Progress Report Format

Aprogressreportisgenerallyamoreinformalreportthaneithertheproposalorthefinal projectreport,mostoftentakingtheformofaninformalmemoorletter Tomakeyourprogressreporteasytoread,usevisualcuessuchasheadings,subheadings,and numberedorbulletedlists.


Parts of the Progress Report

Purpose Thepurposestatementprovidesthereaderwithaonesentenceidentificationofthepurposeof thedocument:toreportontheprogressoftheproject.Thepurposestatementshouldvery clearlyandsuccinctlyidentifytheprojectbyitsnameandanyotherspecificdesignations. Summary Thesummarybrieflyexplainsthepurposeoftheprojectandanswersthequestion,Howisthe projectgoing,andwillitbecompletedonscheduleandwithinspecificationsandbudget? Introduction Begintheintroductionbyreferringtotheacceptanceofyourproposalasareferencepointanda context.Then,brieflydescribeyourproject.(Theinformationintheintroductionisbasicallya summaryoftheProjectDescriptionsectionofyourproposal.)Inthisdescription,firststate whatyouhaveproposedtodo.Next,definetheneedfortheinvestigationbyexplainingwhat problem,situation,orunsatisfactoryconditionyouarestudying.Thenestablishthesignificance oftheinvestigationbytellingyourreaderwhatbenefitwillbederivedfromconductingthe investigationandwhatyouhopetoprovideatitsconclusion. DiscussionofProgress Themainsectionofthereportcanbeorganizedaccordingtooneoftwopatterns: thetimepatternorthetaskpattern.BothplansaredevelopedinreferencetotheMethodsand TaskBreakdownsectionsofyourProposal.

Appendices Theappendicesmayincludesupportingmaterialinsectionssuchaspreliminary designs,arevisedbudget,computations,schematics,etc.Eachappendixshouldhaveits ownname(usuallyalettername)andnumberingsystemforgraphics(beginatFigure1 againintheappendix).Theappendixshouldalsobereferredtosomewhereinthebody oftheproposalwithakeyphrasesuchasSeeTable5inAppendixAforadetailed breakdownoftherevisedbudget. ANoteaboutTone Aprogressreportshouldbeacandidreflectionofhowtheprojectisgoing.Ifyouare notonschedule,notwithinbudgetorunabletocompletethedeliverableaspromised, thenyouneedtoexplainclearlyandcompletelytheproblemsyoufaceandhowyou intendtoovercomeorcompensateforthem.Behonestbutalsooptimistic.
