The following illustration shows the Help drop-down list that would be seen by a QDirect Administrator. The Help menu items that are available to you are based on the configuration of your User's Partition Rights.
Chapter 1: Introduction
The QDirect Basic User Guide provides instructional and reference information for beginning and less experienced QDirect users. This guide is available to all users. The QDirect Advanced User Guide provides instructional and reference information for very experienced users of QDirect, who are using advanced functions. This guide is available to users who have the appropriate Rights enabled. The QDirect Administrator Guide provides instructional and reference information intended only for QDirect Administrators. This guide is available only to users with Administrator Rights.
Whichever Client functions you are using, when you select one of the above guides, the Contents page of the applicable PDF file is displayed. From there, you can use links in the guide Table of Contents or PDFbookmarks to find specific information. Many hyperlinks are also included throughout the text to guide you to related or more detailed information. Note: If you select About from the Help menu, an informational About screen is displayed, showing system information on two tabs, About and Info. You do not need to be concerned with this information unless someone from RSA Customer Service asks you for it.
Overview of QDirect
QDirect is a robust print manager used to control workflow, route jobs and manage print destinations. The following diagram shows the major steps in the process, which are described below.
Overview of QDirect
The Readers receive print jobs from various sources or Origins and assign Attributes (properties) to the jobs based on information in the jobs. If needed, the operator can later change many of the Attributes. The Server holds jobs in a large, common Spool; and provides reprint capabilities and accounting information. The Writers match jobs with Destinations based on Job Attributes and Selection Criteria. Operators and Administrators interact with QDirect through the user interface provided by the Java-based QDirect Client for managing jobs, Destinations, Origins, Selection Criteria and overall system workflow.
Examples of Origins
Examples of Origins include, but are not limited to: mainframe, network, AS400, copier/scanners, fax servers, file servers, hot folders, FTP, RSA WebCRD, RSA VIPrint, RSA M.I.S. Print, and RSA IPDSPrint.

Examples of Destinations
Examples of Destinations include, but are not limited to: black and white printers, color printers, PDF archives (RSA PDFPro), network archives, FTP, CD burners, email, ImageSetter, RSA VIPrint, RSA M.I.S. Print, and RSA IPDSPrint.
Readers: Take print data from Origins, such as M.I.S. Print, PCs, IPDSPrint, UNIX or other remote systems, and assign characteristics or Attributes to the print data, thus creating job entries in QDirect. The Readers then store the job data in the Spool area on the Server. Operators use Attributes to manage, or enhance the flow of jobs through the system. Writers: Match jobs from the Spool with the Selection Criteria of Destinations (usually printers) and release the jobs to the Destinations. The operator uses the Selection Criteria to manage the use of available Destinations. Server: Among other tasks, launches and terminates Readers and Writers, processes jobs, deletes expired jobs, provides reprint options, and generates Accounting data. The QDirect Server is a software program that runs on a Sun/Solaris workstationthe heart of the system. Client: Provides the operators' and QDirect Administrators' views of the jobs in the Server. The Java-based Client runs on any Java-enabled workstation; and manages jobs, Destinations and other aspects of the workflow. Jobs Window: Provides a view of jobs received, Attributes set by the Readers and the ability to edit job properties. Destinations Window: Provides a view of Destinations, the Selection Criteria of each Destinations associated Writer, and the ability to add, delete and edit Destination properties. Origins Window: Provides a view of Origins, the Attributes they will assign to incoming jobs; and the ability to add, delete, and edit Origin properties. Selection Criteria Window: Provides the ability to add or delete Selection Criteria.
Database: Provides storage for all information associated with jobs, Destinations and Origins. All other functions interact with the database to store, retrieve and share information.
Direct jobs to multiple printers by managing Destinations. Move jobs to different Destinations. Change the priority of jobs. Automatically route jobs based on Job Attributes. Print jobs locally or remotely at desktop and midrange printers. Route jobs to other downstream processes, such as PDF distilling, archiving systems, and so on. Route jobs from one QDirect Server to another. Maximize up-time with redundant systems. Store jobs for a defined period of time for reprinting. Create and store accounting information for cost allocation and export to customer accounting systems.

You can also launch the Client from the Start menu on Windows XP and Vista, or the Quick Launch Bar on Windows XP, depending on the customer-requested installation location. The Client establishes a connection with the QDirect Server.
Function
Start Server
Starts the QDirect Server and launches the Start QDirect Server Window, which displays startup messages. Stops the QDirect Server. Displays the QDirect Server status in a log window. Backs up the QDirect Server files. Produces Accounting reports.
Stop Server View Server log Backup Accounting Generate Accounting File (Java Desktop System only)
QDirect Client
Launches the QDirect Client and displays the Jobs Window. Establishes a network connection to RSAs Secure Server once it has been properly set up using QDirect Connect Admin.
RSA Connect (Java Desktop System only) RSA Connect Admin (Java Desktop System only):
Configures the QDirect Server so that it knows how to talk to RSA's Secure Server. This option may also be used later to change the configuration if necessary.
Note: When the Login dialog box is displayed, you can log in to the Server.
The Advanced login functions are displayed on three tabs: Servers tab (shown above), Messaging tab, and Database tab (shown below). On future logins, the dialog box defaults to Basic Login Mode, but at any time you can select the Advanced checkbox to change to Advanced Login Mode.
Servers tab:
On this tab (first illustration), the blank field to the left of the Add button lists the QDirect Servers the Client "knows about. Note: Server names preceded by an asterisk (*) are automatically discovered by QDirect and cannot be deleted. The QDirect Administrator can delete other added Servers from the QDirect Configuration file.
If desired, click Add Server to add another QDirect Server to the list. When the Add Server dialog box is displayed, type the IP address of the new Server in the Enter the name of. field, and then click OK to save your selection. If desired, select a Server name in the list, and then select the Default check box to make that Server the default Server.
Alert: Do not change any information on the Messaging and Database tabs unless you are instructed to do so by RSA Customer Service.
Messaging tab:
Message Port: the Message Port the Client uses to talk to the Server. View Port: the View Port that the Client uses to transfer job files from the Server for viewing.
Database tab:

Server Port: TCP port that the QDirect Server uses to listen for Client requests; should be 3050 but can be changed in some instances. Pathway: should be /usr/mprint/qdirect/server/db/qdirect.gdb.
If the information is incorrect, an error message will be displayed, describing the problem and suggesting how to correct it, for example:

ERROR: Could not connect to QDirect Server ERROR: Attempt to connect to Host Name or IP Address XXX failed This version of QDirect Client requires QDirect Server XXX
Click OK to close the error message dialog box, and then follow the suggested steps for resolution. Basic Login Mode When the Client is launched after the first login, the QDirect Login dialog box may be displayed, in Basic Login Mode, as shown here.
Depending on how the Admin has configured your particular login, you may not see the Login dialog box after your first login, unless you log out of QDirect.
1. In the Login dialog box, type your user name in the User field. 2. If a password is required, type your password in the Password field. Note: You may or may not need a password to log in, and this function may be grayed out, depending on how the Admin has configured your login. 3. If desired, select the Save Userid check box.

If this check box was ever selected, the user name that was last saved will show up in the User Name field. If this check box was never selected, the User Name field is always filled in with the user name obtained from the operating system. See the Admin if there is a need to change this Userid for any reason.
4. Click Login. Note: If this is the first login since Client startup, after you have logged in successfully, the Automatic Client Update Checking process will take place. Note: If your login fails, you will see an error message in red at the bottom of the Login dialog box. For example, if you require a password and you enter an incorrect one, the message will state: Login failed: incorrect password! Consult the Admin if you need assistance. At the end of a successful login, the Jobs Window is displayed. Logging out At any time, from the Jobs Window, Window menu, you can select Logout to display the Login dialog box. You may need to log out:

When leaving the workstation so that other users must use their own credentials to log in. When finished with a QDirect session so that another user can log in. To allow an Admin to temporarily log in and perform special functions from any Client, rather than from a central console.

If no upgrades are available, the Client is opened, and the Jobs Window is displayed. If any upgrade is available, the Available Client Upgrade Files dialog box is displayed, including a list of upgrades.
Click Upgrade to complete the upgrades. Click Skip to close the dialog box and continue logging in without upgrades.

Keywords
During the upgrade process, QDirect may find that the available upgrade and the current server are incompatible. If so, a Client Compatibility Warning dialog box is displayed, with this message: WARNING: The version of the available client upgrade is not compatible with the current server you are using. Once you upgrade to the new version, you will no longer be able to connect to QDirect Servers whose version is X.X.X (where X.X.X. is replaced by the current software version) or earlier. Are you sure you want to proceed? Alert: Before you proceed, carefully read the warning and make sure that you understand the implications. Do one of the following:

Click OK to launch the downloads for the upgrade files and continue with the upgrade process. Click Cancel to continue login without upgrades.
During the upgrade process, the Upgrade button at the bottom of the Available Client Upgrade Files dialog box changes to Abort so that you can choose to abort the processif you can react quickly enough. The downloads are very fast. Once all downloads are complete, the Client is automatically closed. The Upgrade Installer is launched, and an installer dialog box displays the progress of installation. When installation is complete, the Restart Client button is enabled at the bottom of the installer dialog box. Do one of the following:

Click the Restart Client button to restart the Client now. Close the installer dialog box and restart the Client later.
Note: Included in the upgrade process is the backup of current Client files. This process lets you go back to a previous version of the Client, if neededwith the assistance of RSA Customer Service.
Keywords
QDirect uses certain keywords consistently throughout the application.
Keyword ANY
ANY is used as a wild card to match all values for a given property, for example: any Class, any Category, etc.

For example, from the View Filter bar in the Jobs Window, you can set the Class to ANY. This setting means that no matter what is in the Class column in the scrollable list for a job, QDirect matches all possible values. If ANY is selected as part of the job flows, all selected jobs would be sent to the printer.
Keyword NONE
NONE is a Destination Attribute that is used when a job is moved from one Partition to another.

Note: Any changes you make to the settings on this tab take effect immediately even if the Job Viewer Window is open at that time.
Selected: When this check box is selected (the default), clicking the View toolbar button in the Jobs Window opens the Job Viewer Window the same as selecting Job Viewer from the Window menu. Cleared: When this check box is cleared (Direct Job View function), clicking the View toolbar button in the Jobs Window opens a single job at a time in its native application (such as Adobe Reader for a PDF file).

In Direct Job Viewer mode, to open the Job Viewer Window, you must select Job Viewer from the Window menu in the Jobs Window.
Selected: When this check box is selected (the default), clicking Open in the main Job Viewer Window (or clicking the View toolbar button in the Jobs Window when the Full Job Viewer is disabled) opens the print file in PDF format in the native PDF viewer on your system (such as Adobe Reader). Cleared: When this check box is cleared, QDirect.SCAN jobs are treated as TAR files and are opened in the native viewer for a TAR file. QDirect.SCAN tar files are collections which include the print file in PDF format and the Job Ticket file in PostScript format. Note: QDirect.SCAN TAR files are collections of files, including the print file in PDF format and the Job Ticket file in PostScript format.
Selected: When this check box is selected, the QDirect.SCAN Job Ticket is opened in its native application (PostScript), along with the print file. Note: To select this option, you must also select the Enable Enhanced Scan Viewing Option.
Cleared: When this check box is cleared (the default), the QDirect.SCAN Job Ticket is not opened; only the print file in PDF format (the actual scanned job) is opened for viewing.
Note: If both the Enable Enhanced QDirect.SCAN Job Viewing and Enable QDirect.SCAN Job Ticket options are enabled, and there are native applications for both file types, two native application viewer windows will be displayed: a PDF viewer and a PostScript viewer. If neither native viewing application is available, an error message will be displayed about the PDF viewer. When you close that message, an error message will then be displayed about the PostScript viewer. Since there could be multiple files for a single QDirect.SCAN job, the title of each error message dialog box will indicate the file number, letting you know if more files remain to be processed, for example: File # of #.
Selected: When this check box is selected (the default) it causes the QDirect Server to attempt to locate the original print-ready file (in PDF format) and transmit that file to the Client for viewing, along with the Job Ticket for the file (TAG file). The Server bundles both files into a TAR archive and returns that to

the Client in response to the View request. Clicking Open in the main Job Viewer Window (or clicking the View toolbar button in the Jobs Window when the Full Job Viewer is disabled), opens the print-ready file in PDF format in the native PDF viewer (such as Adobe Acrobat Reader) on your system.

Cleared: When this check box is cleared, the QDirect Server transmits only the Job Ticket (TAG file) to the Client in response to the View request. In this case, the Job Ticket files are treated as text files and are opened in the native viewer for TXT files (such as Notepad) on your system. Note: WebCRD TAR files are collections of files, including the print file in PDF format and the Job Ticket file in text format.
Selected: When this check box is selected, the WebCRD Job Ticket is opened in its native application (Text), along with the print file. Note: To select this option, you must also select the Enable Enhanced Scan Viewing Option.
Cleared: When this check box is cleared (the default), the WebCRD Job Ticket is not opened; only the print file in PDF format (the actual WebCRD print job) is opened for viewing. Note: If both the Enable Enhanced WebCRD Job Viewing and Enable WebCRD Job Ticket options are enabled, and there are native applications for both file types, two native application viewer windows will be displayed: a PDF viewer and a TXT viewer. If neither native viewing application is available, an error message will be displayed about the PDF viewer. When you close that message, an error message will then be displayed about the TXT viewer. Since there could be multiple files for a single WebCRD job, the title of each error message dialog box will indicate the file number, letting you know if more files remain to be processed, for example: File # of #.

5. On the Colors tab, click a row color for a particular status to display the Change Colors dialog for that status. In this example, click Resource Held (yellow) to display the Change Held Colors dialog box.
Note: If you clear the Paint Background check box, the row background becomes white. With a light background color, it's best to choose black or another dark color for the text. To choose the background color: 1. Click Show Color Chooser in the Choose Background Color section to display the Color Chooser dialog box:

Note: This procedure uses the Swatches tab of the dialog box, which is convenient for most users. If desired, use the HSB or RGB tab instead. On the HSB tab, move the small white circle around the color sample to preview other colors. On the RGB tab, use the horizontal sliding scales. 2. Click color swatches as desired. Note: As you select a color, it is displayed in the Recent Swatches table on the right side of the dialog box and in the Preview area at the bottom of the dialog box. Note: As you are trying various colors, you can click Reset at any time to return to the default color selection. 3. When you have decided on a color, click OK to close the Choose Background Color dialog box and save your changes, or click Cancel to close the dialog box without saving any changes. To choose the text color: 1. Click Show Color Chooser in the Choose Text Color section to display the Color Chooser dialog box. 2. Select and save a new text color; in this example, to change the text color for the Ready row, using the same process described above for choosing the background color.
Note: If you clear the Paint Foreground check box, the white text turns black. With a row like this, with a dark background color, it's best to choose a lighter foreground color.

You can set the refresh interval for each window independently, based on the sites requirements. You may want to set an internal of 30 seconds for the Jobs Window and a longer interval for the Origins Window and Destinations Window, since these last two windows may not change as often. The default for each window is no Auto Refresh (all three check boxes cleared, as shown above). You can also manually refresh the window at any time by clicking the Refresh button at the bottom of the window.

A Table View (also referred to as simply a View) is the arrangement, visibility, and sizing of the columns in one of the main windowsJobs, Origins, or Destinations. Detailed information about Table Views is available separately. Note: After you make changes to Client configuration, click Save at the bottom of the dialog box to close it and save the changes, or click Cancel to close the dialog box without saving any changes.

Explanation
Displays the name of the window. Right-click to display options for controlling the window.
Has menus for selecting options; these vary, depending on the window displayed.

Scrollable list
Scroll bars Allow you to move up or down, or right or left in the scrollable list.
Refresh button
Click to update the list with the latest information from the Server. To set automatic refresh intervals for the main windows, use the Client Configuration dialog boxAuto Refresh tab.

Explanation Describes any status choices available for the current window. For the Jobs Window, this area indicates the number of jobs currently displayed in the list, the number of jobs currently selected, and the total page count of the currently selected jobs. Jobs Window only.
Status message
The icon indicates that the QDirect Client is connected to the QDirect Server and that the Server itself is operating normally. The Server's name and user's userid are also indicated in this area. When you point the mouse to a data item (input field, menu, or button), a Tooltip is displayed, explaining the item.

The check boxes list names corresponding to the column names from the default View for the particular window. The content and order of the columns listed in this dialog box will not change when you rearrange or hide/display the columns in the View. Note: You cannot hide the Key columns in a View, so there is no check box for them in the Column Selection dialog box. (The Key columns identify a particular record in the list, for example: the Job# column in the Jobs Window.)

2. As needed, select a check box in front of a column name to display it in the window; clear a check box in front of a column to hide it in the window. 3. Click the Save button at the bottom of the dialog box to save the column display you have selected and close the dialog box, or click Cancel to close the dialog box without saving any changes. Note: To quickly clear or select the check boxes for all columns, click the Clear All or Select All button.

Sort order of the rows in the table based on which column header you last clicked Attributes specific to the Jobs Window: The records that should be displayed based on the settings of the Status, Class, Category and Destination View Filter Bar drop-down controls.
When a given window's View is restored at Client startup (either using an Auto Saved at Exit View or manually saved View), all of the above Attributes are restored. Note: You cannot selectively save/restore a subset of the above Attributes. Either you save/restore all of them or none of them. Managing Views at Client startup Two processes connected with managing Views occur at Client startup:

The managed Views directory structure is checked/created. Views are restored prior to each window being displayed, based on settings in the Client Configuration dialog boxTable Views tab.
1. From the Jobs Window, Window menu, select Configure to open the Client Configuration dialog box. 2. Select the Table Views tab to display the Table View configuration options. The tab operates in one of two modes, depending on which startup option is selected in the upper section: Restore Specified Views (defaultfirst illustration) or Restore as Last Viewed (second illustration).

3. Click Save. 4. Restart the Client in order for the changes to take effect. Note: If you select Restore as Last Viewed (first radio button), the controls in the bottom half of the Client Configuration dialog box are inactive (grayed out), as shown here:

Table Views
The Startup Options that you select on the Table Views tab of the Client Configuration dialog box have specific effects. Restoring Specified Views (default) When you are configuring Table View Settings and select the Restoring Specified Views option (the default), it enables the Specified Startup Views controls at the bottom half of the dialog box. These controls let you select the specific View that should be restored for the Jobs, Origins, or Destinations Window. The View information would have been previously saved in a View settings file by the operator or QDirect Administrator. The drop-down list contains the names (without the .qdtvs ending) of the saved Views for each specific window. You select the View to be restored at startup for each window, and those Views will be loaded and applied before each window is displayed on the screen. Restore as Last Viewed Selecting this option causes the Client to locate the Auto Saved at Exit View files for each window and apply those settings to the window just before it is displayed. When the Client is run with this option selected, it is possible that the Auto Saved at Exit View files for one or more of the windows do not exist. This could occur if you started the Client and then exited without displaying the Destinations Window or Origins Window. In this instance, when you exited the Client, the Auto Saved at Exit View for the Jobs Window was created (since that window is always displayed on-screen), but the Auto Saved at Exit views for the Destinations and Origins Windows were not createdsince they were never displayed on-screen. The first time you tried to open the Destinations and Origins Windows, a warning message would be displayed, beginning with this text: WARNING: The Auto Saved at Exit Table View Settings file for the Jobs Window could not be opened for reading. Reason: (The system cannot find the file specified)" This message tells you that the Auto Saved at Exit View file for this particular window could not be found, and therefore, no saved View settings are available. After you click OK, the selected window that caused the message is displayed. Now that the window has been displayed on the screen at least once, when you exit the Client, the Auto Saved at Exit View settings file will be created for this window. Note: This message should not appear after you display each window (Jobs, Origins, and Destinations) at least once, and then exit the Client. If the message does appear after that series of events, then the Auto Saved at Exit View file for the particular window was deleted manually.

When the Client starts, it checks for the existence of the QDirectClient directory hierarchy; if any part of it is missing, the Client will automatically create it. If the directory hierarchy cannot be created for some reason (such as write permission errors), an error dialog box is displayed; and the Client quits. The error must be resolved before the Client can be restarted.

To save the View:
1. Select Save from the View menu for that window. The Save Table View Settings File dialog box is displayed, for the Jobs Window in this example. The top part of the dialog box explains its use. The bottom part lists currently saved Views for that window. A suggested default file name is displayed in the File Name field.

2. Replace the default name in the File Name field by doing one of the following:

Type a new name to create/overwrite the displayed name without including any path information. Click a name from the Views list so that it is copied to the File Name field, where you can edit it, or leave it as is, to deliberately overwrite the existing file. The Client already knows in which directory, under the QDViews directory, to store the file. When the focus leaves the File Name field, or you press the Return key in that field, the new file name has the .qdtvs ending.
3. Click the Save button. The Client attempts to write the file to disk. If there are any errors during the process (for example: no write permission in the directory), an appropriate error message is displayed. If you enter a File Name that already exists, an Overwrite File confirmation dialog box is displayed, indicating: "WARNING: The File you have selected <pathway>,,, already exists. Do you want to Overwrite the existing file?" 4. Click Yes or No as appropriate to resolve the error and close the dialog box.

Note: Since the View settings for the three main windows are stored in separate directories, you can give all three View settings the same name without the settings from one window overwriting those from another window.
The Load menu is a scrollable list containing an entry for each View Settings File (minus the .qdtvs extension) found in the corresponding View directory. The exception is that the ## Factory Settings ## entry does not refer to a file. Note: The Auto Saved at Exit View files are not displayed in this list.
To select a new View:
1. Scroll through the list until you find the desired View. 2. Left-click the name of the View. 3. To select another View, repeat Steps 1 and 2. 4. When you select a View, the menu is closed, and the View is immediately applied to the window.
To have each window come up with the same View every time:
1. Arrange the View for each window as you want it and then manually save each View to a View file. 2. Change the Configuration settings for the Table Views to use the Restore Specified Views option, and then specifically select the correctly saved names

This procedure works as long as someone does not accidentally overwrite the View file with different settings. An alternative is to use Auto Save at Exit, change the Configuration settings for the Table Views to use the Restore as Last Viewed option, and allow only one designated employee to rearrange the View. As long as the View Attributes never change after being properly arranged, the Views will remain constant.
There are several fundamental ways to change the View Attributes common to all three main windows before manually saving them or having them automatically saved at exit:

Switching the column order: click and hold the left mouse button down on a column header, and then drag the column to a new position. Changing the width of individual columns: place the mouse over the vertical separator in the header row of the table, click and hold the left mouse button down, and drag the separator to the correct width. Hiding/displaying certain columns. Modifying the sort order of the displayed records: left-click the header of a column to select ascending or descending order. The Jobs Window shows information for each job, such as the Job #, the Job Name, Status, the assigned Destination, Priority, the number of Copies requested, the File Path, the Host (Origin) name, the Partition, and so forth. The Jobs Window is your view of jobs in the Spool and is used primarily to manage the job flow.

You can select a single item from the Status drop-down list and multiple items from the Partition, Class, Cat and Dest drop-down lists. In this way, you can conveniently view related groups of records. If ANY is in the list of selected items, it supersedes all other selected items in the listin this case, BW Rochester or COLOR Rochester. If you wanted to see only those jobs whose Destination contained BW Rochester or COLOR Rochester, you would need to de-select the ANY item.
This is an easy way for you to combine a complex set of criteria so that only the desired jobs appear in the View. For example:

You could view all the jobs that have a Class of A, B, and C (or Duplex, carbonls and preprint, for example) instead of viewing jobs from only a single Class.

You could view multiple Categories and Destinations in the same way, or have more than one selection in each drop down list (except Status). Note: Only the Status drop-down list is restricted to one selection.
Note: When the Table View is saved manually or Auto Saved at Exit, the filter settings and column layout are also saved. The only exception is the Partition filter setting, which is not saved.
Click the Partition, Class, Cat, or Dest button to display the drop-down menu, and then select a value from the menu. The drop-down menu stays open until you click the button again, allowing you to select more than one value, if desired, before hiding the list. You can display all four drop-down lists at the same time and view the various items that can be selected simultaneously.
Select a single item in the list by scrolling to the item, and then click it. Any items previously selected are de-selected. Select a range of items in the list by clicking the first item, pressing and holding down the Shift key, and then click an item lower in the list. Select individual items by pressing and holding down the Ctrl key, and then click each additional item you wish to select. You can also select a range of items first, as described above, and then add other items using the Ctrl and click method.

Add new selections: press and hold down the Ctrl key, and then click items that are not currently selected. Remove selections: press and hold down the Ctrl key, and then click items that are currently selected.
Note: You cannot de-select all items in the menu. If you try to do this by using the Ctrl and click method with each currently selected item, once the last item has been de-selected, the default value is automatically re-selected. The drop-down lists of the View Filter Bar are set to certain values at Client startup. Keep the following in mind when you are selecting items:

If you select more than one item in a list, the drop-down text displays as --- # --- where the '#' character is replaced with the number of items currently selected. If you select a single item, as much of its text as possible is displayed as the drop-down text. If the text is too large to fit on the button, it is truncated and '...' is added to the end of it so that it completely fills the drop downs text area. For example, a Class of preprint color letterhead might display as preprint col. The drop-down list displays the items that are currently selected. Each time the drop-down menu is displayed, the selected items are shown with reverse highlights. Changes in the selections do not take effect until you click the button for the given drop-down list a second time to hide the menu. If no change is detected, the View is not refiltered. For example, if you display and then hide a dropdown menu without changing any selections, the View is not affected. If there is a change to any of the selections from any of the drop-down lists, the View is refiltered immediately.
If the Restore As Last Viewed option is selected, whichever values were selected in all the View Filter Bar drop-down lists at the time you last quit the Client are restored (except for Partition). If the Restore Specific Views option is selected, you select the specific view of columns for the Jobs, Origins and Destinations Windows when the Client starts. If you have selected a specific View for the Jobs Window, other than ##FactorySettings##, the values that were selected in the View Filter Bar

drop-down lists at the time the View was saved are restored. If ##Factory Settings ## is the restored View, then the drop-down lists are set to their defaults when the Jobs Window is launched.
Some columns in the list display active (editable) information, while other columns display read-only information. If desired:

You can filter the list using any of the drop-down lists on the View Filter bar. You can hide/display certain columns using the Column Selection dialog box. You can configure the colors in the Status column and/or the Printing Status column. You can put the mouse cursor on the border between two columns to change column widths, or drag a column to another location in the list.
Note: To select multiple jobs, always select the rows from top to bottom, not from bottom to top.

The Search bar is View-sensitive: if some columns have been hidden, the names of those columns will not appear in the drop-down list, and you cannot search them. The Search bar fields retain their state. For example, suppose that you open the Search bar and search on the Class column, close the Search bar, and then reopen it. The same selections will appear until you make new selections, or you exit and then restart the Client. The search text area begins an incremental search in the specified column when you start typing text, based on the settings selected in the Search bar. When a match is found, the matching string is automatically displayed in the Search field, and the corresponding row is selected in the Scrollable Jobs List.

Column: Use this drop-down list to select only a particular column to search. If you select either the Click Column or All Columns check box, then the Column drop-down list is disabled.
Click Column: This option lets you click a cell in the table to select the column to search. This is a shortcut for selecting an item in the Column drop-down list. When you click a cell in the table, it automatically adjusts the Column dropdown list; when you type in the search text area, only that column is searched. All Columns: This option lets you search all columns simultaneously. When you select this option, the content of the Column drop-down list is grayed out. In this mode, each row is searched column by column for a matching string.
Once a search result is found, navigate to find the previous or next occurrence in one of these ways:

Click the Search Previous button to find the previous occurrence of the search string, or click the Search Next button to find the next occurrence. Press Alt+P to find the previous occurrence, or Alt+N to search for the next occurrence.
To exit the Search bar, click the Close button, or press the Esc (Escape) key.

Page Impression count for each job: the number of pages is multiplied by both the number of sets and the number of copies. (If any value is 0, 1 is automatically used in the calculation for that value.) Total page count for all selected jobs: the contents of the Impressions columns for all currently selected jobs are added.
In certain situations, using a set of virtual status values rather than only internal status values can better reflect the workflow in your group. Whenever a QDirect Administrator adds, changes, or deletes Virtual Job Status entries, a Virtual Job Status Update message is displayed on all Clients.

1. The job status for an Origin is set to Waiting for Approval so incoming jobs would have this value assigned for their status. 2. The approver reviews the job, decides that it is OK to process, and changes the Virtual Job Status to Approved. Since the Approved status maps to the actual status of READY, the QDirect Server treats the job as READY, and a Destination can process it (as long as the job's Selection Criteria are appropriate for the Destination). 3. The job is processed, and the QDirect Server marks the job as SENT; when the job reaches its expiration time, it will be deleted. Note: A user could then change the job status to another Virtual Job Status that maps to SENT, as well as extend the expiration time to allow completion of extra finishing steps before the job was deleted. 4. Now that the job has been SENT, an operator may want to indicate that the job has been Printed and that it is ready for other finishing operations. 5. Another operator might change the virtual status to indicate that the job is Ready for Binding. 6. The progression continues until the job is finally marked as Completed or Shipped.

The job print status is displayed in both the Jobs Window and the Job Print History Window. If desired, you can enable color-coding of job print status in both these windows using the Colors tab of the Client Configuration dialog box. Note: When Job Print Status Monitoring is enabled for a particular Destination, a special tracking number is sent to the printer to allow QDirect to find and monitor each job on that printer. (Enabling Job Print Status Monitoring is an Advanced User and Admin function.)
If you send a job simultaneously to multiple Destinations/printers, and these printers are reporting status back to QDirect, the latest job print status will be displayed in this column. If you send a job to multiple printers, you might get conflicting status information. For example, Printer 1 reports that the job has PRINTED but then Printer 2 reports that its job status is still PRINTING. In this case, the status in the Jobs Window will appear to go from PRINTED back to PRINTING. To get a full report of all dynamic printing statuses, use the Job Print History Window.

Double-click the cell in the Printing Status column to view the print history for that specific job. In the scrollable list, select a row for a single job, and then from the Job menu, select Print Status.
The next illustration shows a section of the Job Print History Window, with the same job (Job Id 1505) sent to several different printers, and these print jobs are at different statuses.
Note: If the Server cannot get status information back from a printer, or the Server cannot connect to a printer at all, you will see a connection error message: CONNERROR. This example uses job status, but you would use the same or very similar process to modify other job properties. In Step 2, the name of the dialog box and the contents of the drop-down list would change according to the property you were changing. For some properties, the Job Properties dialog box would be displayed rather than a dialog box for the specific property. Use this method to modify the status of one or more jobs: 1. Select the row(s) for one or more job records in the Scrollable Jobs List: To change the status for a single job, double-click in the Status cell for that job. To change the status of multiple jobs, first highlight the rows, and then select the Status menu item, or click the Status toolbar button.

The Destination that should process the job. When ANY is selected, the job may be processed by any non-restricted Destination in the same Partition as the job, and whose Acceptance Criteria match those of the job. Destination Note: A restricted Destination will not be used for jobs whose Destination Attribute contains the keyword ANYjobs for which the keyword ANY appears in the Destination column of the Scrollable Jobs List in the Jobs Window. Editable field if User Rights permit. You can add, change or delete the content of the Notes columns for one or more selected records. Notes As you type, a counter shows how many characters are available (maximum of 128). Editable field if User Rights permit. Once the Client is closed and reopened, the list of previously viewed jobs is empty until more jobs are viewed. If no jobs have been previously viewed and the Job Viewer Window is displayed, all controls on that window will be disabled until at least one job has been viewed. To view a job with Direct Mode Enabled (Full Job Viewer Disabled): 1. Select a single job in the scrollable list of the Jobs Window. 2. Select View from the Job menu, or click the View toolbar button. When you click the View button or select the View menu item, the button and menu item are disabled while the file is transferred; and the native application for that file type is launched. Once the launch is complete, the View button and menu item are enabled again, letting you view another jobeven if the previous job is still open in its native application. Note: All jobs viewed in Direct Mode are still available in the Job Viewer Window until the Client is closed. To view jobs in the Job Viewer Window, in the Jobs Window, Window menu, select Job Viewer. To view one or more jobs with Full Job Viewer Enabled (Direct Mode Disabled): 1. Select one or more jobs (up to 100) in the Jobs Window. If you try to select more than 100 jobs, a Confirm Job View warning message is displayed, stating that QDirect "only allows a maximum viewing of 100 jobs at a time. View the first 100 jobs now?" 2. If this warning message is displayed click Yes to close the message. The Job Viewer Window is displayed and shows the transfer status of each job that was selected; in the Job List area of the window, there is one row for each job. Shows the text contents of the job. The display format is controlled by the options selected for this area. The file can be viewed in many different formats, representations, and fonts.

Specifies whether or not the text will be shown as a Hex dump representation. This option is mainly used for support and debugging. This view shows the Hexadecimal representation of each character on the left, and the text representation on the right in either ASCII or EBCDIC.

Description If this button is selected, the text will be in EBCDIC format, in either Hex or nonHex mode. If this button is selected, the text will be in ASCII format, in either Hex or non-Hex mode. The record length combo box allows you to specify how long each line should be in EBCDIC format when viewing in non-Hex mode. This combo box switches to Tab Length when viewing in ASCII mode. The Tab Length combo box allows you to specify the amount of spaces used when a tab (\t) character is encountered in non-Hex mode. In addition to the prepopulated choices you can type any desired record/tab length.

Select Font button and dialog box Clicking the Select Font button displays the Select Font dialog box, which allows you to select the font to use for the Text Area. For most viewing modes, and especially in Hex Viewing mode, use a fixed-width font, like Courier, so that all the characters line up.

Description Clicking Search or pressing Ctrl-F displays the Search bar in any (Hex, ASCII or EBCDIC) viewing mode. Indicates which frame of the file is currently displayed; automatically updates when searches are performed or you navigate to a different frame. Located to the right of the frame control buttons. To search for a text string, click inside the search text area and enter the string. The search begins from the start of the currently displayed frame until it encounters and highlights the first instance of the search string or the end of the file. The Search Again icon is activated as soon as you type the first character in the text entry area. This lets you search forward in the file for the next occurrence of the same string.

Description Navigates to the last frame (end of file) of the selected file and populates the text area with the contents of the last full frame of data. This button is disabled if the last frame of the file is currently being viewed or if the file size is less than or equal to the frame size (for example: the file size is only one frame). Note: When you use the Last Frame button to reach the end of the file, instead of paging to the end of the file with the Forward button, the content of the text area may appear slightly different. This is because file sizes may not be an exact multiple of the frame size, and using the Last Frame button shows a full frame starting from the end of the file going backwards.
This area shows jobs that have been transferred to the Client workstation, jobs that are currently transferring to the Client workstation, and jobs that were partially transferred but canceled by the user. You can:

Description Indicates the status of the jobs transfer. A job's status is set to:

Transferring when you start to view a job or restart a canceled transfer. This is the state of the job while it is being transferred between the Server and the Client. While the job is in this state, the Save and the Open buttons are disabled. Canceled when you click the Cancel button. While the job is in this state, the Save and Open buttons remain disabled. The transferred portion of the job may still be viewed in the Text Area. Once a job is canceled, it may still be selected in the Job List, but the Cancel button will appear as Restart instead. Completed when the entire file has been transferred. Once a file transfer has completed, the Save and Open buttons are enabled and the Cancel button is disabled.
Progress If a job is completed, the progress is 100%. If the job is transferring or pending, the percentage reflects that progress.

You can filter the list to show only the Origins in one or more selected Partitions, by using the Partition drop-down list in the middle left of the Origins Window. You can hide/display certain columns using the Column Selection dialog box. You can configure the colors in the Status column, using the Colors tab of the Client Configuration dialog box. You can watch the Server list on the Servers tab of the Login dialog box. As shown below, in the illustration of a section of that tab, when the * character appears before the name of any automatically discovered Server, this indicates that the Server is available again.
The icon indicates that the QDirect Client is connected to the QDirect Server and that the Server itself is operating normally. The Server's name and user's userid are also indicated in this area. If you point the mouse at the connection icon, a Tooltip is displayed, indicating which mode the Client used to connect to the Server:

Auto mode: indicates that the Client was able to automatically locate and connect to the Server. Default mode: indicates that automatic location of the Server failed, and the Client therefore used its Default mode of direct connection.

The Current Job column in the Scrollable Destinations List displays the name of the most recent job that was processed by the Destinations Writer. The Job Name shown depends on the status of the Destination:

If the Destinations status is not READY, the Job Name displayed represents the job that is currently being processed by the Destinations Writer. If the Destinations status is READY (meaning that the Destination is currently idle), the displayed Job Name represents the job that was last processed by the Destinations Writer.

Stopping a Destination causes the Server process to terminate. To resume processing jobs after a Destination has been stopped, the Destination must be restarted. The Start function starts the Writer process and sets the status of the Destination to the state specified in the Initial Status field for that Destination. If the Initial Status field for the Destination is anything other than READY, before the Destination can receive jobs, it must be restarted and then its status must be changed to READY. Placing a Destination on HOLD does not terminate the Writer process; it just places the process on hold until the status is changed back to READY.

Note: Selection Criteria for a Destination also include Types. The Destination Properties dialog box is used to modify the Available and Accepting Types for a Destination. Changing the Selection Criteria for Types is an Advanced User function; your Rights may or may not allow you to use this function.
Classes: shows Classes of jobs (from the Class field of a given job), such as ANY, accounting, payroll, manufacturing, etc., that are defined on the QDirect Server. Categories: shows Categories of jobs (from the Category field of a given job), such as ANY, duplex, staple, bind, etc., that are defined on the QDirect Server. Note: Selection Criteria for a Destination also include Types. The Destination Properties dialog box is used to modify the Available and Accepting Types for a Destination. To make a currently selected Destination accept one or more Classes or Categories: 1. Select the Classes or Categories from one or both Available list(s). 2. Click the Add Selected button below the corresponding list(s) to move the selected item(s) from the Available list to the corresponding Accepting list. Note: Click the Add All button to move all selected items from an Available list to an Accepting list To stop a currently selected Destination from accepting one or more Classes or Categories: 1. Select the Classes or Categories from the Accepting list(s). 2. Click the Remove Selected button below that Accepting list to move the selected item(s) from an Accepting list to the Corresponding Available list. Note: Click the Remove All button to move all selected items from an Accepting list to an Available list. Note: The changes to the Selection Criteria take effect immediately. Set a later Expires date for the job(s). Set the job status to HELD so that the job(s) can never be automatically deleted, even if the Expires date has passed.
If you combine a change in status with a change in Destination, you could reprint a job at different Destinations across the country. In this way, you could distribute the job widely to the Destinations nearest to the people who need to receive the job.
If the Destination for a job is changed to a specific Destination, then only that Destination can receive and process the job. If the Destination of the job is ANY, the job can be sent to any available unrestricted Destination (usually a printer) in the same Partition as the job as long as the Destination's Acceptance Criteria allow it to process the job.

To facilitate faster printing of a job, you should not name a specific Destination; leave the Destination set to ANY. This will direct job processing to the next available Destination rather than restricting it to a named Destination.
Note: A restricted Destination will not be used for jobs whose Destination Attribute contains the keyword ANYjobs for which the keyword ANY appears in the Destination column of the Scrollable Jobs List in the Jobs Window.

To move a single job (method 2): 1. Select a single row in the Scrollable Jobs List. 2. Click the Properties button, or from the Job menu, select the Partition. 3. When the Job Properties dialog box is displayed, use the New Partition dropdown list to choose a new Partition. 4. Click Save to save your changes and close the dialog box, or click Cancel to close the dialog box without saving any changes. To move one or more jobs: 1. Select one or more jobs in the Scrollable Jobs List. 2. Click the Partition toolbar button. 3. When the Select New Partition dialog box is displayed, use the Partition dropdown list to select a new Partition. 4. Click Save to close the dialog box and save the changes, or click Cancel to close the dialog box without saving any changes. When you click Save, a message is displayed, asking you to confirm the save. 5. Click Yes or No, as appropriate. Note: Whenever you move a job from one Partition to another by changing its Partition only, the Destination Attribute of the job is always set to the default Destination for the target Partition. The default Destination for a Partition is configured by the Admin. To change the Partition/Destination for one or more jobs in one step: 1. Select one or more jobs in the Scrollable Jobs List. 2. Click the Destination toolbar button. The Select New Destination dialog box is displayed, showing all available Destinations in all available Partitions to which you have Rights. 3. Use the New Destination drop-down list to select a new Destination/Partition. 4. Click Save to close the dialog box and save the changes, or click Cancel to close the dialog box without saving any changes.
