ASNAU SENATE MEETING #9 TWENTY FOURTH SESSION OFFICIAL MINUTES Date: November 4th, 2011 Date of Senate Meeting:

November 3rd, 2011 Prepared by Makenzie Mastrud Senate Chair Sidney West called the Senate meeting of the 2011-2012 Senate to order at 4:00 P.M. in the Havasupai Room A & B of the University Union. Number on council: 12 Number present: 12

Roll Call All Senators present Approval of Minutes Motion: Senator Woodhouse move to approve the minutes from last weeks meeting on Thursday October 27th , 2011 Second: Senator Walton Discussion: None Vote: Unanimous, the minutes from last weeks Senate meeting are no approved Call to the Audience None Unfinished Business None New Action Business Motion: Senator Lee move to table item a, Club Recognition: SMS Snacks Second: Senator Alcorn Discussion: None Vote: Unanimous, item a, Club Recognition: SMS Snacks is now tabled

Motion: Senator Niemann move to vote on item b, Senate Bill 24-18: Peer Jacks, $740 for participation in National Collegiate Leadership Conference Second: Senator Buchta Discussion: None Vote: Unanimous, congratulations Peer Jacks you have received your funding for $740 Motion: Senator Walton move to vote on item c,OA: USTA Tennis on Campus, $500 for Devil Classic-A tennis tournament Second: Senator Alcorn Discussion: Senator Woodhouse asks how many team members will be going to the tournament, Senator Walton asks how many schools will be competing in the tournament, Senator Lee asks what the money they have fundraised is going to, Response: 18-24 team members will be going to compete- the most they have ever taken, 16 schools will be competing and the money the have fundraised covers league fees Vote: Eleven Senators vote yes, Senator Libby abstains, congratulations to XX you have received your funding for $500 Motion: Senator Buchta move to open up item d, IA/Extended IA: Kiley Booth, $400 for dental hygiene externship to Togus VA Hospital for vote Second: Senator Barnes Discussion: Senator Niemann asks is the money is just covering the plane ticket? Response: Yes, everything else was personally paid for Vote: Eleven Senators vote yes, Senator Lee abstains, congratulations Kiley Booth you have received your funding for $400 Motion: Senator Buchta move to vote on items e and f, Senate Bill 24-19: Chabad at NAU, $1,193 for Chabad at NAU NYC Trip and OA: Chabad Jewish Student Center, $500 for NYC Trip Second: Senator Shayla

Discussion: Senator Lee asks if the club has been able to receive any booster money or help from the church, Senator Woodhouse asks how many students are going, Senator Bingham asks if the chaperone listed to be going will be covered with this money, Senator Barnes wants to know how this trip will help to benefit NAU, Senator Niemann wants to know what activities are planned for the trip Response: The Rabbi spends a lot of time trying to work on getting outside funding but there are not many boosters in Flagstaff for us, ten students and one chaperone are making the trip, believes that this money will cover the chaperons planes ticket, last year many strong relationships were built among club members as well as great national representation of NAU and club members will be able to meet with international club Senator Alcorn addresses concern with two chaperones being listed in budget, because this budget says two chaperones in the budget this is what we are voting on, we need a revised budget not including the chaperones Senator Lee states that for Senate should support the club and approve the Senate Bill and OA and then not allow chaperones to send in receipts Senator Libby expresses that there is not a way to control whos receipts are sent in and that because the budget lists chaperones that is what we are voting on, what is formally written Advisor Dr. Brandel states a suggestion of the club adjusting their budget and presenting it to Senate and then Senate can vote, because any one that reviews this Senate Bill and OA will think that we voted yes on giving non NAU students money, under that condition we would need a motion Chairperson Sidney West would like to entertain an amendment pending to adjust a budget reflecting no chaperones Motion: Senator Buchta move to vote on the amendment Second: Senator Alcorn Vote: Unanimous, amendment is now approved and will read as a pending amount of $1,693 until an adjusted budget with no chaperones listed is turned in to ASNAU from the Chabad Jewish Student Center Vote: Nine Senators vote yes, three opposed, congratulations Chabad Jewish Student Center, your OA for $500 and Senate Bill for $1,193 have passed

Executive report a. President- Blaise Caudill -At the front desk there is not clickbooks.com to schedule all of Sherris appointments, now nothing will need to be written down and she can keep tract of all her appointments -Sherri wants to work with a Senator about a Senate Bill regarding funding for her to attend a student legal advisor conference that she has been invited too -The press conference on PELL went really well yesterday -Sustainability committee is meeting after this if you want to stay and join -Student Reagent is due the 8th so please tell every one you know to apply -Rick Williams was the ASNAU President here at NAU and now he is working in a position dealing with higher education in Washington D.C -Planning to attend Luna Education Foundation national conference, I am one of three students asked to go, all expenses are paid for, will be gone November 14th and 15th b. Vice President of Student affairs- Sammy Smart -Saturday tailgate if you signed up please be on time, dress warm, 15 groups have signed up c. Vice President of Academic Affairs- Sidney West -Forums needs to be happening so please work on those -I have e-mailed everyone that has signed up for a committee -Make sure you are all asking questions during discussions, show that we care where the students money is going d. Chief of Staff- Chloe Olson -Thank you for filling out Homecoming survey, we are having a committee meeting tomorrow to go everything

Staff Reports A. ASA- Chelsea Byers, Wes Enns, Jenn Hancock Working on PELL Yesterday we went to a PELL press conference and it went really well We helped table at ASU for PELL We have about 4,000 papers collected for the state and close to 700 pictures, way past out goal so we are doing awesome November 18th is when they sign new budget so we are waiting for the outcome

B. Public Relations- Julia Lesniak -No announcements C. Special events- Caitlin Heck, Rachel Rogala - Working on concert survey that will go out next week with the top 10 D. NSO- Erick Gonzalez, Heather Reeves -Held a social with ASNAU Committee Reports A. Appropriations: Going well B. Legislative: Have both documents revised, Anthony went through them also and highlighted revisions and crossed out anything that was not needed, will send out soon Senator Reports A. Nate Alcorn Meet with dean and it went well B. Sally Barnes- Sitting on a grade appeal next week, working with Cambell Hall for Women of The Year event C. Hal Bingham Meeting with dean tomorrow and going to university assessment committee meeting, go Jacks D. Anthony Buchta Working on an IA and reviewing a bill that Ryan wrote E. Samantha Cross Waiting to hear back from Alliance club regarding an OA F. Samantha D Leon- Working on a bill for the woshu club

G. Ryan Lee Holding a forum for the 23 Fee and Club Headquarters at 6pm in the ASNAU office on November 17th H. Zach Libby Meeting with dean tomorrow, met with director of undergraduate admissions at College of Business, Hal and I met a lot of leaders in the college of business I. Annsley Niemann Met with President of the music fraternity, went to Relay For Life meeting and spoke with them on how ASNAU can help with their event J. Matthew Villa Working on OA, have parking service committee meeting tomorrow morning K. Gavin Walton Doing a bill for womens club soccer, have parking service committee meeting tomorrow L.
