Committees Proposed: a. Information and Communication (InfoCom) (Ideal number of main members: 5) TASKS: -documentation -database, secretariat -marketing and advertisement (promotion of the event) -communication to other churches through the use of all media possible -bulletin (announcements) -follow-up of upcoming events in the body b. Finance (Ideal number of main members: 5) TASKS: -Budget planning -Financial reporting -Fund-raising projects

c. Logistics (Ideal number of main members: 5) TASKS: -Physical Arrangements (Venue Search and Ocular Inspections) -Banners -Stage Design -Security of the area -Foods and Meals -Accommodation of the attendees d. Program (Ideal number of main members: 5) TASKS: -Concept for the event (Theme, Verse, etc.) - Flow of the activity for three-days - Preacher assignment - Assessment at the end of the activity e. Music (Ideal number of main members: 3) TASKS: -Collection/ Gathering of Songs -Schedule of practices -Set-up of the instruments -Assignments of the musicians CONTINGENT COMMITTEE: f. Children (Ideal number of main members: 3) TASKS: -Create activities of the little ones during the camp

***CORE COMMITTEE: -Composed of representatives from the 5 (or 6) committees -Youth Leaders from all the churches in NCR TASK: Update the on-going tasks

ISSUES RAISED and CLEARED: Up to what extent can all the YPs be involved in the planning for the Youth Camp? Everyone can contribute ideas, but it is up to the main committee members to consolidate the ideas and come up with final plans. Is it okay to join more than one committee? Main committee members cannot join more than one committee to avoid conflicts on meeting schedules, BUT they can help in other committees through giving their ideas. How many YPs per church can be a part of the committees? We will not count the number of members of a church. Our goal is to use up the talents the YPs have wherever church he/she comes from. But for better representation, we will put (at least) one church member in every committee. What is the participation of the Pastors in the planning of the camp? After the initial planning, the committee members and/or the Youth President will relay the plans to their respective Pastors. Then the Pastors can agree and/or modify any part of the initial plan.

VOTATION (by raising hands): For everyone present in the meeting, do you agree at creating a committee-based group for the National Youth Camp 2013 planning? Result: All agreed.
