Introduction

Communication skills simply do not refer to the way in which we communicate with another person. It includes many other things - the way in which we respond to the person we are speaking, body gestures including the facial ones, pitch and tone of our voice and a lot of other things. And the importance of communication skills is not just limited to the management world, since effective communication skills are now required in each and every aspect of our life. Communication is the transmission of information & meaning from one individual or group to another. The crucial element is meaning. Communication has as its central objective the transmission of meaning. The process of communication is successful only when the receiver understands as idea as the sender intended it. Both parties must agree not only information transmitted but also on the meaning of that information.

What is Communication Skills?


1. Art of getting your message across effectively through: Spoken words Body Language Written words Visuals First & simplest way Makes an important contribution to the meaning Reflects importance Leaves greatest impact.

2. Communication may be broadly defined as the process of meaningful interaction among human beings. More specifically, it is the process by which meanings are perceived & understandings are reached among human beings.

Importance
Effective communication is a pre- requisite to climb the ladder of success, be it at personal or professional level. Let us explore its significance in the major areas of life.

For Professionals
Work place is one area where there is a struggle to survive and only good communicators are seen at the top of the hierarchy. Moreover, an effective communication within and outside the organization can lead to less misunderstanding and grievances, increase in employee performance and the resultant increase in companys turnover.

For Salesperson

The endorsement of any product largely depends on the salesperson, next to advertisements. It is more of a boon for people with small-scale industries. In this case, the good repute of a product in the mind of prospective buyers largely depends on the salesperson. Assessing the needs of the buyer, suggesting a product accordingly and persuading him/her to buy a product largely depend on the salesperson. For the purpose, effective communication is very necessary.

For Teachers
This profession demands good communication skill, along with the knowledge of the subject. If you are unable to teach what you know, students tend to be less involved and lose inspiration to learn. They should be motivated to speak up their viewpoints in class and raise questions, if they are unable to grab certain topic. For this, it is vital for the teachers to communicate effectively with them.

For Recruiters
Recruiters have to attract candidates to their organization and for this; they have to present a positive image of the same. In absence of proper communication skill, they would not be able to convince the prospective candidates and get the right man for the right job.

In Personal Relationships
Effective communication with your loved ones, be it your best friend, parents, sibling, beloved or even strangers that you come across, forms the basis of strong and healthy relations. There are a few chances of misunderstandings and things piling up, if you communicate properly, thereby strengthening your bonds with people. All over the world, a major cause of broken hearts is a lack of communication.

Objectives

1. Information
The main objective of a business is to pass on information and making people more informed, E.g.- all the advertisement activity that we see around as are an attempt to inform and pass the information on to others, and in case of business houses this information is mostly about the product or services that they have to offer. But the mode of communication may be verbal, written, visual or any other.

2. Motivation
Communication in Business is also necessary to increase the motivation in the workers. So if the communication is done properly and is successful in motivating the workers and workers are motivated enough the work gets done easily, efficiently and they will work independently and without supervision. Communication should be used to create a right working environment. So that there is a healthy competitive environment among the workers and also that they can be recognized and rewarded for their achievements. Employes working at a lower level in the hierarchy of the organization should be encouraged to provide suggestion and inputs on how to improve the working of an organization, this type of communication creates a sense of participation and belonging, it also develops more loyalty towards the company.

Persuasion
Persuasion means making efforts to change or influence the attitudes and behavior of others. The element of persuasion is present when persons are to be motivated to put in better efforts or to accept a change. It means using the best arguments to win over and convince others.

Instructions and Orders


Instructions is information about processes and procedures. It also means directions as in The instructions (directions) are on the box. Order is formal. It is the assignment of a task.

Education and Training


Now communication can also be used in business to increase the circle of knowledge. The objective of education is achieved by business communication on three levels (a) Management (b) employees (c) general public

(a) Education for future managers- Here junior personals in the organization is trained to handle important assignments involving responsibility, so that they can succeed their superiors in the future. (b) Education for newbies- When new personals join an organization they are inducted by educating them about the culture of the company, code of discipline, work ethos etc. This is usually done through a training mode to acquaint the new recruits with the functioning of the organization. (c) Educating the public- Now this is done by advertising, informative talks, newspapers, journals. And this is done to inform the public about the product, the functioning of the company, and various schemes offered by the company.

6. Raising Morale
Another very important objective of business communication (internal) is to keep the moral of the workers high so that they work with vigor and confidence as a team. This is a major factor that can have very serious impact on the success of a business house. But as morale is a psychological factor the state of high morale is not a permanent factor. An organization may have a high morale among the workers for a quarter but may find that the employees have lost their morale in the next quarter. So to keep the moral of employees high an organization has to put continuous effort in that direction. It can be done by maintaining an open door policy, keeping an eye on the grapevine and not allowing harmful rumors to spread.

Primary Data:

Primary data collection method is best source information method & always good for survey. Because it gives us basic data ; unbiased information; original data & first hand information. In this project we take the support of primary data collection; we collect the data by providing the questionnaires to the Computer Engineer students. They gave very useful information related to our project.

Analysis and Interpretation

Analysis and interpretation is made or written after completion of primary data. After preparing questionnaires and distributing them among various students, we got valuable feedback or information from them. After going through received information and communicating with them through oral communication, we found out following scenario: Some of the students were very good at their communication, some were not that good. Some of the students were very hesitating to answer some of the questions. Most of them find some difficulty in speaking fluent English. Many of them also made grammatical mistakes in written communication.

Suggestions
Good communication skills are a necessity in your personal and professional life. Some people are naturally good communicators. For everyone else, communication is a skill that must be nurtured. With a little time and effort, no one will ever know you weren't born with the gift of gab. Following are some suggestions steps to improve your communication skills. Think before you speak. Plan your presentations and other addresses to groups whenever possible, especially in business. Even if you don't know everything you want to say, you should have a general idea. In more private conversations, take the time to be clear about the points you want to make before talking. Always be honest in your communication. Be an active listener. Listening is often more important than speaking. To improve your communication skills, pay attention to what others are saying without getting distracted.

Take it slow. Don't slur your words together or mumble. Enunciate. If you speak too fast, then you'll lose your audience. Use words only if you are sure of their meaning. Make yourself easily understood.

Use appropriate volume and tone. Of course, you should speak louder when addressing a group than you would in private conversations. Reflect emotion in your voice. A monotone approach is never appropriate in any setting.

Practice; it's the best way to improve your communication skills. The more you do it, the easier it will get.
