IMPORTANT: Please read this License carefully before using Rapid Device Analysis hereinafter referred to
as SOFTWARE. The right to use this SOFTWARE is granted only if you agree to the terms of the license.
USE OF THIS SOFTWARE INDICATES YOUR ACCEPTANCE OF THE TERMS AND CONDITIONS OF
THE LICENSE AGREEMENT.
In return for the payment of a one-time license fee which was included in the purchase price of the Capella
Technologies SOFTWARE product, you are granted a non-exclusive right to use the SOFTWARE subject to
the following terms and conditions. No title or ownership of the SOFTWARE is conferred with the license.
1. The SOFTWARE may be used without time limit to enable other software products to
access the Capella Technologies SOFTWARE Authentication features.
2. The SOFTWARE may not be disassembled, decompiled, decrypted, or reverse
engineered unless prior written consent is either obtained or not required by law.
Upon request, the user will provide reasonably detailed information regarding any
disassembly, decompilation, decryption, or reverse engineering.
3. This license will automatically terminate upon any transfer of the SOFTWARE or the
Capella Technologies product. Upon transfer, you must deliver both the DIMM,
Compact Flash, or USB product, if applicable, and the SOFTWARE, including any
copies and all related documentation, to the transferee. The transferee must accept

Chapter 1: Introduction to Rapid Device


Analysis
The Rapid Device Analysis (RDA) solution allows an organization to quickly
determine the performance of a networked printer fleet by gathering data and
providing detailed analysis with statistical reports. Before implementing print initiatives
such as cost reduction or environmentally-conscious compliance you need to know
how your fleet operates today.
Rapid Device Analysis provides data organization and analysis to target needs, help
focus on a real action plan, and then monitor the plans success.

System Requirements
.Net Framework 2.0 must be installed on the PC running the deviceanalysis.exe.

Analysis
The Rapid Device Analysis software is delivered preloaded on a USB drive, with the
license resident. To begin using the Rapid Device Analysis software:
1. Insert the preloaded USB drive into a USB port on a PC that meets the System
Requirements above.
2. Locate and double-click on the deviceanalysis.exe file icon.

3. To receive an Activation key, email the Identification key to
register@capellatech.com.
4. When you receive the Activation key, type it in the appropriate field and click OK.
5. Read the software license agreement and then click Continue.

Updating Software
Rapid Device Analysis will automatically detect when a newer software version is
available, or you can manually check for an update.

Automatic Update Detection


If a software update is available for Rapid Device Analysis, a New Version window will
display, asking if you want to update the RDA software.

1. Click Yes to download the new version of the software.
2. When the download is complete, a window will display, asking for verification
that you want to start the new version.

3. Click Yes to start the new version.

Manual Updates
To manually check for a new version of the Rapid Device Analysis software, go to the
Help menu and select Check for update.

Analysis
Accounts
When you open Rapid Device Analysis, the Account List window will pop up. Use
the Account List window to create new accounts, modify or delete existing accounts.

Create a new account


Use the following steps to create a new account:
1. In the Account List window, click New.
2. Complete the information in the fields provided, and then click OK.

Modify an existing account


Use the following steps to modify an existing account:
1. Select the name on the Account List, and then click Modify
2. Make any changes in the fields provided, and then click OK.

Delete an account
Use the following steps to delete an existing account:
1. Select the name in the Account List, and then click Delete.
2. Click Yes to verify that you want to delete the account.

Work with an existing account


To begin working with an existing account, select the name on the Account List
and then click OK.

Settings
Use the Settings tab to configure the parameters for the scanning process, to
configure the parameters for the reporting, and to view license information.

Scan settings
Use the Scan tab to configure settings for Concurrent connections, SNMP,
Multicast DNS, and Locally attached scans. Click Save after you have finished
making changes. Click Default to restore the default settings.

Concurrent connections
Number of connections
The maximum number of devices scanned at the same time.

Time-out (ms)
The number of milliseconds the software will wait for a printer to respond to a TCP/IP
request.

SNMP
Get community name
The name of the SNMP community that the printer belongs to. Enter the correct
community name to gain access to the printer. If a printer has no community name,
the default name is public.

Time-out (ms)
The number of milliseconds the software will wait for a printer to respond to an SNMP
request. The default value is 2000.

SNMP retries
The number of times the software will retry an SNMP request if the initial request fails.
An increase in the number of retries will increase network traffic. Using a lower
number can improve performance. The default value is 2.

Multicast DNS
You will see this section only if iTunes 10 is installed on your system. Click if you want
to use, or not use, Bonjour.
To start or stop the Bonjour Service, perform the following steps:
1. Go to Control Panel, open Administrative Tools, and then open Services.

2. Click Bonjour Service. Then, on the left, click Start or Stop the service.

Locally attached
Fast scan
Quickly scans the network neighborhood for devices locally attached to PCs.
If unchecked, the scan will generate a list of all locally attached devices on all PCs on
the domain controller. The amount of time to complete the scan will depend on the
size of the domain. Larger domains will cause slower scans.

Keywords filter
Filters keywords found in the driver names.
1. Type keywords in the appropriate text box.
2. Click Add to add to the list.

Columns settings
Use the Columns tab to set up additional columns that contain custom device data.
You can create up to 10 additional columns.

1. Type the preferred number of additional columns in the appropriate text box.
2. Type title names for the columns next to the column numbers.

3. Use the drop-down menu(s) to format the data as Text, Integer, Decimal, Date
or Currency.
4. Click Save when finished.

Analysis settings
Use the Analysis tab to define the Number of days in a month and year, used to
calculate the page count Analysis intervals. Click Save to save any changes. Click
Default to restore the default values.

Cost settings
Use the Cost tab to define the per-page costs for Mono and Color printing devices.
Click Save to save your changes.

PDF settings
Customize the information displayed in your PDF report. Click Save to save your
changes. Click Default to restore the default settings.

Display options table


The table under the PDF tab contains the display options for the PDF report. Each
row represents a page of report information. The following information and options
are displayed in the table:

Generate what sub-report pages will be generated in the PDF report. Place
a checkmark next to the name of each sub-report page you want displayed in
the PDF report.

Name the name of the sub-report page


Type the graphic display for the sub-report information. Use the drop-down
menus to select the graphic display.
TIP: The PDF report will generate the sub-report pages in order from top to bottom. Click and
drag the heading of a selected row up or down to change the order of the sub-report pages in the
PDF report. Click the Default button at the bottom to restore the default order of the sub-reports.

Format
Select the paper size for the PDF report:

Letter
A4

Orientation
Select the page orientation:

Portrait
Landscape
TIP: Use Landscape if the report is a comparison of two scans. This will display the two scan
graphics on the same page for easy comparison.

Page number and Page number format


Place a checkmark next to Page number if you want the page numbers displayed in
the PDF report in the bottom right corner.
If Page number is selected, the Page number format option will be shown. Edit the
text in the text box to customize the display of the page numbers.
NOTE: The variable text #n# represents the current page number and #N# represents the total
number of pages. Edit the text to change what you see in the bottom right corner.

License settings
The License tab shows the licensing Identification key and Activation key for the
Rapid Device Analysis software.

Scanning devices
When the program is launched, the Scan columns will be shown in the default screen.
Unless you choose to open a previous scan when starting Rapid Device Analysis, the
columns in the default screen will not contain any data.

IMPORTANT: In the Server version, select the Device Analysis tab to view the default screen.

Create a new scan


Use the following steps to create a new scan:
1. Select the Scan 1 or Scan 2 tab.
2. Under the Scan menu, choose the scan function you wish to perform:

SNMP discovery
Start multicast DNS discovery
IP range discovery
Locally attached discovery
Rescan all
Rescan selected rows

SNMP discovery
SNMP discovery sends a broadcast over a selected network and discovers what
devices are available.
1. Go to the Scan menu and select SNMP discovery.

2. Choose the network card and click OK to begin the scan.

Start multicast DNS discovery


Multicast DNS discovery will continually scan the network for devices until Stop
multicast DNS discovery is selected. The scan is ongoing to show any device
changes as they happen.
1. Go to the Scan menu and select Start multicast DNS discovery. The progress
of the DNS discovery is tracked in the activity log at the bottom.

2. To stop the scan, go to the Scan menu and select Stop multicast DNS
discovery.

IP range discovery
Discover devices within a selected range of IP addresses.
1. Go to the Scan menu and select IP range discovery.

2. Type IP addresses in the Start and End fields.

3. Click Add to add the range to the list in the display field.
4. Click Save to save the range for future reports.
5. Click Start to begin the scan.
NOTE: If an IP range includes over 3,000 IP addresses, a popup window will inform you of the
estimated time of completion. Click Yes to continue.

Locally attached discovery


Discover all devices locally attached to PCs, through LPT or USB ports, on either the
network or the domain controller, depending on your Locally attached settings.
1. Go to the Scan menu and select Locally attached discovery.

NOTE: If the HP Web Jetadmin SNMP Proxy Agent is installed on a desktop where a device is
locally attached, an SNMP broadcast or IP range discovery will discover the device.
Go to www.hp.com for more information.

Rescan all
1. When a scan is loaded, go to the Scan menu and select Rescan all. This will
collect current data and update all devices using the same scan parameters in
Scan 1 or Scan 2.

2. When the scan has finished, the Scan done message will appear.

3. The Last Check column will display the current date.

Rescan selected rows


1. To collect current data for one or more selected devices, click on the row(s) you
want to rescan. Then go to the Scan menu and select Rescan selected rows.

Open a previous scan report


Use the following steps to load information from a previous scan:
1. Select either the Scan 1 or Scan 2 tab.
2. Go to the File menu and click Open to open a previous scan.
3. Navigate to the scan file (.das).

4. Click Open to load the scan file.

Insert a scan
Use the following steps to load information from another scan into the current scan:
1. Click Insert on the File menu.
2. Navigate to the scan file (.das) you wish to insert.
3. Click Open to load the scan file.

Edit menu
Use the Edit menu to edit the data in the selected scan.

Undo undo one previous action


Copy selected rows copy one or more selected rows
Cut selected rows cut one or more selected rows
Paste selected rows paste one or more selected rows
Delete selected rows delete one or more selected rows

Scan data
When a scan is loaded, the columns will be populated with data from the devices in
the scan range.

The following information is displayed by default for each scan performed:

Last check the date the scan was performed


Manufacturer the manufacturer of the device scanned
Model the device model number
IP the device IP address
Serial number the device serial number
Part number the device part number
Asset ID the asset ID number of the device

Engine count the device engine count

Mac address the Media Access Control (MAC) address of the device

Installed solutions any solutions installed on HP devices

Total mono total number of monochrome pages


Total color total number of color pages
Color support does the device support color printing?
Duplex support does the device support duplex printing?
Laser is the device a LaserJet printer?
MFP is the device a multi-function printer?
Manufactured date the date the device was manufactured (may be
entered by user)
Network name the name of the device network
Location the location of the device
Status the device status
Alert any alerts on the device
Event log (Event/Cycles/Date and time) last error code recorded on HP
devices (includes error code / page count / date and time)
% Black percentage of black ink used
% Cyan percentage of cyan ink used
% Magenta percentage of magenta ink used
% Yellow percentage of yellow ink used
Quantity black cartridge number of cartridges used on the device
(entered by user)

Quantity cyan cartridge - number of cartridges used on the device (entered


by user)

Quantity magenta cartridge - number of cartridges used on the device


(entered by user)

Quantity yellow cartridge - number of cartridges used on the device

Customize column display


Use the following steps to customize the columns displayed in a scan:

1. Right-click in any column heading.
2. Columns with checkmarks will be displayed. Click to uncheck the columns you
do not want to display.

Cost
The Cost view option will display the total costs of printing, based on the per-page
costs set in the Cost settings tab.

Sum/Average
The Sum/Average option calculates the sums and averages for all devices scanned
and displays the calculations below the scan results.

Default
The Default option will remove any other options checked and return the columns to
the default view.

Log
The Log option displays the activity log box at the bottom of the Rapid Device
Analysis window. The activity log shows the timed progress of a selected scan,
including information on the found devices.

TIP: Click and drag the top border of the activity log box to adjust the height to view more scan
activity on the screen.
Right-click anywhere in the log box and click Clear to remove all scan activity
information.

Search
Use the Search field to filter scan results.

Device options
Right-click on any device line to display an option menu for that device.

Open printer EWS go to the embedded Web server for the device
Start SNMP walk gather and report SNMP data for the device in a text file
Copy selected rows copy one or more selected rows
Cut selected rows cut one or more selected rows
Paste selected rows paste one or more selected rows
Delete selected rows delete one or more selected rows
Rescan selected rows perform a new scan on one or more selected rows
Go to scan 2 jump to corresponding device line in Scan 1 or Scan 2
Add asset ID add a sequential asset ID for every device in the scan
Remove asset ID remove a sequential asset ID for every device in the
scan

CAUTION: Adding or Removing asset ID will overwrite or remove existing IDs. You will be asked
to verify this action.

Analysis tab
The Analysis tab will display similarities and differences between the two scans
loaded in the Scan 1 and Scan 2 tabs.

NOTE: If only one scan is loaded, the Analysis tab will display the page count difference between
the scan and the date displayed in the Manufactured date column. If the Manufactured date
column is empty, the device will not appear in the Analysis report.

Added and removed devices


Colored rows indicate added or removed devices between Scan 1 and Scan 2. Added
devices are shown in the green rows. Removed devices are shown in orange.

Customize view
1. Right-click in any column title to display three view options, allowing you to
customize your view of the analysis results.

Analysis intervals
When the Analysis tab is selected, an Analysis menu becomes available to select
analysis intervals.

The Page Count columns will display an estimate value calculated using the Real
page count and the Daily, Monthly, or Yearly interval selected, as defined in the
Settings tab.
NOTE: Use the Settings tab to define the calculations for the Analysis interval options.

Analysis data
The following data will be provided in the Analysis report, depending upon the
Analysis choices:

Days interval between scans number of days between the dates of the
first and second scans

Difference/Average/Projected engine count the difference in the engine


count between scans, the average engine count among scans, or the
projected engine count of scans, depending upon whether the Analysis
interval selection is Real, Daily, Monthly, or Yearly.
NOTE: If Real interval is selected, the column header will display Difference. If the interval
between the two scans is 45 days and Monthly interval is selected, the column header will display
Average. If Yearly interval is selected, the column header will display Projected.

Difference/Average/Projected mono the difference in monochrome


pages between scans, the average number of monochrome pages scanned,
or the projected number of monochrome pages scanned, depending upon
whether the Analysis interval selection is Real, Daily, Monthly, or Yearly.

Difference/Average/Projected color the difference in color pages


between scans, the average number of color pages scanned, or the
projected number of color pages scanned, depending upon whether the
Analysis interval selection is Real, Daily, Monthly, or Yearly.

Difference black the difference in percentage of black ink used between


scans

Difference cyan the difference in percentage of cyan ink used between


scans

Difference magenta the difference in percentage of magenta ink used


between scans

Difference yellow the difference in percentage of yellow ink used between


scans

average, or projected quantity of black cartridges used, depending upon

Export data
Save and share the important data from your scans by exporting to a CSV or XLS file,
or generating a PDF report.

Export
Export your scan data, Analysis or statistics to a CSV or XLS file. Use Microsoft Excel
to view any exported graphics.
1. Click the File menu. In the Export sub-menu, select one of the two options:

Export to CSV
Export to XLS

NOTE: Selecting Export will only export information seen on the screen in the currently selected
tab. Therefore, make sure all data and graphics on the screen are correct, then Export to your
preferred file. To export data from the Stat tab to an XLS file, Microsoft Excel must be installed.

Generate PDF report


To view all scan data and graphics in one report, create a PDF report.
1. Approve all PDF report settings in the PDF tab under Settings.
2. Go to the File menu and click Generate PDF report.

3. Select a location to save the report, then click Save.
4. A View the report message will appear. Click Yes to view the report.
