About QDirect User Documentation


Alert: Your particular User's Partition Rights may or may not permit some of the operations described in this documentation, and some of your QDirect screens may look somewhat different from those illustrated here. If you cannot perform a certain operation, the applicable toolbar button and/or menu option will be inactive (grayed out); or you may not be able to change information in a particular column. See your QDirect Administrator if you have any questions. Three QDirect user guides in PDF format are accessible from the Help menu in the following windows:

Chapter 1: Introduction

The three PDFguides are as follows:

The QDirect Basic User Guide provides instructional and reference information for beginning and less experienced QDirect users. This guide is available to all users. The QDirect Advanced User Guide provides instructional and reference information for very experienced users of QDirect, who are using advanced functions. This guide is available to users who have the appropriate Rights enabled. The QDirect Administrator Guide provides instructional and reference information intended only for QDirect Administrators. This guide is available only to users with Administrator Rights.

Whichever Client functions you are using, when you select one of the above guides, the Contents page of the applicable PDF file is displayed. From there, you can use links in the guide Table of Contents or PDFbookmarks to find specific information. Many hyperlinks are also included throughout the text to guide you to related or more detailed information. Note: If you select About from the Help menu, an informational About screen is displayed, showing system information on two tabs, About and Info. You do not need to be concerned with this information unless someone from RSA Customer Service asks you for it.

Overview of QDirect
QDirect is a robust print manager used to control workflow, route jobs and manage print destinations. The following diagram shows the major steps in the process, which are described below.

Overview of QDirect

The Readers receive print jobs from various sources or Origins and assign Attributes (properties) to the jobs based on information in the jobs. If needed, the operator can later change many of the Attributes. The Server holds jobs in a large, common Spool; and provides reprint capabilities and accounting information. The Writers match jobs with Destinations based on Job Attributes and Selection Criteria. Operators and Administrators interact with QDirect through the user interface provided by the Java-based QDirect Client for managing jobs, Destinations, Origins, Selection Criteria and overall system workflow.

More detailed information is available about QDirect components and workflow.

Examples of Origins
Examples of Origins include, but are not limited to: mainframe, network, AS400, copier/scanners, fax servers, file servers, hot folders, FTP, RSA WebCRD, RSA VIPrint, RSA M.I.S. Print, and RSA IPDSPrint.

Examples of Destinations include, but are not limited to: black and white printers, color printers, PDF archives (RSA PDFPro), network archives, FTP, CD burners, email, ImageSetter, RSA VIPrint, RSA M.I.S. Print, and RSA IPDSPrint.

Typical QDirect environments


QDirect is suitable for environments with data center volume: SAP reports (systems, applications and products in data processing), transaction printing, mainframe printing, jobs from multiple sources and jobs where transform is required.

QDirect Components and Workflow


QDirect is a collection of software functions, each performing tasks that help users manage print shop workflow. The major areas of functionality include:

Readers: Take print data from Origins, such as M.I.S. Print, PCs, IPDSPrint, UNIX or other remote systems, and assign characteristics or Attributes to the print data, thus creating job entries in QDirect. The Readers then store the job data in the Spool area on the Server. Operators use Attributes to manage, or enhance the flow of jobs through the system. Writers: Match jobs from the Spool with the Selection Criteria of Destinations (usually printers) and release the jobs to the Destinations. The operator uses the Selection Criteria to manage the use of available Destinations. Server: Among other tasks, launches and terminates Readers and Writers, processes jobs, deletes expired jobs, provides reprint options, and generates Accounting data. The QDirect Server is a software program that runs on a Sun/Solaris workstationthe heart of the system. Client: Provides the operators' and QDirect Administrators' views of the jobs in the Server. The Java-based Client runs on any Java-enabled workstation; and manages jobs, Destinations and other aspects of the workflow. Jobs Window: Provides a view of jobs received, Attributes set by the Readers and the ability to edit job properties. Destinations Window: Provides a view of Destinations, the Selection Criteria of each Destinations associated Writer, and the ability to add, delete and edit Destination properties. Origins Window: Provides a view of Origins, the Attributes they will assign to incoming jobs; and the ability to add, delete, and edit Origin properties. Selection Criteria Window: Provides the ability to add or delete Selection Criteria.

QDirect Features and Benefits

Database: Provides storage for all information associated with jobs, Destinations and Origins. All other functions interact with the database to store, retrieve and share information.

QDirect Features and Benefits


QDirect provides many features and benefits, including the following:

Direct jobs to multiple printers by managing Destinations. Move jobs to different Destinations. Change the priority of jobs. Automatically route jobs based on Job Attributes. Print jobs locally or remotely at desktop and midrange printers. Route jobs to other downstream processes, such as PDF distilling, archiving systems, and so on. Route jobs from one QDirect Server to another. Maximize up-time with redundant systems. Store jobs for a defined period of time for reprinting. Create and store accounting information for cost allocation and export to customer accounting systems.

How QDirect Handles Jobs


QDirect enables consolidation of print from the desktop, departments or data centers to a single point, and distribution of the output to production, workgroup and desktop printers, as well as to other systems and processes. The QDirect Server acts as a single pass-through point for all mainframe and network jobs. Coupled with other RSA products, such as WebCRD, M.I.S. Print, and IPDSPrint, QDirect increases productivity by routing jobs from any Origin to any Destination. Jobs are assigned Attributes (properties) as they are received by the QDirect Server and are then placed in the common Spool. Destinations are assigned Selection Criteria, and jobs chosen from the Spool are either routed automatically to the Destinations where the Selection Criteria match the Attributes, or they are distributed by an operator. Since jobs are always retained on the Server, it is easy to manage, retrieve and reprint jobs without processing delays at the host. Jobs flow from Origins (hosts) to QDirect Readers to the QDirect Server to Writers, and on to available Destinations, which are usually, but not always, printers. The data center operators and QDirect Administrators view and manage this flow at the Client, which runs on a Java-enabled workstation that communicates with the QDirect Server.

Starting the QDirect Client


During Client startup, a splash screen is displayed, with "QDirect" displayed in the middle, and various progress messages displayed at the bottom.

Launching the Client from Windows


Start the Client by double-clicking the QDirect desktop icon.

You can also launch the Client from the Start menu on Windows XP and Vista, or the Quick Launch Bar on Windows XP, depending on the customer-requested installation location. The Client establishes a connection with the QDirect Server.

Launching the Client from Solaris


To launch the Client from a Java Desktop: 1. Click the Launch icon in the lower left-hand corner of the desktop. 2. Select Applications|QDirect|QDirectClient. To launch the Client from CDE or OpenWindows: 1. Right-click the desktop. 2. Select Workspace | QDirect Menu | QDirect Client. Additional QDirect menu options are displayed in the Workspace menu. Note: The appearance of the Workspace menu on your system will vary, depending on the other software that is installed. Starts the QDirect Server and launches the Start QDirect Server Window, which displays startup messages. Stops the QDirect Server. Displays the QDirect Server status in a log window. Backs up the QDirect Server files. Produces Accounting reports.

Produces Accounting reports.

QDirect Client

Launches the QDirect Client and displays the Jobs Window. Establishes a network connection to RSAs Secure Server once it has been properly set up using QDirect Connect Admin.

RSA Connect (Java Desktop System only) RSA Connect Admin (Java Desktop System only):

Configures the QDirect Server so that it knows how to talk to RSA's Secure Server. This option may also be used later to change the configuration if necessary.

Note: When the Login dialog box is displayed, you can log in to the Server.

Using Login Modes and the Login Dialog Box


Advanced Login Mode The first time you launch the Client, the Login dialog box is displayed in Advanced Login Mode, as shown in the next illustration, so that you can select the correct Server to log into. Note: You may or may not need a password to log in, and this function may be grayed out, depending on how the Admin has configured your login.

The Advanced login functions are displayed on three tabs: Servers tab (shown above), Messaging tab, and Database tab (shown below). On future logins, the dialog box defaults to Basic Login Mode, but at any time you can select the Advanced checkbox to change to Advanced Login Mode.
Servers tab:

On this tab (first illustration), the blank field to the left of the Add button lists the QDirect Servers the Client "knows about. Note: Server names preceded by an asterisk (*) are automatically discovered by QDirect and cannot be deleted. The QDirect Administrator can delete other added Servers from the QDirect Configuration file.

If desired, click Add Server to add another QDirect Server to the list. When the Add Server dialog box is displayed, type the IP address of the new Server in the Enter the name of. field, and then click OK to save your selection. If desired, select a Server name in the list, and then select the Default check box to make that Server the default Server.

Alert: Do not change any information on the Messaging and Database tabs unless you are instructed to do so by RSA Customer Service.

Message Port: the Message Port the Client uses to talk to the Server. View Port: the View Port that the Client uses to transfer job files from the Server for viewing.

Server Port: TCP port that the QDirect Server uses to listen for Client requests; should be 3050 but can be changed in some instances. Pathway: should be /usr/mprint/qdirect/server/db/qdirect.gdb.

If the information is incorrect, an error message will be displayed, describing the problem and suggesting how to correct it, for example:

ERROR: Could not connect to QDirect Server ERROR: Attempt to connect to Host Name or IP Address XXX failed This version of QDirect Client requires QDirect Server XXX

Click OK to close the error message dialog box, and then follow the suggested steps for resolution. Basic Login Mode When the Client is launched after the first login, the QDirect Login dialog box may be displayed, in Basic Login Mode, as shown here.

Depending on how the Admin has configured your particular login, you may not see the Login dialog box after your first login, unless you log out of QDirect.

Logging In and Logging Out


Logging in The Login dialog box is displayed after Client startup.
To log in:

1. In the Login dialog box, type your user name in the User field. 2. If a password is required, type your password in the Password field. Note: You may or may not need a password to log in, and this function may be grayed out, depending on how the Admin has configured your login. 3. If desired, select the Save Userid check box.

If this check box was ever selected, the user name that was last saved will show up in the User Name field. If this check box was never selected, the User Name field is always filled in with the user name obtained from the operating system. See the Admin if there is a need to change this Userid for any reason.

4. Click Login. Note: If this is the first login since Client startup, after you have logged in successfully, the Automatic Client Update Checking process will take place. Note: If your login fails, you will see an error message in red at the bottom of the Login dialog box. For example, if you require a password and you enter an incorrect one, the message will state: Login failed: incorrect password! Consult the Admin if you need assistance. At the end of a successful login, the Jobs Window is displayed. Logging out At any time, from the Jobs Window, Window menu, you can select Logout to display the Login dialog box. You may need to log out:
l

When leaving the workstation so that other users must use their own credentials to log in. When finished with a QDirect session so that another user can log in. To allow an Admin to temporarily log in and perform special functions from any Client, rather than from a central console.

Automatic Client Upgrade Checking


When you have successfully logged in for the first time after Client startup, a message is displayed at the bottom of the splash screen: Checking for Updates. Please wait... This means that QDirect is checking to see if any Client and/or Help updates are available. (Client and Help updates can be done independently.)
l

If no upgrades are available, the Client is opened, and the Jobs Window is displayed. If any upgrade is available, the Available Client Upgrade Files dialog box is displayed, including a list of upgrades.

If an upgrade is available Do one of the following:


l l

Click Upgrade to complete the upgrades. Click Skip to close the dialog box and continue logging in without upgrades.

If Client/Server incompatibility is discovered:

During the upgrade process, QDirect may find that the available upgrade and the current server are incompatible. If so, a Client Compatibility Warning dialog box is displayed, with this message: WARNING: The version of the available client upgrade is not compatible with the current server you are using. Once you upgrade to the new version, you will no longer be able to connect to QDirect Servers whose version is X.X.X (where X.X.X. is replaced by the current software version) or earlier. Are you sure you want to proceed? Alert: Before you proceed, carefully read the warning and make sure that you understand the implications. Do one of the following:
l

Click OK to launch the downloads for the upgrade files and continue with the upgrade process. Click Cancel to continue login without upgrades.

During the upgrade process, the Upgrade button at the bottom of the Available Client Upgrade Files dialog box changes to Abort so that you can choose to abort the processif you can react quickly enough. The downloads are very fast. Once all downloads are complete, the Client is automatically closed. The Upgrade Installer is launched, and an installer dialog box displays the progress of installation. When installation is complete, the Restart Client button is enabled at the bottom of the installer dialog box. Do one of the following:

Click the Restart Client button to restart the Client now. Close the installer dialog box and restart the Client later.

Note: Included in the upgrade process is the backup of current Client files. This process lets you go back to a previous version of the Client, if neededwith the assistance of RSA Customer Service.

Keywords
QDirect uses certain keywords consistently throughout the application.

Keyword ANY
ANY is used as a wild card to match all values for a given property, for example: any Class, any Category, etc.

For example, from the View Filter bar in the Jobs Window, you can set the Class to ANY. This setting means that no matter what is in the Class column in the scrollable list for a job, QDirect matches all possible values. If ANY is selected as part of the job flows, all selected jobs would be sent to the printer.

Keyword NONE
NONE is a Destination Attribute that is used when a job is moved from one Partition to another.

Use the Change Password tab to change your login password. Note: You may or may not need a password to log in, and this function may be grayed out, depending on how the Admin has configured your login.

To change your password: 1. Type the old password in the Old Password field. 2. Type the new password in the New Password field. 3. Type the new password again in the Verify Password field. Note: If you forget your password, ask an Admin to reset it. Note: After you make changes to Client configuration, click Save at the bottom of the dialog box to close it and save the changes, or click Cancel to close the dialog box without saving any changes.

The Job Viewer tab includes five check boxes that control the following five options related to the operation of the job viewing function:

Note: Any changes you make to the settings on this tab take effect immediately even if the Job Viewer Window is open at that time.

Enable Full Job Viewer


Note: If you do not have the View Jobs Right enabled for a Partition and you select a job in that Partition for viewing, the View functionality will be disabled, regardless of which option you select.

Selected: When this check box is selected (the default), clicking the View toolbar button in the Jobs Window opens the Job Viewer Window the same as selecting Job Viewer from the Window menu. Cleared: When this check box is cleared (Direct Job View function), clicking the View toolbar button in the Jobs Window opens a single job at a time in its native application (such as Adobe Reader for a PDF file).

In Direct Job Viewer mode, to open the Job Viewer Window, you must select Job Viewer from the Window menu in the Jobs Window.

Enable Enhanced Scan Job Viewing

Selected: When this check box is selected (the default), clicking Open in the main Job Viewer Window (or clicking the View toolbar button in the Jobs Window when the Full Job Viewer is disabled) opens the print file in PDF format in the native PDF viewer on your system (such as Adobe Reader). Cleared: When this check box is cleared, QDirect.SCAN jobs are treated as TAR files and are opened in the native viewer for a TAR file. QDirect.SCAN tar files are collections which include the print file in PDF format and the Job Ticket file in PostScript format. Note: QDirect.SCAN TAR files are collections of files, including the print file in PDF format and the Job Ticket file in PostScript format.

Enable Scan Job Ticket Viewing


This option is available only when the Enable Enhanced Scan Job Viewing option is also enabled.
l

Selected: When this check box is selected, the QDirect.SCAN Job Ticket is opened in its native application (PostScript), along with the print file. Note: To select this option, you must also select the Enable Enhanced Scan Viewing Option.

Cleared: When this check box is cleared (the default), the QDirect.SCAN Job Ticket is not opened; only the print file in PDF format (the actual scanned job) is opened for viewing.

Note: If both the Enable Enhanced QDirect.SCAN Job Viewing and Enable QDirect.SCAN Job Ticket options are enabled, and there are native applications for both file types, two native application viewer windows will be displayed: a PDF viewer and a PostScript viewer. If neither native viewing application is available, an error message will be displayed about the PDF viewer. When you close that message, an error message will then be displayed about the PostScript viewer. Since there could be multiple files for a single QDirect.SCAN job, the title of each error message dialog box will indicate the file number, letting you know if more files remain to be processed, for example: File # of #.

Enable Enhanced WebCRD Job Viewing

Selected: When this check box is selected (the default) it causes the QDirect Server to attempt to locate the original print-ready file (in PDF format) and transmit that file to the Client for viewing, along with the Job Ticket for the file (TAG file). The Server bundles both files into a TAR archive and returns that to

the Client in response to the View request. Clicking Open in the main Job Viewer Window (or clicking the View toolbar button in the Jobs Window when the Full Job Viewer is disabled), opens the print-ready file in PDF format in the native PDF viewer (such as Adobe Acrobat Reader) on your system.

Cleared: When this check box is cleared, the QDirect Server transmits only the Job Ticket (TAG file) to the Client in response to the View request. In this case, the Job Ticket files are treated as text files and are opened in the native viewer for TXT files (such as Notepad) on your system. Note: WebCRD TAR files are collections of files, including the print file in PDF format and the Job Ticket file in text format.

Enable WebCRD Job Ticket Viewing


This option is available only when the Enable Enhanced WebCRDJob Viewing option is also enabled.

Selected: When this check box is selected, the WebCRD Job Ticket is opened in its native application (Text), along with the print file. Note: To select this option, you must also select the Enable Enhanced Scan Viewing Option.

Cleared: When this check box is cleared (the default), the WebCRD Job Ticket is not opened; only the print file in PDF format (the actual WebCRD print job) is opened for viewing. Note: If both the Enable Enhanced WebCRD Job Viewing and Enable WebCRD Job Ticket options are enabled, and there are native applications for both file types, two native application viewer windows will be displayed: a PDF viewer and a TXT viewer. If neither native viewing application is available, an error message will be displayed about the PDF viewer. When you close that message, an error message will then be displayed about the TXT viewer. Use the Criteria tab if you do not want to show the keyword ANY in the Available Classes and/or Available Categories Selection Criteria lists, which are displayed in the Selection Criteria Panel, the lower section of the Destinations Window. By default, both items are de-selected, which means that the keyword ANY will be visible in both the Available Class and Available Category Selection Criteria lists. In some configurations, you may prefer not to show ANY in one or both of these lists.

You can set the refresh interval for each window independently, based on the sites requirements. You may want to set an internal of 30 seconds for the Jobs Window and a longer interval for the Origins Window and Destinations Window, since these last two windows may not change as often. The default for each window is no Auto Refresh (all three check boxes cleared, as shown above). You can also manually refresh the window at any time by clicking the Refresh button at the bottom of the window.

Alert: Your particular User's Partition Rights may or may not permit some of the operations described in this documentation, and some of your QDirect screens may look somewhat different from those illustrated here. If you cannot perform a certain operation, the applicable toolbar button and/or menu option will be inactive (grayed out); or you may not be able to change information in a particular column. See your QDirect Administrator if you have any questions. The QDirect Administrator can assign different Users Partition Rights to different usersdepending on their particular job responsibilities. The Admin may assign the same Rights to all users, or even assign Administrator Rights to one or more users, if this is appropriate. Note: You may or may not need a password to log in, and this function may be grayed out, depending on how the Admin has configured your login. A Partition is a group of resourcesjobs, Origins, or Destinations. A resource can belong to only one Partition. The Admin creates the Partitions that are appropriate for the system. Some customers may have only the default SYSTEM Partition. You may have access to one, several, or all Partitions in your system. You may be allowed to perform different operations on different Partitions. If you do not have access to a particular Partition, you cannot see any resources that belong to that Partition. Your particular Rights may allow you to move jobs from one Partition to another, following certain rules. If you are logged into QDirect when the QDirect Administrator modifies your Rights, you will see a message indicating that a QDirect Administrator has updated your Rights and that QDirect will now be automatically reconfigured according to those changes. Click OK to close the message, and your Client will be automatically reconfigured based on your newly assigned Users' Partition Rights.

Using the Column Selection Dialog Box


Use the Column Selection dialog box to configure the columns that will be displayed in the Jobs Window, Origins Window, or Destinations Window. If you need to frequently monitor the content of specific columns, you can limit the display to those columns. In all three main windows, you can hide columns that are not related to your site's workflow. Select Columns from a main window's View menu to display the Column Selection dialog box for that window. You can have a different set of columns displayed in each main window. You can also save your customized View with a unique name so that it is available whenever you need it. The Column Selection dialog box for the Destinations Window is shown here:

The check boxes list names corresponding to the column names from the default View for the particular window. The content and order of the columns listed in this dialog box will not change when you rearrange or hide/display the columns in the View. Note: You cannot hide the Key columns in a View, so there is no check box for them in the Column Selection dialog box. (The Key columns identify a particular record in the list, for example: the Job# column in the Jobs Window.)

Using Table Views


A Table View (also referred to as simply a View) is the arrangement, visibility, and sizing of the columns in one of the main windowsJobs, Origins, or Destinations. Auto Saved at Exit Views When you close the Client, it automatically saves the current View configuration of each main window (Jobs, Destinations, or Origins) regardless of any configuration settings, as long as the window was displayed on the screen at least once. These Views are referred to as Auto Saved at Exit Views. Each time you close the Client, if the corresponding window has been displayed on screen, then the Auto Saved at Exit View file for that window is overwritten with the current layout information for that window. For the Jobs Window only, the filter settings for Status, Class, Category and Destination are also saved, in addition to the View of the displayed columns. Note: You cannot save the filter settings for the Partition. Manually saved Views At any time, you can arrange a particular window as desired and manually save the View under a given name. For the Jobs Window only, the filter settings for Status, Class, Category and Destination are also saved, in addition to the View of the displayed columns. Forward compatibility of Views Customized Table Views from previous software versions are automatically used by newer Client versions. A customized Table View would appear as it had been set up, and any new columns would be added to the end of the table. Other columns retain their original state. The information displayed in customized Table Views is View-sensitive. If you have hidden some columns, then the names of those columns will not appear in the drop-down column selector on the Search bar. View Attributes saved and restored at exit When a given window's View is either Auto Saved at Exit, or you manually save the View, all the following Attributes are saved to the individual QDirect Table View Settings files:

Table Views

Sort order of the rows in the table based on which column header you last clicked Attributes specific to the Jobs Window: The records that should be displayed based on the settings of the Status, Class, Category and Destination View Filter Bar drop-down controls.

When a given window's View is restored at Client startup (either using an Auto Saved at Exit View or manually saved View), all of the above Attributes are restored. Note: You cannot selectively save/restore a subset of the above Attributes. Either you save/restore all of them or none of them. Managing Views at Client startup Two processes connected with managing Views occur at Client startup:

The managed Views directory structure is checked/created. Views are restored prior to each window being displayed, based on settings in the Client Configuration dialog boxTable Views tab.

Understanding the ##Factory Settings## View


The ## Factory Settings ## View is the default View containing all possible columns for the Jobs, Origins, and Destinations Windows. It is the View displayed if you did not customize the View Attributes in any way. To revert to this View for a given window, select the ##FactorySettings ## entry in the appropriate drop-down list in the Specified Startup Views section of the Table Views tab of the Client Configuration dialog box.

Configuring Table View Settings


A Table View (also referred to as simply a View) is the arrangement, visibility, and sizing of the columns in one of the main windowsJobs, Origins, or Destinations.
To configure:

1. From the Jobs Window, Window menu, select Configure to open the Client Configuration dialog box. 2. Select the Table Views tab to display the Table View configuration options. The tab operates in one of two modes, depending on which startup option is selected in the upper section: Restore Specified Views (defaultfirst illustration) or Restore as Last Viewed (second illustration).

Table Views

The Startup Options that you select on the Table Views tab of the Client Configuration dialog box have specific effects. Restoring Specified Views (default) When you are configuring Table View Settings and select the Restoring Specified Views option (the default), it enables the Specified Startup Views controls at the bottom half of the dialog box. These controls let you select the specific View that should be restored for the Jobs, Origins, or Destinations Window. The View information would have been previously saved in a View settings file by the operator or QDirect Administrator. The drop-down list contains the names (without the .qdtvs ending) of the saved Views for each specific window. You select the View to be restored at startup for each window, and those Views will be loaded and applied before each window is displayed on the screen. Restore as Last Viewed Selecting this option causes the Client to locate the Auto Saved at Exit View files for each window and apply those settings to the window just before it is displayed. When the Client is run with this option selected, it is possible that the Auto Saved at Exit View files for one or more of the windows do not exist. This could occur if you started the Client and then exited without displaying the Destinations Window or Origins Window. In this instance, when you exited the Client, the Auto Saved at Exit View for the Jobs Window was created (since that window is always displayed on-screen), but the Auto Saved at Exit views for the Destinations and Origins Windows were not createdsince they were never displayed on-screen. The first time you tried to open the Destinations and Origins Windows, a warning message would be displayed, beginning with this text: WARNING: The Auto Saved at Exit Table View Settings file for the Jobs Window could not be opened for reading. Reason: (The system cannot find the file specified)" This message tells you that the Auto Saved at Exit View file for this particular window could not be found, and therefore, no saved View settings are available. After you click OK, the selected window that caused the message is displayed. Now that the window has been displayed on the screen at least once, when you exit the Client, the Auto Saved at Exit View settings file will be created for this window. Note: This message should not appear after you display each window (Jobs, Origins, and Destinations) at least once, and then exit the Client. If the message does appear after that series of events, then the Auto Saved at Exit View file for the particular window was deleted manually.

How QDirect Manages Table View and Temporary Files


A Table View (also referred to as simply a View) is the arrangement, visibility, and sizing of the columns in one of the main windowsJobs, Origins, or Destinations. Views are managed in a set of directories in your home directory. In Windows, the home directory is C:\Documents and Settings\<yourusername>. If the user is mprint, then the home directory is C:\DocumentsandSettings\mprint. In UNIX, the directory would typically be the one that is specified in the home directory field of the user's /etc/passwd entry. The usual UNIX directory would be /usr/mprint/ if you are running the Client on the same machine as the Server. The Client creates the QDirectClient directory within the users home directory. Views are saved in the QDViews directory, in the QDirectClient directory. Note: For users upgrading from a previous version of the Client, if the QDViews directory already exists, it will be moved to the new QDirectClient directory the first time the Client is run. The Client will also create a temp directory in the QDirectClient directory that stores job-viewing files transferred from the Server. When you select a job for viewing using the Job Viewer Window, the Client asks the Server to transfer the underlying file to the Client. When the Client receives this file it saves it to [user home directory as indicated above]\QDirectClient\temp until the View file is manually deleted from the Job Viewer Window or the application is shut down. This illustration shows the directory structure that the QDirect Client uses to manage Views:

When the Client starts, it checks for the existence of the QDirectClient directory hierarchy; if any part of it is missing, the Client will automatically create it. If the directory hierarchy cannot be created for some reason (such as write permission errors), an error dialog box is displayed; and the Client quits. The error must be resolved before the Client can be restarted.

Manually Saving a Custom View


A Table View (also referred to as simply a View) is the arrangement, visibility, and sizing of the columns in one of the main windowsJobs, Origins, or Destinations. Once you have customized the View for one of these windows, you can save that View to a given file and load it as needed. For all main windows, the following are saved in a custom View:

For the Jobs Window only, the Filter settings for Status, Class, Category and Destination are also saved. Alert: If you change the current View in any way, that modified View is automatically saved to the Auto Saved at Exit View for the window, overwriting whatever was previously saved in that View.
To save the View:

1. Select Save from the View menu for that window. The Save Table View Settings File dialog box is displayed, for the Jobs Window in this example. The top part of the dialog box explains its use. The bottom part lists currently saved Views for that window. A suggested default file name is displayed in the File Name field.

2. Replace the default name in the File Name field by doing one of the following:

Type a new name to create/overwrite the displayed name without including any path information. Click a name from the Views list so that it is copied to the File Name field, where you can edit it, or leave it as is, to deliberately overwrite the existing file. The Client already knows in which directory, under the QDViews directory, to store the file. When the focus leaves the File Name field, or you press the Return key in that field, the new file name has the .qdtvs ending.

3. Click the Save button. The Client attempts to write the file to disk. If there are any errors during the process (for example: no write permission in the directory), an appropriate error message is displayed. If you enter a File Name that already exists, an Overwrite File confirmation dialog box is displayed, indicating: "WARNING: The File you have selected <pathway>,,, already exists. Do you want to Overwrite the existing file?" 4. Click Yes or No as appropriate to resolve the error and close the dialog box.

Note: Since the View settings for the three main windows are stored in separate directories, you can give all three View settings the same name without the settings from one window overwriting those from another window.

Manually Loading a Saved Custom View


A Table View (also referred to as simply a View) is the arrangement, visibility, and sizing of the columns in one of the main windowsJobs, Origins, or Destinations. At any time, you can load a Custom View that you have saved for one of these windows. Alert: If you change the current View in any way, the modified View is saved automatically to the Auto Saved at Exit View. To manually load a saved View, select Load from the View menu for the active (open) window (in this example, the Jobs Window).

The Load menu is a scrollable list containing an entry for each View Settings File (minus the .qdtvs extension) found in the corresponding View directory. The exception is that the ## Factory Settings ## entry does not refer to a file. Note: The Auto Saved at Exit View files are not displayed in this list.
To select a new View:

1. Scroll through the list until you find the desired View. 2. Left-click the name of the View. 3. To select another View, repeat Steps 1 and 2. 4. When you select a View, the menu is closed, and the View is immediately applied to the window.
To have each window come up with the same View every time:

1. Arrange the View for each window as you want it and then manually save each View to a View file. 2. Change the Configuration settings for the Table Views to use the Restore Specified Views option, and then specifically select the correctly saved names

This procedure works as long as someone does not accidentally overwrite the View file with different settings. An alternative is to use Auto Save at Exit, change the Configuration settings for the Table Views to use the Restore as Last Viewed option, and allow only one designated employee to rearrange the View. As long as the View Attributes never change after being properly arranged, the Views will remain constant.

To change View Attributes:

There are several fundamental ways to change the View Attributes common to all three main windows before manually saving them or having them automatically saved at exit:
l

Switching the column order: click and hold the left mouse button down on a column header, and then drag the column to a new position. Changing the width of individual columns: place the mouse over the vertical separator in the header row of the table, click and hold the left mouse button down, and drag the separator to the correct width. Hiding/displaying certain columns. Modifying the sort order of the displayed records: left-click the header of a column to select ascending or descending order. Alert: Your particular User's Partition Rights may or may not permit some of the operations described in this documentation, and some of your QDirect screens may look somewhat different from those illustrated here. If you cannot perform a certain operation, the applicable toolbar button and/or menu option will be inactive (grayed out); or you may not be able to change information in a particular column. The Jobs Window shows information for each job, such as the Job #, the Job Name, Status, the assigned Destination, Priority, the number of Copies requested, the File Path, the Host (Origin) name, the Partition, and so forth. The Jobs Window is your view of jobs in the Spool and is used primarily to manage the job flow.

Using the Jobs Menubar


The Jobs menubar, above the toolbar at the top of the Jobs Window, includes a complete list of menu choices for managing print jobs within QDirect. Note: The Jobs menu items that are used most often have corresponding toolbar buttons for single-click access to these functions. The following four tables list and describe the items in the Job, Window, View, and Help menus.

Use the View Filter bar, below the toolbar at the top of the Jobs Window, to select the criteria that determine which job records will be displayed in the scrollable list.

The selections are combined hierarchically from left to right. For a job record to appear in the View:

Its Partition column can contain anything. Its Status column must contain the word Ready. Its corresponding Class column must contain GREEN or GREENBAR. Its Cat column can contain anything. Its Dest column can contain anything because the keyword ANY is part of the selection. If ANY is in the list of selected items, it supersedes all other selected items in the listin this case, BW Rochester or COLOR Rochester. If you wanted to see only those jobs whose Destination contained BW Rochester or COLOR Rochester, you would need to de-select the ANY item.

This is an easy way for you to combine a complex set of criteria so that only the desired jobs appear in the View. For example:

You could view all the jobs that have a Class of A, B, and C (or Duplex, carbonls and preprint, for example) instead of viewing jobs from only a single Class.

You could view multiple Categories and Destinations in the same way, or have more than one selection in each drop down list (except Status). Note: Only the Status drop-down list is restricted to one selection.

Note: When the Table View is saved manually or Auto Saved at Exit, the filter settings and column layout are also saved. The only exception is the Partition filter setting, which is not saved.

Customizing the Display of Jobs with the View Filter Bar


Using the View Filter Bar in the Jobs Window, you can make a single selection from the Status drop-down list and multiple selections from the Partition, Class, Category and Destination drop-down lists. The combination of selections from these lists determine which job records are displayed in the Scrollable Jobs List.

Selecting for Status


Display the Status drop-down menu by clicking the Status button. When you select a value from the list, it closes. You can also close the list without changing the selected item by clicking anywhere outside the list or by pressing the Esc (Escape) key.

Selecting for Partition, Class, Category, or Destination


l

Click the Partition, Class, Cat, or Dest button to display the drop-down menu, and then select a value from the menu. The drop-down menu stays open until you click the button again, allowing you to select more than one value, if desired, before hiding the list. You can display all four drop-down lists at the same time and view the various items that can be selected simultaneously.

Selecting items within each list:


l

Select a single item in the list by scrolling to the item, and then click it. Any items previously selected are de-selected. Select a range of items in the list by clicking the first item, pressing and holding down the Shift key, and then click an item lower in the list. Select individual items by pressing and holding down the Ctrl key, and then click each additional item you wish to select. You can also select a range of items first, as described above, and then add other items using the Ctrl and click method.

Startup Settings for the View Filter Bar

To make changes to the currently selected items:

Add new selections: press and hold down the Ctrl key, and then click items that are not currently selected. Remove selections: press and hold down the Ctrl key, and then click items that are currently selected.

Note: You cannot de-select all items in the menu. If you try to do this by using the Ctrl and click method with each currently selected item, once the last item has been de-selected, the default value is automatically re-selected. The drop-down lists of the View Filter Bar are set to certain values at Client startup. Keep the following in mind when you are selecting items:
l

If you select more than one item in a list, the drop-down text displays as --- # --- where the '#' character is replaced with the number of items currently selected. If you select a single item, as much of its text as possible is displayed as the drop-down text. If the text is too large to fit on the button, it is truncated and '...' is added to the end of it so that it completely fills the drop downs text area. For example, a Class of preprint color letterhead might display as preprint col. The drop-down list displays the items that are currently selected. Each time the drop-down menu is displayed, the selected items are shown with reverse highlights. Changes in the selections do not take effect until you click the button for the given drop-down list a second time to hide the menu. If no change is detected, the View is not refiltered. For example, if you display and then hide a dropdown menu without changing any selections, the View is not affected. If there is a change to any of the selections from any of the drop-down lists, the View is refiltered immediately.

Startup Settings for the View Filter Bar


At Client startup, the drop-down lists of the View Filter Bar in the Jobs Window are set to certain values, which depend on the options selected on the Table Views tab of the Client Configuration dialog box:

If the Restore As Last Viewed option is selected, whichever values were selected in all the View Filter Bar drop-down lists at the time you last quit the Client are restored (except for Partition). If the Restore Specific Views option is selected, you select the specific view of columns for the Jobs, Origins and Destinations Windows when the Client starts. If you have selected a specific View for the Jobs Window, other than ##FactorySettings##, the values that were selected in the View Filter Bar

drop-down lists at the time the View was saved are restored. If ##Factory Settings ## is the restored View, then the drop-down lists are set to their defaults when the Jobs Window is launched.

Using the Scrollable Jobs List


The Scrollable Jobs List, the middle area of the Jobs Window, contains one row of information for each job. The top of the list contains the Record List Header, which is divided into columns. Each column header describes the type of information shown in that column. When you select a record, it is highlighted. The default display shows the jobs in all Partitions for which you have User's Partition Rights.

Some columns in the list display active (editable) information, while other columns display read-only information. If desired:

You can filter the list using any of the drop-down lists on the View Filter bar. You can hide/display certain columns using the Column Selection dialog box. You can configure the colors in the Status column and/or the Printing Status column. You can put the mouse cursor on the border between two columns to change column widths, or drag a column to another location in the list.

Note: To select multiple jobs, always select the rows from top to bottom, not from bottom to top.

Using the Search Bar


The Search bar is directly under the View Filter bar near the top of the Jobs Window. To display the Search bar, use the Job menu or press Ctrl + F.

Using the Search Bar

The Search bar is View-sensitive: if some columns have been hidden, the names of those columns will not appear in the drop-down list, and you cannot search them. The Search bar fields retain their state. For example, suppose that you open the Search bar and search on the Class column, close the Search bar, and then reopen it. The same selections will appear until you make new selections, or you exit and then restart the Client. The search text area begins an incremental search in the specified column when you start typing text, based on the settings selected in the Search bar. When a match is found, the matching string is automatically displayed in the Search field, and the corresponding row is selected in the Scrollable Jobs List.
l

Column: Use this drop-down list to select only a particular column to search. If you select either the Click Column or All Columns check box, then the Column drop-down list is disabled.

Click Column: This option lets you click a cell in the table to select the column to search. This is a shortcut for selecting an item in the Column drop-down list. When you click a cell in the table, it automatically adjusts the Column dropdown list; when you type in the search text area, only that column is searched. All Columns: This option lets you search all columns simultaneously. When you select this option, the content of the Column drop-down list is grayed out. In this mode, each row is searched column by column for a matching string.

Once a search result is found, navigate to find the previous or next occurrence in one of these ways:

Click the Search Previous button to find the previous occurrence of the search string, or click the Search Next button to find the next occurrence. Press Alt+P to find the previous occurrence, or Alt+N to search for the next occurrence.

To exit the Search bar, click the Close button, or press the Esc (Escape) key.

Using the Status Bar


At the bottom of the Jobs Window, the Status bar displays the total number of job records, the number of records selected, and the total page count for all selected jobs.

QDirect determines page counts as follows:


l

Page Impression count for each job: the number of pages is multiplied by both the number of sets and the number of copies. (If any value is 0, 1 is automatically used in the calculation for that value.) Total page count for all selected jobs: the contents of the Impressions columns for all currently selected jobs are added.

Understanding Virtual Job Statuses


What is a Virtual Job Status?
A Virtual Job Status is a special job status that is created by the QDirect Administrator and mapped to one of these internal job status values:

In certain situations, using a set of virtual status values rather than only internal status values can better reflect the workflow in your group. Whenever a QDirect Administrator adds, changes, or deletes Virtual Job Status entries, a Virtual Job Status Update message is displayed on all Clients.

1. The job status for an Origin is set to Waiting for Approval so incoming jobs would have this value assigned for their status. 2. The approver reviews the job, decides that it is OK to process, and changes the Virtual Job Status to Approved. Since the Approved status maps to the actual status of READY, the QDirect Server treats the job as READY, and a Destination can process it (as long as the job's Selection Criteria are appropriate for the Destination). 3. The job is processed, and the QDirect Server marks the job as SENT; when the job reaches its expiration time, it will be deleted. Note: A user could then change the job status to another Virtual Job Status that maps to SENT, as well as extend the expiration time to allow completion of extra finishing steps before the job was deleted. 4. Now that the job has been SENT, an operator may want to indicate that the job has been Printed and that it is ready for other finishing operations. 5. Another operator might change the virtual status to indicate that the job is Ready for Binding. 6. The progression continues until the job is finally marked as Completed or Shipped.

Using Virtual Job Statuses with Job Records


Virtual Job Statuses can be viewed and selected in four places: two places in the Jobs Window one place in the Job Properties dialog box, and one place in the Origin Properties dialog box. (Advanced Users can access the fourth place.)

In the Jobs Window


Scrollable Jobs ListStatus column: In the Scrollable Jobs list, you can view and select Virtual Job Status and internal status options in the Status column drop-down list. If the name of a Virtual Job Status is too wide for the default width of the Status column (40 characters), adjust the width of the column, and if you wish, save this as a Custom View. If colors have been configured for the Status column, using the Client Configuration dialog box, Colors tab, the color of a Virtual Job Status will be the same as the internal status that it is mapped to. View Filter bar: You can use the Status drop-down list in the View Filter bar to filter jobs by internal status or Virtual Job Status. Note: If you filter jobs by a specific Virtual Job Status (for example, Waiting for Approval), only jobs with that specific Virtual Job Status will be displayed. If you filter jobs by a broader internal status (for example, HELD), the HELD jobs that are displayed will include any Virtual Job Statuses that have been mapped to the HELD status.

In the Jobs Properties dialog box


Job Status field: In the Status field drop-down list on the left side of the Job Properties dialog box, you can view and select internal statuses and any Virtual Job Statuses that have set up by an Admin.

The job print status is displayed in both the Jobs Window and the Job Print History Window. If desired, you can enable color-coding of job print status in both these windows using the Colors tab of the Client Configuration dialog box. Note: When Job Print Status Monitoring is enabled for a particular Destination, a special tracking number is sent to the printer to allow QDirect to find and monitor each job on that printer. (Enabling Job Print Status Monitoring is an Advanced User and Admin function.)

In the Jobs Window


The Jobs Window includes a Printing Status column. As shown here, this column shows the latest job print status when you click the Refresh button at the bottom of the window.

If you send a job simultaneously to multiple Destinations/printers, and these printers are reporting status back to QDirect, the latest job print status will be displayed in this column. If you send a job to multiple printers, you might get conflicting status information. For example, Printer 1 reports that the job has PRINTED but then Printer 2 reports that its job status is still PRINTING. In this case, the status in the Jobs Window will appear to go from PRINTED back to PRINTING. To get a full report of all dynamic printing statuses, use the Job Print History Window.

In the Job Print History Window


The Job Print History Window dynamically receives and displays all printing activity associated with a single job. The data displayed in this window is informational only; you cannot change the data; you can only move columns or change column widths. To delete the information in the Job Print History Window, you must delete the underlying job. To access the Job Print History Window, do one of the following from the Jobs Window:

Double-click the cell in the Printing Status column to view the print history for that specific job. In the scrollable list, select a row for a single job, and then from the Job menu, select Print Status.

The next illustration shows a section of the Job Print History Window, with the same job (Job Id 1505) sent to several different printers, and these print jobs are at different statuses.

Note: If the Server cannot get status information back from a printer, or the Server cannot connect to a printer at all, you will see a connection error message: CONNERROR. Note: You can view detailed information about the properties displayed in the Job Print History Window and setting up color-coding of the printing status information in the Printing Status column of both the Jobs Window and Job Print History Window.

Setting the Expiration Date/Time for One or More Jobs


Expires, the expiration date/time property, controls when a job will be deleted from the Spool after the job has been received and processed by a Destination; and its Status field contains SENT or a Virtual Job Status that has been mapped to SENT. When QDirect receives a job from an Origin, Expires is not set initially. To set or change the Expiration Date/Time: 1. In the Jobs Window, highlight the job(s) in the Scrollable Jobs List, and then click the Exp Time toolbar button, or select Expire Time from the Job menu. 2. When the Job Expiration Date/Time Chooser dialog box is displayed, select the desired Expiration Date/Time (month, year, day, hour, and minuterounded up to the nearest 15-minute interval from the current time).

Your selection is displayed in the Date/Time Selected field at the top of the dialog box. 3. Click Save to close the dialog box and save the changes, or click Cancel to close the dialog box without saving any changes. The saved Expiration Date/Time is displayed in the Expires field of the Job Properties dialog box, and in the Date/Time Expires column of the Jobs Window. If the job status is set to EXPIRE or SENT (or set to a Virtual Job Status that is mapped to either of these values), and its Expiration Date/Time is reached, the job is deleted from the Spool. If the Admin has configured the Expiration Time in the Destination to 0, the job is deleted immediately.

Setting the Date/Time Due for One or More Jobs


The Date/Time Due column in the Jobs Window has no effect on job status or processing; it is simply a way of letting the print shop operator know that the requesting user needs to have the job printed by a specific Date/Time. If the job goes beyond the Date/Time Due without attention, the status of the job does not change. There are several ways to set the Date/Time Due from the Jobs Window:

Select a single job, and then click the Properties toolbar button. When the Job Properties dialog box is displayed, change the Due field as desired. Double-click the Date/Time Due cell for a specific job. Select one or more jobs, and then select the Due Time item from the Job menu. Example
This example uses job status, but you would use the same or very similar process to modify other job properties. In Step 2, the name of the dialog box and the contents of the drop-down list would change according to the property you were changing. For some properties, the Job Properties dialog box would be displayed rather than a dialog box for the specific property. Use this method to modify the status of one or more jobs: 1. Select the row(s) for one or more job records in the Scrollable Jobs List: To change the status for a single job, double-click in the Status cell for that job. To change the status of multiple jobs, first highlight the rows, and then select the Status menu item, or click the Status toolbar button.

2. When the Select New Status dialog box is displayed, use the drop-down list to select a new internal status or Virtual Job Status for the job(s). The names of the Virtual Job Statuses in this example have initial capital letters; the names of the internal statuses are in all capital letters. 3. Click Save to save the changes and close the dialog box, or click Cancel to close the dialog box without saving any changes. You can also use one of these methods to modify the status of a single job:

Deleting a Job
You can delete a job from the Scrollable Jobs List using the Jobs Window or the Job Properties dialog box. These methods delete a job whether or not it has been processed.

From the Jobs Window


To delete: 1. In the Jobs Window, scrollable list, select one or more job records. 2. Click the Delete toolbar button, or select Delete from the Job menu. 3. When a confirmation prompt is displayed, asking you to confirm the deletion, click Yes at the bottom of the prompt to delete the job from the scrollable list.

From the Job Properties dialog box


To delete: 1. In the Jobs Window, scrollable list, select one or more job records. 2. Select Properties from the Job menu to display the Job Properties dialog box. 3. Use the Status drop-down list to change the job's status to DELETE. 4. Click Save at the bottom of the dialog box to immediately delete the job from the scrollable list of the Jobs Window. Description

The Destination that should process the job. When ANY is selected, the job may be processed by any non-restricted Destination in the same Partition as the job, and whose Acceptance Criteria match those of the job. Destination Note: A restricted Destination will not be used for jobs whose Destination Attribute contains the keyword ANYjobs for which the keyword ANY appears in the Destination column of the Scrollable Jobs List in the Jobs Window. Editable field if User Rights permit. You can add, change or delete the content of the Notes columns for one or more selected records. Using the Job Viewer Window, you can choose one or more job records and then view the job contents in several modes, including ASCII/EBCDIC/Hex versions, and native mode for files that have associated applications at the operating system level. Note: Use the Job Viewer tab of the Client Configuration dialog box to set various options related to the job viewing function.

Once the Client is closed and reopened, the list of previously viewed jobs is empty until more jobs are viewed. If no jobs have been previously viewed and the Job Viewer Window is displayed, all controls on that window will be disabled until at least one job has been viewed. To view a job with Direct Mode Enabled (Full Job Viewer Disabled): 1. Select a single job in the scrollable list of the Jobs Window. 2. Select View from the Job menu, or click the View toolbar button. When you click the View button or select the View menu item, the button and menu item are disabled while the file is transferred; and the native application for that file type is launched. Once the launch is complete, the View button and menu item are enabled again, letting you view another jobeven if the previous job is still open in its native application. Note: All jobs viewed in Direct Mode are still available in the Job Viewer Window until the Client is closed. To view jobs in the Job Viewer Window, in the Jobs Window, Window menu, select Job Viewer. To view one or more jobs with Full Job Viewer Enabled (Direct Mode Disabled): 1. Select one or more jobs (up to 100) in the Jobs Window. If you try to select more than 100 jobs, a Confirm Job View warning message is displayed, stating that QDirect "only allows a maximum viewing of 100 jobs at a time. View the first 100 jobs now?" 2. If this warning message is displayed click Yes to close the message. The Job Viewer Window is displayed and shows the transfer status of each job that was selected; in the Job List area of the window, there is one row for each job. Click on a row to view that job in the Text area.

Displays the filename of the currently selected job displayed in the Viewer.

Text area (shown in previous illustration)

Shows the text contents of the job. The display format is controlled by the options selected for this area. The file can be viewed in many different formats, representations, and fonts.

Hex button

Specifies whether or not the text will be shown as a Hex dump representation. This option is mainly used for support and debugging. This view shows the Hexadecimal representation of each character on the left, and the text representation on the right in either ASCII or EBCDIC.

Description If this button is selected, the text will be in EBCDIC format, in either Hex or nonHex mode. If this button is selected, the text will be in ASCII format, in either Hex or non-Hex mode. The record length combo box allows you to specify how long each line should be in EBCDIC format when viewing in non-Hex mode. This combo box switches to Tab Length when viewing in ASCII mode. The Tab Length combo box allows you to specify the amount of spaces used when a tab (\t) character is encountered in non-Hex mode. In addition to the prepopulated choices you can type any desired record/tab length.

Select Font button and dialog box Clicking the Select Font button displays the Select Font dialog box, which allows you to select the font to use for the Text Area. For most viewing modes, and especially in Hex Viewing mode, use a fixed-width font, like Courier, so that all the characters line up.

Description Clicking Search or pressing Ctrl-F displays the Search bar in any (Hex, ASCII or EBCDIC) viewing mode. Indicates which frame of the file is currently displayed; automatically updates when searches are performed or you navigate to a different frame. Located to the right of the frame control buttons. To search for a text string, click inside the search text area and enter the string. The search begins from the start of the currently displayed frame until it encounters and highlights the first instance of the search string or the end of the file. The Search Again icon is activated as soon as you type the first character in the text entry area. This lets you search forward in the file for the next occurrence of the same string.

Frame control buttons


These buttons control how sections of the file are viewed. Since files can be larger than the amount of memory on the machine used to view them, the Job Viewer allows you to view each file as a series of frames or chunks, where each chunk is a fixed size. Whenever you select a job for viewing, the first chunk of the file is loaded into the viewer while the rest of the file continues to transfer to the Client. Once the entire file is available, the frame control buttons are active if the size of the file is larger than what can be viewed in a single frame. Property First Frame button Description

Navigates to the beginning of the file and populates the text area with the contents of the first frame. This button is disabled if the first frame is currently being viewed.

Move Back One Frame button

Navigates backward in the selected file by one frame and populates the text area with the contents of the previous frame. This button is disabled if the first frame is currently being viewed.

Navigates forward in the selected file by one frame and populates the text area with the contents of the next frame. This button is disabled if the last frame of the file is currently being viewed or if the file size is less than or equal to the frame size (the file size is only one frame).

Description Navigates to the last frame (end of file) of the selected file and populates the text area with the contents of the last full frame of data. This button is disabled if the last frame of the file is currently being viewed or if the file size is less than or equal to the frame size (for example: the file size is only one frame). Note: When you use the Last Frame button to reach the end of the file, instead of paging to the end of the file with the Forward button, the content of the text area may appear slightly different. This is because file sizes may not be an exact multiple of the frame size, and using the Last Frame button shows a full frame starting from the end of the file going backwards.

This area shows jobs that have been transferred to the Client workstation, jobs that are currently transferring to the Client workstation, and jobs that were partially transferred but canceled by the user. You can:

Description Indicates the status of the jobs transfer. A job's status is set to:

Status

Transferring when you start to view a job or restart a canceled transfer. This is the state of the job while it is being transferred between the Server and the Client. While the job is in this state, the Save and the Open buttons are disabled. Canceled when you click the Cancel button. While the job is in this state, the Save and Open buttons remain disabled. The transferred portion of the job may still be viewed in the Text Area. Once a job is canceled, it may still be selected in the Job List, but the Cancel button will appear as Restart instead. Completed when the entire file has been transferred. Once a file transfer has completed, the Save and Open buttons are enabled and the Cancel button is disabled.

Progress If a job is completed, the progress is 100%. If the job is transferring or pending, the percentage reflects that progress.

File Extension Text Area


The File Extension text area specifies the file extension to be used for the job when you click the Open or Save button. The Client maintains internal mappings that associate Job Types with suggested file extensions. The Job Type is determined from the contents of the Type column displayed in the Jobs Window. If the selected jobs Type is located in the mapping list, the Client will populate the File Extension field automatically with the suggested file extension. The file extension determines the application program that can open a file of a specified type. The Type is generally based on the type of Page Description Language (PDL) used by the job file, for example: PS (PostScript), PCL, PCLXL, LCDS, PDF, PCL5, QDSCAN, and other file extensions.

2. To look for more instances of the search string, click the Search Again icon to the right of the text entry area, or press the Enter/Return key with the cursor in the text entry area. To close the Search bar at any time, click the red X button to the right of the Search bar, or press the Esc (Escape) key. If the text you searched for is not found, the Search field background turns red, and a message is posted below the field, telling you to press Enter to continue.

Origin Status and Job Processing


An Origin must be started and in READY status before it can receive jobs. When the Server is started, each Origin enters the mode indicated by the Initial Status field on the Main tab of the Origin Properties dialog box. Normally the initial status is set to READY so that jobs can be received immediately when the Server is started up successfully. This may not be desirable at certain times, however; for example: when a given Origin is out of service. Stopping an Origin causes the Reader process to terminate. After an Origin has been stopped, it must be restarted before it can receive jobs again. The Start function starts the Reader process and sets the Origin to the status specified in the Initial Status field on the Main tab of the Origin Properties dialog box for that Origin. If the Initial Status field for the Origin is anything other than READY, before the Origin can receive jobs, it must be restarted and then its status must be changed to READY. Placing an Origin on HOLD does not terminate the Reader process; it places the process on hold and prevents job reception until the status is changed back to READY.

Using the Origins Menubar


The Origins menubar, above the Origins toolbar at the top of the Origins Window, contains menu choices for modifying and managing Origins.

The default display shows the Origins in all Partitions for which you have User's Partition Rights enabled. Some columns in the list display active (editable) information, while other columns display read-only information. If desired:

You can filter the list to show only the Origins in one or more selected Partitions, by using the Partition drop-down list in the middle left of the Origins Window. You can hide/display certain columns using the Column Selection dialog box. You can configure the colors in the Status column, using the Colors tab of the Client Configuration dialog box. You can put the mouse cursor on the border between two columns to change column widths, or drag a column to another location in the list.

The Client continually monitors the status of its connection to the QDirect Server. There are several issues that can cause the Client to return to the Login dialog box. User cannot log in (network or server error) If you cannot log in to QDirect because of a network or Server error, the Client displays this message at the bottom of the Login dialog box: The selected server is not responding. QDirect Client loses connection to the QDirect Server If a QDirect Client detects a problem with the connection to the QDirect Server, the Client displays this message: The client has lost connection to the QDirect Server. This indicates that one or more of the QDirect Server processes are not running. You will now be logged out. Please contact your QDirect System Administrator or RSA Technical Support for assistance in resolving this issue. Click OK to close the message, and you will be logged out. The Login dialog box is then displayed, and you can try to log in again. If you still cannot log back in because of a network or server error, a message is displayed at the bottom of the Login dialog box: The selected server is not responding. QDirect Server is shut down by a QDirect Administrator, user command, or system-initiated event If the Server is shut down by an Admin, root user command or system-initiated event, the users Clients will display this message: The QDirect Server is being shutdown due to a user command or system initiated event. The QDirect Client will not function properly once the shutdown process has completed. You will be logged out now, you can log back in when the QDirect Server is restarted.

You can watch the Server list on the Servers tab of the Login dialog box. As shown below, in the illustration of a section of that tab, when the * character appears before the name of any automatically discovered Server, this indicates that the Server is available again.

User Monitoring of the Client Connection Status


In the lower right-hand corner of the Jobs Window, you can check the QDirect Client Connected/Server Up icon at any time, to verify that the Client connection status is normal.

The icon indicates that the QDirect Client is connected to the QDirect Server and that the Server itself is operating normally. The Server's name and user's userid are also indicated in this area. If you point the mouse at the connection icon, a Tooltip is displayed, indicating which mode the Client used to connect to the Server:

Auto mode: indicates that the Client was able to automatically locate and connect to the Server. Default mode: indicates that automatic location of the Server failed, and the Client therefore used its Default mode of direct connection.

Using the Destinations Window


Alert: Your particular User's Partition Rights may or may not permit some of the operations described in this documentation, and some of your QDirect screens may look somewhat different from those illustrated here. If you cannot perform a certain operation, the applicable toolbar button and/or menu option will be inactive (grayed out); or you may not be able to change information in a particular column. See your QDirect Administrator if you have any questions. The Destinations Window shows information (Attributes or properties) about each Destination, such as the Destination Name, Status, Current Job, System Messages, User Notes, Partition, Classes, and Categories. To display the Destinations Window: from the Jobs Window, Window menu, select Destinations.

The Current Job column in the Scrollable Destinations List displays the name of the most recent job that was processed by the Destinations Writer. The Job Name shown depends on the status of the Destination:

If the Destinations status is not READY, the Job Name displayed represents the job that is currently being processed by the Destinations Writer. If the Destinations status is READY (meaning that the Destination is currently idle), the displayed Job Name represents the job that was last processed by the Destinations Writer.

Destination Status and Job Processing


When a Writer is ready to transfer a job to a Destination, the Writer selects a job whose Attributes match the Selection Criteria of the Destination and whose status is READY. In order to process jobs, a Destination must be STARTED and READY. When the Server is started, each Destination enters the status indicated by the Initial Status field. Normally the initial status would be set to READY so that jobs could be processed immediately upon successful Server startup. Sometimes this is not desirable, for example, when a given Destination is out of service.

Using the Destinations Menubar

Stopping a Destination causes the Server process to terminate. To resume processing jobs after a Destination has been stopped, the Destination must be restarted. The Start function starts the Writer process and sets the status of the Destination to the state specified in the Initial Status field for that Destination. If the Initial Status field for the Destination is anything other than READY, before the Destination can receive jobs, it must be restarted and then its status must be changed to READY. Placing a Destination on HOLD does not terminate the Writer process; it just places the process on hold until the status is changed back to READY.

Using the Destinations Menubar


The Destinations menubar, located above the toolbar at the top of the Destinations Window, contains menu choices for modifying and managing Destinations.

The following four tables describe the functions of the menubar drop-down list items.

Using the Scrollable Destinations List


The Scrollable Destinations List, the middle area of the Destinations Window, contains one row of information for each Destination.

The default display shows the Destinations in all Partitions for which you have User's Partition Rights. If desired:

You can filter the scrollable list, using the Partition drop-down list in the middle left of the Destinations Window, to show only the Destinations in one or more selected Partitions. You can hide/display certain columns using the Column Selection dialog box. You can configure the colors in the Status column, using the Colors tab of the Client Configuration dialog box. You can put the mouse cursor on the border between two columns to change column widths, or drag a column to another location in the list.

Note: The Jobs, Origins and Destinations Windows have different controls, but you use an identical process to modify one or more records in the scrollable list of each window.

Using the Selection Criteria Panel


Use the Selection Criteria Panel, the lower section of the Destinations Window, to assign the specific Classes and Categories of jobs that the Destination accepts.

Selection Criteria Panel fields

Classes: shows Classes of jobs (from the Class field of a given job), such as ANY, accounting, payroll, manufacturing, etc., that are defined on the QDirect Server. Categories: shows Categories of jobs (from the Category field of a given job), such as ANY, duplex, staple, bind, etc., that are defined on the QDirect Server. Available: shows Criteria that are known to the system but not being accepted currently by the Destination. Accepting: shows Criteria that are currently being accepted by the Destination.

Selection Criteria Panel buttons

Add Selected: moves selected criteria from the Available list to the Accepting list. Add All Available: moves all items from the Available list to the corresponding Accepting list. Remove Selected: moves selected criteria from the Accepting list to the Available list. Remove All: moves all items from the Accepting list to the corresponding Available list.

Note: The Selection Criteria Window is used to define or modify all available Selection Criteria for the system. These selections are typically made during the pre-installation meeting but may be modified later.

Modifying the Classes and Categories that a Destination is Accepting


The Selection Criteria Panel, the lower section of the Destinations Window, automatically displays all available Classes and Categories in the system, and the specific Classes and Categories currently being accepted by the highlighted (selected) Destination. You can control the Classes and Categories independently for each Destination. All Destinations share the same Available Classes and Categories, and you can assign the same Classes and Categories to more than one Destination.

Changing the Selection Criteria for Types is an Advanced User function; your Rights may or may not allow you to use this function. To make a currently selected Destination accept one or more Classes or Categories: 1. Select the Classes or Categories from one or both Available list(s). 2. Click the Add Selected button below the corresponding list(s) to move the selected item(s) from the Available list to the corresponding Accepting list. Note: Click the Add All button to move all selected items from an Available list to an Accepting list To stop a currently selected Destination from accepting one or more Classes or Categories: 1. Select the Classes or Categories from the Accepting list(s). 2. Click the Remove Selected button below that Accepting list to move the selected item(s) from an Accepting list to the Corresponding Available list. Note: Click the Remove All button to move all selected items from an Accepting list to an Available list. Note: The changes to the Selection Criteria take effect immediately. Any jobs that now match the changed Selection Criteria of the Destination are processed immediately by that Destination. Any jobs that no longer match its Selection Criteria are not processed. If you do not want the changes to take effect immediately, place the Destination in HOLD or STOP mode before changing the Selection Criteria.

Reprinting Jobs and Effects on Workflow


After a job has been successfully processed by a Destination, the job status changes to SENT, and the job is retained in the list of jobs in the Spool until it reaches its expiration time, or the job is manually deleted. To reprint one or more jobs: Change the status of the job(s) to READY. Now the jobs can be selected by a Destination based on their Selection Criteria. To keep one or more jobs available for a longer time: Using the Job Properties dialog box, Expires field, you can do one of the following:

Set a later Expires date for the job(s). Set the job status to HELD so that the job(s) can never be automatically deleted, even if the Expires date has passed.

If you combine a change in status with a change in Destination, you could reprint a job at different Destinations across the country. In this way, you could distribute the job widely to the Destinations nearest to the people who need to receive the job.

Changing a Jobs Destination to Improve Workflow


By changing a jobs Destination, you can redirect or restrict the distribution of the job, or change its printing priority.
l

If the Destination for a job is changed to a specific Destination, then only that Destination can receive and process the job. If the Destination of the job is ANY, the job can be sent to any available unrestricted Destination (usually a printer) in the same Partition as the job as long as the Destination's Acceptance Criteria allow it to process the job.

Chapter 12: Workflow Management

To facilitate faster printing of a job, you should not name a specific Destination; leave the Destination set to ANY. This will direct job processing to the next available Destination rather than restricting it to a named Destination.

Note: A restricted Destination will not be used for jobs whose Destination Attribute contains the keyword ANYjobs for which the keyword ANY appears in the Destination column of the Scrollable Jobs List in the Jobs Window.

You can move resources (Jobs, Origins, and Destinations) from one Partition to another Partition as long as you have the appropriate Change Partition Rights for both the source Partition (where the resource is) and the target Partition (where you want to move the resource to). If these conditions are met, you can move jobs even if you do not have the Right to View the jobs in the target Partition. Consult specific rules for:

Moving Jobs between Partitions


Start from the Jobs Window to use any of these methods. Note: Moving a single job by either method 1 or method 2 is useful if you do not know the target Destination in the target Partition. Changing the Partition/Destination in a single step is useful if your Rights permit and you do know the target Destination in the target Partition. To move a single job (method 1): 1. Select a single row in the Scrollable Jobs List. 2. Double-click the cell in the Partition column of the scrollable list, click the Partition toolbar button, or from the Job menu, select Partition. 3. When the Select New Partition dialog box is displayed, use the Partition dropdown list to select a target Partition. 4. Click Save to save your changes and close the dialog box, or click Cancel to close the dialog box without saving any changes. When you click Save, a message is displayed, asking you to confirm the save. 5. Click Yes or No, as appropriate.
