Quay Arts is a beautiful Grade II listed Victorian building, conveniently situated in the centre of Newport, right on the Harbour. It has both an historic external charm and a contemporary internal appeal, offering a choice of diverse and atmospheric spaces licensed for weddings and civil partnership ceremonies. Our dedicated staff will ensure that your event is tailored specifically to your needs: the in-house caterers can work with you to arrange the best food and drink and a technician can advise on bespoke lighting and sound, to ensure that your special day goes ahead with flair and style. Couples choose our venue because of the flexibility it affords them, as well as for the distinctive creative environment of the Quay. Whichever space you decide on, it is yours for the day and you can decide exactly how you would like it to look, with a little help from us! Our Spaces
Quay Arts offers a wide choice of individual and flexible spaces to suit all tastes: The West Gallery on the first floor is the perfect space for larger or more lavish occasions. On arrival your guests will enter the beautiful contemporary gallery where the layout is completely flexible, depending on your requirements. The white walls and clean lines of the Gallery give a light, airy feel a simple backdrop for the event theme of your choice. The Seminar Room on the ground floor, adjacent to the Caf, has a more intimate atmosphere suitable for smaller ceremonies and receptions. Its distinctive, warm brick walls and fan-shaped windows make it an attractive and welcoming room. The Green Room on the first floor of the Rope Store building overlooking the River Medina provides a warm, romantic setting with its open-brick walls and wooden floors. This is the smallest of our spaces, also suitable for intimate gatherings.

The Caf offers a very versatile space, again for larger gatherings, with windows and glass doors looking out onto the Terrace and the River Medina. It features attractive arches and pillars and provides a lovely background for table settings and flowers. Guests can also enjoy stepping out onto the Terrace, weather permitting! For those wishing to consider an outside setting, we have licensed the canopy area on the Terrace, which has a wonderful outlook onto the River Medina and along Newport Harbour. Guests can be seated in the entire terrace area, whilst the ceremony can take place under the cover of the canopy. For an alternative venue space, The Anthony Minghella Theatre with raked seating has a capacity of 134 with a cinema screen and digital projector that can create a theatrical backdrop.

What you need to know


Spaces and Capacity
All of the rooms below, including the outdoor canopy, are licensed for Civil Ceremonies. The maximum capacities stated are a requirement of the license and must be adhered to at all times. The West Gallery (150 maximum capacity) Seating up to 120 at tables, The West Gallery is the perfect space for larger or more lavish occasions. On arrival your guests will enter the beautiful contemporary art gallery where the layout is flexible depending on your requirements. A basic bar can be arranged in the gallery. The Seminar & Green Rooms (55 & 20 maximum capacities) Perfect for the more intimate ceremonies and receptions. The Caf (130 maximum capacity) A very versatile space, again for larger gatherings. The Terrace (90 maximum capacity) For those wishing to move outside, we have licensed the canopy on the terrace. Guests can be seated over the entire area, whilst the ceremony can take place under the cover of the canopy. The Anthony Minghella Theatre (150 maximum capacity) For an alternative venue space, our theatre with raked seating has a capacity of 134 with a cinema screen and digital projector.

Requirements and Restrictions of Approved Premises


As an Approved Premises we are required to ensure the following. Ceremonies must take place punctually. Registrars are often booked for other ceremonies and therefore must start at the booked time. A representative of the venue is required to attend the ceremony and the public must have access to the building. Nothing frivolous is permitted before or during the ceremony which detracts from the dignity of the occasion. Food and drink cannot be taken into the room in which the service is conducted. Music may be played prior to the ceremony but must be secular and music content must be approved for content by the Registrars Office in advance. In addition: You will be interviewed in advance of the ceremony by the Registrar. Please discuss the arrangements for interview with Quay Arts Staff. The arrangement for and the content of each ceremony must meet with the prior approval of the Superintendent Registrar.

Deposit & Cancellation Policy


Venue & Room Hire One year or more in advance of your booking date you will need to pay a 50% deposit. Within twelve months of the date the balance of the fee is due. Both of these fees are non-refundable. Catering Three months before the date, you will need to pay 50% of the catering costs (including pre-ordered alcohol) based on the estimated number of guests and your menu choice. One month before the date, you will need to pay 100% of the balance of catering (including pre ordered alcohol) costs based on the confirmed number of guests. Within one month, you may be able to upwardly adjust your catering numbers but will not receive a refund for any reduction in numbers.

Licensed Hours and Activity


Quay Arts is licensed for music, alcohol and dancing between 11:00-23:00 Monday Sunday. Our terrace is licensed for use until 22:00. Licensing restrictions mean that music cannot be performed on the terrace and the doors and windows must remain closed if music is being played or made inside the Caf, Seminar Room, Galleries or Theatre. No civil ceremonies can be held before 12 noon on Sundays.

Venue Costs
Green Room & Seminar Room charges: Monday - Saturday (between 9:00 - 16:00) 450 (inc VAT) All other spaces guarantee exclusive use. We accept a maximum of ten bookings of this nature a year. Monday - Saturday: 2,500 (inc VAT) Sunday: 2,000 (inc VAT)

Photographs
If you have exclusive use of the site you can have your photographs taken wherever you would like. If you are just hiring a room, please do let us know if you would like photographs taken in a particular area and we will try to arrange this for you, however, please be aware the site will be open to the public and this may not be possible.

What we can do
Catering
We can provide a full range of catering options. Please see sample menus above. Please note that we provide all the catering for events at Quay Arts. We appreciate you may wish to provide your own cake which is possible if agreed in advance. A per head charge of 2.50 for cutlery, plates and cake table will be made for this service.

Equipment
We have a range of equipment at Quay Arts which includes: An ipod dock for music prior to the ceremony Lighting and coloured gels in caf An ipod or CD compatible PA system in the Caf Projectors & laptops (for presentations or slideshows) WIFI (should you wish to arrange a remote linkup)

Technical Support
If requested, our staff will ensure that music is played before and after your service. In addition we can arrange for coloured gels to be put in the caf. Any other technical assistance that you require will be charged at the current hourly rate.

Furniture
We have a maximum number of tables and chairs available for all the rooms. Should you wish to have the service and reception in different rooms, we will need to discuss furniture requirements in advance. The room hire covers the cost of table and chair covers. All additional dressing arrangements and costs will need to be arranged by you, although we are happy to help wherever we can.

What you need to do


Making your booking
Once you have established the date that you would like for your service, please call us to discuss our availability. Bookings will be taken up to 18 months in advance. We will then take a provisional booking and send you a letter to confirm this. You will then need to contact the Isle of Wight Register Office (located at Seaclose, Fairlee Road) to make a booking for a Registrar to attend your ceremony. Once you have received confirmation that a registrar can attend on the provisional date, please complete a Quay Arts Booking Form and return it to us with the deposit. This will confirm your booking.

Insurance
Insurance does not hold the same romance as choosing flowers, rings or a dress, however, to ensure that you are covered for the unexpected, we strongly recommend that you take out insurance cover as soon as you put a deposit down for the event.

Music for the Service


Music at the beginning of the service is permitted as long as it is secular. Please ensure the Registrar knows and has approved your music choice.

Room Dressing
All table and chair covers are provided in the room hire charge. Any other dressing costs will need to be met by you. We work with several suppliers and are happy to assist you with your plans.

Civil Wedding & Civil Partnership Ceremony Quay Arts Venue Hire Agreement
This Agreement is made on the day of 2012

1.9 Venue Representative means the person appointed as the licensed premises venue representative for the purpose of Civil Weddings and Civil Partnership Ceremonies and their deputies being persons for the time being appointed by Quay Arts to enforce the Agreement and to be generally responsible for matters concerning Quay Arts arising out of the use of the Premises or otherwise. 1.10 Function Assistant means any individual provided by the Hirer to perform a role during the Function, including attendants, stewards, receptionists, security officers, vehicle marshals and ushers.

2.

Application for hire

2.1 Applications for hire of the Venue cannot be accepted from persons less than 18 years of age. 2.2 Quay Arts reserves the right to refuse any application for hire and shall not be required to offer any reason or explanation for so doing. 2.3 No public announcement of the hiring shall be made until the booking has been confirmed.

1.

Definitions

1.1 Agreement means this agreement for the hire of the Premises made between Quay Arts and the Hirer including the Booking Form and subsequent mutually agreed variations made in correspondence between Quay Arts and the Hirer. 1.2 Quay Arts means the Quay Arts Trading Company Limited (co reg no 03363943) with its registered address at Sea Street, Newport, Isle of Wight PO30 5BD. 1.3 Hirer means the person entering into the Agreement and named in the Booking Form as the hirer of the Premises. 1.4 Booking Form means the completed booking form which shall form a part of the Agreement. 1.5 Premises means any space, or a part thereof and/or any other part of property owned by Quay Arts or Steve Ross Foundation for the Arts (co reg no 01274280, charity no 272007) with its registered address at Sea Street, Newport, Isle of Wight PO30 5BD subject to the Agreement between Quay Arts and the Hirer. 1.6 Charge means the total charges for the hiring of the Premises and catering costs as set out in the Booking Form. 1.7 Deposit means that part of the Charge that has been paid or has become payable by the Hirer to Quay Arts as set out in the Booking Form. 1.8 Function means the purpose of the hiring as set out in the relevant Booking Form and includes both the service and reception, where applicable.

2.4 No booking will be deemed to be confirmed until such time as the Agreement has been signed and the Deposit has been received and acknowledged by Quay Arts.

3.

Permitted numbers

3.1 The maximum number of persons to be allowed admission to the Premises (by room) at any one time is set out below and the Hirer shall ensure that these numbers are not exceeded: The West Gallery The Seminar Room The Green Room The Cafe The Terrace The Anthony Minghella Theatre 150 55 20 130 90 150

4.
4.1

Catering
Catering for the Function will be provided only by Quay Arts.

4.2 Quay Arts holds the liquor license for the Premises. Quay Arts and its agents have sole and exclusive rights to operate the bar facility and to sell alcohol on the Premises. No alcohol is to be brought on to the Premises by the Hirer (or guests) unless agreed with Quay Arts; there may be a charge for this arrangement. In accordance with the terms of the licence, bar facilities can be provided between 11.00am and 11.00pm.

Charges, Deposit, cancellation and termination

Loss, damage or injury

5.1 The Hirer will pay to Quay Arts within the timescales stated the non-refundable sums set out below: (a) (b) (c) More than one year prior to the Function 50% of the room hire charge set out in the Booking Form One year prior to the date of the Function the balance of the room hire charge set out in the Booking Form Three months prior to the date of the Function 50% of the catering and pre-ordered alcohol costs based on the estimated number of guests and menu choice set out in the Booking Form One month prior to the date of the Function the balance of catering and pre-ordered alcohol costs based on the confirmed number of guests set out in the Booking Form

6.1 Under no circumstances will Quay Arts make good or accept responsibility or liability in respect of any loss, theft or damage, howsoever or by whomsoever caused, of or to any goods or property whatsoever of the Hirer (including wedding gifts) in or upon the Premises. 6.2 The Hirer shall repay to Quay Arts on demand the cost of reinstating or replacing any part of the Premises or any property whatsoever belonging to Quay Arts in or upon the Premises which shall be damaged, destroyed, stolen or removed during the period of hiring. Breakages will be charged at the replacement value of the item broken. 6.3 Quay Arts will not be liable for any loss occasioned to the Hirer as a result of the breakdown of equipment, a failure in the supply of electricity, a leakage or penetration of water, a fire or explosion, a government restriction or an act of God which may cause the Premises to be temporarily closed or the hiring to be interrupted, curtailed or cancelled.

Indemnification

5.2 Less than one month prior to the date of the Function catering numbers can be adjusted upwards but Quay Arts will not make a refund for any reduction in numbers. 5.3 In the event of any cancellation or termination for any reason, no liability shall fall upon Quay Arts in respect of any loss sustained or expenses incurred by the Hirer or any other person as a result thereof. The Hirer is advised to insure against such loss. 5.4 Quay Arts reserves the right to cancel or terminate the Agreement upon any breach of the Agreement and the Deposit will be forfeited. 5.5 Quay Arts reserves the right to cancel or terminate the Agreement, with immediate effect, if there is any significant omission from or a misstatement in the booking process by the Hirer, if the Premises are hired or used for any purpose which has not been agreed by Quay Arts. Upon such cancellation, the deposit will be forfeited. 5.6 In the event that the room specified in the Booking Form becomes unavailable as a result of a leakage or penetration of water, a fire or explosion, or an act of God then Quay Arts will use its best endeavours to provide an alternative space within the Premises for the purpose of the Function. 5.7 Quay Arts reserves the right to alter or cancel the Agreement in the event of unforeseen circumstances. Quay Arts will use all reasonable endeavours to provide the Hirer with at least three months notice of the cancellation (and where reasonably possible such notice period will be increased). Upon such cancellation, Quay Arts will promptly return all monies paid to Quay Arts by the Hirer, without further compensation.

7.1 There shall be deemed to be implied on the part of the Hirer an undertaking with Quay Arts to comply with this Agreement and any statutory provisions governing the use of the Premises, and to indemnify Quay Arts from all penalties and costs which Quay Arts may incur in consequence of any default of the Hirer in complying with the Agreement and statutory provisions. 7.2 The Hirer shall indemnify Quay Arts, its officers, employees, contractors and agents from and against: 7.2.1 all claims, demands, actions, expenses, damages, penalties or proceedings arising out of or in any way connected with the Function in respect of: (a) (b) any loss or theft of, or damage to, any property of any person whilst in or upon the Premises, and the death or injury howsoever or to whomsoever caused which shall occur while such person is in or upon the Premises or in respect of any loss or damage suffered or sustained by any person in consequence of such death or injury (excluding any death or injury caused by an act, omission or the negligence of Quay Arts)

7.2.2 all penalties, damages, costs and proceedings which may be incurred in consequence of any breach or default by the Hirer or its Function Assistant in compliance with statutes and regulations

7.2.3 any claim for any duty, tax, royalty or copyright fee payable in respect of any entertainment given during the hiring period and against any infringement of any intellectual property rights which may occur during the hiring.

11.4 Fire doors must remain closed at all times when not in use. Fire doors must not be obstructed or wedged or permanently tied closed. 11.5 The Hirer and any persons associated with the hiring will have vacated and be clear of the Premises at the end of the hire period, as set out in the Booking Form. 11.6 The Hirer shall ensure that motor vehicles are not parked in such a way as to obstruct the entrance or exit routes to and from the Premises.

8.

Insurance

8.1 Quay Arts recommends that the Hirer obtains cancellation insurance and accidental damage cover as part of its insurance policies.

9.

Right of entry

12. Photography
12.1 Quay Arts requests the right to create and record photographs of the Function held on the Premises. These images may be used in publicity material for the marketing of any Function held on the Premises. Unless stipulated by the Hirer Quay Arts assumes authority to do so.

9.1 During the hire period set out in the Booking Form the Premises shall remain at all times in the possession, management and control of Quay Arts and Quay Arts reserves to itself the right of entry for its employees and contractors to all parts of the Premises at all times and Quay Arts requires that any Function Assistant employed by the Hirer shall be instructed accordingly. 9.2 Quay Arts reserves the right to refuse admission and/or to eject from the Premises any person or persons as Quay Arts may reasonably determine.

13. Music
13.1 The Premises are licensed by the Performing Rights Society for the performance of copyright music controlled by the Performing Rights Society. Where possible the Hirer shall provide to Quay Arts written details of all musical works to be performed live in whole or in part during the hiring. 13.2 In accordance with licence requirements, for those works of copyright music not controlled by Performing Rights Society, the Hirer shall be responsible for obtaining the necessary licence from the copyright holder for their performance or reproduction. 13.3 The Premises are licensed by Phonographic Performance Limited for the use of pre-recorded music for which a licence fee is payable to Phonographic Performance Limited (such licence being additional to that issued by the Performing Rights Society). The Hirer shall provide to Quay Arts written details of all recorded musical works to be used in whole or in part during the hiring. 13.4 The Hirer will use only secular music during the Function and will ensure such music has the prior approval of the Superintendent Registrar

10. Compliance with statutes and regulations


10.1 Smoking is not permitted anywhere within the Premises. 10.2 The Hirer shall strictly comply with and observe the requirements and regulations of any licensing authority which are applicable to the Function, and any regulations regarding the number of persons to be admitted, number and location of Function Assistants (other than Quay Arts employed staff), arrangement of seating (especially linked seating), widths of gangways between chairs, stands and tables, the requirement to keep free of obstruction any emergency signs, stairways and exits and other like requirements. 10.3 The Hirer shall strictly comply with and observe the requirements of the Premises licensable activity.

11. Site requirements


11.1 In view of the close proximity of residential property, Quay Arts has a duty of care to ensure that its operations and activities take place without prejudice to the local neighbourhood. Consequently, the Hirer shall ensure that all attendees leave the premises in a quiet and orderly manner. 11.2 The Hirer is responsible for the behaviour of all attendees at the Function. 11.3 The Hirer is responsible for the volume of sound produced during the Function and the Hirer will comply with the instruction of the Venue Representative in this respect.

14. Electrical and AV equipment


14.1 No equipment for the reproduction or amplification of music or other sound shall be used at the Function unless with the specific permission of Quay Arts. If reproduction or amplification of music is required then Quay Arts PA system will be used. If Quay Arts deems it necessary, a technician will be provided by Quay Arts the cost of which will be met by the Hirer. 14.2 All equipment provided by the Hirer must be approved by Quay Arts in advance and must have been tested for safety and labelled with the date of the last test.

15. Alterations, fittings and decorations


15.1 The Hirer will not cause or permit any person connected with the hiring to drive any nails, screws or other fixings into the walls or floors or into any furniture or fittings or do or permit to be done anything likely to cause damage to the Premises or any such furniture or fittings. 15.2 No alterations or additions shall be made by the Hirer to the lighting, heating, seating, fixtures or fittings, or other arrangements, without consent from Quay Arts, nor shall the Hirer use any decorations that require fixing without the prior written consent from Quay Arts. 15.3 Decorations such as flags, emblems, gas-filled balloons, streamers or confetti will be permitted either externally or internally only with the previous consent in writing of Quay Arts. Where such consent is given, it may be conditional on the use of nonflammable material or material treated with an approved fireproofing substance. 15.4 Naked flames, smoke making machines, indoor fireworks and stage pyrotechnics will not normally be permitted in the Premises. Applications in writing, with accompanied risk assessment, to waive this regulation must be made to Quay Arts for consideration; additional staffing costs may be incurred if approval is granted.

16. Emergency procedures


16.1 In the event of an emergency occurring within the Premises alarms will be activated in all areas. If the alarm sounds during the hire period, the Venue Representative and Quay Arts staff will commence the evacuation procedure. 16.2 The Hirer and Function Assistants will co-operate and comply fully with the evacuation procedure (including evacuating in an orderly manner, as quickly as possible and without running and not attempting to gather or retrieve possessions) and assemble with guests in the Little London car park. 16.3 A member of Quay Arts staff will investigate the cause of the activation and either reset the alarm in the event of a false alarm, or notify the fire brigade if there is a fire. No attempt should be made to enter or re-enter the building until being told it is safe to do so by the Venue Representative.
