THE EXECUTIVE SUMMARY


This feasibility study covers the proposed system for the Video CIub
(VC), which will respond to the desire of the board of directors to transform the
VC from service-oriented to a profit-oriented center. VC is a company who
caters services to its affiliated firms, namely the Executive Golf & Country Club
(EGCC) and Gentlemen's Club (GC). n this matter, we have evaluated the
existing system on how every transaction is done using the manual process of
doing the business procedures within the company. The Video Club in the
existing system is only applicable for the members and dependents of EGCC or
GC.
As anticipated, the proposed system will cover the alteration of the
manual operations of the existing system into an automated monitoring
approach. The EGCC, GC and the VC members can avail the services and
benefits offered, such as borrowing, returning, reservation (currently on loan
video) of DVD format materials and selling of blue ray format videos and VHS
format collector's items. The VC's mission is to provide a high-quality standard
of copyrighted videos and to promote high level service satisfaction to
customers.
Transforming the current system into an automated one is the most
trends in today's business industry. Many firms proved that using this kind of
technology helps in dealing the complexity of business management and its
phases. To meet the requirements of the VC, we built a system that will help in

monitoring the business activity. This system also wants to assure the
customer's/member's satisfaction which corresponds to the VC mission.
The system was designed to help VC to increase the sales, minimize
manpower management, and get the attention of its projected market. t can be
done by emphasize the easy application for membership, fast processing of
every business transaction and assures always the customer's approval.
Today, video shop is one of the fast growing business industries in the
country because of its impact and as a mode of entertainment to every people.
So to met the competition every video shop think and find ways how to conquer
the competition and will not be left behind by other competitors.
The computer system of the VC was a main factor that can generates an
impact to their valued customer. The system is a distinct VC feature from any
other video shops. The system was designed to perform job processing fast
and accurate, supports VC in its function to efficiently and effectively operate by
generating reports and inventory which be needed in monitoring and for
management purposes.
n building the system we consider and evaluate many alternative
solutions to come-up the most possible feasible system in terms of operation,
technical and economic.

TERMS OF REFERENCE
GeneraI Objectives:
This study aims to develop an automated video monitoring system as a
competitive necessity for the Video Club to its efficiency and convenience to
people.
Specific Objectives:
1. To amend the service oriented center into a profitable business centered.
2. To ensure and promote an effective and valuable service to the customers.
3. To minimize the work of the librarian and reduce costs and time every
transaction made.
4. To monitor the ins and outs of video materials and supervise the members
as well.
Scope and Limitation:
The researcher gears towards providing Video Club with an automated
video monitoring system. This system targeted towards management of all the
facets of Video Club. But this study would only limit and cover business
transactions including rentals, returning, reservation and monitoring video units.
t will be simple for the librarian to do Video nventory, Walk-in or n-store
Rental Tracking, Customer nformation/account Status and Rental of video
materials. Answering customers inquiries of what, when and where the video

materials are available are easy to examine. For back-up copies, preprinted
slips are utilized.
Constraints
After a careful study on the video club, we found out from the existing
system that the data are processed manually. The services provided for
borrowing and returning the video units are usually slow, inaccurate and
inefficient. t creates a problem to the librarian, members and to the entire Video
Club also.

Time Limitation
Retrieval of loan Video units from the borrowers and lending to members
are time consuming because it is manually done through the use of Video Card
at the loan file, Video Rent nvoice, Video Request nvoice.
Manpower Limitation
nsufficiency of manpower in assisting the members in their transactions
with the VC. Thus, many extended services can cause delay: assistance-
seeking members about certain topics and locating the VC Video units,
entertaining members who'll borrow video units that results to inefficient service
satisfaction rendered to the customers.

There are video units that are evaluated and are approved to be removed
from the collection. After quite some time each video unit should be monitored in
stable condition or else it will be defective and the video club would not find it
beneficial.
Operational Limitation
Manual recording of members pertinent data, video units that are on
shelf and on loan and other related transactions are still included in the existing
system which is accountable for security operation issue since the possibility of
Video Cards be lost from the loan file. With this, Video Cards are not properly
monitored and many forms should be kept on hold that also consumes a mass-
space from the office area.
MethodoIogy
The researcher could not directly jump to solution without knowing the
steps of conducting a study. Before creating the required system, the
researcher studied the existing system to identify problems and information
needed. As a group, they will work together and analyze the situation using the
System Development Life Cycle (SDLC) and deliberate ideas to come up with a
system for VC concerning their given requirements. As part of these, we
conduct an interview to the owner of VC to gather qualify information and
discuss further the system required. n addition, we have also read books as our
reference to come back with some uncertain questions we have in mind.

ackground of the Study
This case study is based on the Video Club (VC) system for an Exclusive
Golf and Country Club (EGCC) and the Gentlemen's Club (GC). VC specializes on
obscure video that are not readily available from other sources. VC lends only to
members/dependents of the EGCC and members of the GC. Any member of both
clubs is automatically a member of the VC. Membership to both clubs is for two
years. Few members are admitted/removed on 1st January and 1st July of each
year. Members are not admitted/removed other than these dates.
The VC is set up along conventional lines; though members are not
restricted to the number of videos they can barrow at any time. VC owned videos
are requested for return only if required by another member. VC also allows
members to reserved popular video that are rented from external video shops.
These external video reservations are routed to 3 video shops and they do the
follow up with the member. The mechanics of how the external members of VC
regularly change their videos. One up to three copies of titles (by format VHS,
DVD, Iu Ray) are available.
n order to borrow a video a member selects it (or them), takes it to the ssue
Desk and gives the video and his club membership card to the video librarian. The
librarian takes the video card from the video sleeve and adds the membership
number to the card. A Video Rental nvoice is created as members are charged 30
pesos for DVD and VHS Format and 50 pesos for Iu Ray disk. The librarian
places the card into the loan file and asks the member to sign the Video Rental

nvoice. The member gets the 1st copy, the second copy goes to the Clubs Billing
Dept. and the third is kept a VC's copy.
When a member returns a video, he presents the video to the librarian. The
librarian finds the video card in the loans file and places the card in the video sleeve
before returning the video to the library shelves.
To reserve a video which is on loan, a member asks the librarian and leaves
his membership number. The librarian finds a relevant video in the loans file and
adds the member's number of the reservation column on the video card. The
librarian also makes a note of the member who has the video on the loan and
completes a Return Request Card addressed to that member. The Return Request
Card is forwarded to the Club Secretary for delivery to the member. When the
reserved video is returned, the librarian puts the video under the counter and
creates a Reservation Ready Card addressed from the membership book and
forwards the cards to the Club Secretary. The member requiring the video can then
pick the video up from the library and have it issued to him.
Members make many inquiries of the librarians, typical questions include:
O s the video entitled "hfjg" on loan?
O Which video did actor "xyz" appear in?
O Do we have a video entitled "aaa"?
O Do we have any video on subject "asddsa"?
The librarians are able to answer these queries by inspecting the loans file,
the actor index, the subject index, and the title index.

n addition to the above duties the librarian receives new videos from the
social committee of the club. The selection, ordering and payment for the videos is
outside the scope of this investigation. On receipt of the new video the librarian has
to make out a video card for insertion in the video case and the relevant entries for
the indexes. The librarian are also responsible for amending the library copy of the
membership book with changes of address, and at the end and middle of the year
of collecting the new membership book from the Club Secretary.
Sometimes a member will return a video and ask for a refund for video found
defective. The librarian is required to fill in a Refund Credit Memo for the video.
The member gets the 2nd copy, Billing gets the 1st copy and the stub copy is kept
by the librarian. Replacement is treated as a refund and an issue. The video is
tagged as defective and forwarded to the VC supervisor to decide whether to
remove or retain it in the library. The VC supervisor then views the video and
makes a decision. f it is to be removed, he generates a Remove Order Form. The
1st copy goes to the librarian with the video, the 2nd is for the Property Custodian
and the 3rd copy is kept as the stub copy. The video is then delivered by the
librarian together with the 2nd copy of the Remove Order Form, on a monthly basis,
to the Property Custodian for disposal.

Membership for two Clubs shows the process on how the applicant to be a
member to EGCC and GC. The applicant will submit an application form to the
club secretary which initiates the use case.

The member looks for the relevant video that he/she will be going to
borrow then present his/her membership card. f the membership card is
suspended or expired the member is not allowed to borrow. f the membership
card is valid borrowing process will continue. The librarian take the video material
and the membership card from the member then add the membership number to
the video card. The librarian now generates the Video Rental nvoice for each
video material being borrowed. The member is requested to sign in the Video
Rental nvoice. The first copy of video rental invoice and the video material will
be given to the member. The second copy will go to the Club Billing Department
and the third copy is kept by the VC librarian. This flow of borrowing will only
applicable for videos which is available in the video shelves.

Borrowing from External Video Shop this case represents the flow of
borrowing from the other club only if the video material is not available in the
Video Club. The member will borrow the video material to the librarian. The
librarian will check the library indexes if the video material is found in the indexes

The Returning of a Video material in normal flow describes the process on
how the club member returns the borrowed video. He/she will only returns the
video if the member receives the return request form. First, the member
presents the borrowed video to the librarian then, checks the video material if it is
defective or not. f it is not found defective the librarian looks for the
corresponding video card in the loans file. Then the librarian takes the video and
places the card in the video sleeve. Last, returns it to the library shelves. Then,
the video is available for transaction.

The Proposed System
The Proposed SoIution
The proposed system was brought by the decision of the Exclusive
Golf Club and Country Club's (EGCC) and the Gentlemen's Club (GC) Board of
Directors to alter its affiliate club, Video Club, from a service oriented center
into a profit center. Numerous suggestive modifications are included in this
proposition that aims to provide better services through implementing more
effective, more efficient and customer friendly business processes.
As what we studied in the existing system, Video Club rendered a
customer service wherein members of the VC enjoy its services. To come with
a profitable solution, we revise every transaction involve in the Video Club. n
the borrowing operation, Member can only rent a maximum of (10) ten Video
Material per transaction and must be return according to due date. A
reservation transaction only happens if and only if all Video Material copies are
on-loan. When the reserved video is returned, the video will be held for 3 days
for claiming purposes, if not reservation will be cancelled after the claiming
duration. For unreturned Video Material, after 7 days from due date of the
member will be suspended and will pass imposed penalties. Late returns or
overdue are fined P 5.00 per day, and must be paid before renting another
Video Material. f suspended member cannot secure borrowed Video Material
after 30 days, the Video Material will be marked as "LOST and the member
should pay for the Video Material as purchased by the Video Club or

suspended member can also replace it. f not, he/she is banned from the Video
Club branch and from EGCC and GC.
n addition, Video Club now exclusively selling Blue Ray format Video
Materials and selective rental of the DVD and VHS format Video Materials.
Though only VC members can enjoy video rentals walk-in customers are
welcome to purchase blue ray items from the VC. The VC also gets
consignment basis Video Materials from External Sources.

videos to be purchased
2. The Property Custodian sends P.O to the External Sources
(Sales Officer).
3. The External source (Sales Officer) delivers the purchased
video materials with the Video Material details.
4. The Property Custodian receives, checks the completeness
and status of the video material.
5. The Property Custodian generates the Consignment Form
and attaches the video material information from the External
Source.
6. The Property Custodian encodes video material information.
7. The Property Custodian generates color coded adhesive tags
and prints out barcode to be placed on the video materials.
8. The Property Custodian disseminates the disc from the CD
case and put the disc to the respective cabinet.

time of delays when processing a transaction involving the member.

The Proposed System will have a friendly user interface which will be
easy for the end-user to manipulate or run the system. t is really hard to adopt
new things, new environment and new work, but with the end-user of these
system, it will give a feeling of "comfortability in using these without giving
them a doubt to try. One thing, that will let these system achieve, the end-user
must be interested and can adapt management charges. This system will be a
"one time demo for the end-user to know the "ins and "outs of this system
which enables them to be at ease, performing certain activity with an
understandable interface leading to the end-user satisfaction to manipulate the
system.
TechnicaI FeasibiIity
Today, very little is technically impossible. n these highly technological
world computers have become common equipments for people especially in
the business industry. Transforming business operation to automate one was
very common among firms.
As the Video Club board of directors wants to transform their firm from
service-oriented to profit-oriented center they requires us to develop a
monitoring system to help them reach their desired goals. Regarding on the
technical matter as a developer of the system we clearly understand we have
to consider things related to technology were going to use and of course
consider the cost of it that will be reach and approved by the VC budget. We
understand that the cost reach the boundary of the economic feasibility thus

the technology is necessary in building the system possible.
Our proposal system assures that it will answer directly the main problem
or assist difficulties within VC business process. Consequently in implementing
the new system we use equipments which we identified in the economic
feasibility handle important tasks. As the system developer we make sure that
the technology these is available and VC can comply this equipments in order
to continue the development of the system.
Having an automated system also requires maintaining the system to
enable and continue to function for the future use. Availability of the resources
such as the programmer that maintain the system is also one of the main
concerns of the researcher. The system will use Microsoft Visual Basic
language and agreed to make the interface easier and simpler.
t is our duty to maintain the system but if in case that our personnel/ staff
may not be available the VC can find a VB programmer. VB is one of the most
commonly use language in developing firms system because of its practicality,
suitability and more matured technology in this generation. So most experts
can easily operate, develop and maintain the system if ever our assigned
