No.
One of the addresses of the applicant -- residence
or employment – has to be selected as the mailing
address. If neither is selected, APS displays an error
message.
Years at City Enter years (Yr.) and month (Mth.) for which the O
applicant is living in the mentioned city.

5. Click on Save .
The system adds the details of the new application and generates a unique Application Id.

 After saving the details of the applicant when you click Change Stage, the system displays the
following message: Press OK to add another Applicant else press Cancel. Click
OK to add another applicant and click Cancel to validate the entries made.

27.1.2 Filling in QDE Details


The data of the applicant required for processing the loan request can be classified in two
categories. These are: Quick Data and Detail Data. You need provide details under both these
categories to initiate the process of loan disbursement to the applicant.

Quick data comprises basic details of the applicant, such as personal details, address details,
work details and income and liability details. You can enter the personal details and address
details of the applicant as soon as you create a new application, or you can save the application
and enter these later along with other Quick Data. To enter the quick data of the applicant, you
need to navigate to the QDE screen of the corresponding application and click the required tab.
You can add the following information with the help of the QDE screen:

1. Basic details of the applicant (for details on adding basic information refer to section 5.1.1.1
Adding Basic Details of Individual Applicant)

2. Work details of the applicant


3. Income and liability details of the applicant
4. Loan information of the applicant
5. Information regarding documents that are to be collected from the applicant

can add the basic details of the applicant at the same time without closing the New
screen, or later, separately. Click on the Save button after adding details in the
form. When you save the form after entering the basic details, a unique Id is generated for
the application. You can use this Id to search the application and enter remaining details.

27.1.2.1 Adding Work Details of the Individual Applicant

You can enter work details of the applicant in the Quick Data Entry screen. Work details help the
bank check the credentials and repayment capability of the applicant.

To add work details of the individual applicant:

1. Click on Retail Intray  Personal Loan  Quick Data Entry.


The QDE search screen is displayed.

2. Use the search criteria and select the application Id for which you want to enter the work
details.
The QDE screen is displayed for the selected Application Id.
3. Click the Applicant link.
The name of the applicant is displayed.
4. Click the name of the applicant.
The Personal screen is displayed.
5. Click on the Work Details link.
The Work Details form is displayed.

6. Enter details in all the fields, as described in the following table.

Type option is Salaried.
Designation Select the designation of the applicant from the dropdown list. O
The list displays all the designations specified in the
Employment master.
Business Details
Nature of From the dropdown menu, select the nature of business of O

Business Name Enter the name of business in which the applicant is involved. O

Pin Code Enter the pin code or click on the LoV button to search for the O
required value. The LoV contains only those values as
specified in the Pin Code Master. However, APS allows you
to enter a pin code not maintained in the master.
STD Code Enter the STD code of the applicant’s phone number. M
Phone 1 Enter the phone number (mail line) where the applicant can M
be contacted.
Extension Enter the extension number of the applicants telephone, if O
applicable
Phone 2 Enter the second phone number (mail line) where the O
applicant can be contacted
Mobile Enter the mobile phone number of the applicant.
Email Enter the official email id of the applicant where e-mails can O
be sent.
Fax Enter the fax number of the applicant where messages can O

7. Click on Save .
APS saves the applicant’s details and links these to the selected Application Id.

27.1.2.2 Adding Income/Liability Details of Individual Applicant

You can enter income/liability details of the applicant in the Quick Data Entry screen. The Income/
liability details help the bank check the total income of the applicant and the liabilities the
applicant has. This helps the bank judge the repayment capability of the applicant.

To add income/liability details of the individual applicant:

1. Click on Retail Intray  Personal Loan  Quick Data Entry.


The QDE search screen is displayed.

2. Use the search criteria and select the application Id for which you want to enter the
income/liability details.
The QDE screen is displayed for the selected Application Id.

3. Click the Applicant link.


The name of the applicant is displayed.

4. Click the name of the applicant.


The Personal screen is displayed.

5. Click on the Income/Liability link.


The Income/Liability form is displayed.

6. Enter details in Income section, as described in the following table.

7. Click on Add .
APS saves the record and displays it as a row in the grid below these entry fields.

 Repeat Steps 2 and 3, if the applicant has income from more than one source.
8. Enter details in the Customer Liability section, if the applicant is already repaying another
loan.

9. Click on Add .
APS saves the record and displays it as a row in the grid below these entry fields.

 Repeat Steps 4 and 5, if the applicant is repaying more than one loan.
10. Enter details in the Income section, as described in the following table.

Rupees. APS uses the data entered in the Income section
of this screen.
Total obligation Displays the total obligations amount in Rupees the -
applicant is paying very month. APS uses the data entered
in the Liability section of this screen.
Gross Monthly Displays the gross monthly income of the applicant in -
income Rupees
Net Amount Displays the net income amount of the applicant in Rupees. -
The net income amount is obtained by deducting the total
obligations from the total income.

11. Click on Save .


The income and liability records of the applicant are added to the system.

27.1.2.3 Adding Loan Details of Individual Applicant

You need to enter details of the loan amount and period for which loan is applied. These details
can be entered in the Quick Data Entry screen. Adding loan details helps in calculating the
repayment amount and the tenure in which the applicant will be able to pay back the entire
amount to the bank.

To add loan details of individual applicant:

1. Click on Retail Intray  Personal Loan  Quick Data Entry.


The QDE search screen is displayed.

2. Use the search criteria and select the application Id for which you want to enter the loan
details.
The QDE screen is displayed for the selected Application Id.
3. Click the Loan Info link.
The Loan Details screen is displayed.

4. Enter details in all the feilds, as described in the following table.

Loan Amount Enter the amount of loan that the applicant wants to take O
from the bank.
Type of Loan From the dropdown menu, select whether the loan is for O
business purposes or is a personal loan.
Loan Purpose From the dropdown menu, select the purpose for which the O
applicant is taking the loan.
Term Enter the term for which the applicant is taking the loan. O
Policy Type From the dropdown menu, select the type of policy under O
which the loan has been applied.
Add on Rate Enter the add-on rate for the loan O
Monthly Enter the monthly interest rate for the loan. O
Amortization

5. Click on Save .
The loan details of the applicant are added to the system.

27.1.2.4 Adding Document Collection Details

You can enter details of the documents that need to be collected from the applicant with the help
of the QDE screen. It also helps you specify which of these documents are mandatory for
initiating the process of loan disbursal to the applicant and which are optional.

To add documents collection details:

1. Click on Retail Intray  Personal Loan  Quick Data Entry.


The QDE search screen is displayed.

2. Use the search criteria and select the application Id for which you want to enter the document
collection details.
The QDE screen is displayed for the selected Application Id.

3. Click the Document Collection link.


The Document Collection screen is displayed for the selected Application Id.

4. Enter details in all the fields, as described in the following table.

Document Select the document that is required to be collected from M
the applicant. The dropdown list displays all the documents
that may be required. Different type of documents may be
required for the applicants, depending upon their loan
requirements and details
Original Select the checkbox if the selected document is required in O
original
Status Select the status of the document collection. The status M
can be completed (for the document submitted by the
applicant) and pending (for the document that is required
but has not been submitted)
Received Date Enter the date when the required document was received M
by the bank. Date should be entered in dd/mm/yyyy format.
Reason Select the reason for the document requirement. The O
dropdown list displays the pre-defined reasons as per the
bank’s requirements. These may be proof of income and
taxes, proof of age, and house ownership.
Validity Date Enter the date up to which the document submitted by the M
applicant is valid
Remarks Enter remarks, if any O
RIC Reqd. Select the check box if RIC is required. A popup screen for O
initiating RIC is displayed. Enter or select the following
details and click on Save and Close :
• RIC Date: Enter the date in dd/mm/yyyy format
when the check was done
• RIC Name: Select the name of the agency who
has done the RIC check
• Status: Select the result of the check, if it is
negative, positive, could not be verified,
or as applicable
• Remarks: Enter additional remarks, if any

5. Click on Add.
The system saves the details and a row is added to the grid above the entry screens, showing
details of all the documents collected or to be collected for the selected Application Id.

27.1.3 Filling in DDE Details


Detail Data Entry screen allows you to enter all the details that you can do with the QDE screen.
In addition, you can also enter some other details of the applicant, such as the collateral details,
trade-in details, rate/risk details and reference details.
The DDE screens allow you to add information that you missed out when the application was in
the Quick Data Entry stage. You can search the respective application and fill in the required
details in the DDE screens.
You can add the following information with the help of the DDE screen:

27.1.3.1 Adding Demographic Details

The demographic details of the applicant include the personal details, address details, work
details, income/liability details, financial details and current asset details. The DDE screen allows
you to fill in all these details of the applicant. In case you have filled in some of these details in the
QDE screen, these will be displayed when you open the corresponding application. You can fill in
the other details, or modify the details entered in the QDE screen.
The Demographic Details link helps you record the following information of the applicant:
1. Personal Details
2. Address Details

3. Work Details
4. Income/Liability Details
5. Financial Details

6. Current Asset Details

Adding Financial Details

Before approving any loan, the bank needs to evaluate the financial status of the applicant. You
can enter the bank and credit card details of the applicant using the Detail Data Entry option.

To add financial details of applicant:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.


The DDE search screen is displayed.
2. Use the search criteria and select the application Id for which you want to enter the financial
details.
The DDE screen is displayed for the selected Application Id.
3. Click the Demographic link.
The Personal Details screen for the selected applicant is displayed.
4. Click on the Financial Detail Link.
The Financial Detail screen is displayed

5. Enter data in the Bank Detail section, as described in the following table.

Adding Current Asset Details

The bank needs to have a description of the assets owned by the applicant so that it can evaluate
the financial position of the applicant. You can enter these details using the Detail Data Entry
screen.

To add the current assets details of applicant:

1. On The Personal Details screen for the applicant, click on Current Assets.

27.1.3.2 Adding Collateral Details for Individual Applicant

Collateral details need to be added for a loan to ensure additional security. This option of APS is
used to capture details of the cross-collaterals security, or the security that is shared by any other
loan. If the customer has given loaned assets as additional security to the bank for another loan,
the APS will lock this customer from foreclosure of the loan. However, the system will have the
option to remove the asset from the hypothecated lot (in case it has to be foreclosed) and
hypothecate some other asset to the bank (in case the earlier asset for additional security gets
damaged).

 Collateral details need to be added only when an additional security is added to the loan.
To add collateral details for the individual applicant:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.

their details.
2. Use the search criteria or select the application Id for which you want to add collateral details,
and click on the Application Id link.

Adding Insurance Details


For the Collateral assets, which are insured (and you have selected Yes for
the Collateral Insurance field), you need to enter their insurance details.
1. After adding collateral details, click on the collateral asset in the grid for
which you want to enter insurance details. The details are displayed in
the entry fields and the Insurance Details button gets enabled.
2. Click on Insurance Details.
The Insurance Details screen is displayed.

3. Enter details like the type of the insurance, name of the insurance
company, and the policy taken, name of the agent, coverage type and
premium details.
4. Click on Add.
The details are displayed in the grid below the entry fields. If the asset
has been insured with more than one policy, repeat steps 3 and 4 for
each policy. APS adds a new row in the grid for each policy.

If you have chosen Yes for the Collateral Cross of assets, the Cross Collateral section is
enabled.
5. Enter details in all the fields, as described in the following table.

Adding Trade-in Details for Individual Applicant

Trade-in details need to be added for a loan if the applicant is trading an owned vehicle for buying
a new asset. This option of APS is used to capture details of the trade-in vehicle and its
evaluation information.
The Trade-in section is there on the Collateral screen.

 Trade-in details need to be added only when the applicant is trading an owned asset to buy
the new asset.

To add trade-in details for the individual applicant:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.


The Detail Data Entry screen is displayed, showing a list of all the Application Ids in APS and
their details.
2. Use the search criteria or select the application Id for which you want to add trade-in details,
and click on the Application Id link.
The Sourcing screen is displayed, showing details of the selected Application Id.

3. Click on the Collateral link.


The Collateral screen is displayed.
4. Enter the following details in the Trade In Detail section.

Adding Rate/Risk Details for Individual Applicant

The Rate/Risk Details section facilitates the user to define the exact contribution for the risk or
rate.
The Rate/Risk Details section is there on the Collateral screen.

To add rate/risk details for the individual applicant:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.


The Detail Data Entry screen is displayed, showing a list of all the Application Ids in APS and
their details.
2. Use the search criteria or select the application Id for which you want to add rate/risk details,
and click on the Application Id link.
The Sourcing screen is displayed, showing details of the selected Application Id.

3. Click on the Collateral link.


The Collateral screen is displayed.

4. Enter the following details in the Risk/Rate section.

Reference details need to be entered into the system once the loan has been approved.
Reference is a person who acts as an additional verification on the applicant for ensuring timely
loan repayment. You can enter as many references as required by your institution.

option is No.
One of the addresses of the applicant -- residence or
employment – has to be selected as the mailing address. If
neither is selected, APS displays an error message.
Years at City Enter years (Yr.) and month (Mth.) for which the applicant O
is living in the mentioned city.

6. Click on Save.
Save
APS saves the details and displays the following message at the top of the screen:
Data saved successfully.

27.3 Adding a Co-Applicant


Two or more applicants can jointly apply for a loan. However, they must be related to each other.
One of them has to be a primary applicant (whose details will be considered for the loan) while
others will be co-applicants The APS allows you to add one or more co-applicants to an

application. You can add a co-applicant only after adding details of the primary applicant. The co-
applicant can either be an individual or a company.
To add a co-applicant to an application Id, you need to add the co-applicant’s personal details.
Other mandatory details, such as the co-applicant’s contact information, income/liability details,
financial details, current assets details and any miscellaneous information can be added later.

27.3.1 Adding an Individual Co-Applicant


The individual co-applicant is added to an Application Id when you enter and save the personal
details of the co-applicant in APS. You also need to add the following details of the co-applicant:
• Contact Details
• Work Details
• Income/Liability Details
• Financial Details
• Current Asset Details
• Loan Details
• Collateral Details
• MIS Details
• References Details
You can add these details in any of the following ways:
a. After adding personal details, click on the corresponding links (on the toolbar that
appears on top of the Personal Details screen) to add the co-applicant’s records.
b. Enter and save personal details of the applicant and close the screen. The other details
can be added later. APS saves the co-applicant’s details and displays the name in the
Demographic screen. Click on the required co-applicant’s name to add other details.

To add an individual co-applicant:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.


The Detail Data Entry screen is displayed, showing a list of all the Application Ids in APS and
their details.
2. Use the search criteria or select the application Id for which you want to add a co-applicant,
and click on the Application Id link.
The Sourcing screen is displayed for the selected Application Id, showing details of the
selected Application Id.
3. Click on Demographic.
The Demographic screen is displayed, showing the name of the applicant. If a co-applicant is
already added to the application Id, the list displays names of all the applicants associated
with the Application Id. The first name is that of the primary applicant.
4. Click on Individual below the list: (under Add New Applicant.)

7. APS saves the data and adds the co-applicant to the selected Application Id. The following
message is displayed on top of the screen:

 You can change these details or add the optional information later. To get the co-applicant’s
personal details screen, click on the co-applicant’s name on the Demographic screen. Make the
changes or add details and click on the Update button.

 After saving the details of the co-applicant when you click Change Stage, the system displays
the following message: Press OK to add another Applicant else press Cancel. Click OK to
add another co-applicant and click Cancel to validate the entries made.

27.3.1.1 Adding Details of Individual Co-Applicant

You need to enter details of the individual co-applicant so that the bank can judge the co-
applicant on various parameters before sanctioning the loan. To enter these details you need to
search the application and click the name of the individual co-applicant whose details you want to
enter and on the Personal screen of the co-applicant, click the respective tab for entering the
details.
The details you need to enter for the co-applicant are:

1. Contact Detail (for field-level details refer to Adding Basic Details of Individual Applicant)
2. Work Detail (for field-level details refer to Adding Work Details of Individual Applicant)
3. Income/Liability Detail (for field-level details refer to Adding Income/Liability Details of
Individual Applicant)

27.3.2 Adding Corporate Co-Applicant


The co-applicant permits you to enter a Corporate as co-applicant.

To add a corporate as co-applicant:

1. Click on Intray  Personal Loans  Detail Data Entry.


The Detail Data Entry screen is displayed, showing a list of all the Application Ids in APS, and
their details.

2. Use the search criteria or select the application Id for which you want to add a co-applicant,
and click on the Application Id link.
The Sourcing screen is displayed for the selected Application Id.
3. Click on Demographic.
The Demographic screen is displayed, showing the name of the applicant. If a co-applicant is
already added to the application Id, the list displays names of all the applicants associated
with the Application Id. The first name is that of the primary applicant.
4. Click on Corporate below the list. (under Add New Applicant.)
The Corporate Personal screen is displayed.

5. Enter details in all the fields, as described in the following table.

 After saving the details of the corporate co-applicant when you click Change Stage, the
system displays the following message: Press OK to add another Applicant else press
Cancel. Click OK to add another corporate co-applicant and click Cancel to validate the entries
made.

27.3.2.1 Adding Address Details of Corporate Co-Applicant

To add address details of corporate co-applicant:

1. On the Corporate screen, click on the Address link.

row is added to the grid for each address type.

27.3.2.2 Adding Business/Financial Rating of Corporate Co-Applicant


Evaluation business and financial ratings of the co-applicant company helps the loan-disbursing
agency (bank or NBFC) in assessing the financial standing of the company and find if there is any
risk factor involved in approving the company’s loan application.

To add business/financial ratings of a corporate co-applicant:

1. On the Corporate screen for the selecetd co-applicant, click on the Business/Financial
Rating link.

 The screen is divided into five parts. You can enter details in all or any of these parts, as
applicable. APS provides Add, Update, Delete and Clear buttons below each section to save,
update or delete data for that particular section.

2. In the Company Business field, enter a description of the business in which the company is
involved. Enter details, like when did the company start, what has been the growth trends,
and what are its areas of interest. You can enter a maximum of 3000 characters. A small text
box below this field displays the number of the characters left.
3. Click on Save .
The system saves the details and displays the message at the top of the the screen: Data
saved successfully.
4. Enter financial details of the company in the following fields, as described in the following
table.

more than one FD, enter the details for one FD at a time, as described in the following table.

27.4 Adding a Guarantor


Two or more applicants can jointly apply for a loan. However, they must be related to each other.
One of them has to be a primary applicant (whose details will be considered for the loan) while
the others will be guarantors. The APS allows you to add one or more guarantors to an
application. You can add a guarantor only after adding details of the primary applicant. The
guarantor can either be an individual or a company.
For adding a guarantor to the required application Id, you need to add the guarantor’s personal
details. Other mandatory details, such as the guarantor’s contact information, income/liability
details, financial details, current assets details and any miscellaneous information can be added
later.

27.4.1 Adding an Individual Guarantor


The individual guarantor is added to an Application Id when you enter and save the personal
details of the guarantor in APS. You also need to add the following details of the guarantor:
• Contact details
• Income/Liability details
• Financial details
• Current Asset details
• Miscellaneous details
You can add these details in any of the following ways:
a. After adding personal details, click on the corresponding links (on the toolbar that
appears on top of the Personal Details screen) to add the guarantor’s records.
b. Enter and save personal details of the applicant and close the screen. The other details
can be added later. APS saves the guarantor’s details and displays the name in the
Demographic screen. Click of the required guarantor’s name to add other details.

To add an individual guarantor:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.

Evaluation business and financial ratings of the guarantor company helps the loan-disbursing
agency (bank or NBFC) in assessing the financial standing of the company and find if there is any
risk factor involved in approving the company’s loan application.

To add business/financial ratings of a corporate guarantor:

Completing Details of Applications
APS allows you to save an application even without filling up all details. The incomplete
application gets queued up in a separate screen, from where you can trace it and complete it as
and when required. The application, which is incomplete in respect of the Quick Data Entry
details, gets saved in the Incomplete Queue for QDE screen, while applications in which detail
data entries are not complete get queued up in the Incomplete Queue for DDE screen.

28.1 Completing QDE Details


You can complete the Quick Data Entries of individual and corporate applicants with the help of
the INCOMP_QDE screen. The details that you can complete include:
• Personal details of the applicant
• Address details of the applicant
• Work details of the applicant
• Income and Liability details of the applicant

To complete QDE details:

1. Click on Retail Intray  Personal Loan  Incomplete Queue for QDE.

2. Enter or select details in one or more fields as described in the following table:

Controlling Data Entry Quality
APS allows you to keep a check on the quality of work done by the data entry people. It helps you
know if the entries made by the concerned persons are correct or not and what is the extent of
error committed by them. To do this, the application is queued up for quality control after both
quick data entry and detail data entry. The persons assigned to check the correctness of the
application open it and tallies the entries made with that in the hard copy of the application (which
was filled up in the presence of the applicant). All the fields in which wrong entries were made are
corrected and the application is saved.
All fields of the application are not editable in the QC stage. Rather only the critical fields are kept
editable.

29.1 Controlling Quality after QDE


The applications, which are complete in respect of quick data entry, such as the basic details,
employment details, and income/liability details of individual and corporate applicants, get queued
up for QDE Quality Control. These applications are compared with the original form to check the
errors committed and the fields having wrong entries are corrected.

To control quality after QDE:

1. Click on Retail Intray  Personal Loan  Quick Data Entry Quality Check.
The Quick Data Entry Quality Check Search screen is displayed.

Updating Application Details
APS allows you to view and update the details of the loan applications already added to the
system. You can search and find the required application from the search screen, and then make
the required changes. APS maintains separate forms for individual and corporate applicants.
The New Application and Detail Data Entry screens allow you to update the personal and
employment details of the primary applicant, guarantor, guarantor, and details of the requested
loan. You can search for the required application on the basis of the application Id, customer
name, date on which application was created, product or scheme.

To update details of an individual application:

1. Click on Retail Intray  Personal Loan  Detail Data Entry.


The Detail Data Entry screen is displayed, showing a list of all the loan applications in the
system and their details, arranged by Application Id.

2. To find the application you want to update, do one of the following:


a. Scroll down the list of the applications (if you know the Application Id) and double-click on
the required Application Id.
b. Enter one or more of the following search criteria and click on Search
Search :
• Application Id: Enter the Application Id or the initial few digits.
• Customer: Enter the name of the applicant or the initial few letters.
• Signed: Enter the date (in dd/mm/yyyy format) on which the application was entered
into the system.
• Product: Select the name of the project for which loan is requested.
• Scheme: Select the scheme under which loan has been applied.
The Sourcing screen for the Application Id that matches the search criteria is displayed.

 If more than one application match the given search criteria, a list of all such application Ids is
displayed, from where you can select the required application.

3. Click on the link where you want to update details of the applicant.
The corresponding form is displayed.
4. Add or modify data as required and click Update .
The updated data is saved in the APS.

Verifying Applicant Details
The bank verifies the contact point details of all the loan applicants. The address details that are
entered into the system are handed over to the to Field Investigation (FI) agencies. These
agencies initiate field investigation for all the allocated cases and maintain a record of the
comments related to each case.

31.1 Initiating CPV Process


After the applicant details are recorded into the system, these need to be verified. An external
field investigation agency completes the task for the bank. However, you need to refer to the
agency the cases that need to be verified. This can be done using the CPV menu option.

To refer an application for verification:

1. Click on Retail Intray  Personal Loan  FI Activities  FI Initiation.


The FI Initiation screen is displayed, showing a list of all the Application Ids that need to be
referred to CPV. The screen also displays details of the application, such as name of the
applicant, phone number, when was the application created and by whom.
2. Use the search criteria or select the Application Id you want to verify and double-click.
The FI Initiation screen is displayed, showing details of the applicant and loan requested for.

3. Select the Application Id you want to refer to verification by clicking in the corresponding
check box. You can select more than one Application Ids.

4. Select the Applicant’s name (in the Customer Name column) for the selected Application Id
by clicking in the corresponding check box. You can select only one co-applicant in case of
joint applications.

5. Select the types of inspections you want to be used to verify the applicant’s details by clicking
in the corresponding check boxes. The four types of verification are:
i. Busi Veri: To get the applicant’s office/business details verified by a personal visit (by FI
agency executive)
ii. Resi Veri: To get the applicant’s residence details verified by personal visit (by FI
agency executive)
iii. Busi TVR: To get the applicant’s office/business details verified over telephone
iv. Resi TVR: To get the applicant’s residence details verified over telephone

 You can waive off the verification process for the selected application by clicking the Waiver
check box. This makes all other check boxes disabled.

 To select all the Application Ids in the list and all the verification modes, click in the check box
below the column heading Application Id. All the checkboxes will be selected. To deselect all, click on
the column heading check box again.

 To waive off the verification for all the Application Ids in the list, click in the check box below
the column heading Waiver. All the checkboxes will be selected. To deselect all, click on the column
heading check box again.

6. Click on FI Initiation Memo to refer the selected application to the FI for verification.

31.2 Verifying Contact Point Details


The FI agency investigates the contact point details of each applicant in four steps. An executive
of the agency visits the office and residential premises of the applicant as per the address and
records mentioned in the details. This is followed by telephonic verification of the same. Records
of all these four verifications are maintained in the APS.

The executive of the agency visits the office premises of the applicant and obtains some
information from the applicant, colleague or employee of the applicant. These details are
recorded in the Business Verification screen. In addition, the executive records some details
based on his observation.

FI agency executive calls the applicant’s office at the phone numbers entered into the APS and
records details of the conversation in the Residence Tele Verification screen.

To record residence tele verification details:

1. Click on Retail Intray  Personal Loan  FI Activities  FI Verification Detail .

2. Use the search criteria or select the application Id you want to verify and double-click.

31.3 Verifying Appraiser’s Report on CPV


After the verifier investigates, and enters verifies, the FI executive needs to enter the appraisal
result into the APS as positive, negative or neutral. The bank then verifies this result. You can
verify the appraiser’s decision on the applicant’s contact details using the FI Completion screen.

To verify appraiser’s decision on CPV:

1. Click on Intray  Personal Loans  FI Activities  FI Completion .


The FI Completion Search screen is displayed, showing a list of all the Application Ids for
which CPV has been completed.
2. Use the search criteria or select the application Id for which you want to verify the appraiser’s
decision and double-click.

3. Review the verification details. The four modes of contact point verification for the selected
Application Id are displayed column-wise
4. In the Verify Appraiser Decision field, select the appropriate value from the dropdown list:
• Negative: To reject the appraiser’s decision
• Positive: To approve the appraiser’s decision
• Neutral: To hold a decision on the application

 This decision only verifies the appraiser’s decision. That means, if the appraiser had made a
negative decision, and you click on positive, the appraiser or verifier’s decision remains in effect and
stays as negative.
5. Click on Save .
The system saves the data and displays the following message:
Your request has been processes successfully.

6. After all the verification details have been entered, click on the Change Stage link. The
system saves the details and the verifier’s recommendations and moves the application to
the next stage of the loan processing.

 If you try to move the application to the next stage without entering all the required verification
details, the following message is displayed:

31.4 Using Quick Dedupe


Quick Dedupe is a process to verify whether the applicant is an existing customer or has a
relationship with an existing customer. The option is used to maintain the parameters on which
the de-duplication runs. This process eliminates all chances of duplication of the details.

To use Quick dedupe:

1. Click on Retail Intray  Personal Loan  Quick Dedupe.


The Mini Dedupe Referral screen is displayed, showing a list of all the Application Ids and
their details.
2. Use the search criteria or select the application Id for which you want to use Quick Dedupe
and double-click.
The Quick Dedupe screen is displayed for the selected Application Id, showing the applicant
details and a list of the application Ids in APS that match with one or more values of the
selected application Id.

3. Click on the Application Id to view its matching information.
The details are displayed in a new window.
4. Enter your remarks, if any, and click on Save and Proceed .
The Quick Dedupe report is saved in the APS.

Collecting Documents
Document collection is an integral part of any loan application / disbursal process. The sums of
money involved entail that the loan origination agency be completely sure of the applicants
standing in terms of the criteria that it considers important. Documents Collection helps in this
regard.

32.1 Adding Document Collection Details


This task deals with the collection of all the documents relating to the application. Some
documents such as residence proof, age proof, application forms with the applicant’s signature
are required to be collected. A few of these documents may be necessary and mandatory.

To add documents collection details:

1. Click on Retail Intray  Personal Loan  Documents Collection.


The Documents Collection screen is displayed, showing a list of all the Application Ids in APS
and their details.
2. Use the search criteria or select the application Id for which you want to use Document
collection, and click on the Application Id link.
The Documents Collection screen is displayed for the selected Application Id, showing a list

The Documents collected from the applicant and their status can be viewed together in the
documents collection screen. This task helps in ensuring that mandatory documents have the
appropriate status and are not missing from the collection.

To view the documents collection:

32.3 Initiation RIC Check


Risk Intelligence Containment initiation is done when some document collected from the applicant
needs to be verified. You can mark the RIC status as positive, negative or neutral
as the case may be.

To perform RIC Initiation:

Appraising an Application
After all the relevant details of the applicant, the required loan and the product for which loan is
sought are entered into the system, these are verified at various levels. The verification reports
are also entered into the system. On the basis of these details and verification reports, a decision
is taken on the application if loan can be granted to the applicant. The underwriter takes this
decision on the loan applications and indicates if the application is approved, rejected, put on hold
or forwarded for further action.
The employees with the underwriter’s role at different levels have certain limit associated to them,
beyond which they cannot approve a loan. If any such approval is granted, it needs to be ratified
by the underwriter’s supervisor. The supervisor also reviews the reasons due to which a loan
application is rejected by the underwriter, and has the right to revoke the rejection.

33.1 Underwriting a Loan


Taking a decision on a loan application after reviewing various factors, such as applicant details
and repayment capacity, is called underwriting a loan. The underwriter takes the decision after
reviewing all the applicant’s records and verification reports, as entered in APS. Underwriting a
loan mainly involves the following two considerations:

1. Analyse details of employment, assets, credit, and repayment abilities of the applicant
2. Match the loan amount, rate, and tenure with the applicant details
The underwriter is also authorized to verify and validates the details entered in the system. Based
on all the verification and checks the application has gone through, and looking at all the details
of the application, the underwriter can take one of the following decisions on the loan application:
a. Approve the loan application
b. Hold the loan or defer decision for need of more information or any other reason
c. Reject the loan application
d. Forward the application to another user for further verification or action

To underwrite a loan:

1. Click on Retail Intray  Personal Loan  Underwriting.

6. In the Decision dropdown list, select one of the following options:
• Approve: To indicate that loan can be given to the applicant on the basis of the given
information. An application cannot be approved if the Negbase results have not
been received for that application. Both Deviation and Eligibility must be triggered before
the application can be approved.
• Hold: To put the loan application on hold or defer decision for want of more information
• Reject: To indicate that loan cannot be given to the applicant on the basis of the given
information
• Forward: To forward the loan application to another user/the CPV stage for further action
7. In the Ratifier dropdown list, select the name of the ratifier, if required.
An underwriter is assigned a Default limit (for loan approval) and an upper limit (which is
always greater then the Default limit). If the loan amount is greater then the Default limit but is
within the upper limit, then the underwriter will have to choose the Ratifier. The Ratifier drop
down list displays the users whose default limit is grater then or equal to the loan amount of
the application. This information is generated from the users roles defined in the APS
Masters.

 The underwriter can reject applications above the default limit. In case the underwriter wants
the applicant to submit some more documents before approving the loan, those documents can be
listed in the Document Collection screen. You can access the Document Collection screen by

33.2 Reviewing Loan Approval


If the underwriter, while approving a loan, overrides certain conditions or limits specified by the
bank, the application approval needs to be reviewed by another user. The reviewer may be a
superior or of the same role (underwriter, but with applicable sanction limits). The credit status
reports and all other documents related to the application are also assessed again. If the reviewer
deems fit, the approval is ratified or rejected. In that case, the application is sent to the
Underwriting stage again for re-evaluation. If the reviewer ratifies the approval, the application
moves to the nest stage of loan processing.
While reviewing loan approval, you can also review the rate approval.

33.2.1 Ratifying Loan Approval


All the cases approved above the underwriter’s default limit and below the sanctioned upper limit
need to be ratified by a superior, or an underwriter with the required limit. All the applications that
have been approved but need ratification are listed in the Ratification screen. Only the
employees authorised for underwriting or ratifying a loan can access this screen.
The Ratification screen displays the following information:
• Application Ids that have been sanctioned by the underwriter above the default limit, and
which have not been ratified yet. The underwriter, who has approved these applications,
cannot ratify these.

• Applications Ids that have been sanctioned with Chosen Ratifier as the current
logged underwriter and which have not been ratified yet.

To ratify a loan approval:

1. Click on Retail Intray  Personal Loan  Ratification.

to ratify, and click on the check box at the beginning of the row.

33.2.2 Reviewing Rate Approval


Rate approval is a risk management feature of the APS. Loans, which are considered risk-prone,
need to be reviewed for rate approval. The reviewer has the rights to recommend or reject the
applied rate of interest on the loan, or forward it to another authorised user.

To review rate approval:

1. Click on Retail Intray  Personal Loan  Rate Approval.


The Rate Approval screen is displayed, showing a list of all the Application Ids in APS, and
their details.
2. Use the search criteria or select the application Id for which you want to use rate approval,
and click on the Application Id link.
The Rate Approval Management screen for the selected Application Id is displayed.

3. Review the details and select any of the following:
• Forward To: Select the name of another authorised user for further verification and
action. (Select the name from the dropdown list.)
• Recommended: To approve the applied rate of interest
• Not Recommended: To reject the applied rate of interest
4. Click on Save and Proceed .
The system saves the record and takes appropriate action –either sends it to the specified
user (if forwarded), to the next stage (if recommended), or back to the underwriter stage (if
not recommended). It displays the following message:
Your request has been processed successfully.

33.3 Reviewing Loan Rejection


Whenever an underwriter rejects a loan application, the rejection report is reviewed by the
superior. The credit status reports and all other documents related to the application are also
assessed again. If the superior deems fit, the rejection may be revoked. In that case, the
application is sent to the Underwriting stage again for re-evaluation. However, if the risks are
more, the reviewer confirms the rejection and a letter is sent to the applicant.

 You can view the list of all the applications in APS that have been rejected. Click Intray 
Personal Loans  Cancel. The Cancel screen is displayed, showing a list of all the loans that have
been rejected. Click on the Application Id link to view its details.

To review a rejection report:

1. Click Retail Intray  Personal Loan  Reject Review.


The Reject Review screen is displayed, showing a list of all the Application Ids in APS that
have been rejected, but need to be reviewed.
2. Use the search criteria or find the application Id, whose reject report you want to review, and
click on the Application Id link.
The Reject Review screen for the selected Application Id is displayed.

3. Click on the UND link to view the application history at the underwriter stage.
The Underwriting screen for the selected Application id is displayed.
4. Verify the underwriter’s reason for rejecting the application by reviewing the applicant’s
details and elevant reports. (For details, see Section 9.1 Underwriting a Loan)

5. Close the Underwriting screen and enter your decision in the Reject Review screen. On the
basis of your review, you can either confirm or revoke the rejection.

33.3.1 Confirming / Revoking Loan Rejection


After you review the underwriter’s report on why a loan application was rejected, you can revoke
the underwriter’s decision and send the rejected application back for re-evaluation and
underwriting. You also have the option to validate the underwriter’s decision. In that case, the
application is finally rejected and a letter is sent to the applicant.

To confirm loan rejection:

1. On the Reject Review screen, verify the following displayed details.

33.3.2 Generating Rejection Letter


When a loan application is rejected, the bank needs to send a letter to the applicant indicating the
bank’s decision. APS helps you generate this letter online.

To generate rejection letter:

1. Click on Retail Intray  Personal Loan  Rejection Letter.


The Rejection Letter screen is displayed, showing a list of all the Application Ids that have
been finally rejected.

The screen displays the following details of the applicants in a grid.

33.4 Cancelling Loan


The bank has the authority to reject loan applications if it does not conform to the specified
standards. However, at times customers can also decide to cancel their loan applications. APS
allows you to cancel loan applications on request of customers, with the help of the CAN screen.
All cancelled loan applications get moved to the Cancel Review screen, from where these can be
reviewed and reconsidered, as and when required.

To cancel loan application:

1. Click on Retail Intray  Personal Loan  Cancel.

2. Enter or select details in one or more fields as described in the following table:
Field Description
Appl Id Enter the identification number of the application you are searching.
Customer Enter the name of the customer, whose application you are searching.
Signed Enter the date (in dd/mm/yyyy format) on which the application you are
searching was signed. You can also select the date.
Product From the dropdown menu, select the product related to the application
you are searching.
Phone Enter the phone number of the customer, whose application you are
searching.

 You need not fill up details in all the search fields. However, filling up all the fields narrows
down your search.

3. Click Search.
The applications matching with the search criteria specified by you are displayed below the
search fields.

4. Click the Appl Id of the application that you want to cancel.
The CAN screen is displayed.

5. Enter or select details in the fields as described in the following table:

33.5 Reviewing Loan Cancellation


In APS, the cancelled loan applications are not deleted from the database, unless you want these
to be deleted permanently. These applications move to the Cancel Review screen, from where
these can be retrieved and reconsidered, as and when required.

To review loan cancellation:

1. Click on Retail Intray  Personal Loan  Cancel Review.


The Cancel Review Search screen is displayed.

2. Enter the search criteria and click the application Id of the application whose cancellation you
want to review.
The CANREV screen is displayed.

3. To reverse the stage of the application, select the stage to which it has to be reversed (from
the dropdown menu of the Activity field), enter the reason for reversal (in the Reason field),
and click Stage Reversal.
The application is reversed to the stage specified.
4. To cancel the loan permanently, click Cancel Confirmation.
The application is cancelled permanently.

Managing Post- Approval Tasks
After a loan has been approved, the applicant is required to provide additional details documents.
The bank or financial institution also computes the loan fee and the repayment plan. When the
bank acquires all the necessary information, an offer letter is issued to the applicant that the loan
is ready to be disbursed. The application then moves on to the next stage of disbursement.

34.1 Viewing Approved Loans


APS allows you view a list of all the loan applications in the system that have been approved and
ratified, if required. By clicking the Application Id link, you can view the details of the application.

To view approved loans list:

1. Click on Retail Intray  Personal Loan  Approved.


The Approved screen is displayed, showing a list of all the Application Ids in APS that have
been approved.

 You can also search for one or more Application Id on the basis of the date on which the
application was approved.

34.2 Entering Post-Approval Details


There are certain details that need to be added to the applicant’s record only after the loan is
approved. These include details of the initial deposit being made the applicant, loan and EMI
details, disbursement details and special conditions, if any. The list of documents that are
required post-approval is also maintained in APS.

34.2.1 Collecting Post-Approval Documents


There are certain documents that are needed by the bank or NBFC after a loan is approved.
These are also referred to as Post sanction documents. APS helps you maintain a checklist of the
required documents for each application Id. You can mark their status as ‘completed’ as and
when these are received from the applicant.

To collect post-approval documents:

1. Click on Retail Intray  Personal Loan  Post Sanction Documents.


The Post Sanction Documents screen is displayed, showing a list of all the Application Ids in
APS, and their details.
2. Use the search criteria or select the application Id for which you want to enter initial deposit
details, and click on the Application Id link.
The Post Approval Docs screen is displayed for the selected Application Id.

3. Enter details in all the fields, as described in the following table.

• RIC Date: The date when the RIC was
done
• RIC Name: Name of the person who
completed RIC
• RIC Status: Current Status of the RIC –
Positive, Negative, Sent for Verification, or
any other
• RIC Remarks: Any additional remarks
Click on Save and Close to close the RIC window

4. Click on Add to save the requirement details of the selected document.


The system saves the records and shows it as a grid above the entry fields. To enter details
for more than one document, repeat steps 5 and 6. The System adds a new row for each
document.

 If a document is not received now, the grid acts like a checklist to ensure that all the required
documents are received before the loan is disbursed.

34.2.2 Entering Loan Details


After the loan application is approved, the loan details are verified again for disbursal. The
bank/NBFC also needs to add certain parameters associated with the loan.

To enter loan details:

1. Click on Retail Intray  Personal Loan  Post Sanction Documents.


The Post Sanction Documents screen is displayed, showing a list of all the Application Ids in
APS, and their details.
2. Use the search criteria or select the application Id for which you want to enter initial deposit
details, and click on the Application Id link.
The Post Approval Docs screen is displayed for the selected Application Id.

3. Click on the Loan Details link.


The Loan Details screen is displayed.

The records are saved in APS.

 When you click on Repayment the system generates the repayment schedule for the loan
taken by the applicant. The repayment schedule is generated on the basis of the selected Installment
Plan.

34.2.3 Entering Fee and Charges Details


The bank applied a number of charges and processing fees to an application. APS helps you
enter these details and calculate the various charges and fees applicable to the selected
Application Id.

To view change details:

1. On the Loan Details screen of the selecetd Application Id, click on Charges .

34.2.4 Entering Additional Disbursement Details


If there are one or more co-applicants associated with an application, you can divide the net loan
amount amongst the applicant in the specified proportion, as requested by the primary applicant.
APS helps you disburse the specified loan amount to the various applicants.
APS has separate disbursement details screens for the applications added by internal (bank
users) and external (DSA and DSE) APS users.

34.2.4.1 Entering Disbursement Details (Internal)


The bank has separate conditions for loan disbursement to the applicants who applied through
the bank. APS helps you add such disbursement details.

To enter disbursement details (Internal):

1. Click on Retail Intray  Personal Loan  Post Sanction Documents.

The bank has separate conditions for loan disbursement to the applicants who have applied for a
loan through an external agency. APS helps you add such disbursement details.

To enter disbursement details (External):

1. Click on Retail Intray  Personal Loan  Post Sanction Documents.

34.2.5 Entering Initial Deposit Details


The applicant may apply for a loan equal to the entire value of the asset. In certain cases, the
loan applied is only a part of the asset value, as per the applicant’s requirements, or as required

by the bank/NBFC. This difference in the cost of the asset and the loan applied for is called the
Initial Deposit. This amount has to be paid by the applicant upfront when the loan is approved.
APS allows you to add details of such the initial deposits, if any, such as the amount, mode of
payment – cheque, Demand Draft – and other related information. This helps the system track
these details, whenever required. Enter these details only after the applicant has paid the amount
for initial deposit.

To enter initial deposit details:

1. Click on Retail Intray  Personal Loan  Post Sanction Documents.


The Post Sanction Documents screen is displayed, showing a list of all the Application Ids in
APS, and their details.

2. Use the search criteria or select the application Id for which you want to enter initial deposit
details, and click on the Application Id link.
The Post Approval Docs screen is displayed for the selected Application Id.
3. Click on the Initial Money Deposit link.
The Initial Money Deposit screen is displayed.

5. Click on Add .
The applicant’s Initial Deposit details are saved and added to the system. APS displays the
following message on top of the screen:
Data saved successfully.
APS saves this record and displays it in the grid. It also adds a blank row to the grid.

 If the Initial Deposit Money is paid by more than one instrument, repeat steps 4 and 5 for each.
The system adds a new row for each instrument detail.

Initiating Loan Disbursement
Disbursement of loan is the last stage in the loan process when the applicant is finally given
the loan. Before disbursal can proceed, all the relevant documents have to be reviewed and
their status has to be verified as complete.

35.1 Generating letter/ Initiating loan disbursement


When a loan is finally approved, a letter initiating loan disbursement is sent to the applicant.

To generate letter initiating loan disbursement:

1. Click on Retail Intray  Personal Loan  Offer Letter.


The Offer Letter screen is displayed, showing a list of all the Application Ids in APS to
which loan has been offered, and their details.

2. Use the search criteria or select the application Id for which you want to view offer letter,
and click on the Generate Report button.
The offer letter is generated.

Maintaining Post-Disbursal Details

36.1 Collecting RC Documents


This task is primarily related to old and used vehicle loans. After disbursal of the loan amount
the Registration Certificates of the vehicles are collected from the prior owners of the vehicles
and are handed over to the new owners.

36.2 Reviewing Deferred Document Details


The applicant may have deferred certain documents at the earlier stages of loan processing
on the condition to provide these later. You can view the list and status of such deferred
documents and take further steps, as required.
Only authorised users can view these details.

To view deferred document details:

1. Click on Retail Intray  Personal Loan  Deferred Document.


The Deferred Document screen is displayed, showing a list of all the Application Ids in
APS, and their details.

2. Use the search criteria or select the application Id for which you want to check deferred
document details, and click on the Application Id link.
The Deferred Document screen is displayed for the selected Application Id.

The document collection details such as Document, Mandatory, Status are displayed,
with the status selected as deferred.
You can collect the listed deferred documents and change the status of such documents
to Received.
3. Click on Save to save the data.

Providing Customer Support
The loan application of customer passes through various stages before being approved and
the loan is disbursed after approval. The entire process takes some time and at times, it
becomes difficult for the customer to keep track of the application. APS allows you to inform
the status of the loan application to the customer with the help of the Enquiry screen. You can
search the required application with the help of the search screen and inform the customer of
the stage in which the application is.

37.1 Enquiring Status of Application


APS allows you to enquire the status of the loan application with the help of the Enquiry
screen

To enquire status of application:

1. Click on Enquiry Screen.


The Enquiry screen is displayed.

2. Enter or select details in one or more fields as described in the following table:

 You need not fill up details in all the search fields. However, filling up all the fields narrows
down your search.

3. Click Search.
The applications matching with the search criteria specified by you are displayed below
the search fields.

4. Click the Appl Id of the application whose details you want to enquire.

• Application Number: Displays the identification number of the application.


• Customer Name: Displays the name of the customer.
• Customer Address: Displays the address of the customer.
• Asset Details: Displays the asset details furnished by the customer
• DSA: Displays the name of the direct selling agent.
• Pending Activities: Displays the list of pending activities for the application.
• Check Release Status: Displays whether cheque has been released for this
application or not.
• Check Release Date: Displays the date on which the check was released for the
application.
• Rate Of Interest: Displays the rate of interest on which loan is being offered for this
application.
• Amount Financed: Displays the amount being financed for this application.
• Tenure: Displays the tenure for which the loan is being offered.
• Encoded Date: Displays the date on which the application was encoded in the
system
• Status: Displays the status of the application.
• Status Date: Displays the date on which the application was last updated.
• Product: Displays the product for which loan is being offered.
• Reason Code: This represents the reason code.
• Source Code: Displays the code from where the application has originated.
• Referrer Name: Displays the name of the person who has referred the application.
• Scheme: Displays the scheme under which the loan is being offered.
• CIF: Displays the unique Customer Identification Number
• Phone: Displays the phone number of the customer.
• DOB: Displays the date of birth of the customer, as displayed on the application.
