TheobjectiveoftheOSUDepartmentofHorticultureandCropScienceGraduateStudies Handbook(Handbook)istoprovideareadysourceofinformationthatwillassisttheexpedient andefficientconductofH&CSgraduateprograms.TheHandbookcontainsinformationthatwill beusefultoprospectivegraduatestudentsanditwillserveasanimportantreferencefor graduatestudentsandtheiradvisorsthroughoutthegraduateprogram.Mostofthepolicies arebasedonrequirementsoftheGraduateSchool,butdepartmentaloperatingguidelinesand proceduresarealsoprovided. TheGraduateStudiesCommittee(GSC)administersandcoordinatesgraduateprogramsinthe Department.Thisincludesreviewandevaluationofapplicationsforgraduatestudyand recommendingstudentsforentranceintotheH&CSGraduateProgram;processing applicationsandoverseeingtheadmissionprocess;recommendingstudentswhomerit financialassistanceincludinggraduateassistantships,associateshipsandfellowships; coordinatinggraduateteachingassociateresponsibilities;conductingtheDepartmentseminar programincludingseminarpresentationsandcolloquia;processingnominationsand conductingthereviewofgraduatepublicationandTAawardcompetitions;andother responsibilitiesdescribedintheH&CSPatternofAdministrationdocument(sectionIIID.4.). TheGSCiscomposedoftheChair,aChairelect,fiveadditionalfacultymembersrepresenting bothcampuses,onegraduatestudentrepresentative,andtheacademicprogramassociatewho isbasedintheGraduateStudiesOfficeinColumbus. II. Graduate Faculty Membership


A. Categories and Criteria.

Graduatefacultystatusaffectstheofficialroleafacultymembermaytakeasanadvisor(see theOSUGraduateSchoolHandbook).Briefly,categoryPfacultymayadvisePh.D.andM.S. students;categoryMfacultymayadviseM.S.students.TheHorticultureandCropScience programalsopermitscategoryMfacultytoserveonexaminingandadvisorycommitteesof Ph.D.students,withtheapprovaloftheGSCChair. Potentialgraduatefacultymembersmusthavebothanactiveprogramofresearchanda sincerecommitmenttostudentadvising.Thecriteriaandresponsibilitiesofappointment areoutlinedintheTheOSUGraduateSchoolHandbook(http://www.gradsch.ohio state.edu/Depo/PDF/Handbook.pdf).Newfacultyareencouragedtorequestappointment assoonastheymeetthecriteriaforappointmentofgraduatefacultywithCategoryMorP status. B.Assignment,ReviewandRemovalofGraduateFacultyStatus. AssignmentTheGraduateStudiesCommitteeappointsCategoryMGraduateFaculty members.TheGraduateStudiesCommitteesubmitsnominationsforCategoryP membershipontheGraduateFacultytotheGraduateSchoolandcertifiesbyappropriate documentationthatthosenominatedmeetpublisheduniversitywidecriteria(GradSchool Handbook). FacultywiththerankofProfessor,AssociateProfessor,AssistantProfessor,Instructor,or AdjunctFacultyareeligibletobenominatedasregularmembersofthegraduatefaculty. NominationsaremadebytheGraduateStudiesCommittee. Review.TheGSCwillreviewonaregularbasisthemembershipcategoriesofGraduate Faculty.Basedonthatreview,theGraduateStudiesCommitteemayrecommendtothe GraduateCouncilthatthecategorylevelbereducedorremoved,orthatthefaculty membersGraduateFacultystatusbeconsideredprobationaryuntilcertainspecified conditionsaremet.Appropriatedocumentationwillaccompanysucharecommendation, includingverificationthatthefacultymemberhasbeennotifiedofthepossibleactionand

hasbeenallowedtorespondinwritingwithinatimelinespecifiedbytheGraduateStudies Committee.Thefacultymembersresponse,ifany,willbeincludedintheinformationsent totheGraduateSchool. Criteriaandproceduresforlossofcategorystatus.Criteriaforcategoryreductionorlossof activecategorystatus,orremovalfromthegraduatefacultymayincludepoorperformance asadvisorormentor,poorqualityofgraduatestudents'researchproposals,poorrecordof publicationofgraduatestudents'research,orpoorperformanceinteachinggraduate classes. Reductionofcategorylevelorremovalfromthegraduatefacultymaynottakeplacewithout aprobationaryperiodofatleasttwoyears,duringwhichtimethefacultymemberwillbe giventheopportunitytodemonstratesignificantimprovement.TheGSCmaysetlimitson thenumberofadviseesoradvisorycommitteesofaprobationaryfacultymember. Reducingthecategorylevelofagraduatefacultymemberorremovingthefacultymember fromthegraduatefacultywillrequiretheapprovalofamajorityofthefacultymembersof theGSC.Bothplacementonprobationandfinalactionagainstaprobationaryfaculty memberwillrequireamajorityvote.Votingwillbebysecretballot.Graduatestudentand staffmembersoftheGSCmayparticipateindiscussionoftheseissuesbutmaynotvote. Priortovoting,theGSCwillallowopportunityforinputfromadministrators,faculty,and graduatestudents.Inputmayincludethefollowing:publicationrecords,studentprogress reports,reportsofexitinterviewswithgraduatestudents,andanyotherrelevant information.Theissuewillbediscussedatameetingofthefaculty;ifpossible,thismeeting willcoincidewithafacultymeetingatwhichpromotionandtenureoffacultymembersisto beconsidered.TheGraduateStudiesCommitteewillinformthefacultymemberofthe actionbeingconsideredandwillgivethefacultymemberanopportunitytomeetwiththe Committeepriortoanyvote.

III. Criteria for Admission into the Horticulture & Crop Science Graduate Program
A.GeneralApplicationProcedures. ApplicantswhoseekadmissiontotheGraduateSchoolforgraduatestudyinHorticulture andCropSciencemustfulfilladmissioncriteriaestablishedbothbytheGraduateSchooland bytheGraduateStudiesCommitteeoftheHorticultureandCropScienceDepartment. Applicationmaterialsmustbesubmittedonlineat http://gradadmissions.osu.edu/criteria.html. Applicationsareacceptedatanytime,butapplicantsareencouragedtoapplyforautumn admission.Applicantswhowishtobeconsideredforuniversityandcollegefellowships

(http://gradadmissions.osu.edu/OSUFellowships.htm)orforadepartmentalassociateship shouldinsurethattheirpacketsarecompletedinatimelyfashion.Admittedinternational studentsarriveduringsummer,priortoautumnenrollment,sothattheymaygain experiencewithAmericanEnglishbeforeintensivecourseworkbeginsinSeptember. MostH&CSgraduatestudentswillhaveaM.S.degreebeforeenteringthePh.D.Program; however,underspecialcircumstances,andwithpermissionoftheGSC,theM.S.degreecan bebypassed(seesectionX).Thecompletionofthreedegrees(B.S.,M.S.,Ph.D.)atOhio Stateisdiscouraged. Credentialsofapplicantsareevaluatedwithoutconsiderationofage,ancestry,color, disability,genderidentityorexpression,geneticinformation,militarystatus,nationalorigin, race,religion,sex,sexualorientation,orveteranstatus. B. RequiredDocumentation. 1. GraduateSchooladmissionapplicationform.(http://gradadmissions.osu.edu/) 2. Anearnedbaccalaureateorprofessionaldegree.Thedegreemustbefroman accreditedcollegeoruniversity,withprerequisitetrainingrequiredforgraduatestudyin HorticultureandCropScience.Prerequisitetrainingconstitutesadequatepreparation inlifesciences,physicalsciences,andmathematics.Itishighlyrecommendedthat studentswithundergraduatedegreesinnonscientificfieldscontacttheGSCChairprior tosubmittinganapplication. 3. Transcripts.Thesemustcoverallundergraduateandgraduateacademicwork undertakenpriortoapplication.AGPAof3.0(onascaleof4.0)oraboveonallprevious undergraduatework,andof3.0oraboveonallpreviousgraduatework,arerequired. 4. GraduateRecordExam.ScoresfortheGeneralTest(Verbal,Quantitativeand Analytical)arerequiredforallapplicants,andoverallmeanpercentilerankatorabove the50thpercentileispreferred.Strongapplicantswithmeanrankabovethe70th percentileforVerbalandQuantitativeGREsections,andanAnalyticalscoreatorabove 4.0)areeligibletobenominatedforaUniversityFellowship.(SeealsoSectionIVfor moreinformationconcerningfellowships.) 5. Threelettersofrecommendation.Pleaserequestthesubmissionoftheselettersina timelyfashion.Typically,facultymembersorothersknowledgeableaboutthestudents academicand/orresearchperformanceshouldbeinvitedtoserveasreferences. 6. AStatementofPurpose.Thestudent'sstatementofpurposeshouldconveyaclear senseofhisorheracademic/researchinterestsandobjectives.Pleaseindicateareasof specializationthataremostinterestingforgraduateresearch,andhighlightprevious relevantexperiences.Thelettershouldarticulatewhatyouhopetoachievebythetime

youhavegraduated,andwhatyouhopetoaccomplishduringyourcareer.Youmustbe theoriginalandsoleauthorofyourstatementofpurpose. 7. C.V./Resume.Pleaseprovidecontactinformation,previouseducational,professional, andresearchexperiencesinasuccinctmanner.Pleaselistpresentations,posters,and publishedpapers.Pleaselistexamplesofleadershipactivities,communityservice, extracurricularactivities,orstudyabroadexperiencesasappropriate.TheC.V.is typicallytwotothreepageslongandshouldnotexceedfourpages. 8. TOEFLandEnglishPlacement.TheDepartmentofHorticultureandCropScience requiresaTestofEnglishasaForeignLanguage(TOEFL)forallstudentswhosenative languageisnotEnglish.ATOEFLscoreof550orabove(or213computeror79Internet TOEFLscore)isrequiredforadmission.Therequirementmaybewaivedifthestudent hasanearnedadegreeinanEnglishspeakingcountrylistedbelow.Studentswhose nativeorfirstlanguageisnotEnglisharerequiredtotaketheEnglishPlacementExam priortotheirinitialcourseregistrationatOSU.Theexamtestsoral/verbal,vocabulary, grammar,andwritingskillstodeterminewhichcoursesmaybeneededtoimprove communicationskills. 1. Regular.Acceptancewithregularstandingisextendedtostudentswhohavemetthe

minimumrequirementsforadmissionandwhohavebeenacceptedbytheDepartment forworkleadingtoagraduatedegree.Theminimumrequirementsforadmissionof studentstotheOSUGraduateSchoolarelistedinPartIoftheOSUGraduateSchool Handbook. 2. Conditional.Acceptancewithconditionalstatusisgenerallyextendedtostudentswho showpotentialforsuccessfulgraduateworkbuthavelowscholasticstanding.Students withaGPAlowerthan3.0willrequireconditionalacceptance.Studentsacceptedwith conditionalstatusmustmaintainaminimumGPAof3.0inthefirst15credithoursof graduatelevelcoursework.Studentsadmittedonaconditionalbasisbecauseoflow scholasticstandingrequirepermissionfromtheGraduateSchooltobeeligiblefor fundingasaGraduateResearchAssociateorGraduateTeachingassociate,untilthey receiveregulargraduatestanding.Otherfactorsthatmaynecessitateenrollmentunder conditionalstudentclassificationsincludehavingobtainedadegreefroman unaccreditedcollegeoruniversity,orhavingGSCspecifiedsubjectmatterdeficiencies. 3. Provisional.Acceptancewithprovisionalstatusisextendedtostudentswhose verificationofdegree(s)ortranscriptshasyettobecompletedorreceived. 4. GraduateNondegreeatLarge.Underspecialcircumstances,anapplicantmaybe consideredforadmissionasagraduatenondegreestudentbysubmittingappropriate documentstotheGraduateSchool(ortotheGraduateAdmissionsOfficeifan internationalapplicantorapplyingbymail),aslistedintheGraduateSchoolBulletin. Thisclassificationcannotbeconsideredanalternativepathwaytoadmissionintothe degreeprogram.InkeepingwithGraduateSchoolregulations,theGSCmaylater approveatransferintothedegreeprogramofuptotengraduatecreditsearnedwhilea studentwasenrolledinthenondegreestatus.

D. ExceptionsandSpecialCircumstances. RequestsforparttimeGraduateStudentStatus(enrollmentoflessthansevencredithours) willbeconsidered.StudentsmayapplyforatransferfromanotheracademicunitatOhio StatebycompletingtheRequestforTransferofAcademicUnitform,whichisavailable fromtheGraduateSchool.TheGSCwillrequireacopyoftheoriginalapplicationmaterials submittedbythestudenttotheiroriginalunit,andinformationconcerningthestudent's performancewhileenrolledintheGraduateSchoolatTheOhioStateUniversity.TheGSC willalsorequireanupdatedStatementofPurposefromthestudent,indicatingthereasons forseekingthetransfer.IftheGSCapprovesatransfer,itwillalsospecifywhichcourses alreadycompletedwillcounttowardthegraduatedegree.

IV. Financing Graduate Education


GraduateAssociateships FellowshipsandTraineeships ResearchSupport HourlySupport FinancialAid

Financialsupportintheformofmonthlystipendsandtuitionandfeesmaybeobtainedfrom theDepartment,anotherUniversitysource,orextramuralfundsavailabletotheprospective academicadvisor.AdmissioninpartdependsontheabilityoftheGSCtoidentifysupportfor theincomingstudent.Timelimitsexistfordepartmentalsupportandmayexistforothertypes offunding(seesectionV.8.pg13). A. GraduateResearchAssociateshipsandGraduateTeachingAssociateships ManystudentsaresupportedfinanciallybyaGraduateResearchAssociateship(GRA) withintheDepartment;thereisanopportunityforinterestedstudentstoreceivea GraduateTeachingAssociateship(GTA)forpartoftheirdegreeprogram.Forafull descriptionofthisUniversityposition,includingemployingunitresponsibilities,benefits, etc.,seetheOSUGraduateSchoolHandbook. StipendsandFeeAuthorizations.StipendlevelswillcomplywiththeGraduateSchool minimum.AhalftimeGRAorGTAinHorticultureandCropSciencecarriesthefollowing stipendasofOctober1,2009:
M.S.$18,048.00($1,504/month) Ph.D.$19,560.00($1,630/month)

AllGRAsandGTAsreceiveafeeauthorizationforfulltuition(approximately$3,455per quarterforOhioresidents,$8535perquarterfornonresidents).Studentswhohavehelda regularappointmentforthreeconsecutivequartersareeligibleforfeeauthorizationduring thefourthquarter.IfappointedasaGRAorGTAthestudentmaynotacceptother employmentduringhis/hertenurewithoutthepermissionoftheHorticultureandCrop ScienceGSC(OSUGraduateSchoolHandbook).


B. Fellowships and Traineeships.

A.GraduateResearchAssociateships(GRAs) 1. SelectingGRAs.SelectionofGRAsforpositionsfundedbythedepartmentalbudgetis thejointresponsibilityoftheDepartmentChairandtheGSC.Criteriaforselectionof GRAsincludeacademicrecord,researchexperience,publications,lettersof recommendation,thestatementofpurpose,andGREandTOEFLscores.Qualified individualswithinterestinfinancialsupportfromthedepartmentorfacultyfor graduatestudiesshouldinformtheGSCChairperson.Studentsmayalsoapplyto individualfacultyorfacultyworkinggroupsforfundingfromgrants.Associateshipscan beheldbyM.S.PlanAandPh.D.students.TheGSCwillevaluateapplicantsfor appointmentasGAsandwillrecommendstudentsfordepartmentalsupporttothe DepartmentChair.Thefollowingwillbeconsideredintheevaluationprocess: Overallacademicandresearchpotentialasreflectedbyperformance Backgroundexperience,motivation,andcommitmenttotheareaofinterest Potentialtoexcelinaspecificareaofinterest Recommendationsfromfacultymembers SpecificneedsoftheDepartment 2. VoluntarysubmissionofarequestforTAassignmentwillbesolicitedeachSpringbytheGSC andAAC. 1. ApplyingforaGTAposition.StudentsonGRAappointmentswhoareinterestedin gainingexperiencewithundergraduateteachingcanapplyforGTApositions.Course syllabiwillcontainadescriptionoftheteachingdutiesandopportunitiesandstudents shouldreviewthemattheHCSintranetweb(http://hcsintranet.osu.edu/)before applyingforaposition.Applicationsfromcurrentandincomingadmittedstudentswill bereceivedduringspringquarter.Attheendofspringquarter,GTApositionswillstart beingfilledandappointmentswillcontinue(duringtheyear)untilallpositionsarefilled. Thiswillbeacompetitiveapplicationprocess,andthebestapplicantwillbeappointed toeachpositionbytheHCSChair(ordesignee),attherecommendationofGSCandAAC Chairs.SuccessfulGTAapplicantswillhavedemonstratedteachingskillsandabilities. Theseskillsmayacquiredthroughacombinationofexperienceandpriororconcurrent enrollmentinoneormorecoursesinpedagogy.AtOSU,thislistincludesAgEd735N,or FTADFallorientation,FTADworkshops,orappropriateHCS806.ChangestoGTA positionsmaybemadeduringtheyearasnecessary.AGTApositioninextension educationmaybeoffereddependingonfundingavailability. 2. DurationofGTAappointments.Eachappointmentisforonequarter.Typically studentsmayelecttoTAfor1or2quartersperyear.(GTAappointmentsforan additionalquarterwillrequireGSCapproval).AGTAwillnormallyteach1classper quarter. 3. Duties.Thesemayincludebutarenotlimitedto:weeklyrecitationclasses,lecturing corelectures,preparationofexamandmidtermquestions,andgradingofexamsand midterms.GTAswillberesponsiblefordeliveringabout10%oftheclasscurriculum.A GTApositionwillbea50%appointment(dutiesshouldbelimitedtoapproximately20

hoursperweek),thusaGTAcanregisterforclassesandcontinueresearchoncetheir teachingdutieshavebeenfulfilled. 4. Evaluation.FacultyshouldcompleteapeerevaluationofGTAteaching(usingthe currentdepartmentalPeerReviewofTeachingform).GTAsshouldbeencouragedto providefeedbacktofacultyconcerningthecourse.GTAscanalsoreceiveSEIfrom students.

VI. Policies and Procedures for Graduate Students


A. Workload. GRAandGTAfundedgraduatestudentsareexpectedtocontributeanaverageof20hours ofserviceperweektothedepartment.Researchperformedaspartofthethesisor dissertationisnotconsideredservicetothedepartment.Examplesofservicetothe departmentincludeteachingandworkdonefortheadvisor'sresearchproject.Advisors shouldassignstudentworkexperiencesthatfurtherthestudentseducationandhelp preparethestudentforacareer.Itisexpectedthatdepartmentalservicewillnotinterfere withastudentsreasonableprogresstowardcompletionofthedegree(seeSectionV.A.5 above). B. Personalleave. Provisionfortimeoffforpersonalleaveoflessthantwoweeksduration,includingbreaks betweenquarters,shouldbedeterminedinconsultationwiththefacultyadvisorordirect supervisor.Absencesformorethantwoweeksmayinterferewithstudentsresponsibilities orassignedduties.Itisunderstoodthattherearemanyreasonsforsuchabsences. AccordingtoGraduateSchoolguidelines,theGraduateStudiesChairshalltobeinformed of,andplayaroleintheapproval/disapprovaloflongperiodsofabsence(definedasmore thantwoweeks).Guidelinesforshorttermabsencesandleavesofabsencearegivenin AppendixDoftheGraduateSchoolHandbook.(http://www.gradsch.ohio state.edu/Depo/PDF/Handbook.pdf) Inthecaseofrequestsforshorttermabsences,theacademicoradministrativesupervisor willmakethedecision.Inthecaseofaleaveofabsence,thesupervisorshouldconsultwith thechairoftheGSCinthestudentsprogramofstudyandthestudentsadvisor.The appointingunitmaydesignateadditionalindividualswhomustapproverequestsforleaves ofabsence. Studentswhoanticipatetheneedforaleaveofabsenceshouldsubmitawrittenrequest withtherationalefortheabsence,andanynecessarycontingenciesforsatisfactory

progressofthestudentsresearchprogram,orfulfillmentofotherresponsibilities,totheir advisorforapproval.TheadvisorwillsendforwardthislettertotheGSCChairwithaletter requestingapprovalfortheplannedabsence.TheGSCChairmustreceivethisletteratleast twoweekspriortothestudent'splanneddeparture.Criteriaforapproval/disapprovalshall includethenatureoftheintendedabsence(criticalornoncriticalreasons),balancingof studentspersonalneedswithacademicandadministrativepolicies,thestudentsacademic standinganddegreeprogress,unitorprincipalinvestigatorneeds,andfundingrealities.If thestudentisondepartmentalfunding(anypercentage),theGSCChairwillrecommendto theHCSChairwhetherdepartmentalfundingshouldbeprovidedduringthestudents absence. C. Useoffacilities. ManyfacilitiesintheDepartmentaresharedanditisassumedthatstudentswillfollow guidelinesfortheiruseasspecifiedbytheresponsibleperson.Personaluseofoffice facilitiesandsuppliesisnotpermitted. D. Resolutionofdisputesanddueprocess. Thestudent'sadvisorandadvisorycommitteeshouldbethefirstrecourseinthecaseofa dispute.Ifthisdoesnotleadtoasatisfactoryresolution,thedisputeshouldbebrought beforetheGraduateStudiesCommittee.Iffurtheractionisneeded,thegrievance proceduresoftheCouncilonResearchandGraduateStudies(AppendixCoftheOSU GraduateSchoolHandbook)shouldbeconsulted. E. Termination. Ordinarily,terminationofanappointmentforunsatisfactoryperformancewillnotoccur withoutaprobationaryperiod,duringwhichthestudentwillbegiventheopportunityto demonstrateimprovedperformance.TheGraduateStudiesCommitteereservestheright, however,toterminateanappointmentwithoutsuchaprobationaryperiodifsuchanaction isneededinordertoprotecttheintegrityoftheDepartment.TheGraduateSchoolwill disallowreappointmentofGTAsorGRAswhoarenolongeringoodacademicstanding. CriteriaforpassingHCS999(SorU):ToobtainagradeofSstudentsshouldmake reasonableprogressintheirresearch,withappropriatecontinuedcommunicationresulting inagreedexpectationsbetweentheadvisorandthestudent.Failingthemeetthisstandard willmeritagradeofU.TheawardofthreeUgradeswillresultinimmediate terminationfromtheH&CSgraduateprogram. F. FilingaGraduateCourseProgram. ThestudentisrequiredtofileaGraduateCoursePrograminHorticultureandCropScience withtheGSCbeforetheendofthesecondquarterofenrollment.Thecourseprogramisa

detailedoverviewofthecoursestobetakenduringeachquarterthestudentisenrolledin thegraduateprogram.Carefulconsultationbetweenstudent,advisor,andStudentAdvisory Committee(SAC)isessentialbeforethisfiling.ThestudentmustmeetwiththeSACto reviewandreceivesignatureapprovaloftheproposedCourseProgram.Oncefiled,the courseprogramisconsideredapartofthedegreerequirementsandmaybechangedonly withtheconsentoftheSAC.StudentscannotgraduateuntiltheirCourseProgramis completedandthecoursechecklisthasbeenapprovedbytheChairofGSC. G. AcademicMisconduct. Academicmisconductisdefinedasanyactivitywhichtendstocompromisetheacademic integrityoftheinstitution,orsubvertstheeducationalprocess(UniversityCommitteeon AcademicMisconduct,section2.0).Allfacultyandstudentsshouldbecomefamiliarwith theUniversitypoliciesathttp://oaa.osu.edu/coam/home.html Examplesofacademicmisconductinclude,butarenotlimitedto: 1. Violationofcourserulesascontainedinthecoursesyllabusorotherinformation providedthestudent;violationofprogramregulationsasestablishedbydepartmental committees; 2. Providingorreceivinginformationduringquizzesandexaminationssuchascourse examinationsandcandidacyexaminations;orprovidingorusingunauthorized assistanceinthelaboratory,atthecomputer,oronfieldwork; 3. Submittingplagiarizedworkforanacademicrequirement.Plagiarismisthe representationofanother'sworksorideasasone'sown;itincludesthe unacknowledgedwordforworduseand/orparaphrasingofanotherperson'swork and/ortheinappropriateunacknowledgeduseofanotherperson'sideas; 4. Falsification,fabrication,ordishonestyinreportingresearchresults; 5. Servingas,orenlistingtheassistanceof,a"ringer"orsubstituteforastudentinthe takingofexaminations; 6. Alterationofgradesormarksbythestudentinanefforttochangetheearnedgradeor credit;and 7. AlterationofUniversityformsusedtodroporaddcoursestoaprogram,or unauthorizeduseoftheseforms.(seeUniversityrule33353102)

VII. The Advisor and the Advisory Committee


Prospectivestudentsshouldcontactindividualfacultymembersduringtheapplicationprocess toexploreopportunitiesforconductingresearchunderthedirectionofthatinvestigator. Duringthefirstquarterofregistration,studentsshouldmeetwithothermembersofthe graduatefacultytodiscussresearchinterestsandpossibleStudentAdvisoryCommittee(SAC) involvement. A. ChoiceofAdvisor.

Choosingtheacademicadvisorisanextremelyimportantstepinestablishingastudent's graduateprogram.Severalimportantfactorstoconsiderinselectinganadvisorinclude mutualinterestinagivenresearcharea,theadvisorsexperienceandresearchactivity,and availabilityoffundingandsuitablefacilitiesforsupportoftheplannedresearch.Often,the choiceofanadvisorhasoftenmadepriortoadmission. Occasionally,incomingstudentsmayprefertoundertakearotationandworkwith multipleprospectiveadvisorspriortomakingafinaldecision.Aresearchrotationwhereby studentsworkforapredeterminedtimeunderthesupervisionofdifferentfacultyadvisors maybeadvised.Thepurposeofsucharotationistoallowthestudentsufficient opportunitytobecomemorefamiliarwithdifferentareasofresearchandpossible advisor/studentrelationships.Ifarotationisdesired,thestudentshouldidentifygraduate facultymemberswhowillallowatrialresearchperiodintheirgroupduringthefirst quarter,andnolaterthanthesecondquarterofenrollment.TheGSCshouldbenotifiedin writingofthestudent'sintentions,andtherequestshouldbecopiedtoallfaculty participatingintherotation.Studentscanobtainupto5hrcreditforHCS993(Individual Studies)duringtheirrotation. Someoftheresponsibilitiesoftheacademicadvisorinclude: Promotionofinnovativeresearchandsettingappropriatestandardsforthe qualityofresearchandcoursework Guidingthereviewofliterature,criticallyreviewingthestudentsresearch proposal,seminars,manuscripts,presentations,andthesisordissertationdrafts ServingastheChairoftheStudentAdvisoryCommittee(VII.B.below,and GraduateFacultyStatus,SectionII) Assigningandschedulingthestudentsnonthesisrelatedservicetothe department Servingasamentortohelpguidethestudenttowardasuccessfulcareerpath Communicationbetweentheadvisorandstudentisvitallyimportant.Onepurposeofthe GraduateStudentProgressReportistoenhancecommunicationthroughmutualfeedback. Thisshouldhelpidentifyandcorrectpotentialproblems.beforetheybecomeproblems.If thegraduatestudentisdissatisfiedwith,orhasconcernsabouttheadvisor,theymaybe voicedprivatelytotheGSCChair.Ifitbecomesnecessarytochangeadvisors,thiswillbe facilitatedbytheGSCChairinanappropriatemanner.Studentswishingtochangeadvisors shouldnotifytheGSC(AcademicAffairsCoordinatororGSCChair)assoonaspossible.

B.TheStudentAdvisoryCommittee(SAC). ThestudentandadvisormustselectadditionalgraduatefacultytoconstitutetheStudent AdvisoryCommittee(SAC).TheselectionoftheSACshouldbecompletedbytheendofthe secondquarterofenrollment.SelectionofaSACisanimportanttaskthatwillhaveamajor influenceonthedirectionofthestudent'scourseworkandresearchprogram.Careful consultationwiththeadvisorisrequiredbeforetheSACisassembledsothatbothstudent andadvisoraresatisfiedwiththecommitteecomposition.ThefinalcompositionoftheSAC

ThestudentisrequiredtokeeptheSACinformedastotheprogressofresearchand coursework.TheFinalOralExamCommitteemustincludeafacultyrepresentative appointedbytheGraduateSchool.TheGraduateFacultyRepresentativemaybe recommendedtotheGraduateSchoolbythestudent'sadvisor,butcannotbeamemberof theDepartmentofHorticultureandCropScienceoroftheSAC. X. General Requirements for the Doctor of Philosophy Degree

The written portion of the Candidacy Examination may be structured in a traditional style (consists of written questions from membersoftheSAC)orbythepreparationanddefenseofaproposal.Thewrittenportion oftheexamwillbefollowedbyanoralexaminationconductedbythefullSAC. ThestudentmustfileaDoctoralNotificationofCandidacyExamformwiththeGraduate SchoolandacopytotheH&CSGraduateProgramOfficeatleasttwoweekspriortotheoral portionofthisexam. 1. The written portion of the Candidacy Examination for the Ph.D. degree consists of written questions from the SAC. The format of this exam and the timing of its administration are determined by the individual exam committee members. Students, in consultation with their Advisor and SAC, can elect to take the written portionusingtheProposaloption(seeAppendix2). 2. TheoralportionoftheCandidacyExamination,whichlastsapproximately2hours,is normallycompletedwithinonemonthafterthewrittenexam.Questionsneednotbe limited to specific aspects of the research and may deal with general aspects of HorticultureandCropScienceandrelateddisciplines.Theexaminationisopentoall faculty,withpermissionoftheadvisor.

XI. Transfer Between M.S to Ph.D. Degree Programs


A. TransferfromM.StoPh.D.DegreeProgram EligiblestudentsinH&CScantransferfromM.S.toPh.D.programswithoutcompletionofthe M.S. degree. The request for transfer will be made jointly by the student and advisor with endorsementoftheSAC.Thetransferwillnormallybemadeafter1yearofM.S.studywhen the students academic and research potential has been clearly established. The limitation of fouryearsdepartmentalfundingsupport,fromtheinitialadmissiontotheM.S.program,will apply.ThistransferwillbesubjecttoapprovaloftheGSC,andwillbebasedonfourcriteria: 1. Highscholasticperformance(e.g.graduateGPAtypically>3.5). 2. Highaptitudeforresearch(initiative,independence,originalityetc)thatmightbe demonstratedbycompletionofahighqualityresearchproposalorpublicationofprior research.

XII. Registration and Scheduling


Thestudentandtheiradvisor,withintheguidelinesoftheapprovedGraduateCourseProgram, shouldmakedecisionsaboutthenumberofcredithoursandspecificcourseregistration. Courseloadsforfulltimestudents(Ph.D.studentspriortocandidacyexamination) shouldbe18hoursincludingH&CS999credithours.Highercourseloadsrequirethe permissionoftheOSUGraduateSchool. Ph.D.GraduateAssociateswhohavepassedthecandidacyexamination(Ph.D. candidates)areeligibletoenrollfornotmorethanthreecredithours.Ph.D.candidates whomusthavelectureclassestotalingoverthreecredithoursmaybeabletoregister fortheclassbypetitionfromtheGSCChairtotheGraduateSchool. XIII. Academic Standards


Thestudentmustmaintainagraduatecumulativegradepointhouraverage(GPA)of3.0or betterinallgraduatecreditcourses,andmustdemonstratereasonableprogresstowards graduateprogramrequirements.FailuretomaintainaGPAof3.0,orfailuretomaintain reasonableprogresstowardsadegree,willresultinthestudentbeingplacedonprobationby theGraduateSchool.Ifthestudent'sGPAfallsbelow3.0,theGSCwillcontactthestudentand his/heradvisortodiscusstheoptions.TheGSCwillinformthestudentoftheactionstobe takeniftheyarenotabletoraisetheGPAto3.0bytheendofthequarterofprobation.The studentonprobationmustobtainapprovalofbothcurrentandproposedschedulesfromthe GSC. OnceallSACmembersapproveoftheproposaltopic,theonemonthwrittenportionof thecandidacyexambegins.PreparationofthewrittenproposalmustfollowNSFgrant writingguidelines(seeChapter2oftheGrantProposalGuide. http://www.nsf.gov/pubs/2003/nsf032/032_2.htm)ORUSDANRIgrantwriting guidelines(seehttp://www.reeusda.gov/nri/programs/progdesc/2003rfa.htm).These guidesconsistofinstructionsrelatedtoproposalformatandthespecificcontentsof eachsection.EachstudentandSACmustdeterminewhichofthetwoguidelinesare mostappropriatebeforethestudentbeginsthepreparationofthewrittenproposal. 5. Attheendoftheonemonthwrittenexamperiodtheproposalisgiventoeach memberoftheSAC. 6. Withinoneweekofreceivingtheproposal,eachSACmembermustgivethestudent writtenapproval/disapproval.Thisisequivalenttopassingthewrittenpartofthe generalexam. 7. UponSACapprovalofthewrittenproposalthestudentmustregisterfortheoralexam withtheGraduateSchool.TheGraduateSchoolrequiresatleasttwoweeksnotice. 8. Priortooneweekbeforetheoralexam,eachSACmembermustprovidefeedback abouttheproposaltothestudent(inpersonorviaemail). 9. Takingoftheoralexamination.Mustbewithinonemonthofthestudentdistributing thefinishedproposaltotheSAC.Theoralexamconsistsofatwohouroraldefenseof thepreparedproposalaswellasanygeneralknowledgepertainingtotheproposal. Note:Whileitisultimatelytheresponsibilityofthestudenttoensurethedeadlinesare followed,compliancefromeachSACmemberiscrucialtothesuccessoftheproposalexam format.
